We can only maximize our effectiveness within a given time window. When I take an introspective look at my performance, it&amp;rsquo;s very clear that the single greatest determinant of output in terms of quality and quantity is &lt;/span&gt;&lt;span style="font-size: 15px; font-family: Arial; background-color: transparent; vertical-align: baseline;"&gt;energy&lt;/span&gt;&lt;span style="font-size: 15px; font-family: Arial; background-color: transparent; font-weight: normal; vertical-align: baseline;"&gt;; the more energy I have, the more effective I am. It&amp;rsquo;s why people slam coffee and 5 hours like it&amp;rsquo;s going out of style.&lt;/span&gt;&lt;span style="font-size: 16px; font-family: Cambria; background-color: transparent; font-weight: normal; vertical-align: baseline;"&gt;&lt;p /&gt;&lt;/span&gt;&lt;span style="font-size: 15px; font-family: Arial; background-color: transparent; font-weight: normal; vertical-align: baseline;"&gt;But instead of lambasting our bodies with caffeine or 80 days worth of B12, an alternative approach to optimizing energy is to &lt;/span&gt;&lt;span style="font-size: 15px; font-family: Arial; background-color: transparent; vertical-align: baseline;"&gt;practice strategic conservation&lt;/span&gt;&lt;span style="font-size: 15px; font-family: Arial; background-color: transparent; font-weight: normal; vertical-align: baseline;"&gt;. It&amp;rsquo;s important to recognize we have a limited capacity to process data. Continual processing depletes our energy stores and less energy equates to lower levels of output. Hence, to maximize our effectiveness, you must pick and choose where you&amp;rsquo;re going to channel your mental bandwidth.&lt;/span&gt;&lt;span style="font-size: 16px; font-family: Cambria; background-color: transparent; font-weight: normal; vertical-align: baseline;"&gt;&lt;p /&gt;&lt;/span&gt;&lt;span style="font-size: 15px; font-family: Arial; background-color: transparent; font-weight: normal; vertical-align: baseline;"&gt;In the case of workday workouts, it&amp;rsquo;d be very easy to divert my attention to monitoring my clock in order to stay accountable to the &amp;ldquo;every hour on the hour&amp;rdquo; protocol. But by relying solely on my periphery, I&amp;rsquo;m creating one more thing I have to process/worry about which requires energy.&lt;/span&gt;&lt;span style="font-size: 16px; font-family: Cambria; background-color: transparent; font-weight: normal; vertical-align: baseline;"&gt;&lt;p /&gt;&lt;/span&gt;&lt;span style="font-size: 15px; font-family: Arial; background-color: transparent; font-weight: normal; vertical-align: baseline;"&gt;My alarm clock limits the amount of energy I spend triggering the desired action. It leaves me with more energy for the tasks that are vital to me being effective at my job. In general,&lt;/span&gt;&lt;span style="font-size: 15px; font-family: Arial; background-color: transparent; vertical-align: baseline;"&gt; the less we have to think about non-critical actions, the more we can focus on important things at an optimal level.&lt;/span&gt;&lt;span style="font-size: 15px; font-family: Arial; background-color: transparent; font-weight: normal; vertical-align: baseline;"&gt; &lt;/span&gt;&lt;span style="font-size: 16px; font-family: Cambria; background-color: transparent; font-weight: normal; vertical-align: baseline;"&gt;&lt;p /&gt;&lt;/span&gt;&lt;span style="font-size: 15px; font-family: Arial; background-color: transparent; font-weight: normal; vertical-align: baseline;"&gt;Other instances where I use systems and routines in order to conserve energy:&lt;/span&gt;&lt;span style="font-size: 16px; font-family: Cambria; background-color: transparent; font-weight: normal; vertical-align: baseline;"&gt;&lt;p /&gt;&lt;/span&gt;&lt;span style="font-size: 15px; font-family: Arial; background-color: transparent; vertical-align: baseline;"&gt;Morning routine:&lt;/span&gt;&lt;span style="font-size: 15px; font-family: Arial; background-color: transparent; font-weight: normal; vertical-align: baseline;"&gt; Wake up at 6am -&amp;gt; make eggs -&amp;gt; prayer/read scripture -&amp;gt; shower -&amp;gt; write or go to the gym -&amp;gt; go to work. I more or less do the same exact thing every weekday morning unless I was out late the night before. Adopting a morning routine that limits my decision-making has had awesome effects on my energy and productivity not only before I enter the office, but after as well. &amp;nbsp;&lt;/span&gt;&lt;span style="font-size: 16px; font-family: Cambria; background-color: transparent; font-weight: normal; vertical-align: baseline;"&gt;&lt;p /&gt;&lt;/span&gt;&lt;span style="font-size: 15px; font-family: Arial; background-color: transparent; vertical-align: baseline;"&gt;Workout regimen:&lt;/span&gt;&lt;span style="font-size: 15px; font-family: Arial; background-color: transparent; font-weight: normal; vertical-align: baseline;"&gt; I log all of my exercises, how many reps I got, and whether to increase the weight/repetitions next week. Because I always know exactly what I&amp;rsquo;m going to do each workout, I can focus on having a quick, upbeat workout instead of meandering around the gym thinking about what I want to do next.