Becoming Faceless on Facebook!

Just what can you do if your Facebook account gets disabled?

Recently I was trying to solve this very problem as that's what happened to my husband's account, and right in the middle of chatting, with no warning!

The thing is, I've never been a big Facebook user myself, so I haven't really understood the phenomenon. Maybe it's the fact that I can't be bothered with the childish pokes, tickles, pillow fights, polls etc, but I'm suspecting it's more likely due to Twitter, as I discovered them both around the same time! he he Anyway, it was only when I created an account for my husband a few months ago, I actually started to take Facebook, and it's importance, very seriously.

To give you a bit of background, my husband comes from a pre-war small town called Knin in Croatia, which is also where my parents are from, and where we lived for 2.5 years until recently. Since the war ended there in '95, the majority of the 30,000 population resettled around the globe, and most relied on word of mouth to find out what actually happened to family and long lost friends. I set up my husband on Facebook to try and find his lost community, and so he started asking around, and eventually reconnecting with his history. Rather quickly word got out he was on there, and within weeks he had over 500+ new "old“ friends, many he hadn't heard a word about or from since that fateful day when they all forcibly fled their hometown en masse. Anyhow, once again he could interact with the "locals", sharing memories and updating eachother on what everyone had gotten up to in the past 14 years or more. It was quite heartwarming to see the many friendship requests popping up on a daily basis.

So you can imagine how distraught he was when his account was disabled, as he hadn't even thought to grab emails from these friends as a precaution. I emailed Facebook a few times pleading our case, even tweeting the always helpful Facebook Queen @MariSmith for advice, and she advised it can take up to 7-10 days for it to be enabled. So we waited and sweated it out........and FINALLY, THANKFULLY, one month later it was back!!

This is why I'm urging you all now to get familiar with the reasons why your account could get disabled, and if this happens, what you can do about it. Lately I have noticed, most likely due to the current economic climate, there has been a noticeable increase in people wanting to know how to become a Virtual Assistant (VA).

On a daily basis I'm reading comments online such as "I need more money/can't find a job/want to work from home, so I'm thinking of becoming a VA“ etc. Whilst it is great many are considering entering this exciting home based industry, unfortunately there are many misleading "Anybody can do it!“ articles that do not properly address the realities of what it takes run a successful Virtual Assistance business.

Being your own boss certainly has benefits, but it's definitely not for everyone. It's not a matter of being able to type fast or even having years of great administrative or secretarial experience – it's about being able to manage your own business well.

There are so many factors to consider when thinking about starting your own Virtual Assistance business, all of which should be covered in a detailed business plan BEFORE starting up. Things to include would be:

What do you have to do to set up properly?

Are you going to specialise or offer general services?

What hardware and software do you need? Budget?

How will you price your services and what sort of terms will you have?

What are your short, medium and long term goals for your business?

Will you be working totally virtually or also doing onsite work?

How will you market your business on and offline?

How many unbillable hours will you have per week to attend to necessary bookkeeping, marketing activities, ongoing training and development etc?

Do you have the time and energy to really focus on your business alongside your other life commitments?

And so on...

A major issue many VAs still have is the "I'm an employee“ mentality which is a big no-no and has to be changed before you seek any client. What's the difference? Simply, a Virtual Assistant is also a business owner who is in control of their own rates, hours, terms etc and already has the experience and skills necessary to do the job. It is also normal to have many clients at a time, so a VA is more like a consultant rather than an employee. (for more read "What Does Virtual Assistant Really Mean?")

Basically, if you're looking for an easy full proof way of making a living, a Virtual Assistant is not it! There are no guarantees, and you have to put a constant effort into all aspects of your business if you are to succeed in the longterm.

I've been asked many times how the global recession is affecting my business, and truthfully it has actually worked in my favour, but that's only because I am very diligent in seeking opportunites and doing the work - putting in the hours 7 days a week. I work "overtime“ and on weekends if the need arises, but that is my choice as I love the work and the flexibility it offers me. I am a mother and really appreciate that I can be there for my family and still have a rewarding career, on my own terms.

So, if you're thinking of becoming a Virtual Assistant do the research beforehand, join networks and forums because the more you learn, THE MORE YOU EARN!

Putting your best resume forward!

As part of my series on specialised services available virtually, I thought I'd ask Kirsty Stewart, Resume Writer, to do a guest post.

Now, more than ever, jobseekers need a competitive edge in order to successfully obtain a job, and it starts with your resume.

