At viventura we try to organise a company-wide retreat once a year. Our staff members are working and living at different cities, mostly in South America. So meeting once a year and work together for a few weeks to really get to know each other better, work together and enjoy a great time together makes good sense for us. As this costs quiet a bit of money we set up goals in the previous year for sales of the first quarter, and when we hit it we actually do the company retreat. Three years ago it was Costa Rica, next week we will head to Brazil.

Now kress.de – a German media site – heard about our story. Usually people noticing our retreats like them. The reaction this time was a bit different though. Some experts were interviewed, if the viventura retreats do the company good. It’s funny to see others analyse our retreats, I have to admit.

So, Nora, first of all thank you for your interest and taking the time to write about viventura and our retreats. Before I talk about the offsites, one small correction: we didn’t double our booking numbers. Probably not your fault, maybe another source got it wrong or our Marketing Team was a bit to excited about the great year we are having. We have had a great year – even though that the USD exchange rate was a big financial burden.

Nora is mentioning, that employee engagement is often reduced up to 30% after companies give out “bonus”. That is really hard to believe. Going the extra mile and offering something special to your team members in my opinion really motivates people and integrates them more in the company.

A Düsseldorf Psychologist is quoted that material bonus just have short term effects. Wouldn’t that make a non-material company retreat even more attractive as bonus?

And then Tourism Specialist Gerd Denzel from one of Germany biggest union “Verdi” is quoted: It worries him, that viventura is using it’s retreat to is used for for promotional reasons. I think Gerd is right on this one. We shouldn’t use our retreats for promotion. I think, that yes it makes sense to talk about it, because it simply makes sense that other companies follow our example as it is a Win-Win situation for everybody involved..

If you are thinking of organizing such an offsite. I highly recommend that you do it, especially for decentralized organisations, you have numerous benefits:

it’s a great way to say thank you to your team

the team gets to know each other much better and trust amongst its members grow

past miscommunication that occurred over the distance can be detected and clarified

working in a different environment creates creativity and innovations

good time for strategic, non-operational work

… and: it’s simply Fun.

Do you wonder if you as company owner should invest a big bunch of money in such a project? You will get all the arguments to convince your boss to repeat such an investment in your company.

Some background Information

The idea started a year ago. At viventura we had a tough year and were planning 2012. As CEO of the company one goal for 2012 was to create a spirit of working as a team. Some context: at viventura we have two big offices, one in Peru responsible for Operations and one in Germany for Sales, Marketing & Strategy. The cultures in both Offices are similar but defenetly different. So the idea came: why not simply work together for a month? A great friend of mine, Rainer from Travel-to-Nature offered me the support and great rates for Casa Luna Hotel in Costa Rica, with which he has very special ties. So quickly the location was set. I often was asked why I choose Costa Rica / Hotel Casa Luna as a destination, the reasons:

over 90% of the employees haven’t been to Costa Rica, so motivation was high to get to know a new place

traveling costs for Peruvian, Colombian and German Employees were similar, the goal: everybody should feel the same amount of investment from the company

the trust I have in Rainer, I was sure, that the Hotel would cooperate well

the Climate: we could work without air conditioning in comfortable rooms

as a Responsible Tourism Operator we needed a Hotel that supports the same philosophy

Financial Background

After negotiating with the Hotel, the Airlines and locale Operators we go to total costs of around 55.000 EUR. As the Financial Reports didn’t allow us to invest such a big chunk of money without knowing our future Sales 2012 Numbers, I decided to offer the project “Costa Rica” as a co-financed offer for the employees. Basically suggesting that we share the costs. But at the same time offering, that viventura would pay a higher part of the costs depending on the Sales Success of the first Quarter. The offer was:

below 650 Sales: the project is dead

650-750 Sales: every employee that wants to go needs to contribute 800 EUR

750-900 Sales: every employee that wants to go needs to contribute 400 EUR

above 900 Sales: the project is fully funded by company money

We asked early how many were willing to pay what before knowing the Sales Number (in order to plan ahead). The results were:

25% were so much interested in this project that they were willing to contribute 800 EUR

50% were willing to contribute 400 EUR

25% would just go, if the trip would be free

January started. Sales came coming in. More Sales came in. Then even more Sales came in. We had a record Quarter breaking all previous records. By March 31st we achieved 955 Sales. Costa Rica here we come.

