Can a Shop be Paperless with EMDECS?

It sure can! It isn't odd for people to like having some things in paper form and EMDECS certainly has plenty of print buttons throughout, but it is possible to operate completely without paper.

Work orders can be printed from the 1st generation of EMDECS with job bar codes for technicians to scan onto, but they can also indicate work being done directly on screen. With the 2nd generation of EMDECS, technicians can indicate the work they are doing in real time and completely end their need for paper.

When reports or invoices are printed from EMDECS, they first appear on the screen as PDF files which can be read and distributed electronically - without the use of paper.

Can Negative Inventory Levels be Controlled?

With EMDECS, yes. The default EMDECS setup allows the inventory levels of any part or item in the Part Master to go into negative quantities. This is because it is very easy for inventory levels in a shop versus what's in the system to become inaccurate. There could be a situation where the system has an inventory of zero for a particular part, but there may actually be physical inventory of the part in the shop. If the system would not allow negative quantities, the technician would be prohibited from using the part that is in hand. So, the system will go into negative values, allowing work to continue while the differences between the system's quantities and the actual real life quantities are aligned by a physical count or inventory adjustment procedure.

Some shops work very hard to maintain an accurate system inventory while strictly monitoring the movement of physical parts within the shop. If a discrepancy is identified, the part manager or shop manager might not want the part to be used until after the discrepancy has been rectified. In these cases, a shop might want EMDECS to prohibit negative inventory values.

The EMDECS Customer Experience team can control this option for you. Just contact them (try clicking 'Submit a Request' at the top of this Help Center) to state your shop's preference for this setting.

What are the System Requirements to run EMDECS?

A modern computer with at least 2GB of memory (4GB recommended) and a dual-core processor or better is necessary for each EMDECS work station. Windows Vista or later is required as an operating system, or a Mac running OS 10.7.3 or later. An Apple iPad is an excellent mobile device that will run EMDECS well.

As EMDECS is hosted over the 'cloud', a business quality broadband internet connection that can download data at a rate of 1.0Mbps or better and upload data at a rate of 512Kbps or better is also required. To test your connection speed with the EMDECS servers, click here for speed.perfitcomputer.com.

In order to make use of hand-held scanners and label printers, the latest Java software will have to be installed on at least one work station (better suited to a desktop or notebook computer as not all mobile devices can run Java). Java software can be obtained for free, here at java.com.

Web browsers should always be as close to the latest update version as possible. Any aging operating systems or browser version will eventually become unsupported by online systems, so it's a good idea to stay up to date.

There are a variety of ways to get help with EMDECS, including an online Help Center, accessed from EMDECS that contains FAQs, articles and resources.

When using the 2nd generation of EMDECS (Tech RO, Service Board, etc.), you have the ability to watch tutorial videos from directly within each EMDECS screen.

If you don't find what you need in the Help Center or from a tutorial video, you might need to get in touch with our dedicated Customer Experience (CX) team. They can take care of most of your questions, concerns and needs, or find someone who can!

The best way to reach CX is by clicking Submit a request at the top of the main EMDECS Help Center screen.

You can reach CX by email: support@perfitcomputer.com.

There's also the telephone: 905 501-0911 or 888 205-8817.

CX is available Monday to Friday, 8:30am to 6:00pm ET.

Whether by Help Center, email or telephone, questions and concerns will be logged in the Help Center so that you can review them, including CX responses, at a later time by selecting your username at the top right of the main EMDECS Help Center screen and choosing My activities.

A great question to ask when using, or considering the use of EMDECS in your shop. We'd like you to be aware of the level of dedication and expertise that has gone into producing the system and maintaining it on a daily basis. EMDECS has been built from the ground up and is monitored constantly by Perfit Computer Systems Group Inc. (Perfit). Our teams consist of designers, developers, IT, Customer Experience (CX) and office support.

Perfit's software is built specifically for heavy-duty truck and trailer maintenance professionals and it all began in 1996. The idea has always been to decrease fleet management costs and help retail shops increase profits. Repair tracking is based specifically on ATA VMRS codes for class 6, 7 and 8 equipment. Perfit's goal is to deliver a complete, gap-free solution for both fleets and retail repair shops with respect to maintenance organization and tracking, including repair orders, inventory management, equipment records for readings and depreciation analysis, preventative maintenance scheduling and even rental unit tracking. All of this is brought together by innovative repair information capturing and in-depth data reporting and analysis tools to organize shops and deliver professional customer invoicing and head office submissions of completed work.

The latest generation 2 version of EMDECS has been redesigned using human-centric design thinking to enhance a customer's experience and efficiency while capturing repair jobs in real time.

Monitoring of the servers that host EMDECS is 24/7. The dedicated CX team is available to help with any EMDECS related question or concern through an online Help Center accessed directly from within EMDECS, or by telephone and email, Monday to Friday, 8:30am to 6:00pm ET.

Can Multiple Facilities be Setup?

Most certainly - this is a major requirement of a CMMS system as many businesses have more than one physical shop or location. Businesses might even want to setup a mobile repair unit as a facility or even partition a single physical space into multiple facilities in EMDECS if it makes business sense.

With multiple facilities setup, businesses can have EMDECS generate invoices with unique prefixes or user defaults and restrictions setup by location and even map GL accounts by location for accounting clarity.

Yes - make sure to scan your computer(s) on a regular basis with UP-TO-DATE anti-virus software. Adware and Malware is engineered to be hidden from existing anti-virus software - only newly updated anti-virus software can effectivley find and remove harmful software that can slow down your computer connection and negatively affect the performance of EMDECS.

Don't Have a Scanner?

The latest generation of EMDECS, designed as a highly efficient maintenance tracking tool, makes use of reliable, cost-effective technology to work within your daily shop processes. This includes the use of hand-held scanners (read here for more information).

Scanners are great tools for scanning bar codes for quickly issuing parts to orders or for inventory related tasks, as well as for multiple technicians sharing a shop computer - each person can scan their employee badge in turn to access any repair orders they have on the go.

The question is, can a standard computer keyboard perform these functions in EMDECS? Yes, they certainly can. It might not be as efficient as a hand scanner, but the option certainly exists. This is particularly helpful for shops implementing the system in stages. As comfort and familiarity grow with the system (this doesn't take long!), add-on items such as scanners can be eventually introduced.