What does your brand say about you?

So much is written these days about branding and what to do and what not to do. There are far too many "experts“ and "gurus“ promoting their guaranteed formulas for success when it comes to how you should market yourself, your product or service.

For me, the one thing that stands out above all else is you simply have to be SINCERE.

Those that know me well, know I spend a lot of time on Twitter and that's because I really enjoy it. I often sing it's praises as it has given me an opportunity to connect with talented, genuine and helpful tweeps around the world.

Anyhow, I started tweeting in July 2008 and rather than opting for an avatar (icon/picture) of myself which is standard, I chose an unconventional "brand“ hoping to highlight at first glimpse my sense of humour, and setting the tone for tweets to come! Observe Exhibit A. I was happy with this avatar until recently, when I got bored and felt I needed a makeover of sorts. I also felt that tongue-in-cheek pic no longer represented me, as I'd grown so much over the past year.

Enter Exhibit B. I'll admit, I was a bit apprehensive about changing my avatar, and concerned about possible fallout resulting in masses of unfollows. As it turned out, I needn't have worried, as I had totally underestimated my audience! ;)

What had happened over time is a lot of my followers/friends on Twitter had started to get to know the real ME via my tweets, so when I changed over to Wonder Woman, the majority actually said this was more suitable. Go figure!

This leads me to my point - really put some thought into how you want to be perceived and about what sort of messages your "brand“ is sending out there as once it's done, it can be difficult to change without compromising your credibility or alienating your "public". I think the reason why my new avatar was embraced was because it was perceived in the manner in which it was chosen: as sincere.

When I chose Wonder Woman it was about empowerment, positivity and helpfulness with a dash of nostalgia. So many strong messages in 1 small avatar, but it can make a BIG difference, and this has been reflected in my followers increasing drastically much to my surprise. This honestly wasn't my intention as I have a hard enough time enticing interaction from my existing followers, let alone new ones!!

Now I'm not by any means a self-proclaimed Twitter expert, but here are my Top Ten Twitter Tips which work for me, and can also apply to any online social media or networking scenario:

1. Be yourself. No one is more qualified to do that than YOU!

2. Twitter is not a spectator sport - you want more followers? Interact with the ones you got!

3. Tweet the way you speak. It comes across as more relaxed and authentic, and tweeps will relate to you more

4. Retweet it and they will come! But only if you really mean it

5. Be consistent with your online "persona“. Phoneys and wannabes need not apply

6. If you put a link in your tweet, please give at least a tiny clue to what it's about

7. Don't believe the hype about all those big guns with their trillion followers. Quality over quantity wins everytime!

8. If you're a spammer, nobody cares ---> REALLY! We don't want or need your rubbish polluting our twitterverse

9. Just enjoy yourself and that will reflect in your follower numbers

10. Twitter is definitely not one size fits all – you either get it or you don't

It often amuses me that even with free access to so much information via the net and media, those that have even heard of the term "Virtual Assistant" (VA) think of it as simply a "typist“. Whilst it is true most VAs do word processing, it is only one of the many diverse services available.

Transcription vs Typing - how they differ

In my cyberspace travels, I notice there are still a lot of misperceptions about Virtual Assistants (VAs) and what we do. There are VAs with skills and experience in varied industries offering a wide selection of services, and then there are those that focus on one select service.

Today, I invited guest writer Annalisa Holmes, Director of The Transcription People (or as I know her via Twitter @transcribe) to do a post regarding her expertise; transcription.

Audio “transcription” is the process of converting spoken words into written words known as a transcript.

However, when we think of “typing” we are generally referring to “copy typing” which is simply typing from previously written or typed material and producing another document.

The two differ dramatically when it comes to actual transcription experience. In my business, we receive many job enquiries per day from people looking for transcription work who describe their transcription experience as “many years spent typing”. All our candidates are given a sample audio file to transcribe. However, when it comes to reviewing a trial transcript, I am often surprised at the poor quality of the transcription compared to the experience outlined in the resume. I too, soon forget just how different the two really are.

Transcription is the art of following a set of principles to create a specific transcript, particularly audio transcription which is our specialty. Setting the tone of the conversation, correct grammar, correct punctuation and to a large extent the interpretation of the speech makes up the set of principles.

There are then a number of factors which can affect the transcript including audio quality, number of speakers, background noise, terminology of the dialogue, document layout and formatting which all influence how accurate a transcription can be, whereas typing is simply more the act of typing words without necessarily following a particular format.