The Organisation

Once clear, that we the project would be executed, I looked for a Project Organizer and decided that my wife would be the perfect fit. She started reading about Costa Rica and Team building Organized all Details, Transfers, the communication platform with all employees etc. In general this went really well. One of my biggest concern was the technical working environment. Would we have a quit place, would the Internet Connection be sufficient, would there be room to retreat to have confidential meetings? In order to succeed with this project we needed to arrange the following:

a private Internet Connection just used by us

a private section at the restaurant where we could work all day

a private room for confidential meetings

special deals for lunch and dinner, so that employees have access to payable meals

installation of VOIP Phones

How did we organize our Home Offices in November?

the offer for Costa Rica was just designed to fixed employees, interns stayed in Germany/Peru

Berlin Office: 50% of Sales Team came the first two weeks, 50% came the last two weeks

Peru Office: one person completely stayed in Peru, others just came for shorter periods and not a month completely

Then November arrived. On November 1st 15 people arrived, 8 of them – including me – stayed the whole month. On November 17th we had our town hall meeting with 24 employees being present. For this event we left Casa Luna to stay one weekend at the fantastic Beach Resort Tamarindo Diria. Next to the 30 employees we had around 10 spouses/kids coming along in total.

Townhall Meeting: Beach Resort for one Weekend Working in Casa Luna In general working conditions were great. My worries about the Internet Connection proved to be unnecessary. Even the phone calls through the Internet had a high quality and clients sometimes were unaware, that their travel consultant was on the other side of the Atlantic. As we could all work from one place the effectiveness of work even increased.

The benefits

Feedback was overwhelmingly positive (one exception below)

The understanding between the 2 offices was incredible improved

The staff was focused on their job during working hours and results were great

The communication with the IT team helped to understand each other much better in the future

The identification for the company was substantially increased

As a first mover: Press Coverage

A big plus for finding talented people, that can choose their employer freely

The drawbacks

Negative Feedback Sales Team (“it’s not fair, that others can stay all month but I due to my position can just stay 2 weeks”)

the huge costs for the projects

6 Takeaways/recommendations for your company

1. the optimal length

From the start on I promised one month in Costa Rica, so we sticked to it to the end. It turned out to be the optimal length. Most people planned just to come for two weeks, but where positively surprised by the event. Three persons were able to move the flight back to the end of the month to be able to stay the longest period possible. As we did a lot of annual planning for the next year the middle management team was really busy for 2 weeks and not very available to their teams. If we just would have stayed for two weeks, we could just have done the main business. One month enabled us to take time for creative & fun stuff. Some people just came for 10 days, this felt to short. For the repetition event we will plan one month with a minimum stay of three weeks.

2. rules about taking vacations

This time employees were able to take vacations before, during and after the event. This was a mistake. Especially the management team needs to be present the whole event. But in order to get the most out of such an event you need to make sure, that all the staff works at least 3 weeks together (one exception is described in takeaway Nr. 3). Vacations should just be possible before and after the event.

3. how to deal with the normal business during the event

Our business is to organize and sell authentic travel experiences to South America. During such an event we can’t stop our operations. So some staff wasn’t able to come the complete time. I recommend to leave just the minimum amount of people in the normal office. In our case the affected staff had different reactions. It’s important to communicate well, why it’s important for the company, that some of them keep running the normal business, that can’t be done from a far away office. I tried to make some special rules around this this year and think this isn’t a good idea. Discussing the best options and communicating these well should be all necessary.

4. who to take

Incentives usually are organized for part of the team, usually the management team. What made our experience really special is that we took everybody along that at least works half day for us. This also included our Cook Carmencita from Peru, who is in charge preparing the daily lunch for our South America Office. Taking everybody without expectations was clue to the success of the event.

