Overview

Lehman College serves the Bronx and surrounding New York region as an intellectual, economic, and cultural center. Lehman College has 12,000 students and is part of the City University of New York (CUNY) - the nation's leading urban public university. CUNY serves 540,000 students with more than 271,000 degree-credit students and nearly 270,000 in adult, continuing and professional education. CUNY consists of 24 institutions in New York City.

Lehman College initially began working with ProcessMaker when the college’s web applications analyst downloaded the open source solution and created a Proof of Concept for the Adjunct Reappointment Process at the College. Thanks to the open source solution, he was able to create a fully working process without having to sign a contract or spend any money with Colosa. However, once the POC was up and running and initial success had been demonstrated, the college sought out Colosa because it wanted to have a support contract in place. The College also saw value in gaining access to a number of Enterprise Edition Features such as Advanced Active Directory Synchronization and Colosa’s Outlook Plugin for ProcessMaker.

Solution

To date Lehman College has automated 5 processes. It took between 2 and 6 months to automate and launch the 5 different processes. Today, these processes serve more than 400 staff and faculty, and more than 200 individual instances of the processes are being run monthly. The initiative has been a great success within the College and will continue to be expanded in the future.

The team has also integrated ProcessMaker with Oracle’s Peoplesoft. HR related approvals are managed in ProcessMaker for workflows such as the Staff Activation workflow, and critical information is then passed to PeopleSoft as the system of record.

Processes

Adjunct Reappointment Process: Academic departments request the hiring of adjunct faculty (college professors who are hired on a temporary track, often to teach only a course or two for a single semester) through ProcessMaker. ProcessMaker routes the information electronically to the department’s chair, school’s dean, Human Resources, Budget Office and Payroll. Once all the necessary approvals have been received, ProcessMaker generates the “Personnel Action Form” (PDF format) that approver may print for their records.One of the special needs that ProcessMaker was able to address for GT Bank was to provide a way to perform high volume Batch Processing. For this functionality, GT Bank uses one ProcessMaker’s enterprise Plugins which allows a process to define a series of variables that are visible and editable within the cases inbox. From there the user can take a bulk action on many cases at a time.measure the exact volume of requests nor was it possible to measure the time spent on decisions and changes to the application.

Adjunct Revisions & Separations Process: This process is an extension to the process mentioned above. Academic departments use it to revise (add/reduce teaching hours), terminate, decline or rescind current adjunct appointments anytime during the semester

CUNYfirst Access Security Tool (CAST) Process: CUNYfirst is the name given to the City University of New York’s project to implement the Oracle/Peoplesoft ERP (Enterprise Resource Planning) set of applications. The CAST process allows college faculty and staff to request different level of access to CUNYfirst. ProcessMaker routes the information electronically to the department’s chair/director, school’s dean/VP, Bursar, Admission, Financial Aid, and Registrar.

Classified Staff Personnel Action Form: This process allows Academic and Non-Academic departments to hire hourly staff such as College Assistants and Student Aides.

Part-time Instructional Staff Personnel Action Form: This process allows Academic and Non-Academic departments to hire part-time instructional staff such as Non-Teaching Adjuncts (NTAs), Adjunct College Laboratory Technician (CLTs), and Continuing Education Teachers (CETs).