Typing is akin to cooking without a recipe, but transcription you need to follow a recipe to the letter.

Twitter - going far beyond 140 chars

I spend a lot of time online as it's the nature of my business. On a daily basis I try to keep up-to-date with what's happening globally, connect with people who expand my mind and learn about new developments and tools.

Last year I discovered social media, and in particular Twitter. Never could I have foreseen it would greatly assist in my metamorphosis from business owner newbie to VA extraordinaire! ;) Perhaps I'm giving it too much credit, but there is no denying how much I have benefited from such a seemingly simple yet ingenious application.

For those of you who haven't heard of it, or want to know more, please see the video below. Also if you google "Twitter" you will find pages of websites, blogs, videos, press coverage, forums, networks, and third party applications all dedicated to this one free micro-blogging tool that has approximately 10 million users to date.

So just what is it that makes Twitter so popular, compelling and even addictive?

On July 15th 2006 it was launched as a fairly straightforward idea – quickly and easily connect and share with others details of your everyday life in real time ie as they happen. Sounds easy enough, but when I first started I didn't know what to continually "tweet" in 140 characters or less that would be of any interest to others, let alone make them want to "follow" me.

Admittedly, it took awhile to find my inner tweetgroove, but now I'm finally starting to develop a solid community I enjoy interacting with. I guess recently making it into Australia's Top 100 Influential Twitterers means I'm on the right track, and that only happened when I let go of the idea that Twitter was strictly for networking.

Unfortunately, I have recently noticed the focus for many users has been about getting the most "followers" or even the highest "statistics". Initially I too was on a quest to be popular, until I realised Twitter offers much more and is not to be underestimated. It's a 24 hour pulsating worldwide online resource where you can tap into up-to-the-minute advice, support, tutoring, work, form personal and professional relationships or even just have a laugh. Considering all that it can offer, it's global appeal is not so surprising.

That said, what I find strange is many still feel the need to constantly compare, examine, justify or crucify it rather than just accept it for what it is ie an online application that has benefits, but obviously isn't for everyone.

What I mean to say is, rather than rely on hearsay or the media etc why not just give it a try and see if it works for you?

Minding Your Manners Online

I don’t really know what, how or when this has happened, but it appears somewhere along the (on)line, we have forgotten that we are actually interacting with real humans on the other side of the monitor.

What has prompted me to write this? Well, recently I had an experience which made me think about online behaviours and attitude in general.

Someone made an inquiry about using my services, and during numerous phonecalls, IM and email I gave as much information as possible about myself, my skills, experience and suggestions on how I could possibly assist them. We then agreed to have a skype meeting and whilst discussing the proposed tasklist, it became apparent they required more time to really look into their support needs. Many of the points being covered hadn't even been raised previously and I simply didn't have the required experience. In short, I advised what I'd be able and happy to help with, and we left it on what I thought was a fairly positive note saying we would regularly keep in touch.

Imagine my surprise when soonafter I was deleted from this person’s contact list with no further communication from them ie an email, chat, phonecall, skypetalk – NADA. Whatever happened to professional courtesy?

I come from the good old days where it is just decent manners and good business practice to get back to someone - whether they can assist you or not. I had only been upfront and helpful to this person, so I was genuinely annoyed I was snubbed without even a "thanks, but no thanks" cursory email in return.

It was probably a blessing, as to me it was an indication of how this person does business, and it certainly is not the type of business I want to be doing!

The point I’m trying to make is the old “do unto others, as you would have them do unto you” or I also refer to it as “good karma”. It just goes back to using some common sense, sensitivity and professionalism where necessary, otherwise you could be missing out on worthwhile personal and business opportunities on and offline. Can we all really afford that nowadays?

What does "Virtual Assistant" really mean?

It’s the same old story. “So, what do you do for a living?” “I’m a Virtual Assistant”…..blank stare followed by awkward silence....then the inevitable “What is that?”. It’s an innocent enough question, and if I had a dollar for every time I’ve been asked it I could have retired long ago!

My reply? Well, I still haven’t perfected my “elevator speech” although I’ve had ample time and no excuse. I just find it hard to form one quick sentence that adequately defines what I do without going into a long winded explanation. It’s not that complicated really, I run my own business from home providing secretarial/admin/dtp/PA support via the internet. So why is it even the most technologically minded people can’t get their heads around how this is even possible?

