<p>So, when will you get it done?  Ever have a task that lingers on your todo list&#8230; like forever?</p>
<p>You cannot do things tomorrow&#8230;</p>
<ul>
<li>Tomorrow doesn&#8217;t care about deadlines.</li>
<li>Tomorrow creates more work.</li>
<li>Tomorrow doesn&#8217;t get things done.</li>
<li>Tomorrow is not your productivity friend.</li>
</ul>
<p>Do you have some big goals that don&#8217;t seem any closer than New Year&#8217;s Day when you wrote them down?</p>
<p>Maybe things like:</p>
<ul>
<li>Get in shape</li>
<li>Learn that new skill to advance your career</li>
<li>That home improvement project</li>
<li>Write a book</li>
<li>Start that hobby</li>
</ul>

<h2><strong><span style="color: #3366ff;">Try Today Instead of Tomorrow</span></strong></h2>
<p>I want you to do <strong><em>something</em></strong> today.  Do something that you have been putting off&#8230;</p>
<p>&#8220;I&#8217;ll workout today.&#8221;  &#8221;I&#8217;ll start that project today.&#8221;  &#8221;I&#8217;ll do <strong><em>that</em></strong> today.&#8221;</p>
<p>So, next time you think, &#8220;I&#8217;ll do it tomorrow.&#8221;  Try substituting <strong><em>today</em></strong>.</p>
<p>That one word makes all the difference.</p>

<p>How many times have you wished that you had just one more hour in a day to play video games, finish a project, or pursue a hobby?  We all have tasks that need to be done every day, and only in our spare time can we indulge in our interests.  However, it is the way in which we go about accomplishing these tasks that can be streamlined into an efficient manner.</p>
<p>As a full-time college student, this resonates a lot to me.  Between juggling classes, homework, extracurriculars, work, and LA traffic, I was having a hard time performing well in the classroom while finding free time to decompress.  I didn’t want to live at the library, but I still wanted to get good grades.  Therefore, I became very interested in increasing my productivity and maximizing every hour.<span id="more-2233"></span> Safe to say, I’m in a good place right now thanks to these tips:</p>
<ol>
<li><strong><span style="text-decoration: underline;">Obey the 80/20 Rule</span></strong> &#8211; The 80/20 Rule allows you to spend your time efficiently. This rule states that 80% of our results come from 20% of our actions.  If we can identify correctly the 20% of our actions that leads to 80% of our results and expand/nurture them, it is very easy to gain more results.  For example: you’re a salesperson who has 100 clients.  Twenty of your clients make up 80% of your commission.  So what do you do?  <em>Instead of only giving them 20% of your time, give 30-40% of your time making sure they’re satisfied with you and your product/service, and use the leftover time on your 80 other clients. </em> After awhile, step back and see if you have increased your results.  If not, reassess which 20 clients are earning you the most commission and redirect most of your time and effort to them.  Rinse and repeat.</li>
<li><strong><span style="text-decoration: underline;">Eliminate Distractions</span></strong> &#8211; Facebook and Twitter can be the bane of our existence, or not.  If you’re trying to concentrate on a task at hand, <em>silence your phone, close your laptop, and start working</em>.  These simple actions may be difficult to do, but your friends’ status updates will still be there in an hour.</li>
<li><strong><span style="text-decoration: underline;">Say No</span></strong> &#8211; A big problem in not having enough time is having too much on your plate.  Focus on getting the essential things done, and <em>done well</em>, before adding more.</li>
<li><strong><span style="text-decoration: underline;">Wake Up Early</span></strong>- This is a very easy way to gain more time.  By sleeping earlier and waking up earlier, you replace a <em><strong>few distracting hours at night with a few peaceful hours</strong></em><em><strong> in the morning</strong></em><strong>. </strong> It is also an effective way to eliminate distractions, too.</li>
<li><strong><span style="text-decoration: underline;">Develop a Routine</span></strong> &#8211; When you set aside a chunk of time to get things done, not only do you <em><strong>prevent an accumulation of last-minute tasks</strong></em>, but you can also accomplish a lot on a consistent basis.</li>
<li><strong><span style="text-decoration: underline;">Use Technology</span></strong> &#8211; There’s an abundance of productivity tools that can help you out.  I haven’t tried out many, but one that I do swear by is Google calendar.  At the end of your day, you can <em>consolidate all the tasks/events</em> for the future on your laptop.  When you’re on the go, you can sync Google calendar to your phone so that you can view your schedule anywhere.  It’s much easier than carrying a planner around.</li>
