The Deltascheme Request for Information (RFI) Handling Solution is a case management framework build entirely on SharePoint and is deployed as a web solution package.

Case management can typically be a complex system to get right, but through many years implementing case management solutions and our experience with SharePoint, we have built a case management framework that can be as simple or complex as you like. Since it is based on SharePoint and not 3rd party software, it is highly configurable and easy to use.

The RFI solution has been built to provide a SharePoint solution to manage requests for information relating to

Freedom of Information Act (FOI)

Data Protection Act

Environmental Information Regulations (EIR)

Complaints Management

…and any other request for information and case issues that you can think of.

Benefits

Benefits of the solution are

Auto Case File Creation. Automatically create a case file with predefined rules applying to it depending on the legislation the enquiry relates to. This ensures the right information is collected at the start of the process and correct time lines are followed.

Manage Costs. Manage the expenses and costs associated with an RFI. Dependant on the type of legislation, different costs may apply to the RFI.

Manage Timelines. Automatically manage time-lines dependant on whether the enquiry relates to the DPA, FoI or EIR legislation. This includes managing extensions if it is deemed by the Data Controller to be in the public interest.

Run Parallel Workflows. Manage parallel workflows if a request requires information from several different departments.

Reporting. Provide reporting on all RFIs across the organisation, detailing what was completed within the allocated timeframe and identifying those that fell outside of it.

Control Processes. Control and ensure the right processes are followed with an auditable log of activities.

Security. Automatic creation of roles and security enabling strict control of access and privileges to controlled information.

Help. Have help information available to users when they need it.

Extremely easy to implement and use.

A new report published by Harvey Spencer Associates, an independent industry analyst firm, finds that Kofax has continued increasing its share of the capture software and services market. The report, entitled “The 2011-2012 Worldwide Market for Document Capture Software,” states that Kofax increased its overall market share to 15 percent in 2010 from 11 percent in the prior year. The report concludes that the market will expand from approximately $2.2 billion in 2010 to over $4.1 billion in 2015, representing a compound annual growth rate (CAGR) of approximately 13.5 percent, and the following:

In the “Batch Image Capture” segment, defined as scanning, indexing and then exporting document images and index data, Kofax increased its leading market share to 35 percent in 2010 from 25 percent in the prior year, which is 20 percentage points higher than the nearest competitor. From 2010 to 2015, the Batch Image Capture segment is expected to have a CAGR of approximately 8 percent.

In the “Batch Transaction Capture” (or “Batch Content Capture”) market segment, defined as scanning, classifying and extracting critical business data and then exporting document images and data to downstream business processes, Kofax is the leader with a 17 percent market share in 2010, up from 13 percent in the prior year. The CAGR for the Batch Transaction Capture segment is expected to be approximately 9 percent.

Kofax was included in the “Ad Hoc Transaction Capture,” (or “Ad Hoc Content Capture”) market segment for the first time, having achieved a 10 percent market share. The CAGR for this segment is expected to be approximately 53 percent.

These three segments account for what Kofax considers to be the enterprise portion or approximately 70 percent of the overall market.

“Kofax has made major advances in the transaction capture segment by providing business solutions,” said Harvey Spencer, Principal of Harvey Spencer Associates. “By making a strategic move to brand itself as a capture driven process automation solution provider, Kofax leverages its broad customer base with value added functionality. We believe this capability will be key to much of the company’s growth in the near future.”

What is Kofax Front Office Server (KFS)

Kofax Front Office Server enables customer-facing employees to trigger back-office business processes directly from familiar front office equipment such as digital copiers, desktop scanners, and fax systems. Kofax Front Office Server unites the following components in the document capture and routing process:

Input devices like MFPs, scanners and fax systems

Kofax Capture for advanced document processing options like

classification, data extraction, PDF conversion and release to ECM systems, workflows or line of business applications

Personalized user interface options that improve the efficiency of document-driven processes

Top 7 Little Known KFS Facts

KFS Web Clients are licensed concurrently, even over a WAN – this means that a 20 KFS Web client license using a modest contention ratio of 5:1 provides scanner connectivity for 100 users.

KFS Web Clients permit the uploading of electronic format documents as well as supporting a wide range of personal and workgroup scanners.

All images scanned from MFPs i.e. via KFS “device” client licenses do not incur a “click” in the back-end Kofax Capture system, i.e. Kofax Capture PDF (to image only) and export can be used irrespective of the number of images scanned.

KFS Web Client includes VRS as a part of the build so VRS-bundled scanners are not needed to realise the benefits of image clean up and “scanning smarts”.

KFS Device Clients (i.e. MFPs) can utilise VRS via VRS-Server that is bundled as a part of the KFS Server solution and license fee.

KFS can be added to any Kofax Capture system and automatically “inherit” batch classes – thus, all Kofax Capture systems are candidates for immediate deployment of ad hoc scanning.

KFS Web Clients are quick and easy to deploy and learn – as no email mechanisms are used, the solution conforms to Records Management best practice and is secure.
