What’s new in Globodox 7.6?

Besides better performance, you can now look forward to these new features…

• Merging one Tag with another: Now you can easily merge one tag with another. This will delete the tag that is merged, remove that tag from all documents; and automatically add the other tag to these documents. The benefit of this new feature is that in case you misspelled a tag while adding it to a document, you can rectify the error by replacing the incorrect tag with the correct one. To do this, you need not change the tag for each document individually. You can simply create a new tag and merge the incorrect tag into the correct one. This feature also helps in rectifying situations where multiple users accidentally create similar tags (e.g., one user has already created the tag ‘Marketing’ and another user accidentally creates the tag ‘Mktg’. The latter tag can be merged into the ‘Marketing’ tag.). Merging of tags is a privilege that can be assigned to different roles as per the requirement.

• Sorting of Destination Profile list: Until now, if you wanted to view the Destination Profiles you have saved in Globodox, the Destination Profile drop-down would not display the list in an alphabetical order. But now, Globodox displays the profile list in the drop-down in an alphabetical order.

• Publish multiple draft documents together: Until now, you could only select one draft document at a time and publish each individually. But now, you can select more than one document and publish them all in one go! Needless to say, each document will be published to the next major version and all minor versions will be deleted as usual.

• Thunderbird Setup 9.x drag & drop mail Support: Now you can drag and drop your emails from Thunderbird version 9.x onwards, into Globodox. These email messages can be displayed (previewed) in the Preview pane in Globodox.

This was just an update version. In the months to come, you can expect more additions to Globodox.

The release of Globodox 7.5 affects users in some important ways. The effect varies, depending on whether you are an existing Globodox customer using version 5.0.1.8 and above or are still evaluating the software. Let’s look at these implications…

“I’m still evaluating Globodox”
If you’re evaluating Globodox and have not yet purchased licenses, then you can continue with your Free Trial as usual. When you purchase Globodox licenses, you will have to download and install the upgrade setup for Version 7.5 and apply the registration key that we send you. In the meantime, if you want to test-use the new version, you can update your setup. (Please refer to the note at the end of this post, before you proceed.)

“I am already a Globodox customer”
In that case please read through this carefully…

Why should I upgrade to Globodox version 7.5?
Globodox 7.5 adds very useful new features that make it an even more efficient tool to manage your documents. Check out the full list new features in Globodox 7.5.

Will upgrading to version 7.5 erase my existing data?
No – it won’t! When you upgrade to version 7.5, you will need to download the upgrade setup, install it and run it. The upgrade setup will upgrade your Globodox DB but it will not touch your data. This means you do not lose your data. As always it is a good practice to backup your Globodox DBs before any Globodox upgrade. Remember to backup the Main DB as well as all the Data DBs.

How do I go about upgrading to version 7.5?
That depends on whether your Maintenance Subscription is currently active or it has ended. If the Maintenance Subscription is currently active, you just need to download and install the upgrade setup, run it, restart Globodox and continue using it as usual (you must update the Globodox installation on each machine). But if your Maintenance Subscription has come to an end, you will need to purchase Maintenance Subscriptions – as many as the number of Globodox licenses you own. You can purchase Maintenance Subscriptions by contacting us at sales@itaz.com. Once you purchase the Maintenance Subscriptions, we will email you the registration key and the link to download the upgrade setup. You can then download and install the upgrade setup, run it, restart Globodox and continue using it as usual. It’s that simple!

What are the steps to update my Globodox installation?
Below are the 6 easy steps to update to Version 7.5:

1. Take a backup of all your DBs before upgrading to the latest version.
2. Make sure that Globodox is not running on any of the machines when running the upgrade setup.
3. Start upgrading Globodox on the machine on which it is installed in the Server mode.
4. Once the upgrade setup is installed on the server machine, make sure that you start Globodox once.
5. The first time you login after installing the update setup, you will need to login as the ‘superadmin’ user and open each DB with this user so that all the DBs get upgraded to the latest version.
6. Once you have done this, you will need to install the update on all the Client machines individually.

That’s it! Once you have carried out the steps above, you are ready to use Globodox 7.5 to manage your documents even more effectively than before.

What if I choose not to upgrade to Globodox 7.5?
You can still carry on using Globodox as usual, but you would not be able to use the new features in Globodox 7.5 which could help you manage your documents even better. Also, in case you faced an issue requiring support from our side, one of the first things we would ask you to do would be to upgrade your version to the latest one. Often, that by itself is sufficient to resolve the issue. So it is always beneficial to keep your Globodox updated to the latest version.

My Maintenance Subscription ended on (or before) 15th December 2011. I want to upgrade to Globodox 7.5. How can I do so?
If your Maintenance Subscription came to an end on or before 15th December 2011, you will need to purchase as many Maintenance Subscriptions as the number of Globodox licenses you own. You can purchase Maintenance Subscriptions by contacting us at sales@itaz.com. Once you purchase the Maintenance Subscriptions, we will email you the registration key and the link to download the upgrade setup. You can then download and install the upgrade setup, run it, restart Globodox and continue using it as usual. It’s that simple!

Note for both – existing customers as well as users evaluating Globodox:

Please do not use the Full Setup to update an existing installation of Globodox – always use the Update Setup. Also, you must not uninstall an existing version and attempt to install the latest version of Globodox using the Full Setup. This will not work. Download the update setup and follow the steps given in “What are the steps to update my Globodox installation?”above.

We are happy to announce the release of Globodox version 7.5! Globodox 7.5 comes to you with highly useful features, improved performance as well as language support! You can download the full setup or the update setup from the Downloads page.

What’s new in version 7.5?

• Language Support: From version 7.5, the Globodox setup will be separately available with user interfaces in English, Spanish, French and Slovak. Note that though the user interface (menus, messages etc.) is currently available in the above mentioned languages in addition to English, you can store documents and data in any language in Globodox.

• Workflow Cloning: Organizations often have certain business processes that are similar to each other. Normally you would need to create separate workflows for each process from scratch. However, from version 7.5, you can create a single workflow for just one of the processes. Then for each process you can create a copy (clone) of that workflow and then make the necessary changes to the copy. This results in considerable time savings for the persons who create workflows.

• Display of EML file in Preview Pane: Prior to version 7.5, viewing an email message stored in EML format required you to have MS Outlook Express or Windows Live Mail installed on your machine. But now Globodox natively supports viewing EML files in the Preview Pane. So email messages including those downloaded by the Email Capture module can be viewed without needing MS Outlook Express or Windows Live Mail installed on your machine.
