Smartsheet: A New Take On Spreadsheets

I was asked to do a quick analysis and summary of an online collaboration tool called Smartsheet. Thought I'd publish it to the blog in case anyone else is looking for a way to improve team efficiency and the flow of info within their organization. I don't know if we are going to use this where I am working right now, but it's an intriguing option in my opinion.

What is Smartsheet?

Basically it is a cloud-based app which combines the familiarity of spreadsheets with access to templates and additional features which would make spreadsheets more useful for a variety of purposes.

Purposes of sheets might include:

All the things we use spreadsheets for already

Project tracking

Marketing goals and tasks

Sales pipeline reports

more

So imagine a spreadsheet for any of the above purposes, but which also has value-add features built into the spreadsheet like:

Engage in a chat with other users about a particular row in the sheet. This is very powerful, IMHO. You can have asynchronous communication with other users assigned to the sheet at a row level -- in other words, an entire, recorded (written) conversation about that line item.

Associate files with a row. So you could attach, for example, a .docx with a specific row to provide more information about a task (or whatever is in that row).

See all user revisions in the sheet

Email specific rows to others

Reminders about approaching milestones

Gantt view of all tasks and their dependencies.

See the spreadsheet's contents in a calendar view (example).

Publish spreadsheet for outsiders to see

Branding of spreadsheets

all key differentiators listed here

Of course, there is a more fundamental benefit to have it be a spreadsheet in the cloud in the first place: there would be no emailing back and forth of the various version of the document. All the users go to it. The doc stays in one place.

Pricing

Smartsheet offers the oft-seen "good, better, best" tiered pricing and is based on (among other more typical things like # of projects and users, etc.) on the number of "creators". If you would likely have more than 10 users creating sheets, you would need the Enterprise tier account, which is $150 per month (you could get two months free by prepaying the year).
A single user account is $15.95 per month.

Summary

Basing this kind of collaborative software on something as familiar as a spreadsheet is a unique approach that could give a collaborative tool a big boost in adoption in an organization. "Learnability" is already pretty high. Google Docs also does this, of course and there there are a few others that offer basic, cloud-based spreadsheet apps. However, they lack the templates and value-add features like row-level discussions and file association, just to name two.

If larger company would entertain the idea of spending the money for it after the trial (i.e. if the pricing is not a deal breaker in and of itseelf), it looks like it could be worth engaging in the 15-day trial and I would suggest piloting it on a specific cross-departmental project of some kind--in other words engage the maximum number of departments across the greatest distance. Then do a post-mortem and decide whether all involved found it to be productive.

Simplifying task management

This is going to be a short post because I just want to log a little epiphany related to managing tasks.

Basically it is this:

Tasks always require a certain degree of focus to be completed.

Not very romantic, I admit. But it came to me when I saw a coworker's task list and she had all sorts of color coding and other markups on the list, probably to help her differentiate priorities.

I've been there myself so recognized the m.o. immediately.

But I've since thrown all that out for the most part. The only thing I track about a task is:

The task (of course) in as finite a wording as I can (e.g. something like "stop being so thirsty" isn't really executable. "Drink a glass of water 3 times per day" is much more doable.). Wording it in measurable terms is sometimes another way to look at this.

Simple priority. This is either it's position on the list or I may mark a task as P1 or P2. But that's as far as I go with it.

Who owns it, if not me

IF it has to be done by a certain time, I mark it as such. This can get out of control sometimes so I try and reserve it for things things that really have a due date in the real world and not just in my head.

That's it. Anything more elaborate than that is a waste of time for me usually--it's time I could have spent focusing on the task.

In short, you can waste a lot of time meddling with tasks. In the end, you have to pick one of them and drive it to completion--then go to the next. Sounds overly simple, I know, but it's very easy to do other things (like prioritize, organize and pretend like we're multitasking and all that).

Focus is senior to all of it. "Dones"--task completions--require it.

So should we (mostly of ourselves).

World record 26 terabits per second data transmission achieved

With video content consuming ever more bandwidth, the need for faster data transmission rates has never been greater. Now a team of scientists at Germany's Karlsruhe Institute of Technology (KIT) are claiming a world record in data transmission with the successful encoding of data at a rate of 26 terabits per second on a single laser beam and transmitting it over a distance of 50 km (31 miles). The scientists claim this is the largest data volume ever transported on a laser beam and enables the transmission of 700 DVD's worth of content in just one second.

With no electronic processing methods available for a data rate of 26 terabits per second, the team developed a new opto-electric data decoding process. This process relies on purely optical calculations to break down the initial high data rate into smaller bit rates that can then be processed electrically. The record-breaking data encoding also employed the orthogonal frequency division multiplexing (OFDM) scheme based on Fast Fourier Transformation (FFT) mathematical routines that is commonly used in mobile communications networks including digital TV and audio broadcasts.