Let’s get back to basics. The Virtual Assistant (VA) industry is not new, in fact it’s been around since the 90’s but the term itself is still relatively unknown here in Australia. It has many A.K.A.s; WAHM (Work At Home Mum), secretarial services, virtual office support etc but whatever the term, it just makes good economic sense in today’s world. There is, however, still a strange stigma attached to it which I’ve yet to understand. For whatever reason, people initially tend to think of it either as some sort of scam or cheap labour from a 3rd world country.

Well it’s high time I dispel those false definitions, but before I do, I urge you to broaden your mind and think outside the box a little.
Traditionally, when any business addresses it’s office support needs, it considers employing full time, p/time, job-share or temporary staff to fulfil anticipated requirements. Regardless of the level of service, with all these scenarios there are substantial set up costs ie office space, staff tax, superannuation, holiday and sick pay, office equipment, training and so on.

What if there was a more cost-effective and time saving way for you to get the same, if not more customised, flexible and personal level of service, without having to bare the above costs at all?

And in addition to that, only pay for exactly what you need and what you use? Afterall, what sane business person would pay for things such as lunch breaks, idle chit chat, quiet days and personal phone calls along with the above expenses? That just doesn’t make any sense!

And these are only 2 of the many benefits of working with a Virtual Assistant.

Now you may be thinking “Ok, that all sounds great, but I’m just too busy to figure out what my needs are” or “I’m not sure I can trust someone else to do my stuff as well as I can”. All valid concerns.

Firstly, no one said you have to “figure it out” on your own. The first crucial step is taking 20mins to consider what tasks you need to/would be happy to delegate. A worthwhile investment, as that 20mins could totally alter the course of your business.

Secondly, the point a lot of overworked business owners seem to be missing is you need to free up your time and focus on the BIGGER PICTURE. How? Don’t spend valuable hours on administrative tasks, research, marketing, client billing, correspondence etc as you have far more productive things you need to be doing if your business is to succeed. It’s just not practical or realistic (unless you want to keep working a 100 hour week!), and you need to dedicate your time developing your business properly. Can you really do that juggling all those other tasks?

It’s a case of jack of all trades, master of none. Surely you and your business deserves better than that!

Recently I've been asked several times "What should businesses owners do to survive the recession?" I've thought about it quite a bit before attempting to write this. Every way I look at it I come up with the same answer:

"Do what you should do when there is no recession."

This is not a glib answer and it is at the heart of the coaching that I do with Clients who need a better way of handling their business than they've managed until now.

Recently I started work with the owner of a small business who has been making a nice living, but not marketing to generate much business, and in many ways just coasting along on what business came looking for him. His office was a mess. His financial records were okay and handled reasonably well up to a point, but the rest of his documentation in a less than desirable state.

This was a great place to start, and so we did. Getting rid of the clutter, and getting the essential elements of the business organised is a great way to get on top of your business and begin to run your business, instead of it running you.

Clutter doesn’t just live on the desk. It invades your mind and is as an invisible weight on your shoulders. You don’t need that.

Have A System For All That You Do

A system for the purpose of:
- Handling inbound enquiries
- A template for calculating a quotation for work to be done
- Writing the quotation – what else needs to go with the quote?
- Following up after the quote is sent
- Filing the quote
- Ongoing process for following up until the customer accepts the quote, or declines

- What happens when the quote is accepted
- What happens when the quote is declined
- Process for responding to declined quotations (There is often another opportunity in the future)

- A marketing database and managing that is crucial. Maintain records of customers and for prospective customers

- Analyse the cost to provide your service
- Analyse the amount you charge for your service. If you are working for less than it costs you – STOP it
- If you don’t know the numbers in your business – LEARN them

Know Who Does What

In businesses where there are employees, and even where there are not, it is essential to be able to illustrate all the roles that need to be carried out in a business, and identify all the tasks that go to make up that role.

Who does them at this point is irrelevant. Know what needs to be done, and which role that task attaches, and only after that, assign it to the person who will be accountable. If it is a one-person business, that will be you for all the roles! When you do this, you quickly see where there are elements not being done that should be, and roles that are not your strength and would more properly be done by someone whose skills they are.

There is no faster way to burn money than by not spending money on the critical areas of the business that need to be done, even when you can’t do them. “Not doing” those things that are essential and basic functions of the business is poor management and quite false economy. It will cost you business and prevent you from realising the profit in the business that could be captured.

Have a system for managing and monitoring performance of all people in the business – including yours!

Whether you like it or not, your business needs things that you may not think are necessary. The business may need things that you don’t want. The first thing to realise, and this is not always a popular idea, is that the business is not you.

