How did we manage before email? If your email box is anything like mine then it will be a mixture of client correspondence, newsletters, reminders, orders, a few personal items etc. How do you control all that so that your inbox helps you to remain focused?

Here are some of my productivity tips to get you started:

Create Folders: Most email systems, from Outlook to Gmail, allow you to create folders. Use these like your email filing system and name to folders with logical names ie Newsletters, Customers, Personal etc. You can create as many of these folders as you need for your own needs but I would also recommend creating a folder called Follow Up.

Once you have read and actioned an email and you know that it has been completed, move this email to the appropriate folder. If you reply to an email and expect continued dialogue then move it to the Follow Up folder.

How many of those newsletters do you actually read and use? If they are no longer useful unsubscribe from them.

I use Outlook and wouldn’t ever change from it as one of the features I love and use a lot is the Flag system. Anything that I need to action I flag and it appears on the right hand side of my screen so I know when I need to action something and by when. One of my customers uses and 24 & 48 hour Folder. You do need to be disciplined about this though.

Do you check your email constantly or have set times? If you find that you are easily distracted by incoming emails then I would recommend turning off your email programme and checking it twice a day.

These are just some of my tips for controlling email and dealing effectively with your inbox. I have other systems and suggestions if your email is unruly.

Did you know that you can easily delegate or allow access to your email system, to me as your Virtual Assistant and I can capture all you customer emails, contact notes or orders to make you even more efficient?

Why not give me a call on 01332460360 or email me to find out more.
