You’ve just landed the “whale.” It’s a multi-year maintenance contract for a government facility. This is the kind of steady, high-revenue work that allows you to finally upgrade your fleet, invest in that new zero-turn mower, and give your crew the raises they’ve earned.

Monday morning arrives. Your trucks are washed, your crew is in uniform, and your trailers are loaded with thousands of dollars’ worth of equipment. You reach the visitor center at the gate, ready to start. But then, the momentum stops.

The guard looks at your crew leader’s license, sees the words “Not for Federal Identification,” and shakes his head.

The trucks stay on the wrong side of the fence. Within an hour, you aren’t just losing labor time; you’re losing the trust of a federal client.

In the world of government contracting, “we’ll fix it by next week” isn’t an answer. You need to be ready today.

Why “Standard” Isn’t Enough in 2026

For years, the REAL ID was something we only thought about when booking a flight. Many North Carolina business owners assumed it was a “travel thing.” In 2026, that is a dangerous misconception.

As of May 7, 2025, the federal government moved into “Hard Enforcement.” This means that without a REAL ID-compliant license (the one with the gold star) or a valid U.S. Passport, your employees are physically barred from:

Military Installations: Fort Liberty, Camp Lejeune, Seymour Johnson AFB, and Cherry Point.

Federal Buildings: Courthouses, VA hospitals, and federal prisons.

Nuclear Power Facilities

A standard NC license is no longer a valid key to the gate.

Making Your Crew “Gate-Ready”

As partners in protecting your business, our job is to help you see the “potholes” before you hit them. You’ve spent a decade building a crew you can trust. Don’t let a missing gold star be the reason they can’t do their jobs.

Step 1: The REAL ID Document Checklist

The NCDMV requires an in-person visit for the initial REAL ID upgrade. You cannot do this online.

To ensure your employees don’t waste a day at the DMV only to be turned away, give them this checklist:

One Identity Document: A Certified Birth Certificate or an Unexpired U.S. Passport. (Note: Photocopies are not accepted; it must be the original or a certified copy).

One Social Security Document: An original Social Security card, a W-2, or a 1099 form that displays their full Social Security Number.

Two Proofs of NC Residency: These must show the employee’s current physical address. Valid options include utility bills, bank statements, or a pay stub from your company.

Proof of Liability Insurance: Every driver needs proof of liability. As your insurance partner, we can issue these for your entire team in minutes.

Step 2: Strategic Scheduling for 20+ Employees

Managing 20+ employees means you can’t have everyone at the DMV at once. In 2026, NCDMV appointments are still a hot commodity.

Here are a couple of pro-tips for North Carolina business owners:

The Midnight Refresh: The NCDMV releases new appointment slots at midnight each weekday for the following week.

The 10:00 AM Walk-In Strategy: Most NC offices now prioritize walk-ins after 10:00 AM. If you are sending a crew leader, have them go mid-morning when the initial “opening rush” has subsided but before the lunch crowd arrives.

The Broader Risk of License Lapses

As your insurance partner, we have to look at the “hidden” risks. A REAL ID isn’t just about access; it’s about contractual liability.

The “Validly Licensed” Clause

Almost every commercial auto policy in North Carolina contains a clause stating that drivers must be “validly licensed.” If a crew leader’s license expires, or if they are downgraded to a “Standard” license and try to drive a vehicle that requires a specific weight rating they are no longer cleared for, your insurance company has a “doorway” to deny a claim.

Imagine a $75,000 claim for a multi-vehicle accident involving your crew. If the driver’s license wasn’t compliant with state and federal laws at the moment of impact, you could be left defending that lawsuit with your company’s balance sheet instead of your insurance policy.

The Advantage of the “Vetted Contractor”

From a risk management perspective, having a “REAL ID Ready” crew makes your business more agile.

In the landscaping industry, timing is everything. When a hurricane hits the coast or a snowstorm freezes, federal facilities often put out “emergency bids” for debris removal and site clearing. If your crew is already vetted and REAL ID-compliant, you can submit a bid and be on-site while your competitors are still trying to figure out which of their guys can get past the guard shack.

Building Your Driver Audit

If you are managing 20+ people, you can’t keep this information in your head. I recommend that every landscaping owner perform a Bi-Annual Driver Audit.

Photocopy the Front and Back of Each Driver’s License: Ensure you can clearly see the “Not for Federal Purposes” text or the Gold Star.

Check the Weight Class: Confirm your drivers have the proper “Weighted” or “Commercial” designation for the trucks they are actually operating.

Verify Your Policy: Make sure your driver schedule is up to date so every person behind the wheel is explicitly listed on your policy.

Success is a Clear Path to the Job Site

When your entire crew is REAL ID compliant, you aren’t just a landscaping company; you’re a professional federal partner. You have the keys to every gate in North Carolina—from the high-security perimeters of a military base to the front gate of a nuclear facility. Your clients know they can depend on you to show up, no matter the security level.

Let’s Get Your Crew Ready

Managing 20+ licenses, expiration dates, and federal compliance standards is a full-time job in itself. You didn’t start a landscaping empire to spend your afternoons auditing paperwork and worrying about whether a gate guard is going to turn your trucks around.

When you have a partner who understands the specific hurdles of North Carolina’s commercial landscape, you aren’t just “buying insurance,” you’re securing your company’s ability to grow without friction.

We know that when you call us, it’s usually because you need help. There is nothing more frustrating than needing support only to reach a voicemail.

At O’Connor Insurance Associates, we never want you to feel like a number or a missed connection. That’s why we’ve introduced Quinn, our new AI phone assistant. We didn’t bring Quinn on to replace the people you trust, but to make sure those people are available when you need them most.

As call volume increased in our office, we began seeing more missed calls and voicemail. By letting Quinn handle phone answering, we have ensured our clients receive faster support, better call routing, and after-hours insurance phone support.

This has cleared the lines so our licensed professionals can focus entirely on what they do best: protecting you, your family, and your business. All coverage questions, policy changes, and advice remain with our experienced team.

Who (or What) is Quinn?

Quinn is our virtual insurance receptionist designed specifically for insurance agencies that focuses on helping callers quickly get where they need to go.

What Quinn Can Do During Business Hours

Listen to the reason for your call

Ask a clarifying question when needed

Route your call directly to the right person on our team

For example:

A client calling about billing or documents can be routed appropriately

A new prospect calling about workers’ compensation is routed directly to our sales team

Quinn works best when callers simply explain their reason for calling in a normal, conversational way, such as:

“I have a question about the deductible on my auto policy.”