“The money in the business is not your money.”

Understanding this separateness is a bit like when a baby learns to distinguish itself from mother.

The business has a need to run efficiently and effectively with sufficient resources available to do so. As the business owner, you need to be compensated for your efforts. Pay yourself a wage! Work on a plan to get the money back out of the business that it owes you. A healthy well-run business will build into a valuable asset. Don’t get in the way and prevent the business from becoming an attractive and saleable asset for you.

What Does Your Business Need?

It needs a business plan. It needs a real business plan, not a made up document of fantasy for presenting to the bank because you want to borrow money. The business plan does not have to be a huge document and it should say everything about how you will drive the business and nothing about things that you don’t intend to do. It is the blueprint for your future and the success you want to achieve going forward. It is a dynamic document and will adapt as circumstances or opportunities change.

It needs policies and procedures documented. So anyone can step into a role and know exactly what they need to do, and how they should do it. It allows employees to know “What To Do If...” and “What To Do When...”

It needs a system to recruit good people into a well-run business they will be proud to work in, and good management in place that manages the performance of staff, and encourages their best efforts and provides the training and resources for staff to perform their duties to the best of their ability.

It needs a system to manage all things relating to interaction with customers from marketing, through sales, and fulfilment and possibly even delivery of goods bought.

It needs good management of the financial numbers in the business. Best prices obtained on orders bought, and good attention paid to margins and mark-ups and the close attention to the breakeven point of the business. Selling items at sustainable prices and delivering the right products for the market that you serve.

It needs you to be a great manager and a leader. Not a passenger, or worse still, a parasite. And plan for what you want the business to be in 5 years time. Know your exit strategy now. Long before you need or want to leave.

Take control of your business, and create your vision.

1. A life defining moment for me was when I was driving my car late one night, and my windscreen met with a jumping kangaroo. I rolled 3 times narrowly missing a huge pole, and came out without a scratch. Soonafter I adopted my personal philosophy "carpe diem" (seize the day).

2. I commuted to work daily by train for 4 hours to Sydney for 10 years. Back then I often dreamt about getting off those tracks and running my own business, so now I fully appreciate working from home.

3. In ’98 I bought a ticket to go to Europe for 6 weeks. 1 year later I returned to Oz with my husband whom I met and married in the UK!

4. As a kid I saw a scenic picture of the beautiful Greek island Santorini and one of my goals was to one day see it in real life. When I did this in ‘98 it was far more breathtaking than any picture I’d ever seen.

5. In my 20’s I did a lot of road trips with my BFF around Australia, seeing Queensland, Canberra, Melbourne, Adelaide and eventually even living in Perth. Now I'm grateful to be living near Sydney in the area I love the best! (see video below)

6. I was born in Oz, but like many, my origins are from eastern Europe. One of the benefits I get from this heritage is celebrating 2 Christmases (Orthodox) and New Year Eves which is a tradition I have gladly continued with my kids!

7. We have just recently returned to Oz after living in Croatia for 2.5 years. There I started blogging and my Virtual Assistant business. To find out more about my adventures, click here.

8. The most “dangerous” thing I’ve ever done was white water rafting whilst on holiday in Bali, Indonesia. It was either that or bungy jumping!

A Clayton's Secretary - not just a VA network

Recently, I was fortunate enough to interview Kathie Thomas, owner of "A Clayton's Secretary" (ACS), an Australian Virtual Assistant networking group established in 1994, now supporting members in 17 countries.

I discovered ACS last year, and it quickly opened a new and exciting virtual world to me. It was Kathie who introduced me to the blogosphere, and as she wisely predicted, it didn’t take too long for me to become addicted!

The men and women in ACS are all dedicated to not only establishing themselves in the virtual support industry, but helping each other succeed, so it's quite different to the corporate world where it's survival of the fittest. Together we celebrate each other's personal and professional achievements, exchange ideas, and when necessary, guide, assist and support members through hard times. Team members are insightful, warm and encouraging and it's a real community. Not many can say that about their work colleagues!

Anyhow, when Kathie agreed I was surprised and honoured as I know just how busy she is. Read on and you’ll see what I mean!

Thanks for giving me this opportunity Kathie. You've been in the Virtual Assistant (VA) industry almost 15 years. How has it evolved due to modern technology?
You are most welcome. Yes, I've seen the birth of the industry - not realising at the time that was what was happening. It never ceases to amaze me what we can do as VAs, and we're really only limited by our own abilities and thinking. It's not till a Client asks for some things that it occurs to me "here's something else we can do".

