Rethinking the Clock: How an “Hour Bank” Saved My Weekly Schedule

Seeking a solution, I turned to Google Gemini and asked: “I frequently don’t know how to handle the demands on my time. Perhaps a weekly schedule, focusing on priorities?”

After a few questions, I discovered the concept of an “Hour Bank” – a system where I manage my time like cash, complete with deposits, withdrawals, and emergency savings.

Setting Up Your “Hour Bank” Accounts

I now see my week as a set number of time blocks that I manage and allocate.

I set up 35 hours per week, based on my natural energy levels, split into three daily accounts totaling 7 hours each day. Structuring my week this way ensures I always have 10 hours of flexible time set aside to protect my main goals from unexpected disruptions.

• The High-Value Morning Account (3 Hours) is when my brain is freshest. I invest this time into deep-thinking projects that require high focus.
• The Low-Energy Afternoon Account (2 Hours) is perfect for low-yield administrative tasks. It’s the perfect window for phone calls,  emails, and everyday chores.
• The Evening Flex Account (2 Hours) is my emergency fund. It acts as a safety buffer to make up for any time lost during the day due to fatigue or interruptions.

Managing Life’s Unexpected Withdrawals

My “Hour Bank” puts me in control. When life disrupts my plans, I adjust my time blocks instead of feeling defeated.

Balancing Medical Withdrawals: If a long dental appointment eats into my day, I balance my schedule by dipping into my Evening Flex Account or making a deposit on Friday.

Handling Energy Bankruptcies: If afternoon fatigue hits, I don’t panic. I shift my transaction from 1:30 to 3:30 so I don’t default on my day.

Paying Yourself Dividends: Taking care of your well-being keeps your bank full and ready to do business. Time with family or creative hobbies is a mandatory reinvestment. If I want to take a Friday off for a long holiday weekend, I just make extra deposits earlier in the week.

• I believe part of my discouragement about spending “all my time” on medical administration tasks stemmed from the lack of temporal landmarks. I learned about temporal landmarks in this article about the need for small disruptions to our routine. Each day used to be the same; trying to make progress with medical tests and bills. I still need to do that, but I believe working within themed time blocks sets mental markers as I switch between tasks. I can look back on my day and know I accomplished important goals. I also have more room for creative activities to rejuvenate me and keep me going, even if I don’t see the end of the medical road.

TIME SENSITIVE: Don’t Wait to Mail Your MPD Gifts

Act quickly-mail your MPD gifts before the new surcharge begins on April 26, 2026.

I’ve been writing about USPS’s  financial difficulties for some time. I read an article last month that the U.S. Post Office was appealing to Congress for reforms. The Postmaster General is concerned that the USPS will run out of cash within the next year. Some considerations include moving to a 5-day work week and closing some P.O. locations.

Shortly after, I read a USPS announcement that  the U.S. Post Office will begin an 8% fuel surcharge on package services – from April 26, 2026. to January 17, 2027 – due to  rising diesel fuel prices. The surcharge applies to Priority Mail Express, Priority Mail, Ground Advantage, and Parcel Select.

Holiday Gifts

I don’t know how this new decision affects holiday rates. I assume the USPS will also impose higher rates on packages from September through January. These rates were instituted by all shipping companies in 2020.

If you usually send Christmas thank-you gifts to ministry partners, consider mailing some now to avoid higher holiday rates.

Google Gemini and Your Plans

I’d already been thinking about mailing some things to our daughter and some gifts to several ministry partners. Now, this announcement gives me a deadline to send them out in the next few weeks(unless I can find cheaper options with other companies).

I asked several questions on Google Gemini and ended up with a recommendation to buy a USPS Ground Advantage label on Pirate Ship. I’ve never used Pirate Ship, but a few people have recommended it to me. They use commercial rates to lower our shipping costs.

Use a series of prompts with the Google Gemini AI tool to refine your shipping questions. As you create a thread, you’ll clarify your situation and receive a tailored response.

To compare shipping options, try these prompts in Cru’s Google Gemini (your safe place for AI):

• Ask for a chart of potential costs to ship a (give the weight and dimensions) package from your zip code to your recipient’s zip code. Ask for the lowest price across all shipping platforms.
• Ask if the dimensional weight of your package will affect your shipping options.
• Ask if the USPS Flat Rate will be a better option for your package.

Some things I learned from my dialogue with Gemini:

• UPS may have a better price than USPS for heavier packages shipped over longer distances.
• If any dimension is over 12″, you will pay more for the size, not the weight, of a USPS package.
• The cheapest service is the UPS Ground Saver. UPS handles the long haul, then delivers the package to your post office for the final delivery.
• USPS Ground Advantage costs just a little more than UPS Saver and may deliver your gift sooner.
• USPS offers a special “Cubic” rate limited to .5 cubic feet for small, heavy packages.

First-class stamp prices are not going up with this new surcharge, so why not order some stamps to use on your prayer letters during various summer holidays?

• How to Edit:  These links are “View Only” to keep the master templates safe. To start editing, just go to File > Make a copy to save them to your own Google Drive.
• Printing Your Envelopes: To make sure the logos line up perfectly, double-check your printer settings. Select the correct paper size (A2 or #10) and ensure “Scale” is set to 100% (not “Fit to Page”).
• Digital Bonus: If you send your newsletters through Mailchimp, drop the anniversary logo into your email header or near your signature.

Free Downloads for Cru Staff for Our 75th Anniversary

Have you seen the new logo for Cru’s 75th anniversary? There are two versions. One for use in the United States and one for staff in other countries or serving globally. The image in this post shows the U.S. version.

I’ve been doing a few things to alert our ministry partners about this milestone. I’d like to help you do the same for your team.

MPD Correspondence

Prayer Letters

The logo is perfect for your prayer letters all year, not just for the official anniversary. Use it to draw attention. I plan to focus on Cru’s anniversary in the fall after we learn about celebration announcements.

If you use Mailchimp, add the logo to your email template.

Thank-You Notes

I created free thank-you notes with the logo and Cru branding. Print them yourself (two on a sheet) on white cardstock, and use white A2 envelopes.

I made two versions, depending on the length of your name. Using the wrong one can shift and misalign your thank-you note. The only difference is the font size for the staff member’s name. Review both and make a copy to your Google Drive of the one that fits your needs.

• If your name is 14 or fewer letters, use the short-name version.
• Couples or those with longer names should use the alternate version.

75th Anniversary Thank-You Note Enclosures

Since 2016, I’ve included ministry stories as inserts in thank-you notes and add a handwritten message: “Thank you! Your donations make stories like this possible.”

We work at headquarters, so this practice ensures that every ministry partner, every year, receives a broader view of Cru’s impact beyond what we do.

I’ve taken a few of these stories and replaced the standard Cru logo with the 75th-anniversary logo.

These stories are for Cru staff only. Visit the directory to download your free stories. Save your copy on your Google Drive and then change our name to yours.

Other Ideas

• If you’re comfortable changing the thank-you note from two-up to four-up, print it as postcards. Or, try printing and then flipping the paper around to print the two-up version on one sheet. Use cover stock paper.
• Update your email signature with the new logo.