&lt;/span&gt;&lt;span style="font-size: 16px; font-family: Cambria; background-color: transparent; font-weight: normal; vertical-align: baseline;"&gt;&lt;p /&gt;&lt;/span&gt;&lt;span style="font-size: 15px; font-family: Arial; background-color: transparent; vertical-align: baseline;"&gt;Moleskin to do:&lt;/span&gt;&lt;span style="font-size: 15px; font-family: Arial; background-color: transparent; font-weight: normal; vertical-align: baseline;"&gt; anytime I think of something I need to do I put it on the back pages of my &lt;/span&gt;&lt;a href="http://life-longlearner.com/post/12884038821/reflecting-2-months-of-carrying-a-moleskin" style="font-family: Times; font-size: medium;"&gt;&lt;span style="font-size: 15px; font-family: Arial; color: #0000ff; background-color: transparent; font-weight: normal; vertical-align: baseline;"&gt;Moleskine notebook&lt;/span&gt;&lt;/a&gt;&lt;span style="font-size: 15px; font-family: Arial; background-color: transparent; font-weight: normal; vertical-align: baseline;"&gt; which I keep in my back pocket at all times. By logging &amp;ldquo;to-do&amp;rsquo;s&amp;rdquo; as they enter my mind, I can focus on important things instead of &amp;ldquo;having to remember to do x.&amp;rdquo;&lt;/span&gt;&lt;span style="font-size: 16px; font-family: Cambria; background-color: transparent; font-weight: normal; vertical-align: baseline;"&gt;&lt;p /&gt;&lt;/span&gt;&lt;span style="font-size: 15px; font-family: Arial; background-color: transparent; font-weight: normal; vertical-align: baseline;"&gt;It may seem trivial to worry about conserving energy on something as small as identifying that a new hour has approached. But it&amp;rsquo;s not about the pushups. &lt;/span&gt;&lt;span style="font-size: 15px; font-family: Arial; background-color: transparent; vertical-align: baseline;"&gt;It&amp;rsquo;s about all the value created when I&amp;rsquo;m not thinking about doing them.&lt;/span&gt;&lt;span style="font-size: 15px; font-family: Arial; background-color: transparent; font-weight: normal; vertical-align: baseline;"&gt; And the smallest changes, multiplied over a lifetime, have the greatest impacts. &lt;/span&gt;&lt;span style="font-size: 16px; font-family: Cambria; background-color: transparent; font-weight: normal; vertical-align: baseline;"&gt;&lt;p /&gt;&lt;/span&gt;&lt;span style="font-size: 15px; font-family: Arial; background-color: transparent; font-weight: normal; vertical-align: baseline;"&gt;Are there activities in your life that you&amp;rsquo;re expending energy on that you shouldn&amp;rsquo;t be? &lt;p&gt;&lt;strong&gt;On Demand vs. Dedicated&lt;/strong&gt;&lt;/p&gt;
&lt;p&gt;I've written numerous times about the wonders of virtual assistants. There is no question that they make your life easier and enable you to be more effective. By offloading all sorts of tasks that take too much time, disrupt your workflow, and generally mess up your mojo, you can focus on what's important. There are two basic kinds of virtual assistants, on demand and dedicated. I've written before about my favorite on demand service, &lt;a href="http://www.outsourceeverything.co"&gt;Outsource Everything&lt;/a&gt; but after months of work and testing, I have reached a new evolution in Virtual Assistants, using an on demand assistant (where you have a different person assigned to your task each time) and making it seem to you and the outside world as if you have a full time, dedicated assistant. &lt;p&gt;&lt;strong&gt;Where to Start&lt;/strong&gt;&lt;/p&gt;
&lt;p&gt;In the overal framework of Less Doing's Optimize, Automate, and Outsource, FancyHands falls somewhere between the second two steps. It's obviously outsourcing because it's a virtual assistant service, but using it to it's fullest requires a lot of automation. I find that people have a lot of hesitation when it comes to using a virtual assistant. At $280 for an Outsource Everything assistant for 5 hours a week, price is usually not the issue. The two biggest concerns I hear from people are that they don't have the time to train someone new and that they don''t know what tasks to have the assistant perform. With plans starting at $25 dollars for 5 tasks, there's no excuse not to give FancyHands a try, you will be hooked, you will want more, and you will become more effective through the process.&lt;/p&gt;
