      Have you ever wondered why the National Office does things in a certain way?
Has there been a policy that you weren&apos;t sure about, but were afraid to ask about?
Have you wanted the fraternity&apos;s operating policies in one place?

Well, what you&apos;ve been seeking will be available in the week or so! The National Office is in the final stages of compiling Delta Lambda Phi&apos;s first Policies and Procedures Manual, which will bring all the various policies of fraternity operations, expansion and information management together into one document. This document will be made available to all Brothers and Colonists of Delta Lambda Phi and will be the single source for better understanding of how to work with the National Office and why the National Fraternity does things in the way it does.

The Policies and Procedures Manual will be a living document. It will change as the Fraternity changes and grows. The policies documented in this manual are derived from the National Bylaws and the policies established by the National Convention and the National Board of Directors. As those sources change, updates will be made to the P&amp;P Manual.

This month's announcements of the future changes and additional work in the Office of Information resulted in some new interest from Brothers of joining our team.  We are pleased to announce the addition of 2 new members of our team.  Please welcome:

<strong>
Matthew Donnelly, Beta Eta:</strong>  Matt joins us in a new position, the Audio/Video Production Lead.  We believe that media beyond that of simple hypertext will become a far more important and common form of communication between Delta Lambda Phi and its Brotherhood and the world.  Matt presented a workshop on audio podcasting at the Western Regional Conference this past fall, and I look forward to working with him to develop Delta Lambda Phi's capabilities and expertise in advanced podcasting and high quality, high definition, video production and podcasting for information, historical, and public relations purposes.

<strong>Nicholas Smith, Beta Zeta:</strong>  Nick joins us in another new position, the Knowledge Specialist.  He will be working with Bryan Guffey on developing and organizing content of our upcoming Confluence-powered fraternity wiki.  He will also be working to develop documentation and training materials for the various technology tools we all use.  

Please welcome these two gentlemen as they go where no one in Delta Lambda Phi Technology has gone before!

      <![CDATA[Brothers and Colonists,

I am pleased to announce that I have appointed Bryan Guffey, who has served in the Office of Information (previously known as the Technology Committee) in a number of roles, including Chief of Information Security and Intranet Systems Administrator, to the position of Deputy Director of Information.

The National Technology Policy defines this position as follows:

<em>The Deputy Director of Information shall be responsible for assisting the Director of Information in fulfilling his duties.  Specific duties may include administration tasks, evaluation, development, or deployment of new technology tools, analysis of effectiveness and security of operational systems, development of training materials, overseeing development projects, and National Technology Policy enforcement.  Direct and specific tasking will be given by the Director of Information.  The Deputy Director holds no decision making authority as granted to the Director of Information.</em>

This position needs to be filled due to the ever-increasing demands on the Office of Information, which include policy & procedure manuals, audio podcasting (which we think will and should grow into video podcasting), as well as the current development efforts of mydlp2.0, the installation of Confluence, JIRA, and Crowd, and training for each of these areas.  Thus, there is room and a need for additional leadership in the DLP's world of information, internal communication, and technology.  

I am thankful for Bryan's endless energy and enthusiasm for helping Delta Lambda Phi work faster and smarter via technology.  Bryan's growing leadership in researching and discovering new technologies and tools for us makes this change a natural fit.  He will continue to serve in his role as Intranet Systems Administrator.  Please support Bryan as he begins this new role!

<em><strong>We are seeking help in bringing the future to Delta Lambda Phi.</strong></em>  Please consider joining us.  Participating in this team can be a huge learning experience and resume builder, and we are seeking <strong>Brothers</strong> with the following interests or skills:

      <![CDATA[Greetings Brothers and Colonists!

A number of exciting changes are headed our way which will dramatically improve how Delta Lambda Phi does business.  These changes affect all levels of the organization, not just Presidents and higher as the Google Apps rollout did.

In December, I requested some free software licenses from a great company called <a href="http://www.atlassian.com">Atlassian</a>.  As we are a nonprofit, they gave us all the licenses we need - $21,000 worth.  This new software will soon serve as the core of our internal information and communication systems.  Specifically, we have 3 new products:

<ul>
	<li>Confluence - This is a wiki system, which will replace our current National Intranet and organize all of our documents and collective knowledge.  Bryan Guffey provided a great description of this on the National Office Blog last month.  Confluence will add a great amount of transparency by allowing Brothers to work and collaborate together in realtime, or search for specific information about Delta Lambda Phi, whether it be a document, an email archive, or an internal website created by a fellow Brother or suborganization of the fraternity.  Check out <a href="http://www.atlassian.com/confluence">www.atlassian.com/confluence</a> to get a preview of the power this new tool will provide to us.  </li>
	<li>JIRA - This is a helpdesk system on sterioids.  Not only will it handle helpdesk ticket items as our current system does today, but it will manage all of our internal processes and chapter obligation tracking.  We believe it will greatly improve the effectiveness of the National Office as it expands and allow us all to complete our business as quickly as possible so we can focus on the important challenges our fraternity and chapters face.</li>
	<li>Crowd - This is a user security management system.  It will allow us to have single sign on across all of our systems, as well as globally track a user's role within the organization.  If you are an active brother and become President, you will get Presidential accesses where they exists across all systems instantaneously.</li>
</ul>

In addition to these exciting new tools, work also continues on a new, more powerful version of our national database interface, mydlp.  It is being completely rewritten to reduce complexity and allow for rapid changes so we can react to our data collection needs faster.  New tools include improved mailing address handling, so you can have multiple addresses with custom delivery settings for each.  You will also be able to activate and deactivate addresses as time goes by.  By improving our address data, we will be able to send you REAL mailings (if you want them) and more often.  We will also be rolling out a new Common Donor Recognition System, which will award you points when you donate to DLP, the NAA, Delphi, or the David L. West Scholarship Fund.  These points can be converted into DLP goodies and merchandise, event registrations, or donated back to one of the funds.  