5. the location

The Location is also a key factor. We got lucky with our Hotel – things we didn’t consider turned out to be the exact way we needed it. As contrast to the normal working, working in an half-open (just roof protected) area made a huge difference in the perception of the working atmosphere. Another big plus: the hotel wasn’t inside a city, we were 40 walking minutes to city center That made people stick around at night. So the team got also closer together after work. Thirdly the temperature. It was important, that we had a pleasant temperatures so that no one was thinking about jumping into the pool/beach. In summary: get a place outside a town, look for places with pleasant temperatures to work “outside”.

6. good infrastructure

The Internet Connection is crucial for the success of such an event. If the Location has no guarantee to have an excellent Internet Connection for you, this is a No-Go. Also make sure, that the location provides you with big tables. This will make staff members work next to each other, that usually have no direct contact and increases the mutual understanding. Important is also the possibility of quiet areas for small teams to have separate meetings without disturbing the others.

Costa Rica 2013?

Right know the question I most often hear: “Will we do this again next year?”. My answer is: “Yes, we will!”. That’s already clear. As Costa Rica 2012 just has finished yesterday we will analyse a bit more and will propose the Destination/Conditions for the repetition next year shortly.

Before landing he came back to my seat with a Bottle of “Lea & Perrins” Worcestershire Sauce” wrapped in a blue paper. “This is for you Sir, enjoy your next Tomato Juices!”.

Not just in Tourism these little anectodes make the difference. The question remains, how to get your employees paying attention to detail in such a way..Similar Posts:

London in 4 days. Who much can one see? Along with our friends Kristina & Manfred we went to find out. We had a wonderful time and got to see lots of treasures in London.

My Observations

London is not as expansive as one would think: meals start at 7 EUR a 0,5 l beer in a pub is 3 to 4 EUR

entries to touristic highlights (apart from some museums) are very expansive

there is just immigration when entering the country, none if you are leaving (so you don’t have to arrive as early to the airport as one would think)

Here come my tips of “do’s”:

take the double decker buses instead of the subways, they are not as fast, bus oftern we got to see in the front seat, and an incredible view that is!

packed food in supermarkets seem to be much fresher then in other places, so for a couple of pounds you can get some delicious snacks and have picknick in a park

if you like photography the new high rising buildings close to Monument station are great for taking pictures

for public transport get an oyster card, it’s basically a deposit card, when you return the card you get the 3 pounds deposit fee back and all the credit on the card

when arriving in stansted airport, get a return train ticket, the train is so much faster!

once a year London has a “open house day“, try to go that weekend to be able to enter the interesting buildings and the best panoramic views for free. A good view for little money can be achieved at the monument column (3 pounds entry)

Here come “don’t s”:

when going to a Pub, don’t wait for a waiter, order your beer at the bar yourself, that’s way tips for drinks are uncommon, sometimes you even have to order the meals at the bar…

touristic attractions seem to be a ripoff, most of them costed around 22 EUR, just leave them out, to get to now London, you don’t have to enter Buckingham Palace, Madame Tussaud’s or the London Eye..

Borough Market is a great place for pictures, but don’t expect it to be a traditional market, 90% of the visitors are tourists, and prices were extremely high, better to come with a full stomach, so your wallet is safe ;-)

“A country that, takes care of all people, gives work to everybody, where health care doesn’t cost you anything…” This is what I heard from pro-Fidel Cubans some years ago while traveling to Cuba. Would I hear this kind of comments in North Korea also I wondered? How would it compare to the GDR (Eastern Germany) that I witnessed over 20 years ago? How do people live in North Korea? What are your restrictions on a North Korea Tour, etc…

As little information is available about North Korea, I try to summarize all information that I think could be of help for anybody traveling to North Korea or being interested about traveling there.

The information gathered here I did get personally from 6 different people, while I was traveling in North Korea. I won’t will quote persons individually because I don’t want anybody getting in trouble sharing something with me.