<li><strong><span style="text-decoration: underline;">Organize</span></strong> &#8211; Steps 5 &amp; 6 both allude to organization. Whether it is your room, your work, or your life, <em><strong>being organized saves time</strong></em><strong>.</strong> Maintaining a calendar, especially one with time chunks delegated to organizing, is a great first step.</li>
<li><strong><span style="text-decoration: underline;">Find a Suitable Work Environment</span></strong> &#8211; I’m not saying you shouldn’t work in front of the TV, but you should work in the environment which is <em>most conducive</em> for you.  For me, I enjoy working at coffee shops or libraries.  I enjoy the ambient noise and the occasional croissant.  The trick is to get up and go there. <strong> </strong></li>
<li><strong><span style="text-decoration: underline;">Don’t Multitask</span></strong> &#8211; While you may be under the illusion that you’re accomplishing two things at once, it might not be the case.  By singletasking, you will be able to produce <em>high-quality work in less time</em>. As a bonus, you may find yourself enjoying and/or understanding the task-at-hand more.</li>
<li><strong><span style="text-decoration: underline;">Decompress</span></strong> &#8211; Focus and quality of work start to diminish if you don’t take a break.  To ensure that you are working at your best, take a five to ten minute break every hour.  After you’re done with your work, <em>chill out to your heart’s content</em>.</li>
</ol>

<p>Recently, a close friend and business associate had an idea that he wanted to discuss with me.  However, he was unable to call me.</p>
<p>After a day or two, he finally emailed asking me to give him a ring.</p>
<p>When we finally connected, I asked him why he didn&#8217;t simply call me.</p>
<p>He responded, &#8220;I lost your phone number.  It was in my other email and I couldn&#8217;t find it.&#8221;</p>
<p>Huh?  Really, he <strong><em>lost</em></strong> my number?</p>
<p>Does this still happen in the Internet age?  Yes, more than you think.<span id="more-253"></span></p>
<h2><span style="color: #3366ff;">The Power of Phone Numbers</span></h2>
<p>In this example, my friend was unable to reach me about a simple business idea. What if it had been something more urgent?</p>
<p>The strange part is that <strong><em>we don&#8217;t memorize phone numbers any more.</em></strong> We used to, but now we expect them to be at our fingertips on our cell phones.</p>
<p>If you lost your phone, would you have the numbers you need?  Can you recite your family members #&#8217;s without looking them up?  Many people cannot.</p>
<p>Ironically, the Internet is great at giving me the phone number to a local restaurant, but not so good at looking up the cell number of the client I spoke to last month.</p>
<p>While technology has made it easier for us locate some phone numbers, an address book is still a vital part of any time management system.</p>
<p>Here are some of my favorite tips for getting the most out of your address book:</p>
<h3><span style="color: #3366ff;">TMN&#8217;s Address Book Tips</span></h3>
<ul>
<li><strong><span style="text-decoration: underline;">One Address Book</span></strong> &#8211; My friend fell victim to the fact that he was keeping contact information in multiple places.  Keep one address book for all your contacts.  You can sync it across your computer, the web, and your phone, so that you always have it available.</li>
<li><strong><span style="text-decoration: underline;">Always Capture</span></strong> &#8211; Always, always, always capture phone numbers when you have the chance.  You never know when you will need a particular number again.  If someone calls me from their cell, I am quick to add it to their profile in my address book.  I never know when I might need to reach them.</li>
<li><strong><span style="text-decoration: underline;">Where Is Your Backup?</span></strong> &#8211; Once upon a time, if you lost your cell phone, you lost all the numbers in it.  However, these days it is pretty easy to backup your cell phone&#8217;s address book.  If you are not regularly syncing your device, you are putting your information at risk.  Your address book is valuable, make sure you back it up regularly.</li>
</ul>
<p>Many people underestimate the power of the address book.  But, it can be a powerful tool in your time management efforts.  Here are just a few ways your address book can serve you:</p>
<h3><span style="color: #3366ff;">The Power of Your Address Book</span></h3>
<ul>
<li><strong><span style="text-decoration: underline;">Saves times from Searching</span></strong> &#8211; Are you always searching for a missing phone number?  Being disciplined about capturing phone numbers saves you time when you need that number again.  Most phone numbers that people look up are <strong><em>ones that they have looked up before!</em></strong></li>
