Scheduling a meeting Before you start a meeting at the office you need to schedule a meeting room, find a conference phone and get some donuts on your way to work. You also have to do a few things to set up an online meeting. It only takes a few minutes and I’ll walk you through the options. This article will be reference WebEx’s MeetMeNow software because it’s what I use, but the tips apply to most online meeting software.

Choose date and time

Choose a meeting date and time. Most control panels offer this is as the beginning of the online meeting process. By default your local time zone is displayed but can be changed if needed. You also want to schedule an estimated meeting duration. Don’t forget to select email reminders and the default reminder time on most meeting applications is fifteen minutes. Fifteen minutes before the meeting the attendee will receive a reminder email. Is the meeting a recurrence? You can set up the meeting to recur each week at this time if applicable.

Types of invitations

Most online meeting applications offer several different ways to send meeting invitations. WebEx offers three types of meeting invitations. The most popular way is to log into the meeting application and choose the option “schedule a meeting “. The most popular applications offer toolbar integration into applications such as Internet Explorer®, MS Office® and Excel®. I find this to be the most convenient feature that MeetMeNow has to offer. If you’re meeting attendees are already using instant messengers you may have the option to schedule a meeting directly from your instant messenger. MeetMeNow has built in Instant Messenger functionality.

Choosing options

Not all meetings are like, some are interactive and others require a one way presentation. Here’s some of the options that you may want to consider when setting up your next online meeting. Chat allows people to use text messaging features to communicate during the meeting. Attendees can text the meeting organizer or each other. Video option allow attendees to either view your web cam or vice versa. The notes feature can be set up to either allow just the meeting organizer or all attendees use a built-in notes feature. Notes can later be printed out at the end of the meeting. File transfer is a popular choice to allow the presenter to publish documents and files to attendees. WebEx MeetMeNow has a unique feature to send feedback to the host. When the meeting ends a feedback form appears to allow meeting attendees to give feedback on the meeting experience.

Privileges

After selecting your options you may want to set up some privileges for your attendees some of these are selected by default and others aren’t. You can allow attendees to save shared documents or perhaps print only. Attendees may have the option to view the attendee list, thumbnails or control applications or desktop remotely. You can also select detailed chat options allowing participants to only chat with you or all attendees.

Conclusion

The options and settings reviewed above will depend upon the type of meeting you are having. Obviously a sales presentation or training demonstration will be different than any brainstorming meeting. But now you know some of the choices you have and the flexibility that online meeting software has to offer. I have written detailed reviews of the webs top online meeting software. Please visit my independent reviews and see how they compare in features and functionality.

Are you new to business meetings online? If so, you need to get with the program! Holding business meetings online is becoming an accepted, even encouraged, practice in today’s enterprise. Hosting or attending business meetings online is an essential component of business communications.

Today’s online meetings are collaborative affairs. You can share applications and documents, send messages, and even work on the whiteboard. Online meetings are definitely revolutionizing the way people interact. No longer just a business tool, you’ll find religious groups, addiction support groups, and civic groups meeting online.

Several web sites have emerged that allow participants of online business meetings to exchange graphic files and images while eliminating the need for a video cam or web cam. An added bonus is there is no need for you and/or your meeting partners to download cumbersome software before the meeting.

Business meetings online, used appropriately, can save small business owners, and their clients, time and money. Note that I’m not advocating using an online meeting to cold-call or prospect with. First time meetings with potential clients are probably still best held face-to-face. But a follow-up meeting to answer questions? Definitely think about doing it online. Where a phone conference is a “tell” method of selling, the online meeting takes it to the “show-and-tell “method.

Other solid benefits of online business meetings are reduced expenses, higher productivity and increased time. These are mainly accomplished by eliminating travel time and expense. Rather than have the meeting attendees gather in one physical location, the World Wide Web is used to create a virtual meeting place that can be accessed with the proper login credentials.

Online meetings are a secure way to interact with your clients, business partners and team members. This makes them ideal for sales pitches, performance reporting or providing training for other members of your organization. Online meetings make audio communication possible by using VoIP (voice over IP) applications.

Online meetings are idea for organizing small impromptu meetings of fewer than 8 participants. This particularly benefits small businesses where interactions tend to be spur-of-the-moment and include fewer participants than in larger companies.

