As some of you have already noticed gPanel got a complete makeover yesterday. We released a new user interface that is much cleaner and a new menu that has been grouped by Google Data services for easier navigation.

The new menu will allow us to continue to add more features while keeping it easy for you to find and use them. If you have not seen the new UI and menu please log into gPanel and let us know what you think.

gPanel Update: Personal Contact Delegation

Personal Contact Delegation for Google Apps Released (FAQ Help Document)

In Google Apps, you can delegate email access to another user. But how do you delegate personal contact management to another user?

Our gPanel development team has been hard at work to deliver this capability. Now with gPanel for Google Apps you can delegate management of a user's personal contacts to any other domain user.

Example:

A manager, Lisa, would like to have her administrative assistant, Josh, be able to manage and update her personal contacts. A gPanel admin can simply log into gPanel and delegate management authority of the Lisa's contacts to Josh. Once delegation has been assigned, when Josh accesses the Personal Contacts tab from his gPanel User Portal, Josh now sees a drop down tab from which he may manage Lisa's contacts.

All updates by Josh are made in real time to Lisa's Gmail personal contacts.

One of the most common questions we get from companies migrating from Exchange to Google Apps is:

How do my users share contacts with each other in Gmail like they use too in Outlook?

Our team has been hard at work to deliver the ability to sync a group of contacts from a single users Gmail contacts to any number of destination users Gmail contacts in the domain.

What is contact sharing in Outlook / Exchange?

When you use Microsoft Office Outlook 2007 with a Microsoft Exchange account, contacts can be shared between people. Contact sharing is not limited to the default Contacts folder that is created in all Outlook profiles. You can create additional contacts folders and choose which of those folders to share. For example, you can create a contacts folder for a specific project and share it with your coworkers.

What is contact sharing in Gmail / gPanel?
When you use Gmail with gPanel administration added to the domain, contacts can be shared between people. You can create any number of contact groups and choose which of those groups to share. For example, you can create a contacts group for a specific project and share it with your coworkers.

For Example:
Bob has a group of personal contacts in his Gmail account called "Sales". He wants to share them with the other members of the Sales team. Now a gPanel admin has the ability to go into gPanel and create a Contact Sync job that will sync Bob's personal group of Sales Gmail contacts to the other members of the Sales team or any other domain user specified in the sync job.

When the other Sales team members log into their Gmail accounts and go to their contacts they will see a new group called "Sales" with contacts in it that they can browse and use. These will also be available in type-ahead, contacts search, mobile devices and Google Outlook Sync. Any changes (create, delete, or modify) that Bob makes will be sync'd to the Sales team members contacts at night. The update sync runs once a day at 1:30 AM EST. When the sync job is initially created it will sync the contacts immediately.

Gmail Mail Box Download / Export

User to export: The User whose mailbox you wish to export.
Start Date and Start Time: The date and time from which you wish to begin the export of the mailbox. Time is in 24 hour format.
End Date and End Time: The date and time from which you wish to end the export of the mailbox. Time is in 24 hour format.
Get Deleted Messages: This check box, when selected will retrieve all the messages that were deleted from the mailbox within the scope of the date and time filters.
Search Query: This field allows the Administrator to search for specific topics within the mailbox. For example, a search query might contain a common email subject. A common search query will be the user created filters e.g. label:boss, label:inbox, or label:priority.
Export All: This allows the administrator to select to export the Full message or only the Headers of the messages.

gPanel for Google Apps Update

The gPanel development team has been hard at work on some new features. We are excited to announce the following new features have been released into production.

Google Apps Secondary Domain Support (debuted on Wednesday, March 2, 2011)

Google released an update to their Gmail Settings API a couple weeks ago to allow us to read a limited number of the Gmail Settings. You can now view Gmail Settings for users for: Gmail Labels, Send As, Forwarding Settings, POP Settings, IMAP Settings, Vacation-Responder, Signature. We have always been able to set Gmail Settings in gPanel but now with the ability to know what they are before overwriting them gives our customers more administration and support power.

You can now set Send As email addresses for users.

A popular request was to import Shared Contacts directly from a Gmail account. In the past users would commonly export their Gmail contacts into a CSV file and then use gPanel to import the CSV file into their Shared Contacts. To reduce the number of steps for you we added the ability to directly import your Shared Contacts from any Gmail or Google Apps Gmail account.

Google Doc Discovery, search for internal content of Google Docs using the new search in gPanel. You can also search based on: exact title, title contains, doc type, and user.

Updated User Deletion Process, there are two new options when you delete a user in gPanel. The first is you can now choose to reuse the the user name immediately instead of waiting 5-7 days. The second is you can transfer that users documents they own to another selected user before the account is deleted.

gPanel leaves BETA, this is old news for those who noticed the label disappear at the beginning of 2011. We are officially out of BETA and moving full speed ahead on new features and improvements.

Google Apps Secondary Domain Support Released

We secretly released secondary domain support last weekend. This has been a very popular feature request by the community.

With secondary support gPanel administrators now have the capability to fully manage their primary and secondary domain members from gPanel.

Secondary Domain Management Features:

Create new secondary domain users via a drop down field in the new user form.
Manage secondary email / username alias's in all your members accounts.
Manage / view docs across your primary and secondary domains.
Manage sharing rights on all Google Apps Data across you primary and secondary domains
Move member accounts and all their data between your primary domain and all your secondary domains with one click.

Add a secondary domain to gPanel

From the gPanel Administration menu, select the Account Status tab
Locate the secondary Domain Management box.
You will see that the box contains your current primary domain.
Type in your Secondary Domain (Secondary Domain must be an existing secondary domain to your current Primary Domain in gPanel). In our example we will add magicitcloud.com to our magicitbox.comdomain
Click the green add button.

Mass-import of shared contacts released

Last week we quietly released a highly-requested and anticipated new feature of gPanel - importing of shared contacts from a csv file, complete with data preview and user-selectable columns. We think it's really slick.

Many of our customers have been describing their frustration with not having access to edit, add, delete shared contacts in the Google Apps cPanel. One-by-one editing doesn't really help when you have 1,000 shared contacts to import, either. This puts the issue to rest.

In addition to the myriad of other powerful gPanel features, GA administrators can continue to rest easy knowing that gPanel fills more "how do I do [fill in the blank] in my Google Apps" gaps than any of our competitors ... oh and at a really low annual subscription rate! :)

Check it out from gPanel by going to the Shared Contacts module and looking for the new "Import Contacts" button in the grid.

Special note: if exporting your personal Google Apps contacts for importing into shared contacts, be sure to export using the Outlook CSV format, NOT the Google CSV format. We assure you that no information is lost in the process...
