Collaboration is an important part of academics and at all levels of the business sector. While NoteScribe was in development we realized that it would be very important to make it easy to import and export notes to allow quick exchange between NoteScribe users. With this blog, I'd like to give a brief overview of the great features of the Import/Export function in NoteScribe.

When you export your notes in NoteScribe your notes are saved to a .NSE file that can be opened in any NoteScribe. If you are collaborating on a project at school or at work and you and your partner are both NoteScribe users, you can send information back and forth through either email or a flash drive. To export notes for your peer or co-worker, select the individual notes (or categories) that you wish to export to a .NSE file. You can save the .NSE file anywhere on your computer (or external drive) using whatever file name you choose. Once you have exported the file, all you have to do is send the file to your project partner for them to import.

The import function of NoteScribe is a versatile, and helpful tool. When notes are frequently being exchanged, they're going to change over time. To monitor these changes (and to be sure that you want to accept these changes to the notes), NoteScribe has a note comparison tool built into the import window. If your partner has modified the note that you've sent, you can view the changes in the "Import Note and Database Note Difference" box. This comparison tool will show you the date the note was last modified, the number of characters changed, and two windows; one displaying the note being imported, and one displaying the note in your database. Any changes that have been made will be highlighted in orange so that you can decide if you'd like to replace your current note with the modified note, or whether you'd rather keep the note in your database.

Utilizing the Import/Export feature can make the exchange of notes much quicker than copying notes out of a notebook, or comparing notes on two separate Word files. With the built in comparison feature, you'll see what you already have, and see what you don't have. It may also save one person the trouble of creating a source, by having all created and attached sources attached to a note. The import/export feature is just one of many features that make NoteScribe a great note taking software for collaboration. This feature will assist you in saving great amounts of time, trouble, and phone calls.

As many of us have learned the hard way, it's necessary to keep our important documents and media securely backed up. Unfortunately, like a car or other electronics, our computers are vulnerable to breaking down. Whether it's of old age, or a small glitch in the system, the possibility is always a reality. Fortunately, through external technology such as CDs, flash drives, and external hard drives, we are able to securely backup the things that are most important to us. With NoteScribe, we have created a variety of backup options for users, to assure that your large collection of notes are never lost.

Backing up your notes in NoteScribe is a simple process and we've provided users with a couple of different options. During any NoteScribe session, a user can choose to backup their entire notes database or databases. All the user has to do is select "Backup Current Database" (or "Backup All Databases" in NoteScribe Premium), select a destination, and choose a filename for your backed up notes. In NoteScribe Premium, users have the option to set-up an Automatic Backup. When setting up the Auto Backup, a user can select how often they want NoteScribe to back up their notes. A user can set the Auto Backup to occur, for example, every time they use NoteScribe, or every 10 times they NoteScribe. Users can also select if they want a new backup file to be created every time they auto backup, or to have a new dated file created each time auto backup is run. The auto backup feature is a very convenient way to assure that you don't forget to have your notes backed up.

After backing up your notes, it's important to transfer the notes to an external physical device such as a CD or a flash drive. This way, if anything were to happen to your computer, you would be able to restore all of your notes into NoteScribe on your new or fixed system. After many months of using NoteScribe you'll find that you will have a database of hundreds (or even thousands!) of notes and sources that you won't want to lose.

The backup features of NoteScribe are just one more thing that make NoteScribe the Premier Notes Software. With new features such as the auto backup feature in NoteScribe Premium, we want to assure you that we've done our best to keep your notes safe and secure. The NoteScribe Global Search Function was developed to allow users to search their entire notes database by a word, a phrase, or a string of words connected by performing a Boolean search.

The Global Search Function is a diverse tool, that allows users to search in either the entire notes database, or in notes that are currently displayed. For example, if you are viewing your meeting notes from work, and are searching for the day that you discussed "finances", all you have to do is enter "finances" into the search bar, and then select "Search Current Notes" in your search options. The term "finances" will then be highlighted each time it appears in your list of notes. You can also choose to search all of the notes in your notes database for the word finances.

The Global Search Function also allows users to search for specific phrases. For example, if you want to find any notes containing the phrase "Freudian Slip", simply enter "Freudian Slip" in quotations in the search bar. Additionally, users can search for notes that contain two or more non-consecutive words by utilizing Boolean searches. A Boolean search uses the terms "AND" and "OR" to connect two words together in a search. If I were searching for a note in my database that contained the words "psychology" and "personality", I would type; psychology AND personality, into the search bar. Any note containing these two words (consecutively or non-consecutively) will be retrieved and displayed on the currently displayed notes list. Strands of words can extend beyond two words, for example, you could search for psychology AND personality AND disorder. In addition to using "AND" searches, Boolean searches allow you to search using the term "OR". If I wanted to search for all notes containing the word "guitar" and all notes containing the word "theory", I could type; guitar OR theory, which would then display all notes containing either the word guitar or the word theory. This allows the user to retrieve notes with similar topics by using a single search.

The Global Search Function greatly extends the speed of retrieving your notes in your note taking software, in addition to having well organized notes by categories, sources, and keywords. In fact, the Global Search Function makes it virtually impossible to lose a note!

With NoteScribe Premium, NoteScribe has extended the usability of the program by allowing users to create more than one database. Having multiple databases further increases the organization of notes in NoteScribe by allowing you to separate, for example, work notes from home notes, or school notes from work notes, or any other type of notes you may have.

