We are delighted to announce you that Maarch Letterbox and Maarch Enterprise have merged into one simply called Maarch !

On our websites you‘ll find the former Maarch Letterbox and Maarch Enterprise references grouped under Maarch RM and DMS : appropriate demos, clients’ references, product presentation, wiki …It has all been reviewed !

Digital Mailing System (DMS) functions and there is more to it !

Each function that Maarch Letterbox used to propose have been transferred into the last version of Maarch Enterprise (V1.3), which has now become Maarch.

Maarch Entreprise Version 1.3

Maarch is an advanced archiving electronic system with DMS and letter management functions added.

Version 1.3 includes the following changes:

Content Manager module

Content management module adds an ECM dimension to our DMS solution: document templates adding in any format, electronic signature, direct mail, reservation of documents.

Adding templates in any format

In addition to models in Open Office and Open Office, Maarch Enterprise allows for example to manage document templates with Office Word, Excel or Powerpoint.

Electronic signature

The electronic signature document is possible under Maarch by setting document signed in Acrobat or through signing key.

Mailings

Merging models Microsoft Office, Open Office or LibreOffice, HTML, with data entered in documents, databases or mail contact.

Réserving items

When a user wants to edit a document, a notification is sent to the people impacted and the document they no longer accessible until the user releases the document.

Notification by email and RSS

The notification module is enhanced to prevent users of any type of event that occurred in the application, by e-mail.

Development system archiving

The level of detail is refined. In previous versions of Maarch all events were already drawn, but with a coarser level of accuracy.

Notification

Users can be notified of events such as adding attachments or notes to a document or e-main events that occurred during the treatment process (who did what when).
For administrators, a notification can be sent to them now when deleting user, changing the classification plan or arrival at the critical size of storage space.

Maarch Entreprise 1.3 is available for Smartphone and tablet, and allows for example additional notes on documents.

Development of research on the Baskets

The goal is to use the advanced search to conduct research in the baskets of each user, and thus find more simple mail in their baskets. It also allows a direct action since the result of the search.

Invisible baskets

Find a document even when it is no longer in the baskets.
For example a letter enclosed with the user's copy. The mail is no longer visible in consultation in the basket of letters in print, but can be found thanks to this research.

Choice the document status from its recording

Users can choose from the recording the status of the document and thus directly send the document to the corresponding basket. In version 1.2 and earlier, a single status was possible : NEW. Version 1.3 documents status may be "To validate", "Closed" etc.

The General Direction of Saint Germain En Laye Town Hall chose Maarch for its management of mail.

The City wishes to provide its services to a modern and efficient mail processing tool, secure its information systems and reduce its operating costs. Maarch was selected for its ease of implementation and use.

Aware of the strategic stake, General Manager has decided to proceed with a prior audit. This audit is aimed, among other things, determine the process of organizing to implement for all agents of the community.

Maarch accompanied the implementation of the solution

An Archiving System “entirely” selected

La Gestion Intégrale activity

La Gestion Intégrale develops and markets solutions of rental management, real estate Union of co-ownership, of accountancy … Its clients are property managers. It offers computer solutions issued in outsourcing, the software “MAGI” real estate and accounting. It maintains also the desktop publishing printing and putting all the necessary documents to the trade ((rent receipt., accounting, Assembly of condominium documents, buildings etc. employees pay...)

Need a long-term archiving electronic system

“La Gestion Intégrale” provides for 15 years archiving solutions to its customers. In 2005, it is available to its customers a centralized archiving solution. But in 2010, the archiving COLD tool, previously used, is no longer maintained. “La Gestion Intégrale” must find a long-term replacement solution, which ensures a high overall technical availability. The tool must be more open, more responsive and must answers new constraints. It must allow a rapid consultation of the desired data and their conservation. The existing datas are critical. The integral management is therefore oriented towards legal archiving and/or weight and retained Maarch.

The objective of the solution, as any system of archiving electronic, is keep, the sustainability, integrity and make available the documents upon request. More specifically, it dematerialize shipments of periodic documents such as receipts or funding appeals, extend the scope of electronic archiving by taking account of more flow and more varied, enrich the services offered to customers and third parties.

What attracted “La Gestion Intégrale” in its choice of the Maarch Entreprise application? The list is long:

Autofoldering and plan of classification
Life-cycle management
Recovery of datas
Establishment of different sizes of databases depending on the size of its end customers (independent or shared bases between his little customers)
Search functions: record in client consultation / mandate / folder / account / type of document, the full-text search on certain types of documents, the ability to save search criteria

“La Gestion Intégrale” is clearly in a process of green IT and a sustainable development.

"La Gestion Intégrale” has appointed “Sens4” to determine the impact of the changeover to a dematerialization of all his impressions paper, including at the level of environmental impact (consumption of resources and ecological impact). The result is conclusive : 95%, i.e. almost all of the environmental impacts related to the printing process are removed by the project of dematerialization. Once the impressions dematerialized, the impact is almost zero and lies only in the phase of use of the servers. In economic terms, the project is disappear of printing, supplies, postage costs and replaces servers data, approximately 40 tons of paper and 5 tons of envelopes saved per year.

History of the Maarch installation

March 2010, Eric Marchand installs Maarch Entreprise from the web site http://www.maarch.org/en/. He asked one of his staff to test the solution. 2 people with 2 different methodologies therefore adapt the tool to their structure. The end result is the same!