<li><strong><span style="text-decoration: underline;">Opens Opportunities</span></strong> &#8211; You never know when a simple phone number will open an opportunity for you.  On a business trip, I unexpectedly arrived in a city several hours ahead of schedule.  I would have spent the time doing miscellaneous tasks. However, I happened to have captured the cell phone number of one of the client VP&#8217;s I was meeting with later in the day.  With a quick call, I suddenly had a lunch appointment with this VP.  It made the entire client engagement go smoother.</li>
<li><strong><span style="text-decoration: underline;">Know Who is Calling</span></strong> &#8211; Why hasn&#8217;t CallerId made it to the cell phone world?  I don&#8217;t know.  How many times have you looked at your ringing cell phone and asked, &#8220;Where is area code ____?  Who is this calling?&#8221;  Yet, the simple answer to this issue is to have the # in your address book on your phone, so that it will come up with the person&#8217;s name.  I keep my entire address book on my cell phone just for this reason. A few weeks ago, a colleague I had not spoken to in four years called me.  His # was in my address book and when he rang, his name came right up on my cell.  He fell out of his chair when I answered the phone, &#8220;Hi Jerry, it&#8217;s been a while.  How have you been?&#8221;</li>

<p>Discipline keeping an address book is an important skill.  Ensure that you maintain your address book and back it up regularly.</p>
<p>The next time you encounter a phone number that you may need again, make sure you are quick to capture it.  You never know when it may open the door to a future opportunity.</p>

<h2><span style="color: #3366ff;">Ahead of the Pack</span></h2>
<p>Getting a lead over your work can make all the difference when it comes to planning and organization.  By preparing for your week, you will have a head start in everything you need to do.</p>
<p>Here are some areas to consider for <strong>&#8220;Staring Your Week Ahead of the Pack:&#8221;</strong></p>
<p><strong><span style="text-decoration: underline;">Ahead of Appointments</span></strong> &#8211; Review your calendar for the entire week on Monday morning.  Look for conflicts.  The time to sort them out is now, not when you are suddenly supposed to be in two places at once.    Block time for your projects and <a href="http://timemanagementninja.com/2010/06/why-you-need-an-appointment-for-tough-tasks/" target="_blank">make appointments</a> with your most important work.</p>
<p><strong><span style="text-decoration: underline;">Ahead of Your Inbox</span></strong> &#8211; The beginning of the week is a great time to tame your inbox. Get it to zero.  Clean up any remaining items from the previous week.  Get prepared for this week and send off any emails that you need to get in motion.</p>
<p><strong><span style="text-decoration: underline;">Ahead of Your Tasks</span></strong> &#8211; Know what you need to get done this week.  Review your master list and construct <a href="http://timemanagementninja.com/2010/07/the-secret-of-today-versus-todo/" target="_blank">today&#8217;s list</a>.  Also, it can be very empowering to knock out a few important todos <strong><em>first thing in the morning.</em></strong> Nothing drives motivation and positive attitude like completed tasks.</p>
<p><strong><span style="text-decoration: underline;">Ahead of Deadlines</span></strong> &#8211; What deadlines do you have looming?  Is there anything that needs to be prioritized so that you can make your project deadlines?  Finishing things ahead of deadlines not only reduces stress, but leads to better deliverables because you will have time to review.</p>
<p><strong><span style="text-decoration: underline;">Ahead of Your Boss</span></strong> &#8211; From one of my first experiences with a &#8220;bad boss,&#8221; I learned that one of the best ways to excel in your career is to stay one step ahead of them. Hopefully you have a great boss, but you can still excel by staying one step ahead. What do you need to do to ensure that your boss has what they need this week? (BTW, this applies whether your &#8220;boss&#8221; is a direct supervisor, a client, or your customers.)</p>
<p><strong><span style="text-decoration: underline;">Ahead of Your Peers</span></strong> &#8211; While your peers are busy re-telling their stories from the weekend for the 37th time, you can get your week going.  Don&#8217;t hang out with the lollygaggers on Monday morning.  By the time they settle in and hit full panic mode, you will be riding smooth.</p>
<h2><span style="color: #3366ff;">A Good Start Leads to a Good Week</span></h2>
<p>Getting ahead as the week begins is a powerful strategy for your entire week.  While others are slow on the uptake, use the opportunity to get ahead of the pack.</p>