Because energy is required for the laser and a few process steps only, the team says the new method is not only extremely fast, but also very energy efficient.

"Our result shows that physical limits are not yet exceeded even at extremely high data rates," says Professor Jürg Leuthold, who led the KIT experiment. "A few years ago, data rates of 26 terabits per second were deemed utopian even for systems with many lasers and there would not have been any applications. With 26 terabits per second, it would have been possible to transmit up to 400 million telephone calls at the same time. Nobody needed this at that time. Today, the situation is different."

The latest breakthrough follows on from the previous high-speed data transmission record set by the KIT scientists in 2010, when they successfully exceeded the data rate of 10 terabits (or 10,000 billion bits) per second.

The KIT experiment involved companies and scientists from all over Europe, including members of the staff of Agilent and Micram Deutschland, Time-Bandwidth Switzerland, Finisar Israel, and the University of Southampton in Great Britain. The experiment is detailed in the journal Nature Photonics.

Here's a great (hopefully--won't know until they accept my request to try it) new service from Google. If this performs as advertised, it will give Apple a run for their money. iTunes requires you to physically connect to your Mac whereas Google is saying you'll be able to "stream" your music right to your phone. Think Pandora only it's your music you're playing, not their suggestions.

You can upload your whole library and have it accessible from any PC or mobile.

Watch and post a comment. What do you think?

Tech Tip: Associate Non-Gmail Email Address With Gmail Acct

Sometimes it's necessary or preferred to use some of the cool, collaborative features in Google Docs without having to log in with your Gmaiil address. Here's a great way to do it, by associating your non-Gmail address with your Gmail account.

If you want someone to share a Gdoc with you but use your work email for notifications, you can give that to them instead of your personal Gmail account.

I've given this to two different people this week and so I thought I'd blog it out to the world too.

From: http://googlesystem.blogspot.com/2008/01/associate-email-addresses-with-google.html
Associate Email Addresses with a Google Account

Alternate email addresses are useful if you forget the password of your Google Account and now you can add more than one. In your account, click on Edit next to "Personal information" and associate additional email addresses with your Google Account. Note that you can't add email addresses already associated with another Google Account or Gmail addresses.
After you associate an email address with your account, Google sends a confirmation message to authenticate that the address is actually yours. An added benefit is that your other email addresses are connected to your account and Google can use this information: for example, Google Calendar shows you the invitations sent to any of the associated email addresses. You can also log in by using any of the additional email addresses.

Killer collaboration tool! I've been running a project to publish a couple of training programs which consist of about 90 1-3 page lessons. We've been managing the whole process using Google Docs and it's worked very well. This discussion feature could really help, though. Sometimes the Comments feature that was already part of Google Docs was a bit too, shall we say, static. First it was a bit hard to remember, for some people, how to add Comments. Discussions is right up on the surface and requires no further clicking to find it. This should help adoption of the new feature.

Also, the ability to close a thread of discussions is great. Conversations come and go and when they are done, you need a way to remove them from the document. Glad Google provided that.

Looking forward to giving this a go. Going to test it out with a coworker today as I do some market anaylsis for another project.

A Little More About The Project

21 APRIL 2010 by maxwell

Diaspora aims to be a distributed network, where totally separate computers connect to each other directly, will let us connect without surrendering our privacy. We call these computers ‘seeds’. A seed is owned by you, hosted by you, or on a rented server. Once it has been set up, the seed will aggregate all of your information: your facebook profile, tweets, anything. We are designing an easily extendable plugin framework for Diaspora, so that whenever newfangled content gets invented, it will be automagically integrated into every seed.

Now that you have your information in your seed, it will connect to every service you used to have for you. For example, your seed will keep pulling tweets and you will still be able to see your Facebook newsfeed. In fact, Diaspora will make those services better! Upload an image to Flickr and your seed can automatically generate a tweet from the caption and link. Social networking will just get better when you have control over your data.

A seed will not just be all your existing networks put together, though. Decentralizing lets us reconstruct our “social graphs” so that they belong to us. Our real social lives do not have central managers, and our virtual lives do not need them. Friend another seed and the two of you can synchronize over a direct and secure connection instead of through a superfluous hub. Encryption (privacy nerds: we’re using GPG) will ensure that no matter what kind of content is being transferred, you can share privately. Eventually, today’s hubs could be almost entirely replaced by a decentralized network of truly personal websites.

Stay tuned for more updates on updates, and be sure to check out our Kickstarter!

Google's Sense of Humor - Easter Eggs and More

Google is the #1 search engine in the world today. It moves millions of revenues in advertising campaigns online. Many people use it on a daily basis and love its simple, minimal interface. But did you know Google has a quirky sense of humor, and they're not always shy of hiding it too?

Google Logos

You might have noticed the Google logo on the main page changing every so often to celebrate some kind of anniversary or holiday. In fact, as I write this article today on 19 Feb, the Google logo is in the form of several sculptures, which is in celebration of Constantin Brâncuşi's birthday. You can view a complete list of Google's logos in the past at http://www.google.com/logos.