This allows Quinn to route your call accurately and quickly.

How Quinn Supports After-Hours Insurance Calls

For after-hours insurance phone support, we have enabled several features to better support our clients when our office is closed.

Quinn can:

Text a link to your insurance company’s payment portal

Transfer you directly to your insurance company in an emergency

Walk you through how to log into your client portal to retrieve an auto ID card

Collect information about a vehicle that needs to be added to your policy and schedule a callback during business hours so our team already has the details when they contact you

This means you no longer have to wait until Monday morning to get the help you need.

What Quinn Does Not Do (and Why)

For security and accuracy, Quinn is not programmed to answer insurance coverage questions.

Quinn also does not:

change policies

bind coverage

make coverage decisions

All coverage guidance and policy changes are handled only by our licensed team members.

This ensures compliance, security, and proper licensed insurance guidance.

Quick Tips for Talking to Quinn

When you call our office, briefly explain your reason for calling so Quinn can route you quickly.

If you need help after hours, try using Quinn to access payment links, ID cards, or emergency carrier contacts.

For coverage questions, policy changes, or complex situations, expect to speak with one of our licensed professionals

What If I Prefer to Speak With a Person?

If a caller prefers to speak with a person, Quinn immediately routes the call to a live team member during business hours.

However, we strongly encourage callers to briefly explain why they are calling.

Quinn works best when she understands your reason for calling. This ensures your call is routed correctly within our insurance agency the first time.

4 Ways Our AI Assistant Improves Client Experience

From a client perspective, using an AI assistant for insurance agency phone calls improves accessibility, response time, and after-hours support.

You are less likely to reach voicemail during busy times

You can get help after normal business hours.

Your call is routed to the right person faster.

Our licensed team has more time available for meaningful conversations.

Our goal is simple: make it easier for you to get help when you need it.

Why We Chose an AI Assistant Instead of a Traditional Phone Menu

Traditional phone menus were never the right fit for our insurance agency. Long phone trees and “press one, press two” systems create friction, slow people down, and often leave callers feeling disconnected before they ever reach help.

As our agency grew, so did our call volume. We needed a better way to support phone calls, one that preserved our commitment to live service while reducing missed calls and voicemail during peak hours.

Using an AI assistant allows us to:

Avoid long phone trees and confusing menus that frustrate callers

Maintain our commitment to live insurance service, not automated decision-making

Manage increasing call volume without sacrificing responsiveness

Reduce missed calls and voicemail, especially during busy times

Instead of forcing callers to navigate a rigid menu, our AI assistant listens to why they’re calling and routes them appropriately, making phone support faster, more intuitive, and more human-centric.

Using an AI Assistant Helped Our Team Serve Clients Better

More than sixty hours per month shifted from answering basic calls to doing what our team does best: talking with clients and prospects about their insurance needs.

That time is now spent on:

Having real conversations with insurance clients

Reviewing policies and coverage needs

Helping families and businesses understand insurance options

Providing the consultative guidance we promise

Technology did not replace people. It has given our staff more time to be professionals.

Privacy and Security When Using Our AI Phone Assistant

Quinn is built specifically for insurance agencies and is designed to help with access and routing, not with coverage advice.

We use Quinn to support our team and protect your data, not to replace professional judgment or licensed guidance.

Why We Believe This Matters for Growing Insurance Agencies

If you are a growing business owner, you cannot ignore the role technology will play in the future of service. For growing insurance agencies, balancing service quality with call volume is critical.

Over the next several years, technology will continue to advance rapidly. Businesses will either use it to improve how they serve customers or fall behind.

Our goal is not to chase technology.

Our goal is to make sure our clients always have access to help, even when our team is helping someone else.

AI will never replace the professionals in our office who consult with clients and prospects about their unique and often complex insurance situations. It allows them to do more of exactly that.

If You’re Looking for an Insurance Agency that Uses Technology to Improve Service, Not Replace People…You’ve Found Us

At O’Connor Insurance Associates, our goal is to make it easier for you to reach us, and easier for our team to spend time where it matters most: with you.

The next time you call, let Quinn know what you need, and our team will take it from there.

Coverage depends on the terms and conditions of your individual policy. Always review your policy or speak with your licensed insurance advisor.

In North Carolina, you do not need to notify your insurance agent when your teen receives a learner’s permit. However, you must contact your agent before your teen takes the DMV test for a Limited Provisional License.

At that point, a DL-123 form is required, and your teen must be added correctly to your North Carolina auto insurance policy.

If you’re preparing for this milestone, understanding the timing, paperwork, and insurance requirements ahead of time can help you avoid delays, DMV issues, and unexpected costs.

Every week at O’Connor Insurance Associates, we speak with parents across North Carolina whose teens are preparing to get behind the wheel for the first time.

Adding a teen driver to your North Carolina auto insurance policy is often more time-dependent than families expect, and missing one step can lead to DMV delays or unexpected insurance issues.

Below are the most common questions we receive from families throughout the Charlotte area and across North Carolina, along with clear, practical answers to help you prepare with confidence.

When do I have to add my teen driver to my auto insurance policy in North Carolina?

In North Carolina, you do not need to add your teen driver to your auto insurance policy when they receive a learner’s permit.

You do need to contact your insurance agent before your teen goes to the DMV to take the test for their Limited Provisional License.

This is the point in the process when teen driver insurance in North Carolina becomes an official requirement, and specific insurance documentation must be provided.

What is the DL-123 form, and why do I need it?

The DL-123 form is a North Carolina insurance document that proves a driver has the required liability coverage in the state.

Your teen must bring a printed copy of the DL-123 form to the DMV when they take the test for their Limited Provisional License. Without it, the license cannot be issued.

Important things to know about the DL-123 form in North Carolina:

It is required to obtain a Limited Provisional License (NC)

It must be printed and taken to the DMV in person

It is only valid for 30 days

It must be issued by your insurance agent

It satisfies North Carolina’s proof of insurance requirement

Because the DL-123 form expires after 30 days, we recommend requesting it a few days before your teen’s DMV appointment to avoid last-minute issues.

For official licensing steps and teen driver requirements, families can also reference the North Carolina Division of Motor Vehicles website.

What happens if I forget to contact my agent before the DMV visit?

If you forget to contact your insurance agent before your teen’s DMV visit, your teen will not be able to receive their Limited Provisional License that day.

The DMV requires a printed DL-123 form as proof of insurance, and this form must be issued by your insurance agent in advance.

