So what exactly is Never Busy Fax? What does it do for my company?

First of all, the basic fax machine setup has one fax line to feed fax calls to the machine. The problem with this traditional fax machine setup is while the machine is receiving one fax a second call will get a busy signal. For busy offices such as transportation, hospitals, medical offices, doctor clinics, and laboratories, this is not a good fax solution. The solution is a bundle of lines, called a hunt group, which provides never busy faxing capacity up to the number of lines in the hunt group. Fax servers which use trunk lines, simply a bundle of lines, have never busy fax functionality built in by design. So, if the first line is busy receiving a call, it tries the second and so forth until an open line is connected to the call, thus never busy faxing.

The benefits of a never busy fax service are mostly cost savings and improved service for your fax senders/customers. Imagine every time your customer sends a fax it connects, never a busy signal or failed call. This would reduce phone calls from angry customers asking for another fax number to use. Another benefit would be eliminating fax line hunt groups, fax machines, and fax servers, plus reduce DID numbers. It is conceivable to run an entire corporation on a single fax number instead of a fax number for each person. Now for efficient routing of fax documents that would not be practical.

The cost savings and benefits are significant for busy offices that depend on critical fax documents.

No SIP does not refer to taking a drink in this case, SIP or session initiation protocol, is an internet communications protocol used in two way communications for always on real time conversations, such as a fax call, voice call, or video conferencing. SIP provides the rules of two connections carrying on a conversation that must take turns talking, listening and waiting for a response.

Other terms used to explain SIP could be voice over ip, fax over ip, online fax, internet phone, etc. All these refer to the SIP technology being used in that particular application. Many corporations are changing over to SIP phone systems to eliminate or lessen the cost of long distance calls, land lines, and gain flexibility in connecting multiple remote offices on the same phone pbx (private branch exchange). This transition from land line phone systems can be a bit rocky, not all SIP service providers are the same. With the low cost of SIP hundreds of SIP service providers have popped up to be a link in the communications chain between calling parties. This technology is changing very quickly, such that there can be a wide range and quality of equipment and software in SIP providers, thus creating weak links in SIP call paths. Of course the results can be dropped calls or difficulty in connecting and lots of frustration. One of the weak areas when implementing a new SIP phone system is the fax portion. Fax calls are less tolerant of weak links, thus fax failure rates as high as 30% is not uncommon. Many of our customers battled an in house SIP phone system or a SIP fax provider before test driving Online Fax. SIP is a great tool, but expect ups and downs until this technology matures.

Disaster Planning!

Wow, what a tragedy in Moore, Oklahoma! Our prayers and support go out to that community of strong independent fellow Americans that have suffered property, physical damage and loss of lives.

After a tragedy such as this it is good to reflect on 'what if's', What if my business was destroyed? What if our communications was interrupted, no phones, no faxes, no email, no internet? There are many valuable questions to ask. Regarding business communications, if you use a cloud service outsourced online fax and phone communications setting up a temporary business location is quick and painless!

Cloud based services do provide a great level of disaster comfort should one ever need to relocate business temporarily, no online faxes and no voice calls will ever be lost due the built in delivery mechanism of email and voice mail. On the other hand, if your business facility housed it's own fax machines or fax server, and phone system, the disaster would shut you down much longer than if your communication services were cloud based. All you would need to be back in communication is internet access from any physical address. Using in house systems callers and fax senders would hear a busy signal, which could take weeks to rebuild these systems to operational. Consider cloud based communications as part of your disaster plan!

Lately there's a lot of discussion about a possible high level government coverup over the Benghazi terrorists attach on the U.S. Embassy. There is another coverup happening in the fax machine and fax server industry to promote traditional fax methods while denying the benefits of online fax.

Questions to ask when evaluating fax services?

First of all not all fax services are the same. Yes, there is basic fax receiving and sending, however the major differences and costs are in how the users will access a fax service. Is there a web site to log on to? Is there software to install on all computers? Does it work from an email? All these are critical to the cost of operating the service in an efficient and time saving manner. If use of a service takes 3 minutes to launch a fax document then you may be better served with the old fashioned fax machine!

A fax document received by a fax service mush go somewhere, either printed to paper, in the trash,
                       stored in recipients’ email, saved to a shared archive folder, or imported to a
                       document management system? How are your faxes handled? Are they manually
                       moved around, manually archived, etc.?

Does your fax service require users to log on to a website? If so, how much time is

consumed simply by the log on process and the browse to find a fax file?

Have you ever been surprised by your fax service invoice? Many have price rounding or

bait and switch tricks that will cause heart failure when you see the invoice.

Information security? How secure is the fax document as it moves from your office to

the fax service and, on received faxes, is it secure from the service provider to

Using Email Scanning Stations to Send a Fax

Recently while working with a new transportation customer the question about using scan to email came up. This company has many scanning stations distributed throughout the company departments and various office locations to facilitate moving paper documents to digital.

Network Security: Your fax network servers will need to be behind a firewall. The key here is that there should NOT be any public access to the web servers where your data is stored. Even with the best of secured servers, there's always a better hacker out there (Wiki Leaks?). If you're the server where your data is stored has log-in access, then that data is compromised and you do not have an enterprise-grade security solution.

Some corporations require custom Online Fax solutions such as having faxes received sent to an administratively controlled server for in-house distribution or having inbound faxes land on an SFTP server for retrieval. The important thing is to consider the nature of the content that will be moving inbound and outbound. Determine your network security requirements but do not set yourself up with the loophole of having your faxes go to an outside server with public log-in access.

It is also imperative that your outbound faxes would be sent from your service provider through secure internet lines (SSL); just as the service provider should be using a secured server (HTTPS, SFTP, SSH).
