2015 SOCIETY OF MISSISSIPPI ARCHIVISTS CONFERENCE

DATE: APRIL 15-17, 2015

WHERE: UNIVERSITY OF SOUTHERN MISSISSIPPI GULF COAST LIBRARY, LONG BEACH, MS

In preparation of the 2015 Society of Mississippi Archivists Conference in Long Beach, MS, the Society of Mississippi Archivists seeks paper and poster proposals on a variety of topics that can include, but are not limited to:

ARCHIVAL TRAINING INITIATIVES

ARCHIVAL EDUCATION AND TRAINING

FUNDRAISING

EMBRACING DIGITAL AND SOCIAL MEDIA TECHNOLOGIES

OUTREACH

USE OF ARCHIVAL RESOURCES IN GRADUATE RESEARCH

Panels are typically 45 minutes to 1 hour in length and include 3 papers/presentations. For panel proposals please include title, brief description, and the names of the organizer and each presenter with affiliation and contact information. For individual papers and posters please submit the same information listed above. Panels will be created from submitted individual papers.

We also seek proposals for panels that will include paper presentations by library science students featuring their research and or panels that includes paper presentations by students who have used archival collections in their research. We also encourage students to create posters on research projects or activities for a poster session and display.

2015 Awards for Excellence

The Mississippi Historical Records Advisory Board will present its 2015 Awards for Excellence, honoring individuals and organizations that identify, preserve, and provide access to Mississippi’s historical records, at the Society of Mississippi Archivists’ Biennial Meeting in April. The four award categories are Archival Program Development, Documenting Mississippi’s History,Using Historical Records in Grades K-12, and Using Historical Records in Higher Education. Nomination forms, awards criteria and eligibility information are available at http://mdah.state.ms.us/mhrab-programs. Nominations will be accepted from October 1 to December 19, 2014. The Basics of Processing Archival Records Workshop

The Mississippi Historical Records Advisory Board will join SMA and the Archival Training Collaborative (ATC) in sponsoring one workshop this fall. The Basics of Processing Archival Records, a workshop introducing participants to the methods and best practices archivists use to arrange, preserve, and create usable finding aids for collections of all shapes and sizes, will be presented by Mona Vance-Ali (Columbus-Lowndes Public Library) and Derek Webb (Mississippi University for Women) in Jackson on October 20, 2014. Participants will engage in hands-on activities and come away with a practical knowledge base to begin processing archival records. The 2014 Society of Southwest Archivists annual meeting May 28-31, 2014 will take place in New Orleans, Louisiana. SSA 2014 is a joint meeting with the Southern Archivists Conference. Every other year, the Society of Mississippi Archivists participates in a joint conference with other state groups in the southeast. This year’s conference will take place in conjunction with the Society of Southwest Archivists.

SMA Solicits Images for Archives Month Poster

The Society of Mississippi Archivists is seeking images for Mississippi’s 2014 Archives Month poster. This year's theme will commemorate the 50th anniversary of Freedom Summer, the major civil rights event that occurred in Mississippi in 1964. You’re invited to submit two images that are representative of your museum, archival, or library collections for consideration on this year’s poster. We’re looking for a variety of visually engaging material including, but not limited to: album covers; artifacts; books; broadsides; correspondence; diaries; documents; drawings; motion picture film; maps; microfilm; musical instruments; paintings, photographs; postcards; and sheet music.

Submission Guidelines:

The images must be

available for publication without any copyright restrictions or question of ownership,
accompanied by any necessary publication permission form(s), the institution’s preferred citation(s), and information about the image,
black/white or color (rgb), of originals that are no smaller than 5"x7" (or scanned at 100% for originals that are smaller than 5”x7”),
jpegs or tiffs of no less than 300 dpi, and
submitted to Jennifer Brannock, Jennifer.Brannock@usm.edu, by 5:00 p.m., Friday, May 2, 2014.

County Records Inventory Project

With supplemental grants from NHPRC, for the past three years MHRAB and MDAH have sponsored a county records inventory and technical assistance project throughout the state. Led by MDAH Local Government Records Officer Tim Barnard, archivists have inventoried the pre-1920 county records; evaluated the storage and preservation of the records; and provided customized recommendations and consultations to county officials. The project first worked in Mississippi’s fourteen territorial counties, and then gradually moved northward, focusing primarily on the counties formed between 1818 and 1833. By June 2013, the staff had completed work in fifty-three counties. All completed inventories are now available on the MDAH Web site, http://opac2.mdah.state.ms.us/queries/coinventory.php. During the upcoming year, project staff will work in fifteen more counties: Benton, Calhoun, Chickasaw, Clay, Coahoma, Grenada, Issaquena, Lee, Leflore, Montgomery, Quitman, Sharkey, Tate, Tippah, and Union. This work will continue until all counties have been inventoried, with expected completion in 2016. 2 Mississippi Museums Groundbreaking

The public is invited to attend the groundbreaking ceremony for the Museum of Mississippi History and the Mississippi Civil Rights Museum on Thursday, October 24, at 10:00 a.m. This historic day of festivities will feature music, food, and children’s activities and extend into the early afternoon. The museums, administered by the Mississippi Department of Archives and History (MDAH) and located on North Street near the Old Capitol Building in Jackson, will open in 2017 as the centerpiece of the state’s bicentennial celebration.

Each October the nation celebrates our country’s rich historical collections. The Mississippi Historical Records Advisory Board (MHRAB) and the Society of Mississippi Archivists (SMA) are co-sponsoring a poster entitled Mississippi: Articles of War, 1861-1865 to promote Mississippi Archives Month 2013. The poster features images, drawings, and documents of the era and encourages all Mississippians to learn more about life in Mississippi during the Civil War by visiting local archives, libraries, museums, and historical societies. SAA Travel Grants for MS Archival Professionals

The Mississippi Historical Records Advisory Board is pleased to announce that it will provide two $500 travel grants for archival professionals to attend the Society of American Archivists Annual Meeting in New Orleans, Louisiana from August 11 to 17, 2013.

Applicants for the travel grant should be archival professionals who are *members of the Society of Mississippi Archivists (SMA), have a graduate degree, and are employed currently by a Mississippi institution. Applications are available at http://mdah.state.ms.us/admin/mhrab/programs.php and must be received by 5:00 p.m., June 21, 2013. Recipients will be notified by July 1, 2013.

This workshop will provide an overview of digitization in archival repositories. Topics to be covered include: scanning; metadata creation; copyright issues; content management systems; planning for long-term digital preservation and access; and strategies for maximizing your institution’s digitization potential. The presenters will emphasize practical, real-world application of digitization technologies and strategies. The workshop will help participants identify potential digitization projects in their own institutions and will provide a forum for sharing ideas and solutions.