What do you think is the most common misperception about VAs?
Some think we're employees or cheap labour and we're not. However, more and more are learning everyday that we are a professional industry in our own right, and that our value is in what we can achieve for our Clients, and the amount of time and money we can save them.

What are the key factors to achieving a successful VA/Client relationship?

Keeping communication lines open. For some Clients that might mean regular phone or Skype meetings, for others it might mean frequent updates via email.

The origin of our industry is that the early VAs were actually corporate PAs, and we were used to second-guessing our bosses and knowing what their needs were. It's important that VAs today have a similar ability. They need to get to know and understand their Client's business and perhaps even the related industry, so they can provide the best possible service. As an example, I service business coaches and professional speakers, so I've even joined their industry associations so I can really get in there to understand their industry.

As well as being a VA, you run your own network, coach and you're a successful public speaker and author. Which is your favourite hat?

Being an author wins outright (see video of Kathie's first book "Worth More Than Rubies" below). My lifelong dream and ambition was always to write, although being a coach and speaker fits in there well too. I was planning to be a teacher when I was a child but got talked out of it by a teacher who felt unappreciated by many. He probably did me a favour! However, today I teach through almost everything I do and publishing books was always something else I wanted to do. I feel really blessed that I'm doing things I love and enjoy.

My latest book "It Happened By Design" kind of happened by accident – I guess like my previous one which started out as a blog. I was going to write a different book but I still don't have enough material for it yet, and then this one just kind of jumped out at me. It's about real-life extraordinary happenings to ordinary people. Many of the stories within are things that happened in my own life, and I knew there would be others who had stories to tell, so I put out a call to authors worldwide for contributions and was thrilled with the result.

You've achieved so much in your career already, even nominated Australian of the Year 2008 and again this year. Is there anything left for you to do?

Yes, I have many more books inside me. If I didn't have to work for a living I'd actually be writing every single day and blogging! Probably creating new blogs too. I know I own many (note: 15 and counting!!!), so I content myself with setting up new ones for Clients and teaching them how to work a blog.

I'm already planning my next book and have a few other plans up my sleeve, including looking at helping others to write and publish books.

If you could go back in time, would you do anything differently?
I'd probably market more in earnest. At the beginning I was so focused on just earning the $$ as I saw that as the immediate need. Had I realised how important it was to lay some foundations, I would have done a lot more of that too.

An oldie but a goodie – you can invite any 5 people to dinner. Who would they be and why?
My grandmother - she's passed away now but was a strong influence in my early life and I still quote her today.

My great uncle Fred - same reason. I wrote a blog post about him called "Dear Mrs Perpetual Motion" You should read it!

Ps Rob Buckingham and Ps Christie Buckingham - my senior pastors from church. Rob puns all the time and is great fun. He and my husband get along well.

My husband Graham to finish off the group. He's my best friend and good fun to be with.

More importantly, what's on the menu and am I invited too?!

I'd have to make it 6 then and yes, you're invited! Chocolate has to be in the dessert. Am I cooking? If so, probably a stir fry or perhaps a roast - depends on what I felt like on the day.

NEW YEAR - NEW BLOG!

After months of designing and tweaking it's finally here, the launch of my newest baby!

When I started blogging back in April last year, I really had no idea where I was headed with it but it's become something I really enjoy. I cut my teeth on my first blog writing about anything and everything personal and professional. Finding inspiration was easy as I was living overseas and starting up a new business.

Then I started experimenting with different layouts and accessories, throwing myself headfirst into the blogosphere. I joined various forums and networks, discovering the huge benefits of using social media, which opened up a whole new cyberworld to me.

Now I've got a decent general grasp, but find the more I learn, the more I realise there is to know. I come across something new only to have it lead me off into totally different direction and that's what I like most, discovering something new I didn't even know existed.

Anyhow, what you now see before you is close to what I originally had in mind when I decided to create my own site many moons ago. It's an ongoing WIP (work in progress) and no doubt I'll be constantly making changes, but for the most part, I hope it's the sort of blog you can get a good read out of and feel like you've benefited in some way.

I must take the time to say a big thank you to those who have heavily influenced me on my blogging journey. First up is the wonderful Kathie Thomas, founder of "A Clayton's Secretary", a great VA network I'm proud to be a member of. She basically helped kickstart my VA career, and was the first to suggest blogging might be the right platform for me.