&lt;p&gt;As far as taking the time to train an assistant, I&amp;nbsp;recommend&amp;nbsp;that everybody work with a virtual assistant at one point or another because it's as much of a learning experience as them as it is for the assistant. A "task" by FancyHand standards is anything taking up to 20 minutes. Can you imagine how efficient you would need to become to get most of your tasks done in less than 20 minutes? By communicating your ideas through email, you naturally start to notice, and eliminate&amp;nbsp;inefficiencies&amp;nbsp;as you realize that steps 2 and 4 make no sense and steps 6 and 7 are repetitive. Remember we need to optimize before we do anything else. Getting a task down to it's bare essentials makes it bombproof. If the majority of your tasks can be done by someone who has no prior experience working with you then you are never held at the mercy of an assistant who calls in sick or moves on to another company. It's like the virtual assistant version of Dropbox. Furthermore, since your tasks are no longer limited to one person, scaling becomes automatic and painless.&amp;nbsp;&lt;/p&gt;
&lt;p&gt;Communicating exclusively through email means that you can assign tasks whenever and wherever you are but my favorite is to do a complete "brain dump" at the end of the day before bed. I'll often shoot off 10 or 12 tasks that would otherwise bug me for hours and affect my sleep but by utilizing an &lt;a href="http://lessdoing.com/fundamentals-of-less-doing-creating-an-extern"&gt;external brain&lt;/a&gt;&amp;nbsp;as far as I'm concerned the task is done the second I send the request and I can rest easy. Furthermore this creates a searchable record of all your tasks and FancyHands has a dashboard that gives an overview of all your requests as well as the status, communications, and exchanged files of each specific task. Also, all of FancyHands assistants are US or UK based so their English is impeccable and I have had them call clients on numerous&amp;nbsp;occasions&amp;nbsp;with only positive results.&lt;/p&gt;
&lt;p&gt;&lt;strong&gt;How Do I Achieve Evolution?&lt;/strong&gt;&lt;/p&gt;
&lt;p&gt;Two years ago after working with a dedicated virtual assistant in India for over a year, she informed me that she was being promoted and would no longer be my assistant. After three days of sheer panic, I took a hard look at the tasks she had been performing for me and after some analysis realized that some were not necessary, the vast majority could be automated without human intervention and what was left could be done by an on demand assistant if I utilized the right tools. Since a non dedicated assistant won't have access to your calendar or email and complicated tasks would have to be explained each time, a little creativity is all it takes to get everything done.&lt;/p&gt;

&lt;p class="p1"&gt;It's 3:42AM and I'm standing at my computer, with my infant son strapped to my chest, asleep. My super human wife just spent the last three hours awake, feeding and holding him since his five week old digestive system is making it difficult for him to sleep on his back. So now it's my turn. Yes I'm groggy, but I'm also totally and completely obsessed with my son. I am completely engrossed and having him close to me and feeling the rhythm of his breathing washes away any tiredness I have because I don't want to miss a second of this. He's also too young for me to start biohacking...yet (can you say Quantified Baby?)&lt;span class="s1"&gt;&lt;br /&gt; &lt;/span&gt;&amp;nbsp;&lt;span class="s1"&gt;&lt;br /&gt; &lt;/span&gt;Over the past couple nights of waking up around 3AM - in yesterday's case, not going back to bed and simply starting my day partly thanks to &lt;a href="http://www.bulletproofexec.com/how-to-make-your-coffee-bulletproof-and-your-morning-too/"&gt;Bulletproof Coffee&lt;/a&gt; - I've discovered something interesting, I seem to get very creative at this time of night. Last night and the night before, I managed to crank out a new eBook on increasing speed during your workouts. It's a project I'm working on for &lt;a href="http://www.hyperink.com/"&gt;Hyperink&lt;/a&gt; and I was given a week to write it. When I sat down at the computer the first night, barely able to keep my eyes open, I started typing and the ideas began to flow. The second night I finished it and had several "Ah Ha" moments along the way. Now this isn't to say that I think I'm a particularly good writer or that my writing has improved, just that the ideas flowed better. I tend to write the way I speak anyway so as far as I'm concerned as long as I convey my thoughts in a reasonably understandable manner, I'm already ahead of the game.&lt;span class="s1"&gt;&lt;br /&gt; &lt;/span&gt;I &lt;a href="http://www.stumbleupon.com/"&gt;stumbled upon&lt;/a&gt; an interesting article in &lt;a href="http://www.wired.com/wiredscience/2012/02/why-being-sleepy-and-drunk-are-great-for-creativity/"&gt;Wired&lt;/a&gt; regarding a study done on the effects of alcohol and exhaustion on creativity. It began with a little puzzle:&lt;span class="s1"&gt;&lt;br /&gt; &lt;/span&gt;&amp;nbsp;&lt;span class="s1"&gt;&lt;br /&gt; &lt;/span&gt;&lt;strong&gt;Your task is to move a single line so that the false arithmetic statement below becomes true.&lt;/strong&gt;&lt;/p&gt;