With the Multiple Databases feature, each new database is a completely blank slate. A new database allows users to start fresh with categories, sources and keywords, and makes finding notes even quicker than before. For example, let's say you are building a recipe log in your NoteScribe. If you would like to keep your recipe log separate from the meeting and client notes that you take at work, you could create two separate databases. A user might name one database "Recipes", and the other database, "Work". If you come home from work and want to retrieve a recipe for dinner, all you have to do is click on "Tools" and "Change Notes Database", and you'll be able to switch into your recipes database. In that database, you will no longer see the categories, sources, or keywords from your work database, which will make it much easier to locate notes.

The Multiple Databases feature is a feature that presents a diverse range of possibilities with your note taking software. The feature is exclusive to NoteScribe Premium, and is one more reason for upgrading your Basic version to Premium if you haven't already done so!

NoteScribe Premium has taken organization to a whole new level by allowing users to not only organize and take notes, but to organize their schedules and deadlines. The NoteScribe calendar is a sophisticated tool that allows for quick entry of all of your upcoming activities, deadlines, meetings, or when your next bills are due, just to name a few examples. In addition to creating a month-to-month calendar, the NoteScribe calendar allows users to create alerts through either text message, pop-up, email, or all three methods for every event a user schedules. 

Using the NoteScribe Calendar is quick and easy. Once inside of NoteScribe Premium, all you have to do is select the calendar button, and you'll be ready to start inputting events. For each event users have the option to input the beginning and ending time and date of the event, a label for each event (to be shown on the actual calendar), a brief description for an event, and whether or not the event is to be on a single day or recurring. An event can be set-up to recur, daily, weekly, monthly, yearly, only during the work week, or on a customizable schedule.

After the event has been scheduled, users can then set reminders. As previously mentioned, users can program reminders to be received by text message, email, pop-up on your desktop, or any combination of the three. Users can choose to receive the reminders days, hours, or minutes before the event is to occur. So, for example, you could choose to have an email sent to you a few days before your scheduled meeting, and if you know you'll be away from your computer shortly before the meeting, you can choose to have a text message sent to you an hour or so before. the NoteScribe Calendar was built to make sure that you're covered in every situation!

As you can see, the NoteScribe Calendar is just one of the many features that makes NoteScribe a great notes software. Additionally, the NoteScribe calendar keeps an electronic calendar in front of you all times, and helps consolidate all of your organization into one convenient program.

Beyond being a note taking software, NoteScribe is also great for creating and storing all of your sources for your notes. NoteScribe's sources function was designed to help save you time (and many headaches!) in the long run. To create a source in NoteScribe all you have to do is enter the information for your source (ex. author(s), source title, publisher, chapter/pages, date published) and then the source format, such as, APA, MLA, Oxford style, Harvard style, or Oxford style. Once you have inputted all of this information, NoteScribe creates your source for you.

To save you the trouble of exporting or copying and pasting all of your sources to another word processing program, NoteScribe also contains a bibliography generator. When you're ready to create your bibliography for a research paper or a presentation, all you have to do is go to the bibliography function and select the sources you wish to include in that specific bibliography. If the sources you need are in different source formats, you can select the option to have them all in the same format. This will save you the time of reformatting each source, and is a great convenience. Once you've selected all of the sources and the bibliography format type, your bibliography is ready to print directly from NoteScribe. The bibliography generator also contains a variety of text editing functions, in case there is anything you need to modify for a particular course or presentation.

So as you can see, NoteScribe goes above and beyond a notes software for simply storing notes, it's a program that was designed to help save you an immense amount of time when you need it. Learn more about the Sources and Bibliography functions by visiting the NoteScribe Video Tutorials.

When using NoteScribe to keep track of your notes for work, school, or business, you might find it useful to add an occasional graph, article in PDF format, or an image to supplement your written material. With NoteScribe's attachments feature you will be able to add all of these file types, and more.

If, for example, you're compiling all of your recipes in NoteScribe, you might want to attach an image of the finalized presentation of the dish to the note. That way, when you open up the recipe, you can see the finalized version of what you're making! Or here's another example: if you use your note taking software for work, you could attach important charts or graphs to the notes that you took in a meeting with a client or co-workers. If you're a graduate student, it's quite likely that you're reading over articles in a PDF format. Save yourself some time and attach the PDF directly to the notes that you are taking from the article. In addition to PDF's, audio, and images, you can also attach video, spreadsheets, text files, HTML, and code files.

Another great thing about the attachments feature in NoteScribe is, you can transfer the files you attach along with your notes to your peers or co-workers. Instead of sending multiple files containing your notes and graphs, send a single file containing everything your co-worker will need from you.

As you can see, Attachments can be a vital part of your note-taking by further supplementing every note you take. The attachments feature will save you time, and help you to capture a visual of what you're writing. Stay tuned for more tips on NoteScribe and our premier note software!

Over the past few weeks I have been in contact with a few users of NoteScribe, and I have been told that our note taking software is a useful tool for writers. As you may have noticed in the Econtent review, NoteScribe was cited as being a useful tool for the reviewer. We have also heard from a few other users that they use it for such projects as writing and keeping track of blogs, research for novels and academic texts, and of course, it can be a great tool for keeping track of notes while compiling a thesis or dissertation.

I wanted to do a quick write up about a resource that I recently located, that I felt might be useful in helping people to organize their notes.

The website is an academic affiliated website and contains an article on five different note-taking systems, including; The Cornell Method, The Outlining Method, the Mapping Method, the Charting Method, and the Sentence Method. Reading over the article will help you to explore new types of note taking while using your note software, NoteScribe.
