Final notice: Financial books for 2007-08 close July 23

We are quickly approaching the closing of our books for 2007-08. The cut-off date for this year is Wednesday, July 23, for charging anything that is for last year’s budget. After that time, any costs associated with 2007-08 will have to go into your 2008-09 budget.

1. Please forward any invoices to Financial Affairs for goods and/or services that were received prior to July 1, 2008.
2. Please review your 2007-2008 budget report and notify Financial Affairs if there are any outstanding purchase orders for goods and/or services that were not received prior to July 1 so they can be disencumbered.

Volunteers needed for Hess Creek work day July 23

Publications are missing from the library

The Portland Center Library is a fantastic resource for our employees and students alike. The rows of books and the many magazines, newspapers and journals that they provide for us is amazing! We want to continue to support this resource in every way we can.

Recently, however, the library staff has discovered that several magazines and a newspaper are disappearing off the racks. Specifically these publications are:

US News

Entertainment

The Wall Street Journal

If you have accidentally picked up these magazines or have taken them to read, please return them to the library so that the other students and employees can enjoy them as well. In this way, we are all being good stewards of what God has blessed us with.

Executive assistant I position open in academic affairs

HR is recruiting both internally and externally to fill an executive assistant I (pay range 7) vacancy in the Office of Academic Affairs. Andrea Byerley, who had held this position, is transferring to the registrar’s office to work as an enrollment counselor.

The incumbent of this position will work with Karlyn Fleming and Patrick Allen, providing support to the AAO, as well as with/for Hank Helsabeck, dean of the School of Arts and Sciences. Serve Day volunteers needed

We would like to invite you to participate in George Fox University’s 10th annual Serve Day celebration. On September 10, 2008, the Newberg campus will shut down. Newberg Employees and undergrad students go out into the surrounding areas to serve at non-profit organizations, homes and churches. This year we have too many requests for volunteers and are unable to meet all of the needs. We need your help! With the approval of your supervisor we would gladly assign you to a serve site. We are quickly approaching the closing of our books for fiscal year 07-08. Each year at this time we notify you of the cut-off date for anything that needs to be charged in last year. That cut-off date for this year is July 23, 2008. After that time, any costs associated with fiscal year 07-08 will have to go into your fiscal year 08-09 budget.

Community strategic planning sessions scheduled July 14

Employees are invited to attend all-community strategic planning sessions from 1 to 3:30 p.m. Monday, July 14, in Hoover 105.

The sessions will include strategic planning updates from the chairs of the strategic planning work groups. The meeting will begin in Hoover 105 and then break out into rotating sessions in specified Hoover classrooms. Your participation is strongly encouraged.

July 16 Farewell for Dana Miller

Please join us Wednesday, July 16 at 1 p.m. in the Duke Atrium of the Stevens Center for a farewell gathering for Dana Miller, chief advancement officer at George Fox University for 11 years. Dana is joining the M.J. Murdock Charitable Trust in Vancouver, Wash., as senior program director for grant programs.

Miller has been a member of the senior leadership for three George Fox presidents. In 2002, Miller was promoted to vice president for marketing and advancement with responsibility for all external university functions, including admissions, marketing and university relations.

Share your Oregon, George Fox story with Oregon Stories Project

Have an interesting story to tell about living in Oregon? Any George Fox or Pacific College tales that should be shared? As part of the Oregon’s 150th birthday celebration, the Oregon Stories Project (a part of the Oregon 150 celebration) is collecting stories to share via TV, radio and the Web.

Following are guidelines for sending in your unique Oregon stories at oregon150.org/oregon-stories:

All forms of expression are welcomed, from poetry to photographs to video
Stories must be 500 words or fewer and submitted as a Word document or as plain text
For photos, send electronic, .jpeg files not to exceed 140 KB
For audio files, send electronic, .mp3 files between one and three minutes in length
For video files, send electronic, .flv or .mov files between one and three minutes in length

You may also mail stories to:

June time sheets, time-off reports needed in HR

To assist in closing the financial books on 2007-08, HR is requesting staff and administrators to submit June time sheets and time-off reports as soon as possible. This will enable HR to enter vacation and sick leave used in June right away so year-end balances can be reported and accounted for in a timely manner.

If you have any time-off reports or time sheets from earlier in 2007-08 that you have not yet submitted, please turn those in as well. If a supervisor’s absence will cause a delay, please send HR a copy of the original and submit the original after it has all of the requisite signatures.

Enrollment counselor positions are available

The registrar’s office has two full-time openings for enrollment counselor, one at the Portland Center and one on the Newberg campus. The Portland position is posted at jobs.georgefox.edu and is open to both external and internal applicants. The Newberg position is currently open only to internal applicants (employees).

Salem courier run will be Thursday this week

Financial affairs office is live on PeopleSoft

Congratulations to the financial affairs office for successfully making the July 1 “go live” date on the new software. This is a significant milestone, and while there remains a steep learning curve in adjusting to the new system, we commend the financial affairs team on this significant accomplishment.

A few reminders …

After July 1, financial transactions for the fiscal year 2009 will need new cost center numbers. Please do not assume your cost center is the same as last year with a zero added. See the financial affairs website for a listing of new numbers.
Still wrapping up financial transactions for the 2008 fiscal year? Please use your old cost center number.
Continue to use IFAS purchase request and financial reporting after July 1 for fiscal year 2009 until we have the PeopleSoft requisition and reporting features deployed in August.

Network maintenance scheduled for July 2

In recognition of Independence Day and the holiday weekend for employees, you are invited to wear casual attire in patriotic colors Thursday, July 3.

Also, at 3 p.m., ice cream bars will be served on the plaza in front of Stevens Center for Newberg employees. Portland Center employees also will enjoy an ice cream break at that time. You are encouraged to enjoy a snack and this opportunity to visit with colleagues.

Tilikum hosts wilderness trip for youth this summer

If you have any 10th- to 12th-graders in your life looking for adventure this summer, Tilikum Center for Retreats & Outdoor Ministries is hosting its Impact wilderness trip Monday through Saturday, July 28 to Aug. 2.

PeopleSoft Financials system approaching start-up date

The financial affairs office has been working with great diligence in completing all the tasks necessary to meet the July 1 deadline to go live with the new PeopleSoft Financials system. There are still tasks that we need to complete, but we anticipate making a smooth transition to PeopleSoft.

Important information:

Receive all POs in the IFAS system by 5 p.m. on Thursday, June 26, if you have received your product.
The IFAS financial system will be down (including purchasing and all financial reports such as budget managers report) beginning at 5:30 p.m. Thursday, June 26, until Tuesday morning, July 1, while we do the final data conversion.
The IFAS student system will be down beginning at 5:30 p.m. Thursday, June 26, until Friday morning, June 27, when you will be notified the system is available.
After July 1, financial transactions for the fiscal year 2009 will need new cost center numbers. See the financial affairs website for a listing of new numbers.
Still wrapping things up? If completing financial transactions for the current fiscal year 2008, please use your current cost center number.
Continue to use IFAS purchase request and financial reporting after July 1 for fiscal year 2009 until we have the PeopleSoft requisition and reporting features deployed in August.