Because the DL-123 cannot be created or printed at the DMV, missing this step often means rescheduling the test and returning on another day.

Who should own my teen’s car?

This is one of the most common (and most important) questions families ask when adding a teen driver to a North Carolina auto insurance policy.

In most family situations, the most cost-effective option is for the vehicle to remain on the family auto policy.

Here’s how vehicle ownership typically works:

A vehicle may be titled in both the parent’s and the teen’s name and remain on the parent’s auto insurance policy

A vehicle cannot be titled in the teen’s name only and stay on the parent’s policy

If a vehicle is titled only in the teen’s name, it must be insured on a separate auto policy, which is typically much more expensive.

Because vehicle ownership and insurance requirements are closely connected, we strongly recommend calling your insurance agent before purchasing a car for your teen. A short conversation ahead of time can help you avoid higher premiums and coverage issues later.

How are teen drivers rated when there are multiple vehicles in the household?

When there are multiple vehicles and drivers in a household, insurance companies typically assign each driver to a specific vehicle for rating purposes.

In most cases, a teen driver is assigned to the vehicle they drive most often. How this assignment works can directly affect the cost of teen car insurance in North Carolina.

Here’s how it usually works in simple terms:

If your household has three vehicles and three drivers, and your teen primarily drives one vehicle, they are generally rated as a full-time driver on that vehicle

If your household has two vehicles and three drivers, and your teen only drives one of the vehicles part-time, the rating may be handled differently

Because driver assignment impacts how risk is calculated, these details can change your overall premium at renewal.

This is another reason we encourage families to review vehicle usage and driver assignments with their insurance agent, especially when adding a teen driver to the policy.

How long will I have to pay higher rates for my teen driver?

In North Carolina, higher insurance rates for teen drivers are largely tied to driving experience, not just age.

As of July 1, 2025, North Carolina allows inexperienced driver surcharges to remain in place for up to eight years. The first few years of driving are typically the most expensive, as new drivers are statistically more likely to be involved in accidents.

Because this is a relatively recent change in North Carolina, insurance companies are still refining how they apply experience-based reductions over time.

What families should know:

Clean driving history matters

Experience is typically rewarded gradually

Rate reductions may appear at different times, depending on the insurance company and policy

While every carrier handles this differently, we expect that insurers will continue to recognize safe driving habits as your teen gains experience behind the wheel.

What is the least expensive car to buy for a teen driver?

When choosing a vehicle for a teen driver, one of the biggest factors affecting insurance cost is whether the policy includes physical damage coverage, specifically, comprehensive and collision.

In North Carolina, teen drivers are considered higher risk due to limited driving experience, which often makes comprehensive and collision coverage the most expensive part of the policy.

Here’s how vehicle choice affects cost:

If you pay cash for a vehicle, you are not required to carry comprehensive and collision coverage

If you finance a vehicle, the lender will require comprehensive and collision coverage

Carrying physical damage coverage on a teen-driven vehicle can significantly increase the overall premium

If you choose not to carry comprehensive and collision, you are essentially self-insuring the vehicle. That means any damage to the car would be paid out of pocket rather than through insurance.

Because coverage requirements and vehicle choice directly impact teen car insurance costs in North Carolina, we strongly recommend calling your insurance agent before purchasing a vehicle. Reviewing options ahead of time can help you balance affordability, protection, and peace of mind.

Are there discounts that can help lower teen driver costs?

Discounts for teen drivers vary by insurance company and by policy, and not every carrier offers the same programs.

Some insurance companies may offer discounts that can help reduce the cost of teen driver insurance in North Carolina, while others may not offer these options at all.

Common discounts that may be available include:

Good student discounts

Driver education or approved training program discounts

Safe-driving or usage-based monitoring programs

Availability, eligibility, and savings depend on the insurance carrier and the specific policy you have in place. Because of this, it’s important to review discount options directly with your insurance agent rather than assuming a program will apply.

A quick policy review can help confirm whether any discounts are available now or may become available as your teen gains more driving experience.

How do tickets and accidents affect our policy?

Your teen driver is listed on your household auto insurance policy. Because of that, tickets and at-fault accidents generally affect the overall policy premium, not just your teen’s portion of the rate.

In North Carolina, violations and accidents involving a teen driver can increase costs for the entire household. This is why the early years of driving are especially important when it comes to building good habits and maintaining a clean driving record.

We often walk families through how different violations typically affect premiums so they understand what’s at stake and why safe driving matters so much during the first few years behind the wheel.

Why we recommend a dashcam for teen drivers

Dashcams record what actually happens before and during an accident, which can be extremely helpful when determining fault during the claims process.

Inexperienced drivers may assume an accident is their fault, even when it isn’t. Having video footage can help clarify what really occurred and provide important context if questions arise later.

For many families, a dashcam offers added peace of mind during the early years of driving and can be a valuable tool for protecting both the teen driver and the household policy.

Teach your teen what to do if they are in an accident

Just as important as having the right insurance coverage is making sure your teen knows what to do if an accident happens.

Reviewing these steps ahead of time can help reduce panic, improve safety, and make the claims process much smoother.

Here are the basic steps we recommend every new driver understand:

Be careful when getting out of the vehicle.
If the accident occurs in a busy intersection or on a highway, safety comes first. Your teen should look carefully before exiting the vehicle and remain inside if it is safer to do so.

Check on everyone involved.
First, make sure all occupants in their own vehicles are okay. If it is safe, they should then check for injuries in the other vehicle.

Call the police when required.
In North Carolina, it is mandatory to call the police if the damage appears to exceed $2,500. If your teen is unsure whether the damage meets that threshold, they should call the police.

Call you immediately and lead with this sentence:
“I am okay, but I was in an accident.”
Hearing those words first matters more than you think.

Take photos before any vehicles are moved.
If it is safe to do so, your teen should take clear photos of every vehicle involved and the overall scene at every possible angle. Photos taken before vehicles are moved can be extremely helpful during the claims process.

Parent Pro Tip:
Keep a printed copy of accident steps in the glove box of every vehicle, along with registration and insurance documents.

Download Steps to Take When You Have a Car Accident

Teaching your teen these simple steps ahead of time can reduce panic, improve safety, and help the claims process go much more smoothly.

5 Steps to Take Before Your Teen’s Limited Provisional License Test

If your teen is preparing to take the test for a Limited Provisional License, a little planning can help everything go more smoothly.

Confirm the date your teen plans to take the DMV test for their Limited Provisional License.

