If you're unfamiliar with Lotus Foundations, it's "a family of software appliances that provide the essential software businesses need to focus on running the business, not managing computer systems." Designed for operations with 5-500 people, Foundations Start provides email, web mail, office productivity tools, network firewall, anti-spam & anti-virus protection, remote connectivity, VPN, file and print services, and disaster recovery on a self-managed, self-healing appliance. It is very cool and has been generating quite a bit of buzz lately.

Today, the team announced Foundations Reach, which adds Unified Communications & Collaboration capabilities to the platform.
The new Lotus Foundations Reach solution customizes and extends the IBM Sametime UC2 capabilities in a single appliance designed specifically for SMBs that have limited IT skills and smaller budgets. In about an hour, a business can install and configure its entire UC environment in a system small enough to fit under a desk.
Moreover, several telephony vendors are also using Foundations Reach as a platform to extend their solutions into the small business market:

EnVision Solutions LLC is combining IBM Lotus Foundations Reach with its current suite of applications to deliver an enhanced collaboration package of solutions for the SMB market.

NEC is creating a version of its UNIVERGE Sphericall communications software that can be downloaded to Foundations to create a complete UC and business collaboration solution specifically designed for SMBs and branch offices.

NextiraOne Mexico will extend Lotus Foundations Reach with its IP telephony technology to deliver a complete communications and collaboration offering to help growing businesses.

ShoreTel is incorporating its IP telephony platform with IBM Lotus Foundations Reach to provide a complete unified communications and collaboration solution designed specifically for SMBs.

Speech Design is combining its Fixed Mobile Convergence (FMC) solution with Lotus Foundations Reach to create a Mobile Unified Communications appliance, which offers telephony and presence, FMC, messaging, IM as well as audio and Web conferencing in a single solution for SMBs.

I want to congratulate the Foundations team - which has been working day and night to bring this offering to market. While Sametime has always been popular with small businesses, Foundations' ability to make deployments really simple is going to carry us places we couldn't have reached otherwise. (If there's any doubt, I installed Reach on a virtual machine on my laptop in under 40 minutes - with only a handful of clicks.) And, as a platform, Reach can bring the benefit of unified communications & collaboration solutions to the small business owner with minimal investment.

During the course of the day, I tend to receive a lot of important information through instant messaging. People often send me URLs, phone numbers, action items, deadlines, screen shots, files and more. Therefore the ability to save - and search - my chat transcripts is extremely important. While Sametime will let me save individual chats through the File Menu, I prefer to have it save all of them for me automatically.

To do this, enter the Sametime Preferences Panel and select Chat History as indicated below. Then, set the default action to "Automatically save chats." You can determine where the chat histories should be stored, how long they should be kept and see how much space they take up on your hard drive.

One other plus is that when you open a chat window, Sametime will fill in the recent chat history for you. This is helpful in maintaining the context of the conversation over time.

Pop Quiz:
1. Do you consider geographic location a core component of presence awareness?
2. Did you know that Sametime has intelligent location awareness?

Many people are familiar with Sametime's more traditional presence attributes, but did you realize Sametime also provides a way to indicate where you are physically located? The first screen shot, below, shows my geographic location in the contact list. The second one shows how others see this information in a chat window.

Why is location important? On one level, it's useful to help you decide if you should reach out to someone and what kind of response you should expect from them. For example, when the boss will be available for that urgent conference call may vary with her current time zone. Location information also allows you to pro-actively engage colleagues. There are over 10,000 IBM'ers in the Research Triangle Park area and I often find myself on calls with local IBM'ers from other parts of the company. We're able to shift calls to face-to-face meetings and do some old fashioned "social networking." Conversely, when I travel, I use the Buddy Map plug-in (shown below) to see who is near me for meetings or dinner.

Location information also plays a crucial role in call routing for Sametime Unified Telephony. Rather than ring all of your phones in the hope you answer one, SUT uses your location information, online status, availability, time of day and the in-bound caller ID to ring the right phone, based on the rules you define.

Sametime also uniquely features intelligent location awareness. When you move to a new location, Sametime recognizes it and prompts you to create a profile. The profile can include a custom name, city, state, country, postal code, a preferred phone number and whether you want to let others see this information. As you move between places, Sametime will automatically switch location profiles for you.

Take a moment to set your current geographic location. You can manually access them in the preferences panel or though the Location button in your Contact List.

Answers to the Pop Quiz:
1. Of course location is a key component of rich presence!
2. Intelligent location awareness is one of my favorite things about Sametime!

I think there should be some option under preference\notifications that would allow the user to select the kind of notification required. Popup or flash title in titlebar..just like v7.5"

Thanks for the comment, Gaurav! There is a preferences setting to control exactly the behavior you are describing. Follow these steps:

Open the Preferences Pane and select Notifications from the list on the left side of the window.
On the right side, scroll through the list of events until you see "One-on-one chat." Click on it.
Deselect the check box that says "Bring chat window to the front."