Also many thanks to Lindy Asimus, Personal Business Coach of Design Business Engineering. Lindy has been instrumental to my development in so many ways that I don't know even know where to start! I doubt I would have learnt 20% of the things I now know had it not been for her constant guidance and patience.

There are also many others I have met along my cyber travels that have helped shaped me as a person over the past year, so to all of you I can only say a heartfelt thank you and wish you much happiness, health and success for 2009.

A Virtual Assistant (VA) is a business owner who provides a wide range of office support services usually from home. Services can include word processing, administratrative and secretarial support, personal assistance, digital transcriptions, desktop publishing (dtp), online research and co-ordinating, just to name a few.

HISTORY OF VIRTUAL ASSISTANCE
Working from home is certainly not a new idea, and today it is fast gaining popularity for obvious reasons. Everything from increasing petrol prices, many hours of commuting, average wages, long working hours, frequent retrenchments and a need to better balance work and family commitments, has prompted workers to look at opportunities to earn a living from home.

Women in particular see the benefits of running their own show as it is the best of both worlds. You are still able to have a successful and rewarding career, without sacrificing the welfare of yourself or your family. You have the ability to work more practical hours that suit you and your clients best doing the tasks you prefer, are skilled at, or have the most experience in.

Due to the current economic climate, many professions are facing fewer job opportunities, however with VAs the demand has increased and it is now one of the fastest growing industries today.

While the history of VAs as a concept dates back to the 1970s, modern technology has made it easier than ever for office support professionals to provide services to big, medium and small business owners remotely from their own home office. Businesses have started to realise how cost-effective this alternative is, making the shift from hiring p/time or fulltime workers to outsourcing. This trend is by no means a passing phase, it is here to stay!

The history of VAs emerged from the 1970s as the idea of creating independent companies to provide secretarial services began. Then in the 1990's one innovative woman, Stacy Brice, envisioned a new twist on the traditional relationship between a secretary and her boss. She developed the concept of the VA as a partner with her client's business, as opposed to just a secretary who does administrative tasks with no real understanding of the company or its' business goals. By 1992, Stacy Brice had begun working as a VA independently from her home and a new industry was born.

In Australia, Kathie M. Thomas pioneered the VA industry establishing the first VA network called "A Clayton's Secretary" in the southern hemisphere.

She started operating a home-based secretarial business in March 1994 and first went online in January 1996. In April 1996 she started a network of operators as her workload grew, bringing on board other women who also wanted to work from home as she was doing. When the group became aware of the new title "Virtual Assistant" being used in the US, they soon adopted that, alongside the title 'Homebased Secretary' and gradually phased out the latter title in the late 1990s.

A Clayton’s Secretary provides support, guidance and networking opportunities for those seeking work as a VA, as well as those looking to hire one.

Hello and welcome! Thanks for dropping by to find out a little more about me and what I do.

My name is Alexandra Popovic and I started my Virtual Assistance (VA) business in May 2008 whilst living overseas. I am Australian born and bred but I have been fortunate enough to have lived in many places such as the UK, Perth (Western Australia), Croatia (Eastern Europe) and now back in Sydney.

I am married and the proud mother of 3 gorgeous kids, which were my prime motivation for starting my home business as I wanted to do something I loved that is rewarding, without sacrificing the wellbeing of myself or my family.

WHY USE A VA INSTEAD OF A TEMP?
There are many differences between a VA and temp placed by a recruitment agency. The most important one is a VA's loyalties are first and foremost to YOU, their Client, whereas a temp is selected, reports back to and is paid by the agency.

As with a VA, a temp is also paid an hourly rate as agreed by the agency and you. However, the temp is paid that rate whether they are busy, doing menial tasks, or twiddling their thumbs. VAs are only paid by the hour for the work actually done with the rate according to that service.

Most VAs have extensive experience and skills, however temping (as the name suggests) is considered more as a means of filling a support gap temporarily or even a stepping stone. As such, a temp is not particularly reliable should you wish to develop a long term relationship with one person. You may find that the temp you've had before may not be available the next time you require assistance, so you will have to spend time getting to know and/or train another person.

Also, should you require additional assistance or a particular skill, your VA has access to many other VAs via their network, so you can be sure you will get the service you require.

WHO CAN BENEFIT FROM USING A VA?

Business of all sizes can benefit from using a VA. A large company may find using a VA for overflow work to be useful on special projects. Today many large companies are downsizing, so hiring a VA is a very cost-effective solution compared to a p/time or job-share employee.