Contact your insurance agent a few days in advance to request your DL-123 form.

Print the DL-123 form and bring it with you to the DMV.

Call your agent before purchasing a vehicle for your teen.

Review household vehicles and driver assignments to avoid surprises at renewal.

Taking these five steps ahead of time can help you avoid delays, unexpected costs, and last-minute stress.

What Clients Ask Us About Adding a Teen Driver

Do I need to call my agent when my teen gets a learner’s permit?

No. In North Carolina, you do not need to contact your insurance agent when your teen receives a learner’s permit.

Is my teen covered while learning to drive?

In many cases, a permitted driver is covered under a parent’s auto policy. Coverage and requirements can vary by insurance company and policy, so it’s important to confirm details with your agent.

Do I have to add my teen before they go to the DMV?

Yes. You must contact your insurance agent before your teen takes the DMV test for their Limited Provisional License so the required DL-123 form can be issued.

Will my teen’s ticket raise my premium?

Because your teen is listed on your household auto policy, tickets and at-fault accidents can affect the overall policy premium.

Should I call my agent before buying my teen a car?

Yes. Vehicle ownership, financing, and coverage choices can significantly impact your insurance cost. Calling your agent ahead of time can help you avoid surprises.

When running a landscaping business for any length of time, you know that your crews are your most valuable asset. But let’s be honest: landscaping is physically demanding and inherently dangerous. Whether it’s a zero-turn on a steep slope, a chainsaw in a tight space, or the brutal humidity on a hot day, the risks are everywhere.

At O’Connor Insurance Associates (OIA), we’ve worked with hundreds of contractors who have seen how a single split-second mistake can ripple through a business. It’s not just about the injury; it’s about the lost man-hours, the damaged morale, and the inevitable spike in your premiums.

Our landscaping contractor safety guide is designed to help you move from being reactive to being proactive, ensuring your crew goes home safe and your profit margins stay intact.

Why Accident Prevention Matters in Landscaping

Landscaping is consistently ranked as one of the most injury-prone trades in the country. You aren’t just cutting grass; you are operating heavy machinery, handling chemicals, and navigating unpredictable terrain daily.

Most accidents aren’t “acts of God,” they are preventable events caused by a lack of planning or a momentary lapse in training.

When you prioritize landscaping accident prevention, you aren’t just being a good business owner; you’re protecting your schedules, your reputation, and your ability to stay insurable.

Common Causes of Landscaping Accidents

For an operation with dozens of people in the field, safety is about recognizing where the most common (and most expensive) failures happen. When you understand the specific risks that lead to claims, you can lead your teams with a focus on prevention.

To fix a problem, you first have to know exactly what you’re up against:

Equipment Misuse: Using a mower on a grade it wasn’t built for or removing your equipment’s safety guards.

Slips, Trips, and Falls: Wet turf, hidden irrigation heads, and trailer ramps are prime zones for ankle and back injuries.

Heat-Related Illnesses: Heat exhaustion can turn into life-threatening heat stroke faster than most realize.

Vehicle and Trailer Accidents: More injuries happen in transit and during loading/unloading than many owners care to admit.

Flying Debris: A rock thrown by a string trimmer can be a “bullet” that causes permanent bodily injury or property damage.

Job Site Safety Planning Before Work Begins

Safety doesn’t start when the engines crank; it starts the moment your crew pulls up to the curb. When you’re managing multiple teams on large-scale sites, the environment is constantly changing.

Taking those first few minutes to size up a property is the most effective way to keep an unexpected hazard from turning into a business-altering event.

Spotting the Risks Early

Every property has its own set of hidden traps, from steep inclines to high-traffic pedestrian areas.

Identifying these challenges before the work begins means your crew isn’t forced to react to a dangerous situation on the fly. It’s about being proactive so that a routine job doesn’t result in an equipment failure or a liability claim that could have been avoided with a quick walk-through.

Controlling the Environment

On busy commercial sites, you aren’t just managing your team; you’re managing the public. Creating a clear boundary between your machinery and the people moving around it is essential.

By establishing a “game plan” for the site before the first mower leaves the trailer, you create a buffer that protects your reputation and prevents the kind of accidents that happen when work zones and public paths collide.

Equipment Safety Best Practices

When you’re managing a large fleet, the machinery is only as safe as the person operating it. For a business of your size, equipment safety is about moving away from the “honor system” and toward a culture of documented oversight.

Verified Competency: Even if a new hire has years of experience, assuming they can handle your specific high-performance mowers is a major liability. A quick, documented “check-ride” ensures they’ve proven their skills on your gear before they represent your brand on a client’s property.

Maintenance as Risk Mitigation: Beyond equipment longevity, routine maintenance is a safety necessity. A sticky throttle or a bypassed safety switch is a disaster waiting to happen. Staying on top of these “small” mechanical issues prevents them from turning into the kind of failures that lead to high-cost injury claims.

Enforcing Lockout Standards: In the rush to finish a job, it’s tempting to clear a mower deck without fully powering down. Making strict lockout procedures a non-negotiable rule eliminates the risk of catastrophic injury and protects your business from “gross negligence” lawsuits.

Personal Protective Equipment (PPE) for Landscaping Crews

Think of safety gear as the final barrier between a productive workday and a business-altering injury. While things like earplugs and safety glasses are the basics every crew member should have, running a large operation means you’re dealing with much higher stakes.

When you have dozens of people in the field, the odds of a “freak accident” go up, and that’s where the right protective gear pays for itself.

Visibility and High-Traffic Risks

Working near a busy road is one of the most dangerous things your team does. It only takes one distracted driver to turn a routine job into a tragedy.

Making sure your crews are wearing high-visibility vests isn’t just a rule; it’s about making them impossible to miss. In these high-risk areas, being seen is the best way to ensure everyone makes it home at the end of the day.

Job-Specific Gear

Specialized gear, like cut-resistant chaps for chainsaw work or reinforced boots, might seem like an extra expense upfront, but it’s a drop in the bucket compared to the cost of an emergency room visit.

Encouraging your team to use the right gear for the right job shows that you value their well-being, and it keeps your business running smoothly.

Heat, Hydration, and Weather-Related Safety

According to OSHA landscaping safety guidelines, heat is one of the most significant risks landscapers face. From a management perspective, the “spring rush” represents your highest-risk window.

The Water/Rest/Shade Rule: Ensure crews have access to cool water and mandatory shade breaks during high-heat index days.

