Poverty Guidelines

Updating the Poverty Guidelines table in CRS5 is different from the process we were used to in ERS4. The first day of the reporting period determines which poverty table to use. That means that since the first day of this reporting period was in 2006, we will use the poverty guidelines table for 2006.

We will update to the 2007 poverty guidelines in the next reporting period.

The Data Interchange in CRS will be reconfigured once SRS is finished. SRS5 will prepare the a poverty table and export that data to CRS5. Eventually this will mean that states will receive a poverty guidelines table from Washington and the states will export it to the counties (SRS5 to CRS5). This is different from ERS4 when everyone was responsible for updating their own table manually. This process is to ensure more accuracy and that everyone is using the same table.

Click on Tables from the Main Switchboard and then click on Poverty Guidelines Table and make sure that 2006 is the selected year.

Printing Problems in CRS5 Reports

During the most recent round of beta testing CRS5 it has been discovered that users may encounter some printing errors on various CRS5 reports. The most common error has been reported with the One Day Recall Summary.

The problem seems to occur on computers with Adobe Acrobat Professional installed where Acrobat is selected as the default printer. In this case, you can correct the problem by changing the default printer selection. Adobe Acrobat the "y" in Nutrient Summary may be left off of some reports.

However, if you have Adobe Acrobat Professional installed and Acrobat is your default printer you will get a report that has dropped the "y" off of summary.

If you are experiencing problems, check your default printer.

To check your default printer setting in CRS5 click on File and then Set Default Printer.

On this screen choose a printer other than Adobe PDF.
This setting should prevent you from experiencing errors on your summary reports. If you still encounter spelling errors of any kind on any summary reports please send an e-mail to crs-help@lyris.csrees.usda.gov

Viewing Food Item Details

A new feature has been added in CRS5.02 that allows users to look at individual food item nutrient information after they have been added to the diet recall.

On the Meal Items screen you will see a new exclamation point button.
Click on this button and it will take you to that food item information from the foods database.

Click the Back Door to return to Meal Items screen.

View Update History

If you would like to see the latest changes made to CRS5 there is a document that will be included with each release that will show you each of the changes and fixes that were made to the software.

From the Main Switchboard click on System Administration.

Click on Update History

You will see a PDF file that looks similar to this:
If your Adobe Reader will not open the file, this Update History document can be found in the C:\AccessApps\Apps folder with the file name CRS5UpdateHistory.PDF

Recalculating Recalls

You only have to recalculate your recalls once. This process should only be done once you have converted your data from ERS4 to CRS5 and if you use the Computerized Analysis method for diet recalls.

Click on the Nutrition Button and go to the Nutrition Switchboard.

Click on ReCalculate Recalls in the bottom left side of the screen.

Click on ReCalc in the middle of the screen.

You will see CRS5 working and there will be a progress meter in the bottom left of the screen.

When CRS5 is finished recalculating the Recalls you will see the following information appear on the screen.
Click the Back Door on the Recalculate Recalls screen to return to the Nutrition Switchboard.

Your recalls have now been recalculated and you are finished with this step. Back Door out to the Main Switchboard and log out if you are finished in CRS5.

Editors Note: The Recalculate Recalls function applies to Recalls/Data that have already been entered prior to the installation of CRS 5.03. Counties do not HAVE to convert their recalls before they recalculate. If they enter recalls or convert recalls after they have installed v.5.03, then they will already be using the new formulas. Things only need to be recalculated that were figured under the old formulas which may or may not have been affected by the new calculations.

Refresh Adult Recalls and Checklists

Some states have encountered problems in CRS5.01 when they attempt to run summary reports for the nutrition and checklist sections. For instance, they may have 4 graduates showing on their screen, but when they run the report it was only picking up 1 or 2 of those graduates.
In the new release of CRS 5.03 there is a fix for this problem.

You will need to run two refreshes that will correct this problem.

To refresh the Diet Recalls go to the Nutrition Switchboard.

Click on the Refresh Adult/Recall Info button in the bottom right of the screen.

Once that is done, click the back door icon out to the Main Switchboard.

Click on Checklists to go to the Checklist Switchboard.

Click on the Refresh Adult/Checklist Info button in the bottom right side of the screen.

This finishes the refresh process for the Recalls and Checklists. This process only needs to be done once after you have converted your data from ERS4 to CRS5.

Updating CRS5

Log into CRS5 Tools and click "Download Software Update" in CRS Tools to download and install the update.

You will need to supply the following information if it is not already on the download screen:

Host Name: ftp.acorndata.com

User Name: crs5

Update File Name: crsupdate.exe

Password: NEERS

Note the password is in upper case, all other entries are in lower case.

Your firewall may block this download. If so, you may need assistance from your IT staff. You may be able to download the file by clicking the following link or copying it to the address box of your browser:

ftp://crs5:NEERS@ftp.acorndata.com/crsupdate.exe

After downloading and installing, you may need to verify that crs5update.exe is digitally signed by Acorn Data Systems, the developer of the CRS5 software. Accept the digital signature and log back into CRS5.

Total # of Contacts - What Does it Mean?

There have been questions about the adult enrollment screen which now asks for number of contacts and # of lessons. How do we define number of contacts?