&lt;p class="p1"&gt;&lt;strong&gt;&amp;nbsp;&lt;/strong&gt;&lt;strong&gt;III = III + III&lt;/strong&gt;&lt;/p&gt;
&lt;p class="p1"&gt;Did you figure it out? Apparently only 42% of normal subjects in the study got the answer. However, 82% of patients with pre-frontal lobe damage (rendering it impossible to focus attention on anything specific) figured it out. So the fascinating and also frightening thing is that at 3:30ish in the morning, the answer was quickly apparent to me, and I am usually terrible at these kinds of puzzles. If you change the vertical line of the plus sign to make it an equal sign, you get:&lt;span class="s1"&gt;&lt;br /&gt; &lt;/span&gt;&lt;/p&gt;
&lt;p class="p1"&gt;&lt;strong&gt;III = III = III&lt;/strong&gt;&lt;/p&gt;
&lt;p class="p1"&gt;The reason it's so much easier for these patients is that they are not "restricted" by their attention. People without this deficit get stuck in the rut of trying to manipulate the roman numerals and they can't as easily think "outside the box." Basically if you put yourself in a situation where you lose your inhibitions than the creative juices can really start flowing.&lt;span class="s1"&gt;&lt;p /&gt;  &lt;/span&gt;You can use this to your advantage without causing permanent damage to your brain. It's&lt;span class="s1"&gt; &lt;/span&gt;actually mind boggling simple. I'm constantly talking in this blog about finding the optimal way to do things and being the most efficient. This still applies but it would appear that when it comes to creative tasks, you should schedule them for the least optimal time in your daily rhythm. If you are a night owl, save those creatives tasks for the wee hours of the morning, and if you tend to hit your stride right after lunch time, it looks like the time to right that novella is after a night out drinking with friends (a University of Illinois at Chicago study found similar benefits to creativity when subjects were intoxicated). Incidentally I think I just made the ultimate case for telecommuting as a means of improving efficiency. How can companies expect all employees to operate at peak efficiency between 9am and 5pm when we all have our own unique circadian rhythms to abide by?&lt;span class="s1"&gt;&lt;p /&gt;  &lt;/span&gt;Relating this to &lt;a href="http://lessdoing.com/pages/consulting"&gt;achievement architecture&lt;/a&gt;, people tend to focus intently on the wrong goals. As thus study shows focusing too much attention on anything will practically guarantee that you'll miss the&lt;span class="s2"&gt; &lt;/span&gt;forest for the trees. This is why I'm constantly pushing my coaching clients to practice self care and expose themselves to new and different things. It takes them out of themselves and helps them get out of their own way. That's when you can take advantage of opportunities that were there all along, you just couldn't recognize them.&lt;span class="s1"&gt;&lt;p /&gt;  &lt;/span&gt;The whole purpose of Less Doing is not to free up your time - that is a stepping stone along the way - but to free up your mind so you can use it for the things that make your happy. In my particular case I'm using this time that I have to be up anyway to get something useful done, and in my opinion, the end product is better than if I wrote it during my "workday." &lt;span class="s1"&gt;&lt;p /&gt;  &lt;/span&gt;&lt;em&gt;P.S. I wrote this post in 7 minutes without breaking, I feel like Bradley Cooper in &lt;a href="http://www.youtube.com/watch?v=THE_hhk1Gzc"&gt;Limitless&lt;/a&gt; the first time he tried NZT.&lt;/em&gt;&lt;/p&gt;

      <title>Seriously, Get Rid of Your To Do List Now Before it Destroys You</title>

A few days ago I wrote &lt;a href="http://lessdoing.com/get-rid-of-your-to-do-list-immediately"&gt;this post&lt;/a&gt; about getting rid of your "to do" list and replacing it with a streamlined inbox and a few useful web apps. I just found out about the &lt;a href="http://www.psychwiki.com/wiki/Zeigarnik_Effect#"&gt;Zeigarnik Effect&lt;/a&gt;&amp;nbsp;which basically says "&lt;span style="font-family: sans-serif; line-height: 19px;"&gt;&lt;em&gt;The Zeigarnik Effect is the tendency to experience intrusive thoughts about an objective that was once pursued and left incomplete (Baumeister &amp;amp; Bushman, 2008, pg. 122). The automatic system signals the conscious mind, which may be focused on new goals, that a previous activity was left incomplete. It seems to be human nature to finish what we start and, if it is not finished, we experience &lt;strong&gt;dissonance&lt;/strong&gt;.&lt;/em&gt;"&lt;/span&gt;&amp;nbsp;&lt;/p&gt;