Acclimatization: Give new or seasonal workers time to get used to the heat. *Most heat-related deaths occur within a worker’s first three days on the job.*

Vehicle, Trailer, and Transportation Safety

Your trucks and trailers are the lifeblood of your business, but they are also your biggest daily gamble.

When a crew is tired at the end of a long shift, it’s easy to overlook a loose blower or skip a quick walk-around before backing up. But for a business of your size, one “small” mistake on the road can turn into a massive legal and financial nightmare.

Truth: It’s much cheaper to spend an extra minute double-checking a strap or having a teammate guide a driver in reverse than it is to deal with a lawsuit or a painful spike in your insurance costs.

Making sure your drivers treat every trip like they’re being watched by a critic ensures that your trucks stay on the road and your profits stay in your pocket.

Training New Employees and Seasonal Workers

The temptation to get a new hire into a truck and out to a site on day one is incredibly high, but shortcuts in hiring are the fastest way to derail your success.

As Michelle O’Connor and HR expert Kim Baker of Baker HR Services recently discussed, rushing the process means you aren’t just filling a seat; you are potentially opening the door to avoidable auto accidents, workers’ comp claims, and a damaged reputation.

Your crews are your brand in action, and if a new hire hasn’t been properly vetted or trained, a single unsafe moment can undo years of community trust. Protecting your company’s financial health requires a few non-negotiables during the onboarding phase.

We recommend a 48-hour pause to ensure all safety orientations are documented before an employee ever touches a piece of equipment.

Never let an employee drive a company vehicle until you have verified their Motor Vehicle Record (MVR). A driver with a poor record is a direct threat to your commercial auto premiums and your company’s future.

By treating your hiring and documentation as a defense strategy—completing background checks and I-9s before the work begins—you tell the insurance marketplace that you are a “preferred risk.”

This kind of structure doesn’t just prevent accidents; it gives us the leverage to negotiate better rates and broader coverage, ensuring your business is actually ready to scale.

See our full discussion about hiring for your landscaping business.

What to Do When an Accident Happens

Despite your best efforts, accidents occur. Your response determines the outcome.

Immediate First Aid: Every truck requires a fully stocked, OSHA-compliant first-aid kit.

Document Everything: Take photos of the equipment, the site conditions, and the injury, if present.

Report Promptly: Early reporting leads to better claims handling.

3 Ways to Build a Proactive Culture of Safety

Safety shouldn’t be a boring meeting once a year. It needs to be the “way we do things around here.”

Leading by Example
If the owner or foreman walks onto a site without eye protection, the crew won’t wear theirs either. Safety starts at the top.

Daily “Toolbox Talks”
Spend five minutes every morning discussing a specific landscaping safety tip. It keeps safety at the front of their minds before the first engine starts.

Open Communication
Encourage your guys to report “near misses.” Check in with them often! If a mower almost tipped on a certain hill, you need to know about it before it actually rolls.

How Proactive Safety Reduces Insurance Costs

Safety isn’t about paperwork; it’s about the people who make your business possible. By implementing the steps in this landscaping contractor safety guide, you are building a resilient, professional company that clients want to hire and employees want to work for.

Showing a written safety plan to your insurance advisor can also make your business a “preferred risk,” giving us the ability to negotiate better rates and broader coverage for your general liability and commercial auto policies.

If you’ve been in the industry as long as we have, you know that a successful landscaping business is built on solid systems (and a lot of hard work). You have a maintenance schedule for your mowers and a safety protocol for your crews. You’ve moved from being the person behind the mower to the leader managing 25+ employees and a fleet of trucks.

But as your business has grown, so have the risks you can’t see.

In today’s world, cyber liability insurance for landscapers is just as vital as workers’ comp. Between 2023 and 2024, U.S. cybercrime losses saw a 33% spike, totaling record-breaking losses of over $16.6 billion. It’s time to protect your digital infrastructure with the same grit you use to protect your fleet.

Why Small-to-Mid-Sized Landscaping Businesses Are a Cyber Target

There’s a common myth in our industry that hackers only go after the “big fish” like banks or tech giants. The reality? Many cybercriminals are professionals who specialize in cyber risk by business size and target service-based businesses.

They know that a landscaping company with 20+ employees has a healthy cash flow but often lacks the million-dollar IT budget of a corporation.

This makes you an easy, high-value target.

Why Landscapers Are Vulnerable to Cyber Attacks

As you scale, your digital footprint expands. Every time you send a digital invoice, track a crew via GPS, or save a client’s credit card on file, you’re adding another entry point into your business. While you’re focused on the job site, hackers are looking for a way into your office through the apps and devices you use every day.

What used to be a paper ledger is now a digital web:

Online Invoicing & Payments: Processing ACH transfers for commercial contracts makes you a target for online payment fraud.

Customer & Property Data: You store gate codes, home addresses, and credit card info. A landscaping data breach isn’t just a glitch; it’s a hit to your reputation.

Seasonal Revenue Pressure: Hackers know that during the spring rush, your office staff is moving a mile a minute, making them more likely to click a “fake” invoice or fall for phishing attacks on your landscaping business.

Limited Internal Controls: Most landscapers don’t have a full-time IT person, meaning a single weak password can open the floodgates.

Cyber Liability Insurance for Landscapers Explained

When you’re used to managing tangible assets like excavators and trailers, digital risk can feel abstract, until it hits your bottom line. I’ve sat down with many owners who feel like they’re flying blind when it comes to “cyber liability insurance” for contractors.

Think of this as continuity security for your digital assets. If a virus locks you out of your bidding software or a hacker wipes your client list, you aren’t just losing data; you’re losing workdays.

This insurance covers the specific costs associated with those events.

4 Common Cyber Threats Facing Your Landscaping Business

It’s important to realize that these threats are often “low-tech” but high-impact. You don’t need a sophisticated hacker in a cloak to take down your business; often, it just takes one wrong click from a busy crew leader or office manager to stall your entire operation.

Phishing Emails: A message that looks like it’s from your equipment dealer asking to “update” payment info.

Ransomware: A digital lock-out that grounds your fleet by encrypting your schedules and site specs.

Fraudulent Payment Redirection: Intercepting a large vendor payment before it reaches its destination.

Stolen Data: Losing the sensitive personal info of your 20+ employees or your entire client list.

What Cyber Liability Insurance Typically Covers

Rather than a one-size-fits-all approach, these policies are customized to address the specific information risks your business faces.

A typical policy helps cover the following:

Data Breach Expenses: Coverage for the various costs that arise immediately following an information breach.