The Number of Contacts box is to reflect the # of times you have contact with a client. Some states may deliver more than 1 lesson at a session, while other states may take 2 meetings to cover the content of a lesson.

For instance you may have met with a client or group 5 times, but taught 10 lessons because
2 lessons were taught per visit. Contacts would be 5, number of lessons would be 10.

This just helps us see the variety of ways that the program is delivered. It can have even more meaning for you as the State Coordinator to see how your staff are spending their time or to test various strategies.

Exporting/Importing Multiple Question Sets

If you currently use additional Question sets in ERS4 for the Behavior Checklist Module you will have to export your existing sets from SRS4 and import them in CRS5.

The steps are:

1. Add all of the appropriate sets in SRS4 (if you are going to use new questions) or if you are simply exporting questions that you are already using the go to step two.

2. From the Behavior Checklist Questions screen in SRS4 click on Export Sets and you will be at the following screen.

As you can see above you can export more than one question set. Once you import the questions into CRS5 you will have the ability to choose which question set you want to use with each client.

3.You will have to export both sets of questions in SRS4, export them to the ckqset40.mdb file format and then import that file into CRS5. All of the different question sets will then be

imported and you then choose the appropriate set for each participant as you enter the data in

CRS5. Refer to page 85 in the transition manual for more step by step directions as to how to

export and import question sets if you need that information as well. Since you cannot build question sets in CRS5 yet, you must do all of this in SRS4 and then export them together and they will all be in that ckqset40.mdb file, so that when you import them into CRS5 you can retrieve all the question sets you were previously using. Please refer to the Transition Manual page 87, section 10.3 for further instructions.

4. Once you have imported your questions you are ready to use them in CRS5. Click on a clients behvaior checklist and you can choose which checklist you want to work with. But FIRST click on Additional Questions.

5. No choose which question set you want to use for this client and click save.

6. Now click on the Blue Explode button to go to the checklist. You will now see an Additional Questions tab. After you enter the responses for the 10 base questions, click this tab to enter the responses for the additional quesitons that you are using.

Questions about Diet Recalls

There have been quite a few questions and concerns over the Diet Recalls of clients in CRS5. This is an important issue that we all need to understand so that it will alleviate our frustrations as we experience these situations in the coming months as we face a nationwide transition from ERS4 to CRS5. Reference Page 74 in the Transition Manual for further instructions. This section explains the whole conversion of diet recalls using the different methods of C (computerized analysis), E (external method), and F (food group analysis).

You can choose your Default Nutrition Method on the System Configuration screen.

Once you convert your DB from ERS4 to CRS5 you will notice that if you previously used the Computerized Analysis method in ERS4 your recalls now appear as E or external method. In the last column labeled RM any recalls that are labeled E (external) will not allow you to enter foods unless you convert them using C (Computerized Method). Recalls come over from ERS4 as E (external) because it assumes you will not have to make any changes to the recall. This works great for clients who have both entry and exit recalls. However, for clients that have one recall at the time of conversion it will still come over as E (external). That recall will have to be converted to a C(computerized) using the instructions in the transition manual starting on page 76 (section 9.3)

Here is a screen shot of a client who had a recall converted to CRS5 using E (external method).

Notice that there is not an option to enter foods.

However, if you go back one screen and click on Convert ERS4 Recall

You will get this following confirmation message. Click OK.

Then in this window click CONVERT on whichever recall you wish to convert.

Notice that the ability to View/Edit Food Items has returned.

Note: After converting your 2006 DBs into CRS5, and then starting a New Reporting Period, clients with one recall in the E (external method) will have to have their recall converted to C (computerized method) so that you can enter an exit recall for them during FY07.

Note: States using the Food Group Analysis should not be effected by the external method. Your recalls should come over in the same method that they were entered as in ERS4.

Note: When entering new recalls in CRS5 you will use the Default Nutrition Method you selected in the System Configuration and now conversion will be needed.

Finding the Nutrition Reports

With the transition from ERS4 to CRS5 underway we are all going to be looking for things that we knew used to exist in a certain place, but now we can't find them as easily in the new program. Rest assured! Most of the things you are looking for are in CRS5 as well, you just may have to look in a different place.
For instance... the Food Recall Reports still exist, you just have to locate them in a different way than you were used to in ERS4.
In CRS5

From the nutrition Switchboard -

Click on View/Edit Recalls.
Then click on the blue explode button for the individual you wish to view/print.
From this recall screen, click the printer icon and you will get a window that looks like this:

From here you can click which report type you wish to view or print.

Note: the Participant Diagnostic Report is not yet available and the Food Recall Review is not available for Recalls that have been converted using the External Computer Analysis.

CRS5 Beta Testers

The CD containing the finished version of CRS5 was mailed from Washington last week, so you have probably received it by now. When you install the CD, it will overwrite the earlier version you had from the beta testing process. It is important that you install the program from the CD to make sure you have the most current version installed on your machine. Installing the program will not affect any ERS4 or SRS4 installation you currently have installed.

Exiting CRS5

When you exit CRS5 and have the "Backup on Normal Exit" box checked the program may seem to hang, but it is not actually hanging. The program is performing a backup in CRS tools and then returns to CRS5 to exit. Just give it a second to do what it needs to do and then it will exit properly. You should here a beep or other audio cue that the program is finished and then it closes down.