I will embed some pictures from my trip, to get even better ones I highly recommend you to visit this site:

+++ Preparations +++

Travel type : you can only take part in an organized North Korea tour. So although it is a really interesting trip it’s not a risky trip at all in my opinion. Stories like here from the german magazine spiegel (translated version), make you believe something else, but in this case the writer seems to be a show-off.

Visa: You need a Visa to get to North Korea. We got it without any complications, it didn’t even have a cost (we got it from the North Korean embassy in Berlin, Germany). From what I’ve heard this shouldn’t have an influence on your future visa applications to the US, but I also heard a different story. What is your experience concerning this, please comment.

Cellphones are not allowed to take to North Korea. So just leave them at home. In case you forget, you have to leave them arriving and will get it back leaving the country. Alle other electronic equipment is allowed, so you can take laptops, iPods, etc. to North Korea, no problem!

Donations: at viventura we advise our clients to what to take along to South America in order to help local people. As officially North Korea doesn’t need any foreign help, in the official travel documents no such information is included. But you do can help. North Koreans love outside clothes (primarily for the better clothes). They prefer 2nd hand western cloths to new clothes available in North Korea. But westerners are not allowed to hand something to North Koreans. So what could you do? a) bring second-hand clothes and leave them in the hotel you are staying b) give clothes to your guides/drivers / leave them in the bus saying, that you have no more use for them… When taking clothes, this clothes shouldn’t be clothes easily identifiable as foreign clothes, so it shouldn’t have any brands or foreign words printed visible on the chest etc… (you are allowed to give the guides/drivers tips at the end of the trip).

+++ Traveling in North Korea +++

Most tourists in North Korea come from China. Just 2500 “westerners” come here per year. This number will raise this year and especially next year. A big german touroperator (Studiosus) just started to offer a tour to North Korea and I expect just them to send 500 tourists to North Korea in 2011.

Personal freedom: you never are allowed to be on your own outside the hotel. Depending on your guide, the guide will accompany you outside the hotel, in rural areas this seems to be easier than in Pyöngyang.

Photography: you can make pictures, as long as no military is being on your photos. Your guides are advised not to let you make pictures of poor houses, hard-working people. They won’t understand, why you would make pictures of this anyway, because it’s not nice, but they also know, that westerners want to photograph exactly this. Always ask your guide, if pictures are allowed, this will prevent your guide getting in trouble. We were told, that stopping the car and getting out is not allowed (we did it twice anyway). Also you’re not allowed to take pictures of things, that are being restaurated.

Eating: Food is really good, but it’s a matter of taste. I personally love Kim Chi. My wife Adriana had a hard time with the food and wouldn’t call it great at all. As I mentioned, that I love Kim chi, I got it every single time :) In our case, the guides could eat twice with us, they would have liked to do it more often, but according to my information, they tourist meals are to expansive to also buy them for guides & drivers.

Shopping: Stores remind me of GDR stores in the eighties. All of the items are displayed in glass vitrines. Products are imported from around the world. We saw brands like “ja” a store-internal brand from Germany, juice from Singapore, chinese junk food, etc…

Local Currency: the local currency is the North Korean Won. Foreigners won’t be able to use them. There is an official exchange rate nevertheless of 140 WON for a EUR. Foreigners are just allowed into international currency stores. Here you can pay with EUR, USD or CNY (Chinese Yuan). You can ask your guide for some currency notes as souvenir.

International News: the tourist Hotels in Pyöngyang provide you with international News channels as BBC, Deutsche Welle etc…

+++ General Curiosities +++

How does a Tour to North Korea start? When traveling by air to Pyönyang (from Beijing) with North Korean Airline Koryo I set next to a North Korean Person. According to him, he arrived from India, where he worked for 4 years and know ill see his family again after 4 years. He asked a lot of questions about my visit in North Korea. After telling him, that I’ve been to South Korea before, he even asked to see my passport. After arriving in Pyöngyang he chatted with other people on the train, no sign of his wife/kids. I had the impression, that we were investigated on. Also during the flight the stewardess came to us about five times asking us if we were a couple, where we were from, ho many times we have been to North Korea for, etc… After answering she always went back to the first row talking to a man…

Personal at Pyöngyang airport are well equipped. Most of them have a little speaker in they ear.