Loss of Business: If your systems are compromised or become unavailable, some commercial policies will cover the resulting loss of income while your operations are hindered.

Legal & Liability Risks: Protection against the costs of evaluating your specific data liability risks and even coverage for inadvertently breaching someone else’s copyright.

Unexpected Costs: Beyond the “hassle” of being hacked, insurance addresses the potentially huge financial impact of threats you may not have even considered.

The goal of this insurance coverage is to ensure that a digital lock-out or stolen client list doesn’t lead to a permanent financial setback for your business.

Why General Liability Insurance Is Not Enough

We’ve seen too many owners find out their policy is hollow after a breach happens. General Liability policies almost always exclude things like electronic data. If a hacker wipes your server, your GL policy typically won’t pay a dime to rebuild it.

For a team that relies on you, that’s a gamble you can’t afford.

When Cyber Insurance Becomes Essential

Many landscapers assume they aren’t a target because they aren’t a “tech company,” but if you rely on digital tools to get paid and keep your crews moving, the risk is already there.

In addition, most landscaping businesses store client personally identifiable information (PII) digitally (such as names, addresses, emails, and payment details), which increases exposure if systems are compromised.

Cyber insurance moves from being an “extra” to an essential piece of your business equipment when:

You accept online or card payments for recurring services.

You use cloud-based software like Microsoft Office, QuickBooks, Jobber, LMN, or Aspire.

You have office staff handling payroll or remote bookkeepers.

You’ve scaled beyond the owner-only phase and have multiple people accessing your bank and email.

The Role of Cyber “Hygiene”

A startling truth: 95% of breaches stem from human error. At O’Connor Insurance Associates, we believe good habits come before good insurance. Insurers assess your Cyber Hygiene (your passwords, backups, and Multi-Factor Authentication) to determine your rates.

Owner, Terry O’Connor, warns: “If you have cyber coverage, you’re going to want to make sure you’re following these practices because you probably indicated that you were.”

Download our Cyber Hygiene checklist to get a jumpstart on keeping your digital landscape safe!

Secure Your Turf Today

You wouldn’t leave your shop unlocked at night, so don’t leave your digital assets exposed. Let’s make sure your insurance keeps pace with your hard-earned growth.

Because we are committed to educating our clients and providing more than just a policy, we sat down with Bill Hammelman at CCP Tech to take a deep dive into the digital world to ensure you have the best information for keeping your business safe from modern threats.

Ice Storm Insurance Coverage: What’s Covered—and What’s Not

As we prepare for a severe ice storm, many homeowners and renters have similar questions about insurance coverage. Power outages, fallen trees, frozen pipes, and temporary displacement can be stressful. This document answers the most common insurance questions we receive during winter storms, based on typical homeowners and renters insurance policies. Every policy is different, so this information is general guidance only.

Is Food Spoilage Covered During a Power Outage?

Often yes—but think carefully before filing a claim.

Many homeowners and renters policies include limited coverage for food spoilage caused by a power outage.

• Typical coverage: $500
• Deductible usually does not apply

Important consideration: Filing even a small claim may result in a surcharge or premium increase. If the loss is minor, paying out of pocket may be the better long-term option.

Does Insurance Cover Fallen Trees After an Ice Storm?

Coverage depends on where the tree landed and what it damaged.

If the tree hit a structure (home, garage, fence, deck) or blocks a driveway or walkway:
• Debris removal is typically covered
• Deductible applies
• Many policies limit debris removal to $1,000 per tree, max $2,000

If the tree fell in the yard without causing damage or blocking access:
• There is typically no insurance coverage.

Is a Hotel, Airbnb, or VRBO Covered If the Power Is Out?

Usually no.

Loss of Use coverage only applies if your home is uninhabitable due to direct physical damage from a covered insurance loss. A general utility power outage does not qualify.

Coverage may apply if a fallen object damages your home’s electrical equipment, making the home unsafe to occupy.

Does Homeowners Insurance Cover Frozen or Burst Pipes?

Yes, in most cases, standard homeowners insurance policies do cover damage caused by frozen or burst pipes, but there are important details and exceptions to understand.

What is typically covered:
• Sudden and accidental water damage caused by a pipe that bursts due to freezing
• Resulting damage to walls, floors, ceilings, and personal property
• Additional Living Expenses if the home becomes uninhabitable due to covered water damage

What is not typically covered:
• The cost to repair or replace the pipe itself
• Damage resulting from negligence or failure to maintain heat
• Gradual leaks or long-term water damage

Important steps to take:
• Stop the water flow and prevent further damage
• Document the damage with photos and lists
• Notify your insurance company promptly
• Keep receipts for repairs and temporary living expenses

Special considerations:
• Vacant homes may have coverage exclusions.

Are Downed Power Lines on My Property Covered by Insurance?

Utility-owned lines are the responsibility of the utility company. Damage to your home caused by a downed line may be covered. Repairs to homeowner-owned electrical equipment may be covered if damaged by a covered event.

Does Insurance Cover Fence Damage From Fallen Trees?

If a tree falls on your fence due to a covered cause of loss such as wind, ice, or lightning, most homeowners policies will cover the repair or replacement of the fence.

Coverage is typically excluded if the tree fell due to neglect, disease, or poor maintenance.

If the tree hit a structure (home, garage, fence, deck):
• Debris removal is typically covered
• Deductible applies
• Many policies limit debris removal to $1,000 per tree, max $2,000

Are Sheds, Detached Garages, and Carports Covered?

These are typically covered under Other Structures coverage if damaged by ice, snow, or fallen trees.

If the tree hit a structure (home, garage, fence, deck):
• Debris removal is typically covered
• Deductible applies
• Many policies limit debris removal to $1,000 per tree, max $2,000

Is Roof Damage From Ice or Snow Covered by Insurance?

Often yes, if the damage is sudden and accidental. Wear, tear, or prior roof issues are not covered.

Are Generators Covered If They’re Damaged or Stolen?

Portable generators are usually covered as personal property, subject to deductibles and policy limits.

Is Vehicle Damage From Ice or Falling Trees Covered?

Yes, if you carry comprehensive coverage on your auto policy. Homeowners insurance does not cover vehicle damage. Your auto comprehensive deductible will apply.

Should I File an Insurance Claim or Pay Out of Pocket?

This depends on the size of the loss, your deductible, and potential premium impact. We recommend calling your agent before filing a claim so you can make an informed decision.

