Here's another eProductivity user story from our mailbox... <br /> <br /> <blockquote>Dear eProductivity team, dear Eric, <br /> <br /> I would like to thank you for the work you are investing on eProductivity. It really helped to organize my life and work. I would like to share my experiences. As I am not a native english speaker, please forgive some mistakes in the text ;-)) <br /> <br /> The reason I started looking for a solution like eProductivity is the desire to be better organized. I am an outside sales engineer, serving a big territory and taking care of a good amount of bigger and smaller projects. I also have a good number of customers which all have their own individual needs. And I am travelling a lot. In addition to my job, I am a husband and will be a father very soon. I am also a friend to my buddies etc. As you see, I am in different roles, but all are blurring into one another. <br /> <br /> Discovering David Allen's GTD, I was in need to find my tool to integrate his way of getting things done into my life. The most advanced solution I could find is eProductivity. Your software helped me to keep the overview over my job life and my private one without having to choose different solutions. It really improved my way of living. I hardly missed deadlines anymore, became more organized in projects and a more reliable person in all my different roles. This was recognized by my wife, friends and business partners. <br /> <br /> I could go on writing an essay about me and your software. Instead, I would just like to recommend to try eProductivity if he/she is already using Lotus Notes. <title>User Story: Ben Erickson getting things done with eProductivity</title>

Here's another eProductivity user story from our mailbox... <br /> <br /><blockquote>I've been using eProductivity for about 2 1/2 years now. My boss turned me on to GTD a couple of years before that, and I have tried over those years to implement GTD in various ways. The best way I have found that works for me is eProductivity. It integrates into my Lotus Notes client where I get all my work done. As emails and requests for service come in, I can quickly decide if I want to do it, delegated it, or defer it. Anything coming into the inbox can be quickly dragged into a next action (which can be then easily linked into a project), filed into a folder for reference, or forwarded to a responsible party for follow-up. After sending the email, there's an option to automatically create a "waiting for" action so someone ELSE doesn't drop the ball and come back to haunt me. I seldom leave the office with anything else but an empty inbox anymore and it's a very freeing feeling! <br /> <br />One of my favorite features of eProductivity is the Weekly Review Coach. It enables me to efficiently flow through all the different stages of the weekly review to- prompting and enabling me at each step to clear my head and get all my ideas and nagging concerns into my trusted system. <br /> <br />eProductivity has helped me tremendously in my personal life, my business, my education, and in my ministry. So many of us wear so many hats nowadays, and it's hard to keep all of the balls we're juggling up in the air. eProductivity is my GTD trusted system that allows me to have a relaxed disposition and be focused where I am when I'm there, knowing I have everything I need to do in there and not in my head. One of the things I enjoy doing is reading the product feedback that our customers send us. The event is free and will be hosted in the GTD Connect community. (If you haven't taken the time to explore the GTD Connect resources you can get a free two week guest pass <a href=https://secure.davidco.com/connect/free/14days>here</a>.) <br /> <br />The free event kicks off Thursday, September 22 with the first of two webinars by Kelly Forrister and Meg Edwards - both are senior presenters with the David Allen Company. As a side note: I've worked with Kelly for close to 20 years and Meg was one of my personal GTD coaches (Thanks, Meg!) Even if you are experienced at getting things done, this is a fantastic opportunity to sharpen your skills. <br /> <br />The challenge will take place between September 22 and October 6. During this time, Kelly and Meg will challenge you to evaluate your systems and processes to improve your skills. I've decided to run a series of webinars in tandem with the above 14-day GTD challenge to help people that use Lotus Notes apply what they are learning in Kelly and Meg's webinar to the Lotus Notes environment. Most of this will focus around using Lotus Notes and eProductivity to get things done. I'll share with people how I use these tools and I'll provide the opportunity for people to ask questions. <br /> <br /><em>You don't have to be an eProductivity user to participate</em>, as I will share many tips that work with standard Lotus Notes. In his detailed review, Mr. Moignard wrote: "... you can't actually follow through the sample actions specified, because there are already more than 25 open actions in the sample data in the database."  <p>We would like to clarify this for readers of this blog and DominoPower magazine: When a user first evaluates eProductivity, the product starts in "trial" mode with the full "Professional" edition feature set. During this time, users can process the sample emails (which are strategically placed there to introduce folks to the GTD processes by simply processing a few emails). They can also create an unlimited number of projects and actions. At the end of the trial period (21 days) the user is invited to purchase an activation key to unlock additional features or allow the product to convert to the free "Essentials" edition, which imposes a limit of 25 open actions at any one time.  <p>Apparently, Mr. Moignard had previously evaluated a different version of eProductivity, so his current and thorough review of eProductivity Essentials started out in free "Essentials" mode rather than "Trial" mode - which explains why he was subject to the 25 open action limit. In that case, Mr. Moignard's advice to delete the sample and tutorial emails and actions makes perfect sense. As you can see, we're not making this stuff up. &nbsp; <br /> <br /> So what conclusions might we draw from this? <br /> <br /> Well, it's no secret that <a href=http://www.ihatelotusnotes.com/>many people dislike the user experience of Lotus Notes</a>. But that might not be telling the whole story here. There are legions of people who dislike (hate?) Microsoft Outlook as well, not to mention the many other enterprise software packages that people love to loathe. <br /> <br /> I think one of the keys here is that eProductivity allows users to personalize and customize their IBM Lotus Notes experience. Without needing IT assistance, users can get Lotus Notes to work the way they want to work. In other words, this is another example of the "consumerization of the enterprise" that puts choice back in the end-users hands, engaging and empowering them. Prior to eProductivity, this wasn't possible for end-users of Lotus Notes. <br /> <br /> Additionally, the <a href=http://www.eproductivity.com/dx/overview>world-class information management tools</a> in eProductivity, <a href="http://www.eproductivity.com/dx/gtd-enabled">powered by GTD</a>, just flat out work. They deliver great results as evidenced by other results from the survey telling us about time savings, empty inboxes, and reduction of stress. <br /> <br /> Now that we've launched <a href="http://www.eproductivity.com/dx/standalone-vs-integrated">eProductivity Stand-alone</a> - which requires literally just a couple of clicks to install - and the <a href=http://www.eproductivity.com/dx/essentials>free Essentials Edition</a>, we expect this trend to continue. It's even more of a no-brainer for users to personalize their Lotus Notes with the right tools. <br /> <br /> And, more choice in Lotus Notes users hands + using the right tools = greater satisfaction. <br /> <br /> Hey, we might even seen <a href=http://www.ilovelotusnotes.net/>sites like this one</a> boom in popularity. We hope you like the improvements as much as we do. <br /> <br />Let's take a look at what's new and explore what this all means. <br /> <br /><strong>New Product Family: eProductivity Stand-alone</strong> <br />During the customer satisfaction survey that we ran this past December - January, a few interesting pieces of data emerged: <br /> <ol> <li value=1>Many users would appreciate an eProductivity app that doesn't change the configuration of the regular Lotus Notes mailbox <li value=2>The eProductivity install process could be easier for new users <li value=3>A free version would be helpful for introducing coworkers to eProductivity's benefits</ol> <br />This was confirmation of plans for a new product that we'd been considering for a quite a while. That new product is now here, and it's called <a href="http://www.eproductivity.com/dx/standalone-vs-integrated">eProductivity Stand-alone</a>. So what's so great about Stand-alone? <br /> <br /><strong>Separate from your Lotus Notes mailbox</strong> <br /><a href="http://inside.eproductivity.com/dx/<a href=http://www.eproductivity.com/>http://www.eproductivity.com</a>" style="border: 0;" ><img  class="right" src="http://inside.eproductivity.com/dx/icon-eproductivity-stand-alone.png/$file/icon-eproductivity-stand-alone.png" alt="Stand-alone is a separate app from your Lotus Notes mailbox"/></a>Stand-alone doesn't change the configuration of your Lotus Notes mailbox. Instead, it runs as an separate app inside your Lotus Notes, in parallel with your mailbox. <br /> <br />So Stand-alone provides a great solution for folks who hesitated to install eProductivity on their Notes mailbox, perhaps because their company uses a customized mail template or because changing the mailbox is restricted by IT policies. Now those folks can use eProductivity without worry. <br /> <br /><strong>Dead simple to install</strong> <br />Stand-alone is incredibly easy to install. Quite literally, all you have to do is <a href="http://www.eproductivity.com/dx/download-stand-alone">download the eProductivity Stand-alone file</a> and then double-click it to open. That's it. You'll be prompted to walk through a couple of setup steps, but the app is already installed. This kind of dead-simple install is unheard of for a Lotus Notes app.> <br /> <br /><strong>There's a free version!