How do you control who can reach you?

Sametime Privacy Controls

Sametime Privacy Controls let you determine:

who can reach you, even if you are in Do-Not-Disturb Mode

who can see that you are online inside your enterprise

who can see that you are online outside your enterprise (Public IM systems, other Sametime Communities, etc)

Using Privacy Controls is simple.
IBM Lotus Sametime Unified Telephony was released yesterday -- a month earlier than the target date we announced at VoiceCon in April!

Available now, IBM Lotus® Sametime® Unified Telephony software is unified communications middleware which integrates telephony across multivendor Private Branch Exchange (PBX) systems and provides a unified end user experience, including integrated softphones; phone and IM presence awareness; call control and rules-based call management across multiple communications systems. The virtual sessions provide for a more engaging experience than ordinary conference calls or Web conferences and enable geographically dispersed teams to meet online without sacrificing the benefits of in-person meetings. To see what Virtual Collaboration for Lotus Sametime has to offer, we prepared a short video you can watch. You can also visit the IBM Software Services for Lotus Web site.

As you may or may not know, IBM has been experimenting with using virtual worlds for business uses for quite some time. This is a continued extension of that business value discussion, with several companies and institutions very interested to learn how to better use these new tools, especially as younger workers continue to enter the workforce, bringing along their specific ways of communicating and collaborating with their peers.

So a question for you: does your company currently use virtual worlds in any business capacity, whether internal such as training or meetings, or external such as branding? If so, how would you see this type of virtual world collaboration adding to what you do today? If not, is this the type of innovation that might make you rethink the use of virtual worlds within a business environment?

How do Sametime users from different companies interact with each other? One way is through the Sametime Gateway, which allows for the exchange of presence status and simple text messages. But what if the users need more? What if they need voice or video chats? Or direct file transfers? Or they want to take advantage of the new drag & drop meeting invitations coming in 8.5? In that case, they might want to consider using Sametime's Multiple Community support.

To oversimplify, think of a Community as all the Sametime users in an enterprise. (The name comes from the fact that the Sametime presence & chat engine is called the Community Server.) With the right permissions, the Connect client can log into multiple Community Servers. For example, I use this to simultaneously collaborate with colleagues inside IBM (through our internal community) and outside IBM through sites like LotusLive, Greenhouse and Bleed Yellow. In addition, a few customers and partners have invited me to join their communities directly.

The nice thing about Sametime is that the Connect client provides a single, integrated view of all of your contacts across communities while giving you complete control over how you appear on each server. For example, the screen shot below shows that I have connections to five communities and am logged into four. I can log in and out of each one individually, as well as update my availability and set a custom status message for each. Or, I can use the "All" popup menu to control them as a group. Each community can also have a different icon, which will appear next to each user's name in the contact list or in the chat window. This way, you can always tell where someone is from. Of course, you can import custom icons, if you like.

Adding a new Sametime Community is fairly straightforward. Click on the "New" button (just below the "All" button in the screen shot) and select "New Server Community...". You'll need the following information:

the server URL & port

your user name / password or authentication server & type

the connection type (which is usually the default)

That's it. Give the Community a meaningful name, choose an icon (if you like) and you're done. You can edit and remove Communities from the Sametime Preferences panel.

One word of caution: Each individual who can connect to your Community Server counts as a user and needs to be appropriately licensed. Contact your sales or support representative to discuss the most appropriate licensing structure for your needs. And remember, if you have Sametime Standard or Advanced, you can always use the included Gateway to share presence and simple text chats with other Sametime Communities, as well as most public IM systems.

Have you tried the Tabbed Chat interface in Sametime? It consolidates all of your discussions (including Persistent Group Chats and Voice Chats) into a single window. I find this especially important as individual chat windows can become "lost" across multiple displays and virtual desktops. When traveling I also appreciate need for less screen real estate on my laptop's 13-inch screen.

To activate Tabbed Chats, go to Sametime Preferences-> Chat Window and check the box next to "Use tabbed windows for multiple chats". You also have the option of organizing the tabs across the top or down the side of the chat window, as illustrated below.

Vertical Tabs
Horizontal Tabs

Although it took a tad longer than anticipated, the Sametime 8.0.2 Gateway hotfix that enables OCS interoperability is now available on FixCentral. Just to recap:

Interoperability will include federated identity, online presence awareness and the ability to exchange text chats between enterprises

You'll need Sametime Standard 8.0.2 and the hotfix for the Sametime Gateway in 8.0.2

Sametime Advanced customers are entitled to all the features in Sametime Standard. Just upgrade to the Standard 8.0.2 components and apply the hotfix

Both companies are leveraging SIP/SIMPLE to connect the environments

This is specifically for Sametime / OCS interoperability... not MSN

OCS customers should check with Microsoft for any specific requirements

Addendum. See this technote on all the fixes in Sametime Gateway 8.0.2 Hotfix HF1