<p>Strong preparation and a head start will drive your motivation and productivity in everything you do.</p>

<p>Whoa&#8230;how did I get here?<span id="more-1785"></span></p>
<p>It is easy to get distracted from our work.  This is especially true when it comes to the Internet.</p>
<p>How do you keep on task?  Stay on the path to your goals?</p>
<h2><strong><span style="color: #3366ff;">Staying On Target</span></strong></h2>
<p>One of the biggest obstacles to getting things done are all the other things that come up.  All of the things that distract us before we complete the task at hand.  In today&#8217;s fast paced world, it seems that there are too many things to feed our distraction appetite.  Email.  Text messages.  Websites.  Facebook.  The list goes on.</p>
<p>What happens?  You sit down to finish a very important task and after a short time you find yourself doing <strong><em>everything but the task that you sat down to do.</em></strong></p>
<p>So, how do you stay on target with your tasks?  Here are a few of my favorite tips and strategies:</p>
<ul>
<li><span style="text-decoration: underline;"><strong>Eliminate Distractions</strong></span> &#8211; To prevent distractions, take them out of the picture. Close your email client.  Shut off your Internet connection if you must.  Find a quiet place to work.  Silence your phone.</li>
<li><strong><span style="text-decoration: underline;">Written Goals</span></strong> &#8211; Writing things down provides tremendous motivation to getting it done.  From your daily todo list to your long term goals, written objectives will help you be clear about what you intend to accomplish.  It also serves as reference point for your progress.</li>
<li><strong><span style="text-decoration: underline;">Schedule Time</span></strong> &#8211; If things keep getting in the way of an important task, sometimes it is best to <a href="http://timemanagementninja.com/2010/06/why-you-need-an-appointment-for-tough-tasks/" target="_blank">schedule an appointment</a> on your calendar to complete that item.  Block time to do nothing but work on that task.</li>
<li><strong><span style="text-decoration: underline;">Keep An Organized Workspace</span></strong> &#8211; A clean workspace leads to better work. Some people will argue that they have an organized mess on their desk.  However, the less physical clutter you have to distract you will lead to increased productivity.</li>
<li><strong><span style="text-decoration: underline;">No Multitasking</span></strong> &#8211; You simply cannot give your full attention to two things at the same time.  Multitasking leads to interrupted tasks and lower quality work.  Better to stick to one task and then move on to the next.</li>
<li><strong><span style="text-decoration: underline;">Finish Things to Done</span></strong> &#8211; Resist the urge to start another task before you have closed the one you are working on.  Tasks that are partially done end up creating more work for you later.  They take more effort to complete when you come back to them.  It is often better to complete a few items than to start many.</li>
</ul>

<h2><strong><span style="color: #3366ff;">Too Many Distractions</span></strong></h2>
<p>These days it seems that there are way too many distractions during meetings.  I am not sure if any meeting gets completed without some sort of interruption.</p>
<p>Laptops.  Email.  Text Messages.  Ringing cell phones.</p>
<p>Some people are blatant.  Checking their email.  Texting.  Answering phone calls. Even updating Facebook.</p>
<p>It seems that any meeting etiquette or efficiency has been long forgotten.</p>
<p>In a meeting recently, a manager walked in, sat down their laptop, and rhetorically asked, &#8220;Is it OK with everyone if I work straight through this meeting?  I have lots to do.&#8221;</p>
<p>Um, well, we all do.  That is why we need to hold an efficient meeting.</p>
<h2><span style="color: #3366ff;">Beyond the Topless Meeting</span></h2>
<p>A few years ago, the term &#8220;<a href="http://www.time.com/time/specials/packages/article/0,28804,1855948_1864100_1864110,00.html" target="_blank">topless meeting</a>&#8221; was coined.  It referred to meetings at which laptops were not allowed.  The idea was to keep people from doing other work while in a meeting.  Technology has evolved since then with smartphones, social media, and more.  Today we have even more distractions.</p>
<p>So, I propose that for a truly efficient meeting&#8230; you have to <em><strong>disarm your meetings.</strong></em></p>
<p>Here are a few tips to disarm the distractions that typically interrupt meetings.  After all, meetings should be participatory events.  Otherwise, there is no reason to take up people&#8217;s time.</p>
<p><strong>How to Disarm Your Meeting Distractions:</strong></p>
<ul>
