Our team has been expanding and accomplishing quite a lot lately, with our new products in the works, and even more improvements to our Tempo Timesheets add-on. We figured it was due time to take a step back and celebrate all of our efforts. What else are Friday afternoons for?

An optimal means of assessing or measuring a business is needed in a manner that provides different dimensions for work done. The Accounts feature in our Tempo Timesheets add-on for JIRA offers businesses the option to break down every business operation to account for every dollar earned and spent to achieve their results. This feature was specifically created with the means to map Tempo to an external accounting system in mind.

Tempo Timesheets provides users with the ability to create accounts and map them to the appropriate customers, and also to map projects and issues within these accounts. Users can report not only on the customers and accounts, but also on teams, users, and on advanced sets of criteria. Our gadget feature enable teams to visualize business data, including the value and distribution of account data. Tempo data can then be printed, exported to Excel or PDF, or to an external API billing system.

Pre-Invoicing

Tempo’s Accounts feature is a pre-invoicing module that collects the details of logged work by employees on JIRA issues through Tempo Timesheets. It has many sub-elements of detail:

• Customer – this can be the name of a client or a common entity of your definition

• Category – a way to create a division for the account / customer, like Development or Marketing

• Account Lead – the responsible party in-house for the account, which needs to be a JIRA user

• Global Account – if set the account is included in every JIRA project

• Monthly Budget – how much time can be spent on an account during a particular period

How you opt to proceed with the data collected by Tempo Timesheets’ Accounts feature really depends on the size and type of your business. Perhaps the reporting possibilities in Tempo Timesheets is enough, where you can assemble reports by:

• Tempo User, Account Key => This provides totals by employee, which allows you manage your teams

• Account Key, Tempo User => This setup of a report provides an easy way to view invoicing information for non-billable time, as well as totals for each project / customer

Larger and more complex businesses will most likely want to integrate with an external accounting / invoicing system, where you continue to work with the data collected by Tempo accounting. This is possible through CSV or XML, which eliminates data-entry errors and is therefore more reliable.

Cost Analysis

The screenshot below shows how Tempo Timesheets’ Accounts can provide a precise collection of data to analyse profitability, if there are inefficiencies or to contribute to competitiveness, provide management with data and even shareholders. This all depends on your individual business’ needs, and what you’d need the data for. For instance, in what aspects are you looking to improve your business?

Gadgets

Tempo Timesheets also has a few gadgets in relation to Accounts:

• The Account Custom Budget Burn-up Chart gadget displays the progress for hours worked on an account and allows the user to insert a custom budget and also choose a custom period. This gadget provides great flexibility on how users can visualize data for a given account, and is a great addition for managers/executives to monitor the progress of their accounts, and to plan and allocate their resources accordingly.

• The Account Hours by Customer gadget displays hours worked during a designated period for each account for a selected customer. The available views are: column chart, pie chart and table, and the available periods to choose from are: the current period, previous period, week, Q1, Q2, Q3, Q4 and year-to-date. This gadget is a great addition for managers/executives to track, plan and allocate their resources.

• The Account Monthly Budget Burn-up Chart gadget displays the progress for hours worked on an account and its monthly budget. The chart also includes an estimation line that shows a forecast of how the progress might be later in the period and when the budget is reached. The estimation line can be turned off. Available periods with this gadget are current and prior. This gadget is a great addition for managers/executives to plan, allocate and monitor resources and account budget projections.

Tempo Reports

Each type of Tempo Timesheet, can also be viewed and searched in Report mode. These Tempo reports are simple, e.g. they can only focus on sub-sets (one account or a certain filter) of the data available in the system. However, they can be exported to Excel for more dynamic reporting and analysis.  This blog post describes how to extract a more robust Tempo report using high-level permissions api export, which can be updated daily.  And this blog post walks you through the steps of creating Excel exports of Tempo reports using limited permissions (accessible by all users) with custom data.

In addition, Tempo Timesheets account data can also be printed or exported to PDF, or exported using an external business solution.

Exporting Tempo Data into an External Tool

To do robust cost analysis, you may want to integrate Tempo Timesheets with your business solution, see, e.g. this blog post on our website on how to do this. Our Tempo API Guide also explains in more detail the services available for integration. Integration is very important for most companies, as JIRA does not provide an accounting system, an essential component for tracking expenditures like sick days and holidays.

Starting with Tempo Timesheets 7.4.3 (and GreenHopper 6.0.1), a Tempo Worklogs tab is now included in the GreenHopper Quick Issue View for Kanban boards.