The “Good” Problem of Growth

If your landscaping company has grown past 20 employees, you are living the dream (and the stress) of scaling a business. You have more trucks on the road, more crews on job sites, and a phone that won’t stop ringing.

But with growth comes a new kind of pressure: the urgent need for people.

When you have a backlog of jobs, the temptation to get a new hire into a truck and out to a site today is present.

We get it.

But in a recent conversation between our own Michelle O’Connor and HR expert Kim Baker of Baker HR Services, we uncovered a hard truth.

Shortcuts in hiring are the fastest way to derail your success.

Watch the Full Conversation: Scaling a Landscaping Company? The Hiring Mistakes That Increase Risk.

Want to hear exactly how HR shortcuts translate into insurance nightmares? In this candid discussion, Michelle O’Connor sits down with HR expert Kim Baker to break down the real-world scenarios they see every day.

They dive deep into the specific hiring mistakes that spike landscaping insurance costs and share practical advice on how to protect your growing business.

Prefer to read the highlights? We’ve distilled their top advice below.

The Hidden Risk of Rushed Hiring

You are building a business that supports your family and community. When you rush the hiring process, you aren’t just filling a seat; you are potentially opening the door to risk.

This includes:

An increase in common landscaping workers’ comp claims

Avoidable auto accidents that drive up commercial auto insurance for landscape trucks and other work vehicles

Compliance nightmares

Damage to the reputation you’ve spent years building

As Michelle pointed out, “Many owners assume that once they say the rules, they are followed. But the reality is that behavior on the job site—how they drive, how they talk to clients—is your brand in action.”

A single poor interaction can damage trust and sometimes lead directly to claims.

Your Crew Members Are Brand Ambassadors

Landscape crews don’t work in a factory; they work in the front yards of your community. They are visible to everyone: homeowners, neighbors, and potential clients.

If a new hire hasn’t been properly vetted or trained, a single bad interaction or unsafe driving moment can undo years of trust. A rushed hire is often a risky hire, and in the landscaping business, risk translates directly to cost.

3 Steps to Scale Safely

You don’t have to choose between growth and safety. Kim Baker highlighted three areas where landscaping owners repeatedly take shortcuts, but where a little patience will pay off in huge dividends.

1. The 48-Hour Pause

Owners often intend to finish onboarding steps, but busy schedules cause delays. Meanwhile, the employee is already operating equipment, driving trucks, and interacting with clients.

That extra 24–48 hours upfront can prevent months, or even years, of financial impact later.

2. The MVR Non-Negotiable

Never, ever let an employee drive a company vehicle before you have seen their Motor Vehicle Record (MVR).

The Risk: A driver with a bad record causes a serious accident.

The Consequence: Your commercial auto premiums skyrocket, you receive serious auto liability claims, or worse, your carrier issues a non-renewal.

The Fix: Verify first. Drive second.

3. Documentation as Defense

Consistent onboarding checklists and documentation aren’t just bureaucratic red tape; they are your shield. Proper risk management for landscaping businesses starts before the first mower starts. Once someone is already in the field, fixing these issues becomes far more difficult than getting it done on day one.

I-9 verification not completed on time

Missing or rushed background checks

Drug testing delayed until after work begins

How Hiring Impacts Your Insurance Costs

At O’Connor Insurance Associates, we view your hiring process as a critical part of your insurance strategy. Why? Because safe crews lead to stable insurance premiums. If you are looking for the best landscaper insurance in North Carolina, carriers want to see that you take safety seriously. Strong hiring and onboarding practices aren’t just an HR issue; they directly affect your insurance program.

When you invest in a structured onboarding process, you are telling the insurance marketplace that you are a lower risk. This leads to:

Fewer workers’ comp claims.

Lower frequency of auto accidents.

Stronger leverage during underwriting negotiations.

Why Landscaping Business Owners Need Experts in Their Corner

No business owner can be an expert in everything. You know landscaping; we know risk.

Just as you wouldn’t let an amateur grade a complex site, you shouldn’t navigate HR and insurance compliance alone. Surrounding yourself with trusted advisors—like OIA for risk and Baker HR for people management—allows you to make decisions with clarity, confidence, and care.

“Bringing on professional advisors is no different than hiring internally. Interview us. Make sure we align with your culture. We are here to help you prevent losses, not just clean them up.”

Secure Your Landscaping Business Growth Today

If your landscaping company is growing, don’t let a hiring shortcut become a financial sinkhole.

At O’Connor Insurance Associates, we design custom solutions for growing landscape contractors. Let’s have a conversation about your hiring practices and ensure your insurance program is ready to scale with you.

Frequently Asked Questions

What is the biggest hiring mistake landscaping companies make?

Rushing the process is the biggest mistake landscaping companies make. Skipping background checks or allowing employees to drive before their MVR is verified significantly increases liability and insurance costs.

How does onboarding affect my workers’ compensation insurance?

Poorly trained or rushed hires are statistically more likely to get injured. Higher claim frequency leads to higher experience modifiers (Mod) and increased premiums.

H3: Should I really wait to send a new hire into the field?

Yes. Waiting 24–48 hours to finalize drug testing, background checks, and paperwork can prevent months of legal and financial headaches down the road.

When should I hire an HR consultant or insurance advisor?

Ideally, before you feel the “growing pains.” If you are passing the 20-employee mark, having experts to guide your compliance and risk management is essential for safe scaling.

General Liability Insurance for Landscapers is the Ultimate Piece of Safety Equipment

If you run a landscaping crew of twenty or more, you know the sound of a productive morning. It’s a symphony of zero-turn mowers revving, trimmers buzzing, and blowers humming. It’s the sound of revenue being generated.

But you also know that a job site is a chaotic place. It only takes a split second for that symphony to come to a screeching halt.

A rock meets a mower blade. A client trips over a hose. A flash flood washes your freshly laid mulch into a neighbor’s pristine pool.

We call these the “Oops Moments.” Without the right protection, an “Oops” can turn into an “Oh, no” that drains your bank account.

You have the trucks and the crews, but do you have the shield? Let’s talk about General Liability Insurance not as a stack of paper, but as the ultimate piece of safety equipment.

The “Oops” Factor: Understanding General Liability Insurance for Landscaping Businesses

You might think, “My guys are pros. We don’t make mistakes.” And I believe you! But business insurance for landscapers isn’t just for mistakes; it’s for the unpredictable parts of running a business

When you have crews spread across multiple commercial sites, the law of averages kicks in. Eventually, something typically goes wrong. The goal of general liability insurance is to stand between your hard-earned revenue and the costs that arise when the unexpected happens.