<li><strong><span style="text-decoration: underline;">Set Rules in Advance</span></strong> &#8211; Setting expectations is key to getting your team members on board.  It also can prevent you having to call someone out during the meeting.  Let them know the rules in advance.  What is acceptable and not acceptable meeting behavior.</li>
<li><strong><span style="text-decoration: underline;">Right To Decline</span></strong> &#8211; One reason that people do other work during meetings is that they feel obligated to attend even when they <em><strong>have something more important</strong></em> they should be doing.  If you empower your people with the &#8220;<a href="http://timemanagementninja.com/2010/03/a-declaration-why-you-need-the-right-to-decline/" target="_blank">Right to Decline</a>,&#8221; they can make the right choice about whether they should attend a meeting.</li>
<li><strong><span style="text-decoration: underline;">Disarm Participants</span></strong> &#8211; Have all participants &#8220;disarm.&#8221;  Laptops, cell phones, and any other tech weapons.  Leave them at the door or place them out of reach.  If you want to really have a productive meeting, only allow participants to show up with paper and pen.</li>
<li><strong><span style="text-decoration: underline;">Do Not Allow Latecomers</span></strong> &#8211; If someone is more that a few minutes late, they should not be allowed to join the conference.  Have you ever had someone join at the 30 minute point and the entire meeting <strong><em>starts over?</em></strong></li>
<li><strong><span style="text-decoration: underline;">No Calls During the Meeting</span></strong> &#8211; When did it become acceptable to answer a cell phone call right &#8220;in&#8221; the meeting.  If you must take a call, exit the room.  No exceptions.</li>
<li><strong><span style="text-decoration: underline;">Ask Those Working on Other Things to Leave</span></strong> &#8211; Stand firm with the attendees. If someone is doing something else on their laptop, then they should be asked to leave.  If it is that important, (and it could be!), then it deserves to be worked on elsewhere.</li>
</ul>
<p>These meeting tips seem simple.  Yet, they are not followed in most business environments.  These rules should apply from the most senior to the junior person in the room.  It is not uncommon for executives to &#8220;pull rank&#8221; and pretend the rules do not apply to them.</p>
<p>By disarming the common distractions, your meetings will become more productive, and even take less time.  Additionally, your team members will remain more engaged and more likely to contribute.</p>

<p>A co-worker or a client suddenly needs something <strong><em>immediately</em></strong>.  It is an <strong><em>emergency</em></strong>. We all have to stop what we are doing and deal with the <strong><em>fire drill.</em></strong></p>
<p>Suddenly, everyone is scrambling to address the issue at hand and all other tasks go out the window.<span id="more-1515"></span></p>
<h2><span style="color: #3366ff;">Bring on the Fire Drill</span></h2>
<p>So, begins the &#8220;fire drill.&#8221;  You know what happens next.  All other priorities get pushed aside.  Work in progress gets stopped.  Far too many people end up involved in extinguishing the hot situation.  How often do these fire drills interrupt your day?</p>
<p>If you are like most, fire drills are a common occurrence in your workplace.</p>
<p>But, what would happen if you <strong><em>chose to say no to the fire drill? </em></strong>Would the earth stop spinning?  Would you lose your job?</p>
<p>Let&#8217;s consider<strong> &#8220;</strong><em><strong>5 Reasons To Say No To The Fire Drill&#8230;&#8221;</strong></em></p>
<h2><span style="color: #3366ff;">1 &#8211; The Emergency is Not an Emergency</span></h2>
<p>&#8220;I need it now.&#8221;  &#8221;It is overdue.&#8221;  &#8221;We have a serious problem.&#8221;  These seem to be common statements in our fast-paced work environments.</p>
<p>But, is this really the case?  Many so-called fire drills are not really that important.  In fact, they may only be the individual&#8217;s desire to get something done.</p>
<p>Before you let one of your colleagues interrupt others&#8217; productivity, ensure that the situation is truly important.  Otherwise, you may be facing a case of a co-worker &#8220;crying wolf,&#8221; or even worse, selfishly putting their priorities ahead of everyone else&#8217;s.</p>
<h2><span style="color: #3366ff;">2 &#8211; The Fire Drill is Worse Than the Fire</span></h2>
<p>Many people panic when a fire drill happens.  All current work gets dropped and much time is lost running around figuring out how to deal with the issue.  But, we often forget about the impact of all the work that gets derailed.  How many other balls got dropped as a result of the fire drill?  What is the cost in time and money?</p>