Perhaps you have enough administrative work for 2 full time secretaries but they are highly stressed? What if your PA takes maternity leave, and you don't really require all day assistance but would prefer someone to just help you stay on track and organised? A VA could provide much relief to everyone!

A smaller business may choose to hire a VA for a specific task ie invoicing, online research, presentations etc. Business owners are very busy people, often multi-tasking and working very long hours, so this would free up much needed time allowing you to focus on the important bigger picture.

If you find you just don't have enough time or resources to do your job and market your business properly, hiring a VA to look after this area would be very beneficial.

DO I NEED TO USE A LOCAL VA?

Not necessarily. Due to the progress of technology and the internet, location doesn't impact our ability to do your work. It can be distributed via email, IM (skype), fax, telephone, post or you can elect to give your VA access to your network.

For international Clients the time difference is a huge benefit, as your task can be completed and sent back to you before you wake!

HOW DO I COMMUNICATE ASSIGNMENTS TO A VA?

Whatever you are most comfortable with, as tasks can be given via email, skype chat, fax, or phonecalls. The key to a successful VA-Client relationship is communication, and you will be given tips before you start working together.

HOW DO I KNOW I CAN TRUST A VA AS I'VE NEVER MET THEM IN PERSON? HOW DO I KNOW THEY WILL KEEP MY BUSINESS INFORMATION CONFIDENTIAL?

If you are considering using a VA, take the time to get to know them a little beforehand to see if your personalities will complement eachother. It is much the same as hiring any office support (except in the case of hiring a temp where that is left up to the recruitement agency). It is very worthwhile learning about a VA's character in addition to their skills and experience.

Also, in order to find out how a VA can best assist you, it is advised you take 15mins to plan out tasks you need to and are happy to delegate.

A VA's success depends solely on their Client's success and satisfaction. Without your business we wouldn't have our business, so it is within our best interests to continually provide top service to you. That also means we take our commitment to you and your business information very seriously. A contract is issued to you before any work is started, to ensure you are happy with all the terms and conditions. Also, signing a Client's contract is not an issue.

HOW DOES A VA TRACK THEIR BILLABLE TIME AND HANDLE EXPENSES?

Most VAs use a digital punch clock to keep track of time on each task. This is a highly accurate and effective method to ensure accurate billing and tracking. You can have as much or as little detail in your invoice.

Expenses specific to a Client’s project will be billed in addition to the hourly charge eg postage, photocopying (colour & b&w), faxing, scanning etc.

WHAT IS THE BIGGEST CHALLENGE FOR SME OWNERS TODAY?
There is a thought that the current economic situation means that there is a different approach needed for the small business owner to keep afloat. In reality, while there is even more need to be clear on managing all the parts of the business effectively, spending well and eliminating waste, these are practical approaches that should be followed even in good times.

Very often the idea of a working business plan is confused with that fanciful document written for a bank with the intention of raising a loan, and completely useless to a business owner from the point-of-view of driving the management and team in how the business runs and grows profits.

To be useful, the business plan should be an integral part of the now and future running of the business, and should be a reflection of the strategic plan, as well as actions that are to be implemented and monitored and adjusted over time. Not just the “What”, it is also the “How-To” manual for a successful business, and the essence of that should be known and embraced by the owners, staff, customers and all who have a stake in the ongoing health of the business.

WHAT IS THE BEST TIP YOU GIVE BUSINESS OWNERS?
My best tip to a business owner or anyone at all... is to know ... really know... what it is that you want.

This seemingly simple thing can be surprisingly difficult. Many people need help to pinpoint just what that is and to be able to articulate it into a working principle.

Without knowing we lack a compelling vision and focus and drive to achieve the life and the outcomes that are most important to us.

What comes after understanding what this is will be the basis for everything we do.

NOTE: Additional expenses such as postage, courier, faxing, photocopying (colour or b&w), scanning, binding, laminating, special supplies eg for printing of marketing materials such as brochures, photographic printing paper, labels, envelopes etc & international/long distance landline calls will be itemised on client's invoice.

PAYMENT POLICY
Local Clients – Full payment due on completion & receipt of request
National Clients – Prior to commencement a minimum of 20% deposit required, with balance due upon completion & receipt of request
International Clients – Prior to commencement a minimum of 30% deposit required, with balance due upon completion & receipt of request

PAYMENT FACILITIES AVAILABLE
