We talk to a lot of IT Managers and System Administrators every day and even in this very IT literate environment we come across a lot of people who do not understand the difference between an email archive and an email backup. We’re not saying that YOU don’t understand, but people out there don’t always get it. In this blog article we look at the difference between the two and outline the reasons a dedicated email archive should be the way forward for organisations of every size.

Email backups

When people talk about email backups they are normally talking .pst files. This saves a copy of mailbox or subset of messages in their original format on a server. This, however doesn’t necessarily make it easy to find and retrieve that email when it’s needed. So if your organisation gets a discovery request, an IT Manager has to sometimes dig through TBs of saved data, export it, find the relevant information and format it to comply with the submission format in the request. You could be talking weeks of work.

Email archiving

If you look at a dedicated email archiving solution, all your emails are captured, stored and indexed in a system –often in the cloud with unlimited storage – which has been designed so that you can find what you need when you need it. That discovery request becomes a simple job and most of the time is spent ensuring you have the right contact details for the person you need to send it to or give access to. You simply run a search, save it and either export the information to send on OR give the requester access to the search you have saved – simple.

Many businesses are still using email backups rather than a dedicated archiving solution. This outdated approach to email storage can potentially bring about cost savings in the short term but should not be relied upon as a viable long-term solution, due to the ever increasing data volumes.

It is estimated that by 2019, the average number of emails sent and received per business user, per day will exceed 126. That’s almost 16,000 emails for a 25-person company during a typical business work week. That amounts to 832,000 per year — a tremendous amount of email for even a mid-sized business to handle, and will certainly strain available server space.

From a simple storage capacity pointy of view you are already at breaking point in this scenario but now decisions need to be made around document retention. Will you need to implement data quotas to save space? And will critical emails and their attachments be there when you look for them? And… how do you even begin to start looking for an email John sent to his supplier in 2012 from your backups?

When you take all of this into account, suddenly an off-site archive looks a lot more attractive and time and cost effective. On-site storage is clearly being stretched to the limit and with new regulations looming, the need to be able to find, export and sometimes delete emails containing information on individuals means that email archiving is the most cost effective, time efficient way of achieving compliance.

You must also take into account the costs of adding more storage, managing the data and backing it up. Given all these considerations, is on-premises storage still the right choice for you?

If you are in the market for email archiving, we have two options for you – VaultCritical and VaultSMART.

We have recently deployed an update which enhances the functionality and ability to report any email your users feel should have been stopped. Please don’t worry though, we still catch and quarantine over 99.9% of spam sent to your users!

We can now add a footer to the bottom of any inbound mails saying: “This email has been scanned for spam and viruses. If you believe this email should have been stopped by our filters, click here to report it.”

An end user can then click on that link. A new window will open and the email will be reported to us.

Once the email has been reported back to us, it will also be marked as spam in the FuseMail® MessageLogs.

This feature can be enabled under:
Service Settings > Filtering > Settings > Tick: Add “report message”

We suspect that by now you will all have read a lot about the latest cyber weapon to impact on organisations across the world. If social media sites are anything to go by, you are being offered ‘free’ health checks to assist us in fighting any new cyber weapons that we or our customers might encounter.

Nicknamed ‘wannacry’ or ‘Wannacrypt’, the attack came in the form of a ransomware computer worm that targets the Microsoft Windows operating system. The attack started on Friday, 12 May 2017, infecting more than 230,000 computers in 150 countries, with the software demanding ransom payments in the cryptocurrency bitcoin in 28 languages. The attack has been described by Europol as ‘unprecedented in scale’.

So what is the best advice that we can offer to ensure that you are not affected by the next crypto virus or weapon unleashed to cause as much disruption as possible to businesses?

We know that a large number of cyber-attacks are preventable. According to a 2012 Verizon study, 79 percent of hacking victims were targets of opportunity and 97 percent of these were avoidable using simple tools.

So what do you need to do to mitigate the chance of a ransomware attack?

Update all of your systems as an update or patch is released. We’ve all seen the little reminder asking us to update our system – many people have grown complacent and no longer update systems in as timely manner as they should – – no one has the time to manage these updates – do they?

Remember that organisations that had not installed Microsoft’s security update were impacted by the attack. Those still running the older Windows XP were at particularly high risk because no security patches had been released since April 2014 (there was one emergency patch released in May 2014). However, the day after the outbreak Microsoft released an emergency security patch for Windows XP.

Ensure that all staff with access to IT and the internet are trained in recognising suspicious add ons or attachments. Do your staff know what to do if they encounter a suspicious URL or file? Spend time training all staff to recognise and report anything that may be harmful – don’t shame or blame – staff need to take ownership and feel empowered to flag possible issues – before they can harm your infrastructure.

Password protect whenever possible – make sure that passwords are well protected and update them on a regular basis.

One tool that we recommend is Keepass to help manage your passwords. These tools will safely encrypt and store your passwords. Instead of remembering all of your passwords, you only need to remember one secure password to unlock the tool.

Start using two-step verification/authentication. This means there are two steps required for you to login — the first being your password and the second being a code that is sent to you by text message. All the major digital companies now support this including Google, Facebook, Twitter, LinkedIn, Dropbox, Box, Outlook.com, and Mailchimp.

Use a professional, layered approach to your email and web security. Our cloud based services provide simple, secure, and scalable solutions for email security, spam and virus filtering, email archiving, email encryption and hosted Exchange. This enables your customers to have the freedom to use the internet without the worry of virus or ransomware attacks as with advanced threat protection from FuseMail.

Investigate URL protection services like our ClickSMART. ClickSMART provides another level of protection against phishing and ransomware attacks by preventing email recipients from clicking on dangerous URLs.

If you would like to discuss any of the points mentioned here, please feel free to call us; who will be very pleased to answer any questions that you might have.