I have been a small business owner for over 20 years. During that time a few “killer apps” have come along that really take my business to the next level. The ability to host and attend business meetings online is one of those playing-field-levelers that I can’t do without. You should do yourself a favor and try doing business meetings online. Take advantage of one (or more) of the FREE TRIALS you’ll find at the Online Meeting Review Site.

How much do you spend on travel expense (transportation, meals, lodging, etc.) for conferences, meetings, sales presentations, and training? How much of that expense would you like to save?

With recent advances in PC and Internet technology, even small businesses can save large portions of their travel expenses. And those savings can start today.

If doing business involves frequent meetings with small groups of co-workers, customers, prospects, or vendors, and if travel expenses are often part of the picture, then it’s time for you to learn how you can cancel those expensive hotel reservations, tear up the plane tickets, and keep the car in the garage.

Here’s how: online conferencing. Yes, it’s here, it’s practical, it’s secure, and it’s very inexpensive.

When you think of technology for meeting at a distance, you may be picturing special rooms equipped with tens of thousands of dollars worth of specialized teleconferencing equipment. That was the 20th-century solution. Some large corporations still use it. But the smaller, more nimble businesses of the 21st century choose online conferencing. It’s easy and it requires no special equipment other than the PC, Internet connection, and web browser you already have.

The new generation of online meeting tools let you meet whenever you want with anyone you wish. You can host a meeting or join one that someone else has organized. You can start an instant meeting or schedule one for a future date and time. You can even create the schedule and send the invitations directly from Microsoft Outlook.

How will you benefit? Here are just a few ways.

* Shorten the sales cycle and close more deals by scheduling instant demonstrations and presentations for qualified prospects.
* Respond quickly to changing conditions by scheduling immediate strategic planning meetings with co-workers.
* Train your customers when they’re ready instead of making them wait until you can travel to their location.

So how does it work? Simply put, you can share any window on your computer’s desktop so that all others in the meeting can see what you see. (According to a Yankee Group study, this usage accounts for 89% of all online conferences.) You can also chat via keyboard and speak over a telephone conference bridge.

What can you do with this online conferencing technology?

* You can give a PowerPoint presentation to co-workers or prospects.
* You can demonstrate a software product.
* You can train customers to use a program.
* You can collaborate with co-workers on editing a document.

The uses are only limited by your imagination.

Prices from the key players in this space cover quite a broad range:

* Microsoft Live Meeting ($375/month)
* Webex Meeting Center ($375/month)
* Macromedia Breeze ($375/month)
* Raindance Meeting Edition ($275/month)
* Citrix GoToMeeting ($49/month)

Recently CNET published an independent evaluation of these services, and the results may surprise you. The lowest priced product, Citrix GoToMeeting, scored higher than Macromedia Breeze, equal to Microsoft Live Meeting, and only a little below Raindance.

In other words, with GoToMeeting for $49 a month you can get unlimited usage of a highly rated online conferencing product that’s easy to use, highly secure, and can save you thousands of dollars. What are you waiting for?

Steve Diamond has been a small business owner for 15 years and has benefited from online conferencing in his work. For further information about this topic, and for a GoToMeeting Promo Code worth $10 plus a 30-day free trial with no obligation to continue, visit this GoToMeeting Promotion.

Your business is going global. You’ve got people working for you in Bangkok, Auckland, Florence, and Paris. Thankfully for you and the people who work for you, gone are the days of waiting for telegrams to arrive. Nor is there any need for you to yell in competition with inaudible static just to get your message across. In this day and age, modern technology has made it possible for you to connect with real people in real time. Thanks to a wondrous little innovation called video conferencing, you can connect to your liaisons officer in Zimbabwe and talk to him almost as if he were in the same room with you.

Video, What?

Video conferencing technology allows you to utilize the Internet to send or receive audio files and images to any or all of your business associates around the world and vice versa. The quality of the sound and images you send and receive is dependent on the speed of your Internet service provider, so if you don’t want your image frozen in mid-blink with half-closed eyelids, high-speed is the way to go.

Can You Afford It?