To log work, simply select the Log Work option from the issue action list in the GreenHopper Quick View.

This will open up Tempo’s Log Work dialog.

Shortcut: Pressing t (for Tempo) also opens up the Log Work dialog.

Users with permission to log work for others can select the appropriate user with the User Picker in the Log Work dialog.

You can also easily access Tempo data on a JIRA issue from the GreenHopper Quick Issue View.

Users who have permission to view other users’ worklogs can select the display by clicking ‘My Worklogs‘ or the ‘All Worklogs‘ buttons, which will display the user’s or all worklogs associated with the issue.

All users with Tempo’s Time Tracking permission can click the ‘View Report‘ link that opens the ‘Issue Report‘ for the selected issue.

If there are no worklogs logged on the selected issue, then the There are no worklogs text will display.

What Are Holiday Schemes?

Holiday Schemes and Workload Schemes work in tandem with one another, but are a distinguishable example of Tempo’s new flexibility options for large organizations with distributed teams around the globe, and even for smaller teams with employees working on different schedules, such as part-time employees.

With Tempo’s Workload Schemes, Tempo Admins can create various workload schemes, designating work days and days off, and the required hours per day, and then assign users and groups to these schemes. Their Tempo timesheets will reflect the workload schemes to which they are assigned.

Likewise, our new Holiday Schemes enable Tempo Admins to create schemes based on floating and fixed holidays and organizational days off, and then assign users and groups to these schemes. These are separate from our Workload Schemes, but together, they generate the work requirements that are reflected in employee timesheets.

These Holiday Schemes are useful for distributed teams working internationally, and thus have different public holidays, and also for organizations that allow employees to observe different cultural or religious holidays.

Here’s an example of how the new Holiday Schemes work. A Default Scheme is initially added in Tempo, but Tempo Admins will need to update this scheme to designate non-working days, and then move users and groups out of the Default Scheme and into others, if desired.

To create a new Holiday Scheme, or to update the automatic Default Scheme, a Tempo Admin simply designates a name of the Fixed or Floating holiday (fixed are holidays that fall on the same day each year, like Christmas, while floating holidays, like Easter, do not), then a brief description, duration, and the date of the holiday, then clicks the Add button.

Issue Timesheet and Report now easily accessible

Tempo’s Issue Timesheet and Report views have not been easily accessible from the Tempo navigation menu, and to access these views, users need to go into a JIRA issue and select to view a Tempo Timesheet or Report from there. We’ve made life easier by adding an Issue picker in this drop-down. Select Issue, which will take users to the Issue timesheet view. From there, you can toggle back and forth from the Tempo Timesheet and Report view.

Filter View added in User Timesheet

A new filter has been added to the user interface, allowing users to view different issues based on a designated filter to be displayed in the User Timesheet. This is similar to Tempo’s Advanced Timesheet view, but it differs, as the User Timesheet will display issues regardless of whether work has been logged on them. Only issues in the filtered results will display.

The maximum number of issues displayed in the User Timesheet view has also been increased from 100 to 500 issues.  If a filter search results in more than 500 issues, a link is displayed to the filter so users can then narrow their search.

Tempo’s Real-Time Time Tracker bar can now be paused

This has been a highly requested feature that we’re happy to finally offer to users. Tempo’s Real-time Time Tracker bar has a new look-and-feel, which will display if the tracker is selected from Tempo’s main navigation list.

The tracker can be paused or stopped while running.

The tracker can also be started from the Issue Action list, as has been the case since its introduction.

Select a Sub-task from Issue Timesheet and Report views

An option has been added to the Issue Timesheet and Report views so that you can now display all sub-tasks attached to a JIRA Issue.

Filter option added to the Tempo Log Work Dialog

A new filter panel has been added to Tempo’s Log Work dialog, enabling users to restrict the Issue Picker search to a selected filter, either from the users’ own filters or from their favorited filters.

Planned and Billed Columns Added to Excel Export

We’ve made it even easier to build robust reports with useful data by adding Planned and Billed columns to the People sheet in the Excel export functionality for Tempo Reports.

Introducing the new Tempo Logo 

Our refreshed logo is bolder in color and form, and, we think, better reflects our own evolution as the creator of a small, home-grown product developed for our company’s own internal use, to the owner of a successful, thriving product that we’re really proud of.

But, wait! There’s more news, because the key to internal and professional growth is to always be learning and pushing ourselves forward, right? We’ve been listening a lot to what our customers and others have said about their needs surrounding JIRA over the past few years, and we’re responding to what they’re telling us. Some need planning and project management capabilities independent of time tracking. Some need cost and expense management, forecasting and analysis, and invoicing management. Some need all of these things. We’ve really tried to pinpoint what these needs are and tend to them with new products.