</strong> <br />That's right, eProductivity now offers a completely free version, no strings attached. The free version, called the <a href=http://www.eproductivity.com/dx/essentials>Essentials Edition</a>, is part of the eProductivity Stand-alone product family. It offers many of the same world-class information management tools that other eProductivity editions provide. <br /> <br />So how do you get started with the Essentials Edition? It's easy. When you first <a href="http://www.eproductivity.com/dx/download-stand-alone">download</a> and install eProductivity Stand-alone, your app will run in fully-unlocked Trial mode. After the trial period, your software will automatically switch over to the free Essentials Edition and stay there, unless and until you apply a purchased activation key. Thankfully, 87.1% of those people said eProductivity makes it easy to get an empty inbox, and our goal is that eventually, everyone will say it's easy. <br /> <br /> In any case, perhaps you're someone whose email inbox is out of control right now. Here are 4 steps you can take to recover and set your inbox on cruise control. <strong><br /> </strong><strong><br /> 1. Drag all emails that are 30 days or older from your inbox into an "Old Email" folder.</strong> This reduces your current inbox to a more manageable size that doesn't feel quite so intimidating. <strong><br /> <br /> 2. Spend dedicated time each day processing your email.</strong> You can't get your inbox on cruise control without some consistent effort. A good rule of thumb is to start with 30 minutes to 1 hour per day - of course the more time you spend, the quicker you'll get to inbox zero. <strong><br /> <br /> 3. As you process your inbox, follow these processing rules</strong> inspired by the <a href="https://secure.davidco.com/store/catalog/GTD-PROCESSING-AND-ORGANIZING-DIAGRAM-p-16166.php">GTD® workflow model</a>: <br />  <ul> <li>If it can be done in 2 minutes or less - <strong>do it</strong>  </li><li>If it takes longer than 2 minutes - <strong>defer it</strong> (add to a project or action list)  </li><li>If somebody else is better suited to do it - <strong>delegate it</strong>  </li><li>If it's not actionable - <strong>file it</strong> in a folder or <strong>delete it</strong></li></ul>The key here is to process each email once, on the front end, and make a decision about it. eProductivity <a href="http://www.eproductivity.com/ICA/eproductivity.nsf/dx/eproductivity-weekly-tip-05282010">provides the tools</a> to quickly turn your emails into projects or actions as needed, or file the email for reference. <strong><br /> <br /> 4. Each day, drag a few more emails from the "Old Email" folder back into your inbox.</strong> Include these emails into your daily processing routine. By chipping away at your old emails and maintaining your current email inflow with the rules outlined above, you'll quickly reach a fully processed inbox zero. And, you'll keep it that way! <br /> <br /> These tips will get you on the path to an inbox that's under control, and that's a great feeling. One person we know had over 17,000 emails in his inbox at one point. By following these guidelines and using the tools that eProductivity provides, he's been able to get to inbox zero and maintain it. Over 400 completed surveys later, we have a wealth of insight on how we can improve and better serve the needs of our customers. <br /> <br /> So let me pause to say a big "Thank you!!" to everyone who took part in the survey - your help was and is invaluable. <br /> <br /> Your feedback is playing a big part is new developments and changes that we'll be sharing with you soon... :) <strong><br /> <br /> Survey Highlights:</strong> <br /> Here's a few numbers from the survey that jump out:  <ul> <li><strong>97.3%</strong> of respondents feel like they receive a large amount of work-related emails  </li><li><strong>55.8% </strong>use a BlackBerry while <strong>34.8%</strong> use an iPhone  </li><li><strong>90.4% </strong>said eProductivity saves them time, and <strong>72.1% </strong>of those people said eProductivity saves them 30 minutes or more <em>every day</em>. Wow!  </li><li><strong>87.1% </strong>said eProductivity makes it easy to get an empty email inbox  </li><li><strong>91.2% </strong>can access LinkedIn at work, but only <strong>73.5% </strong>can access Twitter  </li><li><strong>90.5% </strong>reported being satisfied with Lotus Notes when using eProductivity, but only <strong>31.1% </strong>reported being satisfied with Lotus Notes when eProductivity was taken out of the mix</li></ul>These are just tidbits - we have much more to share! <strong><br /> <br /> Blogging through the Results:</strong> <br /> Stick with us in the upcoming days and weeks because we're going to blog through the survey results. <title>One great way to use eProductivity Reference</title>

Ken, an eProductivity user, sent us a tip in response to this week's <a href="http://www.eproductivity.com/ICA/eproductivity.nsf/dx/eproductivity-weekly-tip-12022010">Tip article</a>. The article discuss the kinds of information that are great to store inside <a href=http://www.eproductivity.com/reference>eProductivity Reference</a>. <br /> <br /> He wrote: <br /> <blockquote>The single most useful item in my eProductivity Reference is called "model numbers" and has a list of toner cartridge numbers, car VIN's, vacuum cleaner bag sizes, lawn mower model number, furnace filter sizes, battery sizes for gadgets, etc. I refer to it often when out and about. If motor oil is on sale, I can look up what rating my snowblower needs, if I have an @errand to look for tires, I can look up my tire sizes, and on and on. I built this list over the course of years by entering info I used to look up and carry on a piece of paper and then throw away.</blockquote> <br /> I think this is a great example of what eProductivity Reference can be used for and definitely worth sharing.