<p>Sometimes, <strong><em>putting out the fire actually costs more than the fire itself.</em></strong></p>
<p>Does it really makes sense to incur the cost if the solution is worse than the problem? I have seen a dozen executives locked in a meeting room to debate a minor issue. How much did that cost in lost opportunities, but also in $/hr?</p>
<h2><span style="color: #3366ff;">3 &#8211; Putting Out the Fire Covers up the Lesson Learned</span></h2>
<p>Sometimes the efforts to put out the fire covers up the lesson to be learned.  Often, what caused the fire drill in the first place is lost during the subsequent efforts to extinguish the fire.</p>
<p>Sometimes you don&#8217;t have a choice but to address the hot issue immediately.  However, try be aware of the lesson to be learned from the situation.  If improvements can be made as a result of the situation, you can prevent it from happening again in the future.</p>
<h2><span style="color: #3366ff;">4 &#8211; Sometimes Things Need to Fail</span></h2>
<p>This is tough, but true.  Sometimes things need to fail.  And people do too.</p>
<p>Many companies are guilty of constantly covering up their problems.  Their reactions cover up the failures in either process or people that are causing the problems.</p>
<p>If things do not fail, they do not get addressed.  If a broken process is constantly worked around, it never gets fixed.  If team members are constantly doing the work for a failing co-worker, then that person&#8217;s performance is never improved or addressed.</p>
<p>Problems that are hidden, or worse ignored, can ultimately lead to even bigger disasters in the future.</p>
<h2><span style="color: #3366ff;">5 &#8211; Prevents Accountability</span></h2>
<p>During the confusion of many fire drills, all accountability goes out the window.  The team is so consumed with situation, that &#8220;how we got here in the first place&#8221; is lost.</p>
<p>Even more interesting is that you will often see people taking credit for addressing fire drills that <strong><em>they were directly responsible for causing</em></strong> in the first place!</p>
<h2><span style="color: #3366ff;">Consider Before Acting</span></h2>
<p>So when the next fire drill comes up, take a few moments to consider your actions before immediately dropping everything.  Sometimes it is absolutely necessary to immediately jump on the latest fire drill.  However, here are some things to consider:</p>
<ul>
<li>Is it truly urgent?</li>
<li>What impact will the fire drill have upon other work?</li>
<li>What lesson is to be learned from the situation?</li>
<li>Is there an underlying issue that is causing the situation?</li>
<li>Does anyone need to be held accountable?</li>
</ul>

<p>Recently, I went on a &#8220;Tour Of Homes&#8221; which featured many fancy restored houses. The thought that stuck with me, was that all these old homes had walls and walls of built-in bookcases.  (Filled with old books, of course!)  Some must have had five or six rooms with &#8220;book walls.&#8221;</p>
<p>Now, these were historic homes.  I doubt that many of us have that many bookshelves.<span id="more-2275"></span></p>
<p>However, most people have at least one area of their home that is taken up by books. I have a small alcove that has two bookshelves containing several hundred books that I have accumulated.  But, I have not read any of them in years.  In fact, I have picked up less than a dozen for reference in that time.  Why?  Perhaps, it&#8217;s because the Internet has replaced them as a source of information.</p>
<p>As I stood in the historic homes, among their myriad rows of books, I couldn&#8217;t help but wonder if my young son&#8217;s future house would have bookshelves in it.  (When he grows up.)  Maybe, it will take until his kids&#8217; generation, but I don&#8217;t think homes of the future will be filled with books.</p>
<p>These days, I read almost all my books on my iPad or iPhone.  (Kindle App and iBooks.)  And while I am an early adopter, it is likely that our kids and their kids will not stack their homes with books, but rather get their knowledge from online and electronic sources.</p>
<p>Ironically, just yesterday Amazon reported that they are now selling more eBooks that physical hardcover books.  (See article <a href="http://www.wired.com/gadgetlab/2010/07/amazon-e-books-outsell-hardcovers/" target="_blank">here</a>.)</p>
<p>Will books be considered clutter in the future?  Maybe.  But, I think we can reclaim some of that space that we have traditionally allocated for physical books.  On my home improvement list is to clear out those old bookshelves and make better use of the space.</p>

<p>This weekend, there was an interesting <a href="http://content.usatoday.com/communities/technologylive/post/2010/07/e-mail-stress-when-is-too-much-e-mail-too-much/1?loc=interstitialskip" target="_blank">USA Today article</a> about a Harris Interactive poll that showed that more than 50 emails a day is the tipping point for most people to be overwhelmed by their work email.</p>