All North Koreans have a little red badge with a counterfeit of their “great leader”: Kim Il-Sung. This is similar to China some decades ago, when they had Badges of Mao attached to their clothes. Not everybody was wearing the badge but approximately 95% of the people.

Foreigners: Westerners living in North Korea are not allowed to have contacts with local people. So during a North Korea Tour it will be very hard to talk to a local person other then your guide. There are also about 300 foreigners, most being chinese, but also 15 germans among them. They have their own little district, where North Koreans are not allowed to go in. Some countries have embassies in Pyöngyang (Germany being one of them).

There is lots of speculation about North Korea. For example: do they really have a metro? I wonder why would you question this. Would you think they’d build that many stations on the streets and make the train run just one station, employing thousands of actors just to make some tourists believe Pyöngyang has a metro? Well I don’t think so, Pyöngyang definitely has a Metro, you can watch this Video also:
(Video will follow)

Cleanness: overall all places we went to were very clean. On the one side there is little plastic being sold in North Korea. On the other hand I could observe lot’s of people sweep the streets.

As North Korea has no right to transmit the World Cup games, that would start in a couple of days (2010 World Cup South Africa), the games will be transmitted one week later. As North Koreans have no other News Source, they won’t no the result before…

When paying for something in a “currencystore” you get the change often in another currency. You buy a drink in EUR and get back some USD…

The restaurants have big common rooms but also private rooms, where you can eat just with your friends or family (same concept as in china)

Political views: Germany is a good country, because we paid we paid the debts caused by wars imposed by Germany to other. The rest of the world: good. China: really good, as they support North Korea. Japan: really bad because of the 40 years, that Japan occupied North Korea. USA: very bad because they prevent a united Korea.

+++ Daily life / General topics +++

Agriculture: North Korea is an agricultural country. I’ve never seen a country that used that much terrain for agriculture as North Korea. In our whole trip I couldn’t see any opportunity where they could cultivate more. During the harvesting season also all office workers need to go to the countryside to help getting the crops. This is done on Fridays. Workers participate on the success of the harvesting, as they get a “share” of the harvest depending on the crops success.

Wages: Not all North Koreans earn the same. According to our guides students get a salary of about 50 EUR, normal workers 150 EUR and people in higher positions 250 EUR a month. All North Koreans get a free apartment, health care, education and the rent.

Power/Water Supply: the state has a serous problem generating sufficient electricity and supplying enough water. For most people in Pyöngyang you can just get water 2-3 hours a day (in that time they fill up tanks to save water for the day). The Tourist Hotels in Pyöngyang have all-day water supplies though. Electricity seemed to be working fine in Pyöngyang, as you can see on this picture:

In other areas, in Kaesong for example, we were noticing electricity problems at night. The costs for electricity & water is around 3-5 EUR a month.

Transport: The roads in North Korea are quit empty, nevertheless lot’s of people are driving in cars. It’s forbidden to have a car privately (you can just one a motorcycle or a bicycle privately), but people in good positions get a car for their job. I would guess, that there would be around 20.000 cars or so in Pyöngyang. Apart from cars you have the metro, Taxis, streetcars, buses, bicycles and motorcycles in Pyöngyang.

Businesses: Everything is state owned in North Korea. I know of three Joint-Ventures though. a) FIAT is cooperating with Pyöngyang to manufacture cars in North Korea, in total the have two brands built in North Korea: Hwiparam & Ppeokkugi

b)a Joint Venture with a german company getting Internet to the hotels
c) a Joint Venture to modernize the cellphone network with an egyptian company, part of the deal is also to finish the 105-floor hotel in the middle of Pyöngyang until 2012

Military: The military is really important in North Korea, the military boss is the second most important person in North Korea. On the street you see a constant presence of military. You also have the Youth Organisation, like the Free German youth (from the former GDR)

(here kids prepare for the kids day on the 7th of june 2010)

Corruption: It’s hard to tell to which level corruption exists in North Korea, in my presence two military officers accepted cigarettes in order to do a favor (leaving the hotel, taking a picture)

Situation with South Korea: for me it’s interesting to see that our guides / the local military guide at DMZ never talked about a conflict with South Korea. They always refered to a conflict with the United States. And interestingly, the armistice was negotiated with North Korea on one hand and the US on the other and not South Korea. According to the military person at DMZ, the US tries to stay long-term in South Korea, in order to strengthen their position in demanding long-term presence they blame North Korea for sinking a submarine.