&lt;p&gt;&lt;strong&gt;&lt;/strong&gt;So it's bad enough that your subconscious is working to distract you and remind you that you aren't getting stuff done, don't smack yourself in the face with a constant visual reminder of all the tasks that you have to do. Get rid of your static to do list and only deal with things that are timely and in the now. Practice "out of sight, out of mind." You'll get more done, and be happier.&amp;nbsp;&lt;/p&gt;

      <title>Get Rid of Your To-Do List Immediately</title>

&lt;p&gt;&lt;strong&gt;The Problem&lt;/strong&gt;&lt;/p&gt;
&lt;p&gt;I'm going to let you in on a little secret, your to do lists are making you inefficient, stressed out, and fat...ok maybe not fat but the other two for sure. But how can this be you ask, as you look over your well organized GTD to do list on your iPad or the whiteboard on the wall with different lists of color coded things that you have today today, tomorrow, next week, and every second in between?&lt;/p&gt;
&lt;p&gt;Tasks and projects have timing associated with them. They are either due on a certain date, or there are milestones along the way, or they have to start at a certain time and date. No matter how you look at it, tasks involve timing. By taking the time (wasting it really) to make those to do lists, you are making static something that needs to be very dynamic. You remember that time you forgot to wash off the remnants of your tuna fish sandwich before putting your plate in the dishwasher and your significant other reminds you of it for what seems like eternity? That's how I see to do lists. You may be wondering about on going projects that take days or even months. Those are the tasks you especially do not want on a to do list because a big project can never be the whole plan, you have to have appropriate mini goals and milestones along the way.&lt;/p&gt;
&lt;p&gt;For a to do type task to be effective it has to disrupt your life at the appropriate time that you can get it done in the most efficient way but be completely out of sight and out of mind when it's no being worked on. It doesn't matter how efficient or organized you are, if you have a list with a dozen items on it, some of which require you waiting on someone else before moving forward (does that lack of control make a bead of sweat form on your temple?) and others which stay on your whiteboard for so long that when you finally wipe it off the ghosts of those letters remain visible forever, you will be a stressed out maniac. You will look at that list with horror and dismay.&lt;/p&gt;
&lt;p&gt;&lt;strong&gt;The Solution&lt;/strong&gt;&lt;/p&gt;
&lt;p&gt;If you've followed the principles of this blog, by now you're inbox should be pretty well organized. If not, don't worry, just refer to the fundamentals and email posts and you'll be well on your way. Once you have a well oiled machine of an inbox, you want to use email as your primary tool for all sorts of tasks. Email is also pretty universal, works accross devices, and gets you wherever you are. Gmail has become my to do list with the help of two key technologies.&lt;/p&gt;
&lt;p&gt;I've probably written about &lt;a href="http://www.followup.cc/ref.php?user_id=1994"&gt;FollowUp.cc&lt;/a&gt; a dozen times, but it's just THAT good. You send any email and then CC a time period at followup.cc to be reminded of that email at the specified time. You can do &lt;a href="mailto:tomorrow@followup.cc"&gt;tomorrow@followup.cc&lt;/a&gt;, &lt;a href="mailto:2weeks@followup.cc"&gt;2weeks@followup.cc&lt;/a&gt;, and even &lt;a href="mailto:thursday9pm@followup.cc"&gt;thursday9pm@followup.cc&lt;/a&gt;. FollowUp.cc also creates a calendar feed so you can subscribe to it in Google Calendar and see all of your upcoming followups...wait a minute, a list of things I need to do organized by the date and time that I need to do them, with default reminders in my calendar? Sounds like a pretty good to do list to me. Not only do those emails come to me at just the right time but I can look at my calendar for tomorrow and see all of my followups, even ones I set over a month ago, and I know exactly what I have to do. It's the task management version of &lt;em&gt;carpe diem&lt;/em&gt;. I don't care what happened before and I don't care what will be happening (important misuse of conjugation) after, I only care about what I need to deal with immediately. I use this system for every task there may be such as:&lt;/p&gt;