Video conferencing equipment is usually set up in conference or board rooms. Video conferencing equipment does not come cheap, however. High-tech video conferencing equipment includes LCD screens and projectors, routers, and speaker phones, and would eat up a hefty chunk of last year’s profits. If your company can afford it, though, then by all means, purchase all the equipment you need. If you’re still cutting corners or just breaking even, however, purchasing video conferencing equipment would not be a good idea.

Make It Public!

Who’s to say you can’t use video conferencing technology? Even if your resources are not as bottomless as your ambitions, you can still use video conferencing technology. How? By utilizing video conferencing public rooms! Video conferencing public rooms are conference rooms with the necessary state-of-the-art video conferencing equipment you need. They may be rented or leased.

The good thing about video conferencing public rooms is that you can use one for a very small fee. This makes it the cost-efficient alternative to having to set up your own video conferencing room. In video conferencing public rooms, you simply inform operators know what you need, how long you need it for, and when you need it. These operators will take care of everything for you, from the conference set-up to equipment maintenance. Undoubtedly, video conferencing public rooms will save your company not just money but also time and manpower.

Going Public

So, now the next concern is finding the best among the multitude of video conferencing public rooms available. One of the more popular video conferencing public rooms is FedEx’s Kinko’s. Kinko’s boasts of 120 locations worldwide and is open 24 hours a day, seven days a week. It provides the latest video conferencing equipment. You even have the option of having your meeting videotaped, so you can review the proceedings at your leisure or monitor which of your executives slept while you talked.

Proximity also offers video conferencing public rooms in 3,500 locations worldwide. They can organize video conferencing involving as few as two to as many as 5,000 participants. All you have to do is show up. You don’t need to worry about a thing.

Video conferencing public rooms are sprouting like mushrooms everywhere, from shopping malls to hotels and even subway stations. Pluck the right mushroom and you’ll be guaranteed seamless and convenient video conferencing no matter where in the world you might be.

The time is right for video and web conferencing to take off. While online conferencing is still seen as a technological novelty by some people, more and more businesses of all sizes are finding it be the solution to doing business and communicating with prospects, clients, employees and branch offices in an era of rising transport costs. Lets take a look at some of the factors that are bringing web and video conferencing to a very wide audience.

1. Bandwidth speeds are increasing while prices for broadband web access are falling. Video and web conferencing are more effective when users have broadband access to the Internet. Prices for various broadband connections to the Internet (DSL, Cable, T1s) are falling and more and more homes and businesses are now connected by broadband rather than dial-up connections. Broadband penetration in the US among home users has reached 60% and, especially crucial for online conferencing, in the workplace broadband usage has passed 85%.

2. Web cameras are more powerful and less costly
Video conferencing is aided by good images. Just as high speed connections to the Internet are needed to view the videos, improved cameras providing clear images are also important. The least expensive web cameras today cost as little as $10 and even sophisticated tripod-mounted cameras are reasonably priced, placing video conferencing within the reach of millions of users.

3. The price of oil and transportation is rising, and business travel is more costly. Rising energy prices means that businesses have to scrutinize their travel plans more closely. Video and web conferencing make it possible to hold meetings with staff in other cities without making expensive car or airplane journeys. In addition, some companies are also using web and video conferencing to meet new clients and provide service to existing clients. Improved video conferencing capabilities, combined with rising travel costs is a sure formula for online conferencing growth in the years ahead.

4. Businesses are improving productivity with online conferencing. The gains provided by online conferencing are more than just the money saved by not buying gasoline for a car or spending it on airfares. When you sit in your own office and hold an online conference with associates in distant cities, you can get back to your other work within seconds of the close of the online conference. The lost time out of office, associated with business trips, is an important opportunity cost that can be reduced by the creative use of web and video conferences.

5. The cost of web and video conferencing has come down greatly in the past year. Web and video conference services are now less costly than they were a few years ago and it is possible for a business to get a much higher return on their investment in online conferences. Monthly costs for some conferencing services are so low that even families and individuals can connect in informal web conferences. At the same time, for a reasonable price, businesses can even purchase their own internal video/web conferencing system and not depend on web conference services provided by an outside provider.