We are also closely watching new emerging social technologies, and hope to integrate them with our own systems.  Specifically LinkedIn.com and Facebook capabilities and data are of great interest to us, as being able to share information about our professional and social lives can only strengthen our Brotherhood!

My resolution this year is to make the workings of the fraternity easier for every brother to understand. Want to know why we collect information at a certain time? Want to know what the Board talked about at their last meeting? Want to read the convention minutes from 1991? (Working on that one) All of this is about to become  possible. But it gets better; imagine these questions:

<ul>
	<li>Where do I go to find out the contact info for the chairman of the Rush Committee?</li>
	<li>How much does my chapter owe this year for National Dues and LIP?</li>
	<li>Where are the reporting documents so that my chapter doesn't get suspended?</li>
	<li></li>
</ul>
and these...

<ul>
	<li>I need rush ideas, and I don't have anything!</li>
	<li>My chapter wants to hold a retreat, but we need some models to choose from. Help!</li>
	<li>I want to apply for a scholarship for my chapter brother for books for school!</li>
</ul>


There are all questions we have had, and it has always been pretty hard to get a good answer on where to find all of this without having to contact several different people, wait for them to get back to us, and then go where they asked us to go, log in with a password that may or may not work, wait to get it reset, and then finally download the thing we were looking for.

Okay, okay, so the name isn't that great. I swear though, that you will be shouting the name "wiki" when you understand what a wiki can do for you! <strong>Imagine all the information and questions I just listed being answered by one single place with one single password by ALL of YOU! Never having to wait on someone to get a piece of crucial information, and being able to know what the people you elect are actually doing!</strong>

That's a wiki.

In short, <strong>a wiki allows the entire knowledge of the fraternity to be aggregated into a single platform that is not only complete, media-centric, and easy to use; it is also interactive and editable by everyone!</strong>

That's right, you can now directly tell the rush committee what you think about their ideas and see their responses to it and watch the projects come to life.

Want a specific service from the VPCS or Regional Governors? <strong>Put it on the wiki,</strong> and everyone can vote, add their ideas, and you can read the whole conversation on one page.

I could go on and on and on, but I think you guys get the point. This wiki will truly represent a paradigm shift in the way we access information. 3. Financial Audit

A form is available on the Brotherhood Intranet to guide you through
this activity. It is located under Downloads >> Governing Documents

4. Chapter/Colony Governing Documents

These are simply copies (electronic or paper) of your Chapter's (or
Colony's) Constitution and Bylaws, as appropriate for the documents in
existence for your location.

5. Business Meeting Minutes

PLEASE DO NOT SUBMIT THESE AT THIS TIME. This requirement is currently
under review, and, if confirmed, meeting minutes will be requested for
the first half of the fraternity year sometime in early 2008. This
requirement is being reviewed by the National Board and the National
Office for Sarbanes-Oxley compliance needs.

If you have submitted your business meeting minutes already, thank
you. The submission will be noted if the requirement is confirmed.

So where do you submit all this stuff?

Easy! If you're submitting it electronically, send it to
josh.pow...@dlp.org via e-mail. If you're submitting it via paper,
send it to the National Office address in Washington, DC (widely
available on Bulletin and the Brotherhood Intranet).

      <![CDATA[This is a reminder that National Obligations are due from Chapters and Colonies on November 15th. Below I provide a brief set of frequently asked questions about this process and how to successfully submit all required obligations. This posting covers the annual financial obligations, and the next one will discuss reporting obligations.

<em>1. What is due by no later than November 15?</em>

All annual dues and annual liability insurance assessments are due.

<em>2. Were invoices sent out?</em>

Invoices were sent in early September to all Chapters and those Colonies for whom MyDLP had been correctly updated.

<em>3. What if we did not receive an invoice?</em>

Most importantly, not receiving an invoice does not relieve the Chapter or Colony of their financial obligation. If you did not receive an invoice and need one for accounting purposes, please contact Josh Powell, Director of National Operations, through the <a href="http://helpdesk.dlp.org">National Help Desk</a> and an invoice will be sent to your chapter/colony e-mail account.

If you want to pay your financial obligation without an invoice, simply multiply the number of active Brothers or colony neophytes (as of 01 October 2007) by $275.

<em>4. What do we need to send with our payment?</em>

If you have an invoice, send a copy of that statement with your payment, which must be drawn on a chapter/colony checking account or via money order. If you do not have an invoice, send a roster listing the members your payment is covering. The roster will be verified against MyDLP records.

<em>5. What if our payment is late?</em>

If your payment is postmarked after November 15, your chapter/colony will be suspended until your payment is received. This is per the National Bylaws, and you will not be able to conduct any activities other than business meetings until your suspension is lifted.

Additionally, annual obligation payments postmarked between November 16 and November 30 will be assessed a $25-per-person late fee. Payments postmarked December 1 or later will be assessed a $35-per-person late fee.

<em>6. Where do we send our payment?</em>

ALL obligation payments are to be sent to the National Office address at:

      Google Apps has enabled an IMAP downloading option for all accounts, including our dlp.org email.  This means that you can now have your DLP email go to Outlook or your iPhone without these messages being separate copies.  Now, when you move a message to a folder, or delete one, the change is reflected everywhere.  

This is far superior way to managing your email, and allows you to have access to it everywhere while keeping it manageable.  I highly recommend that anyone using Outlook or an iPhone (or both!) to switch from a POP account to an IMAP account.

You can switch by logging into GMail and clicking Settings, then the Forwarding POP/IMAP tab.  The last section will allow you to enable IMAP and will also give you configuration instructions.  Remember to disable POP as a last step!