&lt;p&gt;- Grocery list that follows up a couple hours before I know we'll be at the store&lt;/p&gt;
&lt;p&gt;- Check in with a client on that project we've been working on for 3 months&lt;/p&gt;
&lt;p&gt;- Get in touch with the person I met at a party last night, set for 1 week from now&lt;/p&gt;
&lt;p&gt;- Call a construction material supplier in 45 minutes since that's when he's back in the office&lt;/p&gt;
&lt;p&gt;Basically if the task is in your inbox, you need to work on it until it's done and then you can move on. Welcome to the to do list evolved.&lt;/p&gt;
&lt;p&gt;Now I did mention there were two services, the other is &lt;a href="http://www.followup.cc/ref.php?user_id=1994"&gt;HassleMe&lt;/a&gt;. This is a really interesting service that sends you simple repetitive email reminders on an approximate schedule. You just tell it what the reminder is and approximiately how often you want to be reminded. This is absolutely excellent for those things that you have to do from time to time but don't require a rigid schedule. The randomness of it can actually provide you with some creative juices. One of the things I use it for is to remind me roughly every 4 days to write a blog post. Sometimes it will remind me after two days and sometimes it will take 6 or 7 and every time I get that reminder I'll be in a differnent mood, with different ideas flowing through my head. HassleMe is also really great to remind you to get gifts for people, check the air pressure in your tires, or to check your spam folder for mistakes. Beleive me, you don't want "Write Blog Post" sitting on your to do list and stagnating.&lt;/p&gt;
&lt;p&gt;&lt;strong&gt;The Take Away&lt;/strong&gt;&lt;/p&gt;
&lt;p&gt;So there you have it, PLEASE put down the to do list, erase the whiteboard, use those moleskins for new ideas not forgotten tasks, and start harnessing the power of email to get more done.&amp;nbsp;&lt;/p&gt;

      <title>Essential Vs. Optional</title>

&lt;p&gt;Just because I'm always focusing on trimming the fat and pairing things down to their most basic and efficient elements does not mean I do not enjoy the optional things in life. As a matter of fact, everything I talk about on the blog, the entire framework of optimize, automate, and outsource, is meant to free up your time and your mind so that you can do the things you really want to and not just the things you have to.&lt;/p&gt;
&lt;p&gt;If you have a half hour of free time during the work day because you used the principles of Less Doing to get your work done and you feel like blowing off some steam on Facebook, by all means, eat your heart out. I don't want you to ever feel guilty about doing the things you want to do because you "should" be doing something else. The important thing is being able to separate the essential from the optional. This applies in several situations, see my previous &lt;a href="http://lessdoing.com/this-is-how-we-do-it-the-optional-folder"&gt;post&lt;/a&gt;&amp;nbsp;on how I manage email by eschewing the dozens of folders many people have for a simple "Optional" folder.&lt;/p&gt;
&lt;p&gt;Let's apply this to a personal situation of mine, blog reading. I follow over 150 blogs and power through over 1000 news items each day. Why? Because I love being in the know on the latest trends, coolest gadgets, and latest psychological studies on productivty. When I meet with my Acheivement Architecture clients and they ask for a software reccomendations, odds are one of my blogs covered it and I can retrieve the answer. How can I possibly get through all these feeds each day? By making sure I cover the essentials and if I have time (which I always do, thank you Less Doing) I work my way through the optional stuff while making phone calls or watching tv. Optional by definition means "avaialable to be chosen but not obligatory" so treat it that way.&lt;/p&gt;
&lt;p&gt;When I pull up my RSS reader in the morning on my iPhone (I like Reeder since it syncs with Google Reader and my iPad) and there are 200 new items, there will usually be 20 essentials. Which means I can read them, post them to my blog, tweet them, and email them to people I think would be interested in them, all while walking my dog for 15 minutes. Then throughout the day I'll get through the other stuff but if for some reason I can't, I know that I'm not missing any of the essentials and that gives me real piece of mind.&lt;/p&gt;
&lt;p&gt;In Google Reader it's very easy to organize feeds into folders, simply by choosing feed settings and then putting a check next to the folder you've created. Most RSS readers offer similar functionality.&lt;/p&gt;
