With this final post, we must confirm and affirm that all ‘Good Things’ come to an end in order to allow for progress. The message left by the dolphins when they departed Planet Earth just before it was demolished to make way for a hyperspace bypass, in book by the same name in The Hitchhiker’s Guide to the Galaxy series, in many ways is the only proper way to sign off as we finalize all the small details in the reorganization of ‘Media Services’ to the new role of ‘Event Services’ on campus (don’t worry, we have no intention of demolishing the Earth in order to make way for Event Services, it’s a techie thing when it comes time to say good bye for good, so let us have our moment).

At the start of the 2012 academic year, the decision was made to reorganize services traditionally provided by the Media Services Department in an effort to establish a centralized event support model on campus. The newly formed “Event Services” is part of the Campus Activities Office and represents the expansion of scope beyond the former student centered focus of the ‘Student Activities Office’ to include support for all events that are being held at Gustavus. This includes College Events that directly support the mission of the college (Signature Events, Departmental/ Programatic Events and Student Organization Events) as well as the wide range of events hosted annually by Alumni, Community Members and Businesses at Gustavus.

In order to facilitate this new vision of support, services traditionally supported by Media Services were shifted in order to allow for a focus on event production support by Event Services.

To help facilitate these changes, while ensuring the continuation of critical support, the following areas have been charged with supporting the following services not directly related to event support and production:

Large Format Printing and Lamination is now offered by Print Services and information is available by contacting them at x7536.

Passport Photos are now offered by the Dinning Services Office and information is available by calling x7608.

Equipment Checkout (Video Cameras etc) is now offered by the Library and information is available by calling x7571.

General Technology Support needs not covered above or directly related to Event Technical Support should be directed to The Technology Helpline who will assist in identifying the proper individual within Gustavus Technology Services to address your need. They can be contacted at x6111 or by emailing helpline@gustavus.edu

Event Production and Technical Support is now offered by Event Services, and we can be contacted by calling: 507.933.7373, emailing: eventservices@gustavus.edu or by visiting the Event Services Support Center for more options.

Thanks for all the memories, and in honor of the Apollo 8 mission ‘we’ll see you on the other side‘.

Spring Break/ Easter Recess
A general announcement that the Media Services Office will be closed over Spring Break/ Easter Recess due to our office being primarily staffed by student employees who will be away from campus.

Equipment reservations and check out will require that all students return equipment prior to the break and are not allowed to check out items over the break unless special approval is granted by a Faculty member who is overseeing the project that requires access during the break. Employees of the College (Faculty, Staff and Administrators) are able to check out an item before the start of break, and will not be required to return that item until we open again on Tuesday April 10th.

Large format printing requests submitted over the break will be processed once we open again, unless arrangements are made in advance.

Durring the break, Matt Dobosenski will be available “by appointment only” so please email to set up a meeting, or go onto the Gustavus Google Calendar system to propose a meeting time.

A number of individuals have contacted us with a concern that the request that they recently submitted to our office via the VirtualOffice interface or via email have been submitted twice on accident based on the fact that they are receiving two confirmation email. This is not the case, and it can easily be confirmed by comparing the ticket numbers contained in the two emails (if they match, it is only one request, if they are different, then two requests were submitted).

For those of you who would like to know why this is happening, here is a bit of an explanation:

We recently upgraded our department’s request tracking system to the latest version. This “ticket” system has accounts for each Gustavus user that we import and sync with other servers. Because of the fact that Gustavus has two working domain names (ie gac.edu and gustavus.edu) each user account has two email addresses associated with it, because the system uses the email address of the incoming email to parse the information and update tickets for that user. In order to make sure that incoming requests are matched up to the correct person, and because we don’t know how the email client you are sending from is configured (you might send from “yourusername@gac.edu” or “yourusername@gustavus.edu”) each account has both addresses.

When a new request comes in, the system sends out a confirmation email with details. With the updated system, it sends that confirmation to the primary email address listed, and it cc’s to all other email addresses associated with the account. This wouldn’t seem like a big deal if we were emailing “you@gac.edu” and “you@gmail.com” because each account gets one email. Because both gustavus domains are tied to one email account, that account will get two messages when the original message is sent to “user@gustavus.edu” and cc’ed to “user@gac.edu”

We are looking into ways to tell the system to only email the primary email account on file, and until we are able to do that, you will receive a double confirmation for the one request.

Sorry for the inconvenience. Feel free to contact us if you have any other questions or if you believe that there are truly duplicate requests based on different ticket numbers and we will take care of that.

Have a great day.

Media Services provides large format printing service to the Gustavus Community, and has two large format Epson printers. This is a notice that, at this time we are currently experiencing issues with not being able to print jobs on the larger of the two printers (our Epson 11880). The smaller printer, an Epson 9800 is functioning properly at this time.

While we work through trouble shooting and fixing the issue with the 11880, we are limited in being able to only print files that have at least one of the dimensions at 42″ or less (the available printing width of the 9800).

Due to the size of the rolls of media, our very popular FAB-6 banner material is limited to banners with a media width of 36″ or less as that is the largest size roll that will fit on the 9800 (we can not fit the 50″ roll that is needed to print off the common 48″ wide Foyer Banners).

We apologize for any inconvenience and delay, and appreciate your patience while we work to correct this issue.

The annual poster sale is underway outside the BookMark, and the calls and emails are coming in from people wanting to know if we are able to laminate that awesome poster they just picked up for their room. The short answer is “yes, most likely”, but like always, there are a few things you need to know.

Media Services has two roll laminators. One is 12″ wide (small) and the other is 27″ wide (big). The small laminator can be used for items that are up to 11″ wide, and the large one is good for items up to 26″ wide (there needs to be space on both sides of the item so that the plastic bonds to plastic in order to get a good seal, and the longer the item is, we need a larger buffer on either side just in case it doesn’t get lined up perfectly). We charge per linear foot of laminate that is needed to laminate your item, and the rates are $.75 per linear foot on the small laminator, and $1.50 per linear foot on the large one. We accept Cash, Checks, and can charge to student and employee accounts, however we do not process credit cards.

Most posters that people bring in to have laminated need to be done on the large laminator (so even those long skinny ones have to go on the big laminator since they are usually 12″ wide by some length- like 36″). So an average poster will often cost around $5 to laminate.

Lamination is what we consider a “walk-in” services, so feel free to stop by any time our office is open to have something laminated. The large laminator takes about 10 minutes to heat up, so if you call ahead (x7459), we can turn it on so it is ready when you get here. If you have a large number of items, you might want to drop them off and come back later to pick them up.

We would like to remind everyone that the lamination process is actually a very destructive process (we know it doesn’t make sense since you laminate things to protect them). Items that are being laminated are subjected to high heat and pressure, and while most of the time things turn out awesome there are times where the thickness of an item or the material it is made out of doesn’t do so well and either causes the laminate to have an uneven surface or the item can discolor from either the heat or a reaction to the melted plastic it is bonding to. So laminate at your own risk.