Enter Tempo’s Advanced Timesheets, which enable users to create timesheets based a selected filter. It’s easy.

Create a Tempo Timesheet based on a JIRA Filter

1. First, create a filter in JIRA

You can initially create a new filter by selecting Search for Issues under the Issues drop-down in the top Navigation list, which will take you to a JIRA search page. Here, you can search for filters, or write a search string in the search field.

Save your results as a new filter, and return to your timesheet view by clicking Advanced under the Tempo drop-down in the top Navigation list.

NB: Tempo JQL functions enhance the search functionality of JIRA by allowing users to base their search on Tempo data. In the above screenshot, the search string includes a search for the Account category “Development” associated with the Wikkiieea Cloud Project.

2. Generate a Tempo Timesheet from the filter

Once in the Advanced Timesheet view, you can write a search for the filter in the search field at the top of the page, and select an option from the matches. You can also click on the triangle next to the search box, which will show a list of recent filters used.

Click the Refresh icon to render the timesheet.

The timesheet for the selected filter will then display. Data is displayed on issues with logged time within the designated period.

You can also click the Report icon to view the Advanced Tempo Report associated with the custom timesheet you’ve just generated.

Create a Customized Timesheet Using Kanban

Customized timesheets can also be created in Tempo if using a Kanban in GreenHopper. Due to the flexible, ongoing nature of Kanban, it can be difficult to get a big picture overview of all time logged on Kanban issues within a given period. Tempo Timesheets can help you view time logged on a Kanban board within a selected period.

You can either create a Kanban board from a filter, and then create an Advanced Timesheet from that board, or alternately, you can create a filter from an existing Kanban board, and then generate a Tempo timesheet from that filter.

Here’s how:

1. Create a filter

Teams or users may wish to create a specific Kanban board for a particular Customer or Account, for instance. To do so, a filter must first be created for the specific search desired. Follow the steps in #1 above (“Create a Filter in JIRA”) using a Tempo-specific JQL search in the filter (for a particular Customer or Account, for instance).

2. Create a Kanban board from the filter

Once the desired filter has been created, it can be applied to generate a new Kanban board.

First, select Manage Boards under the Agile tab in Navigation list, then select Tools, and then Create Board.

Select the Advanced view, then select the filter, name the board, and click Create.

Once you click Create, a configurable Kanban board will display. Now you’re visualizing your Timesheet.

3. Alternately, create a filter from an existing Kanban

To create an Advanced Timesheet from a Kanban board, go to Tools, then Configure. Copy the Filter Query.

Tempo Admins and those granted access by an Admin can see an Edit Filter link under the Filter Query. Click on this link, which will take you to the filter, where you can refine the search, if desired. GreenHopper will add a prefix to the Kanban board name (i.e., “Filter for…”).

Alternately, copy the Filter Query and select Search for Issues under the Issues tab in the top Navigation list, then click on the New Filter link on the top left of the page. Paste in the Filter Query, click search, and your results will show.

Click the Save it as a filter link under Operations on left navigation column, name your new filter, add a description, favorite it, share it, and click Save.

4. Generate an Advanced Tempo Timesheet

Select Advanced from the Navigation list under Tempo, and search for the filter in the search field at the top of the timesheet (or click the triangle in the search box to and select from a drop-down of recent filters used).

Click the Refresh icon to render the Advanced Timesheet.

Vóila!

With the addition of a number of new features, Tempo is even more integrated with GreenHopper than ever (and we have some additional new features related to our GreenHopper in the pipeline, so stay tuned!). The first batch of integrations (included in Tempo 7.4.3), enable Agile teams to do their day-to-day time-tracking without ever leaving their rapid board.

Scrum Masters who are also Tempo Team Leaders can also now view and log work for their entire team] in Tempo directly from GreenHopper, and can also access all Tempo time tracking information using the new Tempo Worklogs tab located in the GreenHopper issue view. It neatly displays all spent time on a issue on the issue view, regardless of timeframe, and can be used to display just your own time or everyone’s time spent on the issue.

This allows users to glimpse at the effort that went into a story without ever leaving the rapid board. If you need to dig deeper, the Tempo Report is just one click away.

In addition, GreenHopper users can access their own Tempo worklogs directly from their GreenHopper quick issue view, without ever having to leave GreenHopper. These new integrations make it difficult to justify not using this time tracking medium for Agile teams.