4 Key Factors That Drive General Liability Insurance Costs

1. The Nature of Your Work

Not all landscaping is created equally. To an insurer, cutting grass is very different from cutting down a 50-foot oak tree. These activities are assigned “class codes,” and each code carries a different rate based on risk.

Imagine two companies. Company A strictly mows lawns and plants flowers. Company B does that too, but they also offer tree topping and chemical applications. Company B has a much higher risk profile because falling branches and pollution spills cause significantly more damage than a lawnmower. If Company B is classified only as “gardeners,” they might be cheaper today, but they could have a claim denied tomorrow for doing work they weren’t rated for. This is one of the Top 10 Landscaping Business Insurance Pitfalls.

2. Your Payroll and Revenue

It’s a simple equation: more people working typically equals more exposure to accidents.

When you started with just five employees, your exposure was limited. Now that you have twenty-five employees spreading out over four different job sites simultaneously, the statistical chance of an “oops” goes up.

Note: This is why we check in regularly. If your payroll spikes because you landed a huge contract, your coverage needs to be adjusted.

3. Your Subcontractors

Do you hire specialists for hardscaping, irrigation, or lighting? Using subcontractors is a great way to scale, but it introduces a new layer of risk that carriers watch closely.

Say you hire a sub to install a retaining wall. They cut a corner, and the wall collapses on a client’s car. If that subcontractor doesn’t have their own valid insurance, the lawsuit comes up the chain to you. Carriers will charge you higher premiums if they see you using uninsured subs because they know they’ll be the ones footing the bill.

4. Your Claims History

Think of this like your credit score, but for risk. Carriers look at how frequently you file claims. Surprisingly, frequency often scares them more than severity.

When you know what drives your premiums, you’re better equipped to make decisions that protect both your business and your bottom line.

How to Reduce Your General Liability Premiums Without Cutting Corners

Inflation is hitting everyone, from fuel to fertilizer. The secret to lowering insurance premiums isn’t buying “cheap” insurance (which often leaves gaps); it’s about positioning your business as a “safe bet” to the insurance companies.

Review Your Class Codes. Are your office staff being rated as tree trimmers? Are your mowing crews rated as excavators? Misclassification is a huge money-waster. We can check this for you during our insurance audit to ensure you aren’t overpaying

Flaunt Your Safety Program! Do you have regular tailgate safety meetings? Document them! Carriers love businesses that prioritize risk management. If you can prove you are proactive, better rates can often be negotiated.

When to Reevaluate Your Coverage Limits

Your business is a living, breathing thing. It grows, it changes, and it evolves. The policy that protected you when you had two trucks and a push mower is likely not the policy you need now that you’re managing a fleet and a crew of twenty. You are leveling up, but if your armor doesn’t level up with you, you’re exposed.

You don’t need to be an insurance expert; you just need to know the trigger points.

If any of these 5 things are happening, it’s time to look at your policy:

You’re offered a new, larger, celebratory contract.

You’re looking at equipment upgrades.

You’re adding new services to your business.

You’re hiring new crews to meet work demands.

You’re hiring more subcontractors.

The Bottom Line: If your business looks different today than it did six months ago, your insurance policy probably should too. Don’t let your success become your liability.

Mowers Break. Mistakes Happen. Be Ready.

You’ve worked too hard building your company to let one flying rock or one slippery sidewalk take it down.

At O’Connor Insurance Associates, we view ourselves as the “Safety Crew” for your finances. We don’t just hand you a standard policy and walk away. We know that every landscaping business is different: some do tree work, some do hardscape, some just mow.

Your business is growing. Don’t wait for an accident to find out if your coverage works.

FAQs

How much general liability insurance does a landscaping company need?

There is no single “magic number” because every business is different. Instead, the amount you need is usually determined by two main things: your contracts and your assets. Most commercial clients, HOAs, and municipal bids will have a specific insurance requirement written right into the agreement. That sets your “starting line.” Beyond that, we look at what you have to protect.

Can safety programs really lower my premiums?

Absolutely. Think of it this way: Insurance carriers love boring businesses. They love businesses that don’t have accidents. If you can prove you have a documented safety program, like weekly tailgate meetings, mandatory PPE checklists, and driver training, you look like a “lower risk” investment to them. Over time, a clean claims history combined with safety protocols can qualify you for “preferred” pricing tiers that aren’t available to the guy who runs a sloppy operation.

How often should I review my policy?

You should review your policy at least once a year, or any time you are making big changes such as starting a new service, adding multiple new employees, taking on bigger jobs, or upgrading equipment.

What’s the difference between general liability and workers’ comp?

General Liability protects “Them” and Workers’ Comp protects “Us.” If you break a window or a client trips over a hose, general liability pays. If your employee throws out their back lifting a paver or gets cut by a trimmer, workers’ comp pays.

At O’Connor Insurance Associates, we’re committed to making your insurance experience simple, efficient, and stress-free.
As part of that commitment, we’ve launched a brand-new client management platform designed to streamline how we serve you and enhance your overall digital experience.

This upgrade allows us to automate more processes behind the scenes and connect with modern, third-party tools that help us deliver faster service and more convenient access to your insurance information.

This blog post walks you through how to set up your new client portal login and what you can expect the first time you sign in.

Why We Updated the Portal

Our new platform is built for improved speed, reliability, and future growth. By connecting the client portal to this upgraded system, we’re able to roll out more functionality and better digital services over time. This is Phase One, with additional enhancements planned in the coming months.

Action Required: Create New Login Credentials

Because this is an all-new system, all users must create new login credentials, even if you used the old portal.

We’ve provided detailed user guides to walk you through the process step-by-step.

User Guide #1: How to Create Your Credentials

User Guide #2: How to Issue a Certificate of Insurance

WARNING – If you are a business and personal insurance client and use DIFFERENT emails for business and personal you will need to use your personal email address to set up the portal.

Access the new Client Portal here

What You Can Do in the New Portal

Once logged in, you can:

Issue Certificates of Insurance (COIs)

Generate Auto ID Cards

Submit claims

Request policy changes

Securely upload documents directly to your OIA team

These tools provide faster turnaround times and allow you to access key documents anytime, from any device.

A Note About Billing

Because most of our clients are billed directly by their insurance carriers, billing information will not appear inside the client portal.

You can continue to manage billing directly with your carrier just as you do today.

If you’re unsure where to find your billing portal, your renewal documents include the link—or simply reach out to us and we’ll point you in the right direction.