&lt;p&gt;As usual, I like to be able to provide these principles to other things like email, errands (though you should &lt;a href="http://lessdoing.com/fundamentals-of-less-doing-stop-running-erran"&gt;never run errands&lt;/a&gt;), even nutrition. Don't over complicate your life by creating so many boxes and organization systems that just getting through the system is a chore in itself. Two "boxes" are all you need, Essential and Optional.&lt;/p&gt;

      <title>No You Can't Just Do It Yourself</title>

&lt;div&gt;I was speaking with a friend the other day about using a virtual assistant and he asked "What kinds of things do you have them do?" I started telling him about some specific-to-me tasks that I like to outsource but than mentioned that I also have them do some very basic quick tasks like google searches and phone calls. He looked at me and said, &lt;strong&gt;"Why don't you just do that yourself, wouldn't it be quicker and easier than typing up an email?"&lt;/strong&gt;&lt;/div&gt;
&lt;p /&gt;
&lt;div&gt;The short answer is "HEEEEEEEEEEEEEEEEEEEEELLLLLLLLLLLLLL NO!!!!"&lt;/div&gt;
&lt;p /&gt;
&lt;div&gt;Could I call up a local store and see if they have an item in stock? Of course I could, and it would probably take about 3 minutes to do it. However, that three minutes for each task will add up and at the end of the day I might have lost an hour on tasks that "will only take a second." More importantly, a three minute task will undoubtedly break your stride in whatever you are working on, which has a multiple effect on depleting your&amp;nbsp;productivity. I want you to be able to focus on only the high level tasks that can only be completed by you so taking even a minute away (which really means you have to take the time to shift gears from what your're doing, maybe look up the number for the store, call up, wait on hold while they check, then once the call is over, shift gears back in to what your were doing before). There was a great episode of The Simpsons when the Itchy and Scratchy movie was coming out. Bart was up to his usual&amp;nbsp;mischief&amp;nbsp;and Homer started to threaten to punish him. Bart starts saying "Ok Homer, but than you're going to have to think of a punishment, then you're going to have to make sure I do the&amp;nbsp;punishment, and then...." basically over complicating the task to the point that Homer gets exhausted and gives up. All of this to say that tasks that you think will only take a minute actually do significant damage to your efficiency. So don't do it. Even something as simple as a google search can be done better by someone else if your search&amp;nbsp;personalization&amp;nbsp;or syntax doesn't produce the result your looking for.&lt;/div&gt;
&lt;p /&gt;
&lt;div&gt;The next important point is that by writing down a task in an email, it becomes more actionable, trackable, searchable, and concise. It's a&amp;nbsp;skill set&amp;nbsp;that you'll use in other areas of your life and work. It's also nice that you can write an email while doing many other things. You can write emails while walking down the street, while sitting next to a sleeping partner, while eating. It's much harder to use a phone in these situations.&amp;nbsp;&lt;/div&gt;
&lt;p /&gt;
&lt;div&gt;Finally, in a world where we are going a mile a minute all day every day, sometimes the only time we can decompress is when we lay our heads down on our pillows at night. This is the perfect time to write up the 10 tasks that you want done that have been bugging you all day. This kind of brain dump at the end of the day is really good for your psyche, your mind, and&amp;nbsp;believe&amp;nbsp;it or not, your quality of sleep.&lt;/div&gt;
&lt;p /&gt;
&lt;div&gt;So stop doing these tasks and start delegating.&lt;/div&gt;

      <title>Tested: Virtual Employee Services</title>

&lt;p&gt;I have spent, years, literally, testing different virtual employee services. This is the result of my search. In full disclosure, after this exhaustive search I determined a winner and have since partnered with them to help market the excellent services they offer. The partnership website is &lt;a href="http://www.outsourceeverything.co"&gt;Outsource Everything&lt;/a&gt;. I have helped them create a better presence and consult with them to continually improve their already impressive offerings. So to reiterate, I found the best provider and then partnered with them, not the other way around. I have worked with over a dozen providers, everything from the big names you get at the top of your Google &lt;a href="https://www.google.com/search?sourceid=chrome&amp;amp;ie=UTF-8&amp;amp;q=virtual+assistant"&gt;searches&lt;/a&gt;&amp;nbsp;to individuals found on &lt;a href="http://www.tkqlhce.com/click-5403008-10784277"&gt;Elance&lt;/a&gt;. Sometimes I would sign up for the service, and sometimes I would use a friend who was an existing customer as a proxy to run my tests. The goals of Less Doing are to optimize, automate, THEN outsource. The point being that you can sometimes avoid outsourcing all together because you've already optimized and automated as much as possible so whatever is left must be a little tricky. You need great support to outsource to.&lt;/p&gt;