The solution is made internally, the tool is immediately selected. Then follow the phases of the need analysis, testing of the solution on 6 servers (front-end / Web and database) and development with Maarch of WebServices for sending queries and output to the client, ensuring the security of the data. The place of storage of the data is completely transparent for the user that sees its data in the “Magi” software interface of “La Gestion Intégrale”.

The Départemental Service Fire and Help (SDIS) of Var chose Maarch, following a call for proposals. They looked at a modern and powerful solution of mail management to replace their old DM EVER.

The regional agency of Guadeloupe health / Saint Martin / Saint-Barthélemy chooses Maarch for mail management

The regional agencies of health created in 2010 will replace various decentralized services of the Ministry of health, such as the DRASS and the DDASS.

To address the large number of letters and the issues of transport by shuttle between sites, the Guadeloupe ARS / Saint Martin / Saint-Barthélemy is equipped Maarch business software and 20 Fujitsu Scansnap scanners.

200 users divided into 50 branches, poles and Services

Maarch integration Team assisted by its local partner S2i, have implemented Maarch company, and then formed the directors and 15 Secretaries users. In total, these are nearly 50 branches, poles and Services whose mail traffic has been set and more than 200 users entered into the system.

SICTIAM Choose the mail management extension of Maarch Entreprise system in Saas Factory

220 territorial collectivities and public institution, in 3 departments of the southeast in France, work with SICTIAM, mixed labor union, for their computing solutions.
SICTIAM is the first customer to install the new Maarch Entreprise offer in “SaaS Factory” mode. This offer consists in installing a trusted platform for the document management in hosted mode.
Hosted in SaaS mod, Maarch Entreprise is the base of the Mail Management solution, used by more than 220 entities. SICTIAM is both operator and host of the solution. Maarch Entreprise in compliance with the requirements of the NF standard Z42-013

Jacques Leret, from the independent firm Opus Conseils performed an audit of Maarch Entreprise Version 1.2. He studied and analyzed, according to a frame reference, the application of the ISO 14641-1 (NF standard NF Z42-013 in France). Also, he drew up the necessary changes and recommandations.

At the conclusion of this audit, he granted us a report specifying that the level of conformity for the NF standard Z42-013 is applied!

More details :

The NF standard Z42-013 about DMS, establishes the specifications relative to the conception and to the exploitation of computer systems to assure the preservation and the integrity of documents stored in these systems.
Since 1999, date of the first publishing, this standard has introduced a debate, widely exceeded, with the growing of the companies compliance requirements and the urgency to establish Archive. It introduces a set of best practices, recommendations, in electronic document management, useful and necessary to constitute archives.
The NF standard Z42-013 goes to ISO. Jacques Leret included in this audit a comparison between the AFNOR version and the ISO.

Maarch team has just published Maarch Entreprise version 1.2, its business-specific application dedicated to the electronic filing (SAE), management of physical archives, and electronic document management. Maarch Entreprise is a tool of production DMS, answering to every needs of content operational management. The solution is able to absorb big documentary volumes (more than 150 million at NUMERICABLE for example). Developed in SaaS Mode, you can use all Maarch ‘s software (Maarch Entreprise, Maarch LetterBox) immediately, without any install, from every computer connected to the Internet. Maarch does the complete management . Customers who choose this solution have to care about nothing ! Externalization allows you to decrease your operating computing cost.

The Gendarmerie Nationale adopts Maarch Entreprise as base of preservation of its electronic documents

The IT service of the homeland security has launched a project to manage Electronic Documents and Records. It choose Maarch Entreprise, the open source DMS. We added some additional features to integrated international and national recommendations standards in electronic records management (OAIS, Moreq, SEDA, etc.) and we answered to its wide business and technical requirements.

It provides any requirements you are waiting for :

Manage all mail (incoming and outgoing),

Workflow and mail circulation (from their incoming to your outgoing answer),

Maarch LetterBox 2.8 reduces the process, improve the classification, and was reinforced in ergonomic.

Improved treatment

When you index your mail, you can register a partial indexation and resume later, all indexing information are already saved.
During mail treatment, you can answer with an office automation software (OpenOffice / LibreOffice) straight from Maarch LetterBox, thanks to Webdav technology !
You can sign the answer project with the signer name (selected in the user directory of the application).
From a basket you can now close in mass, a single click, you select letters.
You can send closed cases in Maarch LetterBox, by email, to external users ! 3 directories are available : sender directory, user directory and your personal address book.
Outgoing emails are archived and integrated to cases, the full-text search and the search on attachments are available.
When you are storing your mail, you can choose actions, wich depends on the document typology : recordable document, waiting for validation, instantly close.
You specify the grounds for redirection (for treatment, for information, for answer project validation) with baskets synchronisation.

A better classification

You can create personal folders but also shared folders to manage cases.

Improved Ergonomics

In the indexing page of mails, you can put some notes.
Better usability in details pages : The cases detail page have been revised. From a unique page with all information (history, notes, actions…), we switched to a page with tabbed browsing. Access to information is thus lighter and faster...

Graphic and functional customizations

We have integrated flexibility in the baskets creation. Administrators can get back the datas from every Maarch LetterBox tables . For example, you can use name and first name of receiver, not just its identifier
Administrators can custom the result list of baskets, printing of baskets contents, choosing which field need to be displayed or not, sorting filters to apply, associated icons …
You can integrate a street directory of your township, if you have one.