6. Schools and universities are holding online classes, exposing a whole new generation to the world of online conferencing. The surest way of spreading any new technology is to get young people hooked on it. And that is exactly what schools and universities are doing with web and video conferencing. By holding more online classes and conferences, young people are becoming comfortable with this way of communicating. As todays students enter the business and professional world, they are certain to bring with them a taste for the convenience of online conferencing.

Add up all these factors and it is easy to see why web and video conferencing are approaching the level of mass acceptance. If you are not taking advantage of online conferencing today, there is a good chance that you will be tomorrow.

Hosting a successful webinar takes a few steps and a bit of research but once you have the basics you can easily host any number of webinars and have them be a success for both you and your business. Each year the use of webinars grows by close to 30% as technology makes this form of information presentation more appealing and easier to use. When looking into webinars consider the following things, not all hosts are the same, a consultant may be a wise investment, consider your webinar’s schedule, create superior quality content, and etiquette -often forgotten but often essential.

The host you choose is vital to the success of your webinar. No matter how great your content if you do not have the features you need or your content cannot be viewed it is not going to provide you with benefits and the results that you need. This is why it is important to research your host carefully. Things to look for are scalability, reliability, and the ability to work with a wide variety of technologies. Having the latest and greatest is great but if you cannot get your video to the people who need to see because the technology is too different your webinar may not be as successful as you may like.

Consider the benefits of a consultant. Consultants can help you to put together your webinar in a way that helps to maximize the potential of success and viability. They can help you tailor your content and presentation to make it easier to present on the web and make it more web and user friendly. They help to make the transition into using webinars easy from start to finish.

The dates and times you offer your webinar are just as important as the content provided. If you are offering your webinar to UK viewers and you set your schedule to Eastern Standard Time and set it for 4pm you may find a decided lack of viewers since this is around 9pm in the UK. The same goes for setting up a schedule with Pacific Time at 3pm this makes it 6pm in Eastern Standard Time. This is why the times and dates of your webinar are essential if you are looking to market it to individuals who would be taking it during normal business hours. If you were looking to make it available for home use you would need to consider hours outside the normal business schedule.

Content is everything in a webinar so it is important that you present information that is well researched, well organized and above all relevant to the topic being presented. You want to supply information at a speed that is going to allow retention but still allow you to get everything you want to present into the presentation.

Etiquette is something many people forget on the web. This is because the web is the world of short hand and abbreviations. However, such abbreviations should be avoided. Arrive on time to your webinar, make sure to maintain politeness such as welcome, please and thank you and as a courtesy consider supplying materials that show how to use each of the function to make it easier for people to benefit from your presentation.

A business webinar is one of the most effective ways to make money online, bar-none. The absolute best conversion tool is webinars. A mail shot may convert at 3%, or a bit more if you are lucky. However, hosting webinars generally converts at more than 30% and never less than 10%. Imagine that. Getting a hundred people on a call or five hundred people on a call, and converting at never less than 10%.

Let me give you a little proof that business webinars do indeed work and work very, very well. I promote my own products through webinars. My first product that I promoted with a webinar sold over $16,200 in the first two or three days. Then I did a follow up after that first webinar, meaning I just sent out some postcard, direct mails, some phone calls, and I pulled in another $16,800. These are monthly webinars that I had after the initial launch. This was in addition to the $50,000 I made in the first week.

Then I went to different joint venture partners and presented that exact same webinar to their lists. With the same exact business webinar, I was able to make an additional $142,400 over the last five months. However, I hasten to tell you, I am not that smart. I used the same webinar and was able to generate these results. I really believe that if I can do this, then anyone can replicate what I am doing with similar results.

Webinars work like a champ. You may be thinking, well that’s great for you Steve; you have a product that sells well. Not only do I use business webinar promotions for my own products, I promote other peoples products through webinars. I recently promoted a product of a joint venture partner and together we sold over $11,000 on one webinar. When I mention these numbers, I am referring to a 2 day period that starts with a webinar and ends 2 days later. So I have not only had success with webinars with my products; they work with everybody else’s products too.

Although making money with business webinars is great, the freedom that they give me is my primary motivation for doing webinars. Business webinar promotions have allowed me to travel all over the world. They have allowed me to make an incredible income from relatively little time spent. They have allowed me to spend time with my friends that are some of the best internet marketers in the world. So my motivation for doing webinars is the freedom, and the influence that webinars give me.