&lt;p&gt;&lt;strong&gt;The Testing Process&lt;/strong&gt;&lt;/p&gt;
&lt;p&gt;The first part of this process was figuring out what to test. The most obvious of course, is language skills, both verbal and written. Depending on your needs, this may not be the most important thing but for most people it's essential, especially if you're going to have your VA be your representative when speaking to clients, vendors, or even friends and family. My favorite way to test language skills it to use expressions like "The Whole Nine Yards" or even telling someone to "Rock and Roll." The responses are usually amusing to say the least. Nowadays, testing specific computer skills is pretty pointless because they all have basic knowledge of excel, word, pdfs, etc... and if they don't, it's very easy to learn. The real hardcore testing comes when they need to use deductive reasoning and quick thinking to come up with a solution. Keep in mind however, that another personal, virtual or not, will never be you nor are they supposed to be. Set aside the three to four weeks of testing I've done which each service and lets focus on some basic tasks that I put every VA through as a test. The items in parenthises where not shared with the assistant.&lt;/p&gt;
&lt;ul&gt;
&lt;li&gt;Contact my doctor at the following number XXX-XXX-XXXX and get me an appointment as soon as possible, my schedule is the Tungle link in my signature. If they say the need a referral contact Dr. John Smith down the street and get the necessary referral. (the number provided is my own, I answer and act like a difficult secretary, changing appointment times, mispelling names, and I ask for a referral. I don't give specifics on the second doctor, just a name, meaning they need to find him)&amp;nbsp;&lt;/li&gt;
&lt;li&gt;Call Dr. Flanagan Veterinarian regarding my dog Fido. They prescribed something for his knee a while back, I think its called Fluoride. Find out what it is and send me the cheapest place online to get it, preferably Amazon. (I don't provide doctors number, the medicine is called Glucosamine not Fluoride and I want them to send me the link directly to the product page, not just the store that sells it)&lt;/li&gt;
&lt;li&gt;Here's a link to a document with 10 blood test results over the last two years. Make a spreadsheet charting each variable over time. (Will they create proper columns and rows for all the data with such little information?)&lt;/li&gt;
&lt;li&gt;Call this tenant at XXX-XXX-XXXX, they are late on their rent, please be firm but nice when you call them and tell them they are late. (The number is mine, I'm testing two things, how many times they will try to contact me before giving up, and when they finally get me, how they interact with me on the phone. I do this task twice, the first time when they finally get me on the phone I'm very nice and say I simply forgot. The second time I get very rude and see how they handle it.)&lt;/li&gt;
&lt;/ul&gt;
&lt;p&gt;Now keep in mind, in a given month, I will give a virtual assistant an average of 157 tasks to complete, and my test set is 21 tasks over the course of two weeks but these will give you an idea of what I've put the companies and individuals through in order to give you a confident result.&lt;/p&gt;
&lt;p&gt;&lt;strong&gt;Outsource Everything&lt;/strong&gt;&lt;/p&gt;
&lt;p&gt;In the end, I found an amazing pool of talent in a company located in the Phillipines. The assistants have impeccable English and they understand Western culture. They can work on whatever shift you like, so you can have someone on your work schedule or you can have someone who works will you are sleeping. They also offer bookkeepers, call center agents, web designers and even writers. They also work on one week contracts so you don't need to commit to a month if you are unsure. You get a dedicated assistant who you always deal with and they will learn your habits and methods. As with any kind of new employee, they require at least a few days of training in order to better support you, but that process is a learning experience for you as well. I am really excited about this new partnership with &lt;a href="http://www.outsourceeverything.co"&gt;Outsource Everything&lt;/a&gt; since it will allow me to offer a superior service as well as allow me to constantly tweak the offering with all of the tools of Less Doing to make it better everyday in every way.&amp;nbsp;&lt;/p&gt;