<p>Does this sound like you?  Do you drown in your work email to the point that eventually you start over every few weeks?</p>
<p>Some think it is ok to let email pile sky high.  They think that just because it is not paper, it is OK to keep 10,000 emails in their inbox.</p>
<p>However, if your desk at work had that much piled up, don&#8217;t you think your boss would take action?  Why is virtual clutter more acceptable than a physical mess?</p>
<p>So, to that end, here are 7 tough tips to keep your email in check&#8230;<span id="more-1727"></span></p>
<h3><span style="color: #3366ff;"><strong>7 Ways to Be Ruthless with Your Email</strong></span></h3>
<ol>
<li><strong><span style="text-decoration: underline;">Don&#8217;t Be Afraid to Delete It </span></strong>- This one fear is what keeps many people&#8217;s inbox overflowing.  They are worried they may delete something important.  This leads to email paralysis.  I recommend being quick to delete (or archive if you feel better) your messages.  Your gut is often right about whether or not you will need something again.  Either way, get it out of your inbox and into an archive folder.  And trust me, if you do delete something important.  It will come back to your inbox again.  Probably several times.</li>
<li><strong><span style="text-decoration: underline;">Not All Email is Worthy of a Response</span></strong> &#8211; This tip is going to upset a few people.  However, you spamming me does not mean that I have to waste my time responding to you.  And yes, work spam counts.  There are people who are masters of shuffling email to make it look like they are working.  Resist the temptation to respond to every frivolous email that is popped into your inbox.  Avoid engaging the email shufflers.  I knew one manager who was so prevalent at forwarding emails that he would often forward his co-workers&#8217; emails back to them like it was a new idea.  Amazing!</li>
<li><strong><span style="text-decoration: underline;">You Open It, You Own It</span></strong> &#8211; This is one of my favorites.  You just opened that email asking if you want to do lunch next week.  So, you close it and decide to look at it again later, and it sits in your inbox.  Instead, if you open an email <strong><em>take action right then</em></strong>.  Either answer it, file it, or add it to your todo list.  Then get the email out of your inbox.  This one tip can change the landscape of your inbox forever.</li>
<li><strong><span style="text-decoration: underline;">Don&#8217;t Subscribe to Mailing Lists</span></strong> &#8211; If you are trying to keep your email under control, why do you keep subscribing to email lists?  Take the few moments to unsubscribe from lists you are on.  You don&#8217;t need the airline specials or latest web deals in your inbox.  If the sender has made it difficult to unsubscribe, then simply block email from them.  Also, as an alternative, <a href="http://timemanagementninja.com/2010/07/save-time-and-stop-surfing-with-rss/" target="_blank">use RSS</a> to get the information you need from websites instead of joining their mailing list.</li>
<li><strong><span style="text-decoration: underline;">Don&#8217;t Read Email When You Shouldn&#8217;t </span></strong>- Do you read your email at night before bed?  On weekends? On vacation?  Why?  Are you going to take action on it immediately?  Probably not.  Only read email when you are in a position to take action.  Otherwise, you are just creating unnecessary stress for yourself.  Remember, email should be a tool, not a leash.</li>
<li><strong><span style="text-decoration: underline;">Do Not Let Email Rule Your Time</span></strong> &#8211; This is an important one.  If you let it, email will take up all your time.  I have seen people that let email take up 75% of their work day.  However, for most, <strong><em>email is not your work.</em></strong> Many people make this confusion.  So, get out of your email and get to your work.  Set boundaries and time limits to ensure that email does not take up an inordinate amount of your time.</li>
<li><strong><span style="text-decoration: underline;">Set Expectations Around Your Email</span></strong> &#8211; If people expect you to sit in front of your computer all day long and <strong><em>jump</em></strong> every time they send you something, then they will keep expecting you to do it!  Ensure that the standard you set is that email is for non-urgent communication.  If something is urgent, make sure your colleagues call you or come see you in person.</li>
</ol>

<p>Sometimes you have to use a little force to keep your email in check.  Don&#8217;t be afraid to get a little tough with your email.</p>