Video conferencing is also known as videoteleconferencing and is a technique of setting up an interactive telecommunication system comprising of video input and out put devices such as video cameras and screens, audio input and out put devices such as microphones and speakers and transmission and receiving apparatus at two or more locations to interact via two-way video and audio transmissions simultaneously. This system is also been called visual collaboration and is a type of groupware. It differs from videophone in that it serves a conferencing (group of people) rather than individuals.

Video conferencing started with the invention of television, which was nothing but a one way communication channel. This technology transmitted video and sound signals to a wide audience but was just a one way communication channel. Video conferencing was the technique of transmitting as well as receiving video and audio signals between a group of people. Each individual in a video conferencing was able to interact with the other members of the conferencing through the hardware which consisted of the above mentioned video, audio and transmitting and receiving equipment. In the beginning of the 1960 there was just closed circuit video conferencing. This soon advanced to wireless communication between people on a video conferencing. The low definition video conferencing reproduction was soon to be replaced by high definition video conferencing technology in the nineties.

Technological advancements in the 1980s made digital telephony transmission possible. These brought technologies such as ISDN that assured a basic minimum bit rate of 128 kilo bytes per second available over a leased line. This technology assured a fair quality of audio as well as video signals to be transmitted over a vast area. The history of video conferencing had begun with the early experiments of NASA trying to simultaneously communicate with all its base stations and its astronauts in space. This video conferencing enabled scientists to communicate and instruct the astronauts with the experiments underway. It was the contribution of companies such as AT&T Picture Tel and the like that has made video conferencing what it is today. From the early history of video conferencing the technology has come a long way. Video conferencing equipment expanded through out the 90s and evolved into the internet video conferencing we have today. In fact, video conferencing cannot be possible in most parts of the world with out the Internet as this is the main tool of communications in vogue today.

VOIP is the main technology that has advanced the communications techniques all over the world and contributed to the history of video conferencing. Today video conferencing is available to the general public at very reasonable costs and ease. Internet Protocol, popularly known as IP, made video conferencing available to the world through the Internet in the mid 1990s. This enabled more efficient video compression possible leading to better transmission of video signals. Desktop video conferencing came into existence setting another milestone in the history of video conferencing.

Conducting a webinar is no different than conducting a face-to-face seminar when it comes to presenting the material. The method of interaction will be different and there will be differences in the fact that you are not face to face with your audience so you may not be able to judge as well the various aspects of their personalities or understanding. This makes it difficult to alter the presentation in the middle to accommodate the atmosphere of the audience.

There are a few things that you will need in order to conduct a webinar. These are host, content, features and price. When looking at a host you want to make sure that you are going with a host that is going to be able to grow with your business but that is not so far advanced that individuals without the latest technology will be unable to get on.

You want to make sure that your webinar is open to anyone who may be in your target group. For example, if you are doing a webinar on the latest technological features of a network application you are going to have clients with a different level of technology than if you are delivering a webinar on how to effectively cook a five-course meal and still maintain a casual entertainment atmosphere. In one instance you are dealing with technical savvy people who may have access to the latest in computers. In the other you are dealing with individuals who may be ordinary home users and may be working with older equipment.

Features are also need to be considered. You may want to look into these options when looking into your host. However, there are individuals who conduct webinars while using outside resources such as instant message or separate phone conferencing features. Considering if you want to include these in your host or use separate services is something to look into when deciding how to conduct your webinar.

The content is the most important aspect of your webinar. You want your content to be informative, to flow from topic to topic in a smooth and related manner. The presentation should be designed for your target audience and be done in a way that engages your audience. Webinars are interactive so you may want to include spaces for questions if you get into areas where questions are possible to accommodate your viewers.

Price is one of the most important things to look into. Hosts all have different ways of pricing and you should consider which option is going to provide you with the most benefit and the least expense. Overall webinars are exceptionally cost effective when compared to similar situations in face-to-face seminars

Conducting a webinar can be a great way to get the information you want present out to your audience. It is important that you look into the various factors and research prior to launching your webinar. This will help to ensure that the webinar you are conducting provides the most benefit to not only you but those you are presenting too.