The most memorable one, though, was probably Google Pacman, which replaced the logo on the main search page with a mini-version of the Pacman video game (the words Google are still visible in the design), complete with sound. This ran for almost two full days from May 21 to May 22, 2010, in celebration of the 30th anniversary of the popular arcade game. If you missed it, you can still access the page at http://www.google.com/pacman. Click the "Insert coin" button", turn up your speakers, and use your keyboard arrow keys to navigate in the game. You can even have 2 players; just insert coins twice, and control Mrs Pacman with the WASD keys on your keyboard. This little act of Google supposedly cost $120 million in terms of productivity (hours spent) worldwide!

Google Search Easter Eggs

Unlike the logos, which are in plain view of visitors to the site, some search phrases that lead to interesting results are not so visible. For instance, type in "the answer to life, the universe and everything" (without quotes) into Google search, and Google calculator returns an interesting answer. A knowledge of the Hitchhiker's Guide to the Galaxy will be useful in understanding the significance of the answer. You can type in the following to get more interesting results from Google calculator: "the loneliest number", "the number of horns on a unicorn", "a baker's dozen" and "once in a blue moon".

Here are some more phrases you can try typing into Google search: "recursion" (check out what Google suggests), "where is Chuck Norris" (you need to go to the main search page and click the "I'm feeling lucky" button instead of the normal search button to get the interesting result) and "french military victories" (again, click "I'm feeling lucky").

In addition, Google has some variations of its main search page, with the buttons labelled in different unorthodox languages. Here are some examples:

Google Pig Latin (http://www.google.com/intl/xx-piglatin/)

Google Pirate (http://www.google.com/intl/xx-pirate/)

Google Elmer Fudd (http://www.google.com/intl/xx-elmer/)

Google Klingon (http://www.google.com/intl/xx-klingon/).

More Easter Eggs

Google didn't limit their hidden easter eggs to just their search engine. Most of its other applications or services have at least one.

A rather subtle easter egg lies in the Gmail web service. Typically, you will see a line of contextual text ad at the top of your mail list when you view your inbox. Go into the spam folder, however, and take a look at the line that's supposed to contain an ad. It displays spam recipes instead.

Go into Youtube (if you didn't know, that's owned by Google) and pause any video. Hold your up and down arrow keys at once and enjoy a distracting game of Snake. If it doesn't seem to work, try maximizing the video after pausing it.

You can view the ninja version of Google Reader by keying in quick succession the Konami code (this was a cheat code used in many video games by Konami): up, down, up, down, left, right, left, right, B, A

In Google translate, try translating "quid pro quo" from Latin to any language. A translation of "what happens in Vegas" is done for the chosen language instead.

April Fool's Jokes

Google has done some hilarious April Fool's jokes before. The very first one was the Google Mentalplex back in 2000. It promised the ability to search for users' queries without the user having to type in anything. Be sure to check out the FAQ and illustrations of this amazing service at http://www.google.com/mentalplex/.

In 2002, Google finally unveiled the technology behind its system of ranking pages (pagerank). It was a truly brilliant innovation as you would expect from the top search engine; it used clusters of pigeons. For an in-depth explanation, visit http://www.google.com/technology/pigeonrank.html.

One of my favorite April Fool's jokes was Google Romance, introduced in 2006. Essentially, it was a matchmaking service, by the top search engine in the world, complete with the contextual advertising it's so well-known for. Be sure to take the tour, read the press release and FAQ at http://www.google.com/romance/.

Another of my personal favorite April Fool's jokes by Google was Gmail Paper in 2007. It was a free service that allowed you to have physical copies of all your e-mail. Learn more about it at http://mail.google.com/mail/help/paper/index.html.>

There have been many, many other April Fool's jokes by Google. They seem to have ramped up in quantity in recent years, affecting more than a single service each year. In 2008 (the first year Youtube participated in Google's April Fool's tradition), for an entire day, everyone who viewed featured Youtube videos was rickrolled. Rick Astley's Never Gonna Give You Up became even more of a sensation than it already was. In 2010, an exciting new feature of Google docs was revealed, allowing you to store not just files, but physical objects as well. The announcement was made at http://googledocs.blogspot.com/2010/03/upload-and-store-anything-in-cloud-wit...>

Conclusion

So, did you know Google could actually be funny? It's always nice to see one of the "big guys" in corporation with a good sense of humor. It certainly can do wonders for customer relations of large corporations when customers are reminded that these corporations are, deep down, actually human. Have you found some easter eggs by Google not listed here? Share them in the comments!

via hubpages.com

I'd seen some of these moments of humor when they came out (loved the Pacman one), but this is the first time I've seen someone cover Google's sense of humor as a topic. Nice piece.