Fashion: for Adriana it was a shock to see that fashion seem to have stuck in the seventies? There is no individualism at all. Even people without a uniform seemed to be dressed a kind. No written words I have seen on any shirt. The clothes remind me of movies made about the GDR.

Smoking: Smoking is ridiculously popular in North Korea. According to our guides 99% of male North Koreans smoke. Even in closed places like in the restaurant. This was totally surprising and sometimes uncomfortable.

Education: It was amazing to see how well our guides spoke english/spanish. They have never been to an english/spanish speaking country, but nevertheless speak fluently. A thing that North Koreans seem to be great in: Singing.

+++ Communication +++

Internet: North Korea doesn’t have Internet yet. A german company is setting up Internet at this time, so that high-ranking military people, important business man and other VIP in North Korea will get it soon. According to my information soon the Hotels for international guests will have Internet Service.

Email: North Korea has a tiny Email infrastructure. For example our guides have email access through the companies email account, there is no such thing as personal email accounts. The email adresses have the domain silibank.com, the domain is registered to LiaoNing ZhongTian Real Estate Develolpment Co.LTD from China. Attachments like PDFs can be read, pictures can’t be sent (it’s unclear if it’s for the size or security).

Cellphones: the cellular network is working for almost 2 years in North Korea. A limited network of people have access to it (and use it a lot), like tourism guides, people who do important business, politicians and military people. Tourists have no right to use cell phones.

News: North Koreans don’t have a free press, all news are emitted from the state. Before arriving to North Korea tensions were high because of the submarine incident with South Korea. North Koreans were aware of these tensions and were informed about the incident. They knew the South Korean/US Version of the story (ship was shot), but believed the North Korean Version of the story (ship ran into a rock). I talked about this incident quit a bit and could into more details if requested in the comments…

I booked my tour with www.tschollima-reisen.de and I was really pleased with there service (it’s a german operator).Similar Posts:

My good friend Hendrik left me a informative magazine with insider restaurant tipps. The perfect present, thanks Hendrik. So this weekend I checked all the tips and marked my personal favourites in a little map to make sure I can find them easily (it’s so fast to make these maps by the way…)

Eating is only fun if you eat with good friends. So I thought of this challenge: contact five friends, with whom I hadn’t had contact for five months, convince them to have dinner with me within the next five weeks to get back in touch… Let’s see if I can make it.

In any case, here are the restaurants I want to check out in the upcomings months in Berlin…

View Restaurants Berlin in a larger map

Do you know any of these?

PS: I checked out Kimchi Princess yesterday, and it was awesome!Similar Posts:

Living in Medellin, I always wondered. What happened to the relatives of Pablo Escobar? After seeing “Sins of my father” all questions were answered.

Living in Medellin, your are confronted with the dark past of the city. Family, friends & clients ask a lot about the safety in Medellin and about the drug cartel. (In case you haven’t heard my answer: Medellin has totally transformed and is one of the nicest city to live in in South America).

The history of the drug cartel always fascinated me, so I visited Hacienda Napoles, the “Catedral”, the graveyard of Escobar and the place where he was murdered. If your want to jump back into old times, you can watch this interview of Pablo Escobars photographer:

But the movie “Sins of my father” is not just about the past, but the present. How is it like to be the son of one of the most evil persons in history? What does his son feel for the crimes committed by his father? (something similar German people of my age are confronted also corning crimes of our grandfathers).

It’s a fascinating story, worthwhile to see:
