This year, it’s more important than ever for wedding professionals to understand not just what couples want, but what they’ve come to expect as part of the planning experience.

To help you prepare for the year ahead, we’re taking a closer look at what brides and grooms are likely to expect in 2026 and how wedding pros can thoughtfully respond to their needs.

Transparent pricing

Clients are doing more research than ever before, and they’re arriving with a strong sense of what things should cost. Many now expect to see starting prices or at least clear guidance on what impacts cost, so they can quickly determine if a vendor is within reach.

Lucy Struve, Owner of Lucy Struve Photography, notes, “Couples are not just desiring, but demanding pricing transparency around wedding vendor services. Couples are inquiring with many more vendors per category than they used to, so vendors without solid sales systems are getting lost in the noise. And, more so than a few years ago, couples are unwilling to jump through hoops and commit to discovery calls without at least a ballpark range of what they can expect to spend.”

Clear pricing helps attract inquiries better aligned with your services and reduces time spent on consultations that were never going to convert. While every business has its reasons for customizing quotes, offering some level of upfront clarity builds trust early.

Genuine connections with vendors

Today’s couples aren’t just hiring for skill but for fit. They want to feel understood and comfortable with the people who will be part of such a personal milestone.

“Engaged couples are taking into consideration more than just the aesthetics of their work,” highlights Colton Simmons, Owner of Colton Simmons Photography. “They are looking at how they connect with their vendor and making sure they fit the ‘vibe’ of the day.”

From a business standpoint, this reinforces how important brand voice and client experience really are. The way you show up on your website, in emails, and on social media all contribute to whether clients feel a real connection with you.

Non-traditional contact methods

For many couples, sending a DM feels just as natural as filling out a contact form. If they’re already following your work, reaching out on social media is a low-pressure first step before making a formal inquiry.

McKenzi Taylor, Founder/Owner of Cactus Collective Weddings, shares, “Couples aren’t afraid to evaluate wedding pros based strictly on their social media presence, especially newer platforms like TikTok. I find it fascinating how many couples are skipping the website contact form I’ve set up for easy use and operating directly through DMs instead. A couple of years ago, this was unheard of, but now I’ll get an inquiry like this about once a month.”

While DMs may not replace your official booking process, couples increasingly expect some level of responsiveness across platforms. Setting boundaries is essential, but having a system (even a simple auto-reply that directs them to your inquiry form) can keep opportunities from slipping through the cracks.

“Day of” support

Even couples who plan most of their wedding themselves often want reassurance that someone has their back on the day of. They’re realizing that vendor coordination and last-minute issues are hard to manage when you’re also trying to enjoy the moment.

“The biggest thing I am seeing in this moment of booking season is that everyone is asking for a ‘Day Of’ Coordinator,” admits Loni Peterson, Owner of LP Creative Events. “We need to be putting out education to newly engaged couples that while this might be titled ‘day of’, the planning and work that goes into their wedding and execution is never ever a singular day.”

This creates opportunities for pros to clearly communicate what “day of” really means and what level of involvement is realistic. Whether it’s coordination services or add-on support, couples are looking for confidence that someone is actively managing the moving pieces on their big day.

More than just service providers

Brides and grooms want vendors who feel like partners. They value education and thoughtful recommendations, especially when they’re navigating decisions they’ve never had to make before.

Eleonora Gobbo, Planner at Peach Perfect Weddings, explains, “Couples in 2026 expect wedding professionals to act as trusted advisors rather than just service providers. They want guidance that goes beyond portfolios and standard packages. Professionals are expected to understand their vision, anticipate challenges, and provide practical solutions tailored to their needs.”

This often means leaning into your role as an expert. Sharing insights and proactively communicating throughout the process can elevate your perceived value and deepen trust.

Fewer surprises

From pricing to final deliverables, couples are craving predictability in a world that already feels busy and overwhelming. They want to know what’s coming next and when they can expect updates.

“Refine your communication touchpoints so couples understand your process before they ever sign a contract,” recommends Amos Gott, Chief Event Architect at AmosEvents. “Today’s couples want fewer surprises and more clarity, and the businesses that articulate their workflow, expectations, and boundaries upfront will stand out immediately. A polished, thoughtful onboarding experience is no longer a luxury. It is the differentiator.”

Proactive communication goes a long way here. When clients feel informed, they’re less likely to feel anxious, leading to stronger satisfaction with the experience you provide.

Quote comparisons

It’s no longer uncommon for couples to collect multiple quotes before making a decision. With so much information available online, comparison shopping feels like a responsible step rather than a lack of commitment.

Kelley Nudo, Client Relations & Operations Director at Momental Designs, confirms, “Couples are taking the time and effort to collect estimates and proposals before making a decision, which is a significant change from just a few years ago, when couples were making snap decisions as they scrambled to find vendors in the post-pandemic frenzy.”

Because of this, it’s more important than ever to clearly communicate what sets your services apart. Beyond price, couples want to understand differences in experience, inclusions, communication style, and overall approach. These are all factors that can justify a higher investment when positioned well.

Fast response times

Couples are used to instant communication in almost every area of life, so waiting several days for a reply can feel stressful. They may not expect 24/7 availability, but timely acknowledgment has become a baseline expectation.

“Respond immediately,” emphasizes Alicia Igess, Owner and Hair Stylist at Alicia Igess. “Speed is service. Couples are often reaching out to multiple professionals at once. The one who responds quickly signals professionalism and helps the couple to check your services off the list.”

However, you don’t have to be glued to your inbox. You just want to have systems in place. Auto-responders, clear office hours, and organized inquiry workflows help couples feel seen quickly while allowing you to maintain healthy boundaries.

Specialized packages

Rather than one-size-fits-all offerings, clients are gravitating toward services that feel tailored to their priorities. They want options that reflect how they envision their day.

Jocelyn Hunter, Owner of Twickenham House, says, “The growing trend of multi-day weddings presents a valuable opportunity for wedding vendors to offer specialized packages. These could include accommodations, catering, and activities tailored for guests over several days. By providing customizable options, tiered pricing, and loyalty discounts for couples booking multiple services, vendors can enhance the guest experience and differentiate themselves in a competitive market.”

Offering flexible or modular packages can help meet this demand and protect your profitability. It also gives couples a sense of control over their investment, reducing sticker shock and increasing confidence in booking.

Vendors who are close by

Local knowledge still matters. Brides and grooms often feel more comfortable working with vendors who know the venues and logistical quirks of their area.

“In my consultation calls, I notice a lot of couples are choosing a photographer that is closer in location to where their wedding will be, versus flying someone in,” reveals Rachel Maloney, Owner of Rachel Maloney Photography. “I still have a good amount of destination work, but not as much as I did before.”

Highlighting your familiarity with local venues and vendor networks can be a strong differentiator. Being positioned as someone who understands the regional market helps couples feel like they’re in capable hands.

When we balance flexibility with clear communication, everyone benefits. Clients feel more confident in their decisions, and vendors can deliver great experiences without burning out. Staying aware of these shifts is all about continuing to evolve alongside the couples we serve!

What Engaged Couples Expect in 2026

Why Human Touch Is Still Important in Tech-Forward Wedding Planning

Discover why human connection still matters in AI-driven wedding planning.
Learn how wedding pros can balance technology with personalized client
experiences.

Technology is quickly changing the world. Automated tools can save time and help with many of the administrative tasks involved in planning a wedding. However, these are deeply emotional, personal events. No software or algorithm can replace the connection, empathy and understanding you bring to your clients. As a wedding professional, your human touch is still one of the most valuable aspects of your work.

Why Your Expertise and Judgment Are Very Important

AI tools can help generate timelines or suggest vendors. However, they lack the emotional awareness, real-world experience and accountability necessary to guide people through complex situations safely in sensitive moments.

A wedding is a milestone moment filled with emotion, family traditions and personal meaning. You’re guiding people through one of the most meaningful events of their lives. Couples often need reassurance, advice and a listening ear as they navigate decisions, and this is where your role becomes essential.

As a wedding planner, you can bring a people-first approach to client relationships that shows you understand and value them. You understand emotions, family dynamics and personal values — elements that help couples feel confident and cared for throughout their planning process. You also know the ups and downs of working with venues, coordinating multiple vendors and managing unexpected challenges.

Personalization Is What Couples Remember Most

Many wedding planning tools can generate ideas, mood boards or suggestions, but personalization goes beyond that. Current wedding trends show couples are leaning toward immersive themes, bold color palettes, and highly personalized elements like custom monograms and interactive guest experiences. Those thoughtful touches are often what spouses remember most, and they come from your ability to connect, listen and translate their vision into reality.

How to Make the Best out of AI Tools

Think of AI tools as powerful assistants that help you work more efficiently and stay organized. They can be very useful for handling the time-consuming administrative tasks that often take up a big part of your day. There are many ways in which AI can help you save time and boost efficiency:

Creating timelines and planning frameworks: AI-powered planning platforms can help you generate wedding timelines, task lists and planning checklists. You can use them to create a base structure and then customize it depending on the couple’s needs, venue logistics and vendor schedules.

Managing communication and scheduling: Automated email tools, chat assistants and scheduling platforms can help coordinate meetings, send reminders, and reduce the constant back and forth with clients and vendors.

Organizing guest lists and RSVPs: Guest management platforms can track RSVPs, meal selections and special requests. Many tools can also generate seating charts automatically, saving you hours of manual work. This can also make last-minute adjustments way easier to handle.

Tracking budgets and vendor information: AI tools can help monitor expenses, organize vendor contracts and compare pricing options. You can easily stay within budget and provide couples with clear recommendations and planning updates.

Helping with inspiration and brainstorming: Some tools can generate mood boards, suggest color palettes, or recommend décor ideas based on creative themes like whimsigothic or maximalism to make the event more fun. The creative direction still comes from you and your clients, but this technology can help spark ideas and speed up early planning stages.

Automating repetitive administrative tasks: Many planning platforms can automate reminders, task assignments and document organization. By reducing time spent on routine work, you can focus on designing the whole event experience and supporting your clients.

Finding the Right Balance Between Tech and Human Touch

Balancing technology with genuine human connection is key to succeeding in the wedding planning industry. Digital tools can improve organization and efficiency, but the true value of your work lies in the relationships you build with your clients. By combining helpful technology with empathy, creativity and clear communication, you can simplify your workflow while still creating meaningful, personalized experiences.

Cora Gold is a wedding writer and editor for women's lifestyle magazine, Revivalist. Inquiries are trickling in from places you didn’t expect. A client mentions they found you through an AI tool, and your first reaction is probably “wait, really?” Another says they saw you recommended in a TikTok comment. Someone else found your Pinterest board before they ever landed on your website.

Here’s the reality: the search landscape has changed, and it’s still changing. Google is still very much part of the equation, but it’s not the whole picture anymore. And for wedding businesses trying to stay visible and bookable in 2026, that distinction matters.

The Rise of AI-Generated Answers

Tools like ChatGPT, Google’s AI Overviews, and Perplexity aren’t just helping people search anymore. They’re answering questions directly. Instead of giving someone a list of links to sort through, they synthesize information and deliver a composed answer. A couple types in “What should I look for in a wedding caterer?” and gets a full response, without ever clicking through to a website.

This is what we’re calling Generative Engine Optimization, or GEO, and it’s quickly becoming one of the most important shifts in digital marketing. The businesses that show up in those AI-generated answers? They’ve built credibility across the web. They have clear, well-structured website content. They are cited in articles, featured in directories, and referenced by trusted industry sources. They have reviews that speak to specific strengths rather than vague praise.

Targeting a handful of keywords and hoping for page one isn’t enough on its own anymore. Visibility now comes from authority, and authority comes from showing up consistently across multiple channels.

Social Search Is a Real Thing Now

Younger couples, particularly Gen Z, are often skipping Google altogether when they start looking for vendors. They go straight to TikTok, Instagram, or Pinterest. They search hashtags. They read comment sections. They watch short-form videos to get a feel for a brand before they ever look at a website.

That means your social presence isn’t just a brand awareness play anymore. It’s a discovery tool. A well-captioned reel with the right keywords can show up in a TikTok or Instagram search just as effectively as a blog post ranks on Google. Pinterest deserves a special mention here - it’s a serious driver of wedding-related traffic because its content gets indexed by search engines and has a much longer shelf life than most social content.

Ask yourself whether your captions, titles, and hashtags are working as hard as your visuals. Stunning images are not enough on their own if the words around them don’t connect to how people are actually searching.

Directory Listings Still Matter, But Differently

Platforms like The Knot, Zola, and WeddingWire are still part of the mix, but their role has shifted. They’re rarely where couples make a final decision anymore. They’re one stop on a longer research journey. A couple finds you in a directory, checks your Instagram, reads your Google reviews, and then visits your website - all before reaching out.

That multi-touchpoint journey means your directory profiles can’t live in a silo. They need to feel like a cohesive extension of your brand. Consistent photography, a clear voice, and current information signal to both couples and AI tools that your business is active and worth contacting. Inconsistency creates friction, and friction costs you bookings.

What This Means for Your Website

Your website is still important, arguably more important than ever, but its job has changed. There was a time when a beautiful website that ranked for a few local keywords was enough. That time has passed. Now your website needs to work harder and do more things at once.

It needs to confirm trust for someone who has already found you somewhere else. It needs to answer the specific questions that AI tools pull from when generating recommendations. It needs to be technically sound enough to load quickly on mobile. And it needs content that demonstrates genuine expertise, not just keywords stuffed into service descriptions.

Blog posts with useful, specific content is one of the best investments you can make right now. Not because blogging alone drives traffic, but because well-written content builds the kind of web authority that shows up in AI results, earns backlinks from industry publications, and gives couples a reason to stay on your site longer than ten seconds.

Reviews Are Part of Your Search Strategy

This one often gets overlooked in marketing conversations, but online reviews are playing a bigger role in AI-driven discovery than most people realize. When an AI tool recommends a vendor, it often pulls context from reviews online. Specific phrases, service qualities, and outcomes mentioned repeatedly in reviews can influence whether a business gets referenced as a recommendation.

Beyond AI, reviews shape buying decisions at every stage. Asking clients to leave thoughtful, specific reviews and keeping a steady volume across platforms like Google, The Knot, and Facebook is not a nice-to-have. It is a must-have for couples today.

The Takeaway for Wedding Pros

Discovery in 2026 is not a single-channel strategy. It is a network of signals that, when working together, creates a picture of a business that is credible, current, and worth reaching out to.

Google still matters. SEO still matters. But so does your content on social platforms, how complete and consistent your directory profiles are, the specificity of your reviews, and whether the broader web (including AI tools) recognizes you as an authority in your market.

The wedding businesses that will be easiest to find over the next few years are the ones being intentional about multi-channel visibility right now. Not chasing every shiny new trend, but being strategic about where they appear and how those channels support one another.

If your marketing has been mostly reactive, now is a good time to step back and ask the honest questions: Where are the couples who are right for my business actually looking? Are we visible there? And does what they find when they look us up build enough trust to earn the inquiry?

Krista Chapman is a business strategist and coach passionate about helping people build intentional businesses. When other sites point in our direction, especially ones that have a good reputation, it really helps our little spot on the internet. In this blog, I share real-life examples from my business practice, from the obvious to a bit cheeky.

1. Organically, Goodwill

Over time, if you consistently put yourself out there and gain wedding experience, other people will start to link to you organically. For example, a photographer from a lovely summer wedding shared the painting I made in her “fun and unique ideas for your wedding” post. A videographer from another wedding blogged about how this couple values family – and how they had requested me to include a few lost loved ones in the painting. Relevant inspiration for his audience as well.

There will be people who point towards you, without you asking them to, just because they appreciate what you have shared. But yes, that takes time, and it's hard to convince others, "hey, there's value here", when you have very little content to show for. So put your unique perspective and insights out there!

2. Wedding Fairs, Industry Platforms

These are relevant for our industry, but their popularity might be declining. Yes, most are pay-to-play (in a sense). But two wedding fairs I had a booth at years ago (since I don't do them anymore) still have links to my website.

If you want to pay for backlinks in 2026, make sure they're not from random linkbuilding services, but relevant to the wedding industry. Do watch out for those bigger platforms that are currently under review for possibly misleading business practices. You know which I mean. I only pay for a profile on a smaller one, which promotes the region I was born in, and which has lots of lovely castles and outdoor venues.

3. Media, Interviews

While media outlets might have a more general audience than just wedding couples, they are often cited and referred to as sources. Which means the domain authority of their site ranks relatively high (so that's great if they link to you). Because of my other niche (courtroom sketch artist), I've established a nice working relationship with several journalists, who are always happy to cite relevant quotes about newsworthy topics.

Here in the Netherlands, there is a Facebook group (RuM) in which journalists share topics they have already pitched to their editors. They are looking for experts to fill in the blanks or provide a face to trends. Through this group, I've landed multiple interviews with national media regarding "interesting and odd professions".

Worldwide, there are several platforms that gather these types of requests from journalists. You can sign up to receive alerts for certain topics or words. Two of those are Feature and HARO (Help a Reporter Out), and they have worked for me. You're helping the journalists, so they're more open to your vision and input than when you send them a press release.

4. Helping Out With Fresh Content

When I was doing a bit of market research, I googled "live wedding painting" in my own language and variations of those keywords. What would show up on the SERP (search engine results page) if somebody else were trying to look for me? I found one older blog, from 2017, that was still very visible. The author, a wedding photographer, was linking to someone who didn't offer live painting anymore, and even worse: that site was very outdated, gave lots of errors. Search engines don't like it when you send your visitors to such chaos. I suggested supplying him with some fresh content, he linked to me, and I cited him on my "in the media" page, so it was a nice win-win.

5. The Other Way Around

This one is kind of similar, but then I wasn't the one reaching out. A wedding videographer approached a few vendors, asking if we were open to swapping backlinks. While I mentioned above that random linkbuilding is not very relevant, I'm very open to being associated with other professional vendors from the wedding industry. And I also don't like just pages full of links; I think it's more valuable to provide context and referrals embedded in stories.

He was working on a page with tips for wedding couples, what kinds of vendors he loves to work with, and it was linked to me. I was able to quote him in one of my blogs about collaborating with photo and video teams as a live painter. So I could swoop the link in naturally, as a relevant addition.

6. Styled Shoot Or Real Wedding Publication

It's difficult for me on my own to upload only a painting to a platform. More often, it's the planner or photographer who organised the styled shoot who submits it for publication. I've been able to join in a few times, since it's a team effort, and it has led to backlinks from wedding industry platforms that are usually pay-to-play.

A decent one will always credit all the contributors, even if they don't have a paid account. The same with other vendors who share the shots on their sites.

7. Guest Blog

In my language, I googled "guest blog" + "wedding". Several relevant publications showed up (and a lot are pay-to-play). I emailed those who were open to guest posts and didn't require a fee. It's common that a blog has requirements in terms of the number of words, or that you actually provide relevant insights and ideas (not just promote your service).

Most of the publications never answered. A few did, and for one, I wrote a "how a live wedding painting is made" type of blog, about the creative process and what wedding couples and guests can expect. Laid down low on the commercial promo lingo, was mainly showing behind the scenes.

8. When You're The Client

If you've outsourced several of your activities, and you've been a nice client, those other businesses might link to you as a reference. I'm guessing they would be very grateful for a review, and some are more than happy to provide a backlink to you as well. Like the lady who translated my brochures and contracts for international clients.

9. Community And Giving Back

You know, it's easy to make sure a site provides a nice backlink to your portfolio if you own the platform. Together with a colleague, I've created a directory for vendors in Europe from our specific niche. It's more of a community than an extra income stream (but it does bring in donations).

If you're up for it, there are options in volunteering. One of the most valuable things I do every year is contribute to the Make A Wedding Wish Foundation here in the Netherlands. They organise weddings for couples who experience a life-threatening condition. We, as vendors, help make it possible for them to create memories together despite the hardships. In the USA, there's a similar organisation called Wishing Well Foundation. In those days, I really felt like my work could make a difference. Afterwards, I found out that they also link to all the contributing vendors, so that's a nice extra.

10. Guerrilla Marketing Through Unsplash + Reverse Image Search

This one might be one of the more cheeky ones.

While I was researching wedding inspiration platforms, I noticed they often had to resort to not-so-relevant images when it comes to live painting (a more generic painter or an artistic rendering of a flower). Apparently, there were very few stock images available that feature painters with artworks of wedding scenes.

I didn't want to ask too much of professional photographers, but decided to start taking photos of myself with the paintings, with the help of a self-timer. People can now use my images as stock through Unsplash, and often they will link to at least my name (as I'm also the photographer).

One of the publications was on a bigger event planning blog. They had shared one of my images and linked to my Unsplash profile. There was also a bouquet photo, with me as the photographer in the credits (but I wasn't). I could provide help and value by emailing them with a friendly note who actually photographed that bouquet, so their credits made sense. It was only a small step to then request, if it's not too much trouble, if they could change the link to my own website, that would really help. And they did. Nice, juicy, and relevant backlink, right there.

But yes, if you put stock images out there, you don't really have control over how someone else uses them. I'm now also the face of an article about somebody with severe mental issues who paints as therapy.

Bonus: Consideration Of Blog Comments

There's a local wedding stationery design company that's very active in this. If you browse through sites from Dutch wedding professionals, more or less every blog that allows comments has one from them. They do make sure it's relevant and consists of a few positive sentences. This generates a sort of backlink, as you can often share your email and site if you leave a comment.

It's a bit of an outdated practice, and honestly, I don't know if I'd feel comfortable doing that myself. While I felt flattered at first, since they had said nice things about my work, that feeling went away quickly when I realised it was a consistent marketing strategy they used on everyone. But hey, it is a link.

What About You?

Do you have a fun, unexpected story about how you gained a backlink? Or wondering who's pointing to you now? You can use the (limited) Backlink Checker from Ahrefs for a quick idea, or, if you have Google Analytics set up, visit Links (left menu) > Top linking sites.

Renée van den Kerkhof is a live wedding painter and courtroom sketch artist from the Netherlands. It runs on timelines that shift, inboxes that fill overnight, and weekends that are rarely restful.

For many wedding professionals, their business grows faster than they ever anticipated. What begins as a one-person operation quickly outgrows just them. At the same time, the nature of wedding work often pulls them away from their computer through back-to-back events, site visits, and client meetings, while the administrative work continues waiting on the other side of the screen.

Suddenly, they are fully booked, but buried in backend tasks that never seem to end.

This is usually the moment when the idea of hiring a virtual assistant begins to creep in, not as a luxury, but as a necessary next step. The challenge is rarely deciding whether support would help, but knowing how to approach it strategically.

The real value of hiring a VA

Hiring a VA is often framed as “need help with tasks,” but that framing misses the bigger picture.

A virtual assistant provides a wedding professional with leverage. When the operational side of your business is handled consistently, you are no longer reacting all day. You are leading.

For wedding professionals, this shift creates space for:

stronger client experiences

more consistent communications

reliable follow-through during peak season

time to focus on revenue-driving and creative work

This is why the most noticeable change for most of our clients is not productivity, but rather mental clarity. The truth is, when your brain is no longer the primary system holding everything together, decision fatigue decreases and the business becomes easier to manage.

When support becomes necessary

Many wedding pros wait until they feel completely overwhelmed before hiring help. The main downside with that is that at that point, delegation feels urgent, and that can be chaotic. The best time to hire is not when you’re overwhelmed, but when you start to feel the strain of carrying everything on your own.

Common signs that support is becoming necessary are:

your administrative work constantly replaces your creative or client-facing work

systems only function if you personally touch every step

response times begin slipping during busy periods

growth projects remain on the to-do list month after month

At this stage, hiring support is not only about giving yourself a break. It’s about protecting the future of the business.

What a VA can realistically take off your plate

Virtual assistants can support far more than many wedding professionals initially realize.

Common areas of support include:

inbox organization and client communication

calendar scheduling and follow-ups

CRM management

project communication tracking

recurring administrative duties

These responsibilities may not feel glamorous to you, but they are foundational. When they are handled well, everything else in your business functions more smoothly.

VA or employee: understanding the difference

One of the most common points of confusion is whether to hire a VA or bring on an employee.

A contracted virtual assistant offers flexibility. Hours can increase during peak season and scale back when demand slows. Payroll taxes and long-term employment obligations are not part of the equation.

An employee may make sense when on-site support or a full-time internal role is required.

For most wedding professionals, whose workload fluctuates throughout the year, a VA provides the structure and adaptability that the wedding industry demands. The best option depends entirely on your current business model and long-term goals.

Why systems and communication matter

A successful relationship with your VA is built on clarity, not professional chemistry alone. Even the most capable assistant cannot operate effectively without documented systems and clear communication.

Some of the ways to accomplish that are through:

establishing SOPs (Standard Operating Procedures)

defining task responsibilities

having a centralized project management tool

prioritizing regular check-ins and feedback loops

Combined, these things allow for work to continue during peak busy seasons, personal emergencies, or unexpected disruptions. They create consistency for clients and confidence for everyone involved.

In the VA world, we like to think of systems as our client’s business insurance, which is kind of a big deal.

Hiring with intention

Before bringing on support, wedding professionals should be able to answer a few key questions about the VA candidate:

Are they confident with your project management tools?

Do they understand your communication expectations?

Can they follow processes and adapt to your workflow?

Would you have them represent your business at a networking event/conference?

In our experience, that final question often reveals more than any resume ever could. Hiring with intention reduces friction, protects your brand, and sets the relationship up for long-term success.

The Advantage of Industry-Specific Support

The wedding industry operates on its own rhythm, and a wedding-experienced VA brings built-in understanding that allows wedding pros support more quickly and effectively, including:

an understanding of wedding timelines and how quickly details can change

awareness of vendor communication expectations and professional tone

familiarity with weekend workflows and Monday recovery realities

experience managing galleries, contracts, and post-event follow-up

the ability to prioritize tasks appropriately during peak and engagement seasons

experience using wedding specific softwares

When a VA already understands how the wedding industry functions, less time is spent explaining context and more time is spent moving the business forward. That difference alone can significantly increase the hiring confidence for wedding professionals.

Building a sustainable business

When wedding professionals invest in the right kind of help, they gain more than time. When they gain more time, they gain stability, confidence, and the ability to lead their business instead of constantly chasing after it.

The key takeaways for wedding pros:

know why you’re hiring before you start the search

define the tasks you need off your plate

build systems that support collaboration

choose someone who aligns with your communication style and business goals

whenever possible, hire a VA with wedding industry experience

In an industry built on meaningful moments, sustainability matters just as much as creativity, and the right support makes both possible.

Ariana Teachey is the owner and lead virtual assistant behind Ariana & Co., a VA agency serving wedding professionals. These days, couples expect planning to keep up with all the technology they use in their lives. Wedding planning is more than just staying organized, but a chance to get creative and give couples an amazing experience. Here are five helpful ideas to wow today’s tech-savvy couples.

1. Immersive Venue and Decor Visualization

Virtual reality (VR) technology can revolutionize the planning process, allowing you and your clients to take a virtual walk-through of the venue, explore decor within the space and let couples try on outfits digitally — all without leaving your desk. This makes decision-making easier, especially for busy couples or those hosting a destination wedding. With the global VR wedding planners market expected to reach $4,917.6 million by 2034, it’s clear that more planners are embracing these tools every day.

You can use VR to create 3D models of table settings, lighting and floral arrangements to give your clients a real sense of what to expect on their big day. Many tools are being used to model sustainable layouts, simulate carbon footprints of decor options and streamline vendor logistics.

2. AI-Powered Planning and Personalization

Artificial intelligence (AI) assists with various complex logical tasks, from streamlining timelines to managing guest lists. AI chatbots can handle initial client inquiries, send reminders and answer common questions, freeing you up for more high-touch work. You can also use AI-powered polling tools to create engaging presentations for couples.

Discuss with your clients how their photographers can use AI facial recognition to automatically sort and tag photos after the event. Instead of the couple or guests scrolling through endless galleries, they could quickly find every photo in which they appear.

3. Advanced Client and Project Management Platforms

While customer relationship management (CRM) systems have been around for some time, the latest ones offer more features than ever. Software platforms like HoneyBook and ClickUp combine contracts, invoicing, client communications and timelines in one place. This means you and your clients can work together without missing a beat.

Choose a platform with collaboration tools, such as shared calendars, task assignment and client portals. Don’t forget financial features like expense tracking and budgeting to help you stay on top of your business. With weddings averaging $28,000 in the U.S., your clients will appreciate knowing where their money goes.

4. Bluetooth-Enabled Trackers for the Couple

Couples deserve to enjoy their big day without the buzz of constant notifications, but that doesn’t mean you must have a hard time finding them while they hang out with guests. Bluetooth-enabled trackers, such as Apple AirTags, can help you keep track of your clients, allowing you to easily locate them if they wander off or you need a quick check-in.

You can also recommend using trackers to your clients during the final planning phases. Suggest they can use it to track items like the wedding dress, rings, luggage for the honeymoon and the box for wedding cards.

5. Betting Apps for Guests

Wedding bets keep guests entertained and encourage them to pay closer attention to all the wedding moments. Using apps like Betting on the Wedding or a simple QR code, attendees can place fun, informal “bets” on different wedding moments.

Examples include guessing the length of the ceremony, who will be the first person on the dance floor or when the cake will be cut. Suggest this as a fun, no-money-involved activity. The prize can be bragging rights, a small gift from the couple or the right to request a song during the after-party.

Plan Weddings the Smart Way

These latest technologies will transform the way you plan weddings. Think of them as your helpful sidekicks for creating unforgettable celebrations and running a more efficient business. Remember, there’s no pressure to jump on every new trend — just pick those that fit your couples’ personalities and needs.

They are also some of the most misunderstood. Many couples assume a tent is inexpensive and just a nice backup for rain. In truth, a tented wedding means building your own venue from the ground up. You’re not just renting a space—you’re making one, which is why these weddings feel so special when done right. Let’s look at what tented weddings really cost, how complex they can be, and why I still love them so much.

First, the big truth: a tented wedding is a venue build-out

With a tented wedding, you take on everything a venue usually handles behind the scenes. This means arranging power, lighting, restrooms, flooring, permits, waste removal, staff access, vendor schedules, and weather safety plans.

Venues come with built-in infrastructure, but private properties or empty spaces do not. That’s why it’s called a full build-out. This is what separates just putting up a tent in a field from creating a tented wedding that feels truly luxurious and thoughtfully designed.

Why tented weddings cost more than couples expect

Most couples plan for the tent and maybe some tables and chairs. The surprise comes from all the extras needed to make the tent work well and look great. This is where most of the budget goes, and it’s why hosting a wedding at home often costs twice as much.

1) Power is not optional

On private property, you typically need generators and a full power plan to run:

Catering equipment

Lighting

Band or DJ sound systems

Restroom trailers

Heating or cooling (if needed)

You can’t just rent a single generator and hope for the best. Power needs to be carefully planned and safely distributed with your rental company.

2) Flooring is often what makes it feel finished

If you want your guests to feel comfortable and your event to look polished, flooring is important. Even flat ground can get soft or muddy with weather changes, making it hard to walk. Flooring creates a finished product and it’s a big part of the guest experience and can be one of the pricier items since each floor is custom-made to each tent. In New England, flooring is always recommended because of the unpredictable weather.

3) Restrooms are part of the experience, not an afterthought

For a tented wedding on private property, you’ll almost always need restroom trailers—and not just the basic kind. Guests remember the restroom experience, especially if it’s not good. A clean, well-lit, and well-placed restroom setup makes everyone feel comfortable and cared for.

4) Lighting is what turns a tent into a room

Lighting is what transforms a tent from a temporary structure into a welcoming space. It sets the mood, evokes emotion, creates at atmosphere, and makes photos look great! It also keeps the night feeling warm and intentional. Lighting is often overlooked in early budgets, but it can make or break your wedding design. For me, it’s the most important element.

5) Catering logistics get more complex

Venues usually have a kitchen, storage, water access, and a plan for trash and cleanup. On private property, you have to set up or bring in all of these systems yourself.

Often this means:

A catering tent or prep space

Additional rentals

More staff hours

More coordination

Prep tables, Kitchen equipment, and much more!

6) Weather planning costs money

You need plans for rain, wind, heat, and mud because weather impacts every part of a tented wedding, including safety. Sidewalls, anchoring, flooring, tent placement, entry mats, and backup plans all add to the cost, but they protect your event. Talking about these details before you commit to a tented wedding is key. When you’re prepared, your wedding can truly be magical.

The complexity couples don’t see (but feel)

Tented weddings involve more moving parts than most other events—not because they’re automatically fancier, but because they’re custom builds.

A few examples of what goes into the planning when you work with us here at Jaclyn Watson Events:

Load-in and load-out schedules (often over multiple days)

Property rules, neighbor considerations, sound ordinances

Permits and approvals, depending on town requirements

Vendor access routes, parking plans, and delivery timing

Safety planning for weather, power, and guest flow

Full timeline design that accounts for distance across the property

That’s why tented weddings need careful planning and a skilled vendor team. You want people who know how to build a venue, not just decorate it.

So why are tented weddings worth every moment and every penny

With all these challenges, why do people still choose tented weddings? When done well, they’re truly one-of-a-kind. A tented wedding is a blank canvas you can turn into a magical, unforgettable weekend. It’s worth every penny because each event is unique and tells your story. Here are a few more reasons why tented weddings are worth it if you plan accordingly and why this planner will always choose a tent over a ballroom.

1) The experience is fully personal

You can have a tented wedding on family land, with a mountain view, by the water, on a farm, in a field, or anywhere that’s meaningful to you. It doesn’t feel like just another venue—it feels personal.

2) You control the layout and flow

If you want a long-table dinner under glowing lights, a bar in the center of the room, a cocktail hour that moves through different spaces, or a dance floor that feels like a nightclub, a tented wedding lets you design the guest experience your way, without being limited by a building and timelines.

3) It photographs like a dream

With soft draping, layered lighting, custom flooring, and amazing floral designs, tented weddings offer design moments you can’t easily get in a traditional venue. They can feel romantic, modern, editorial, or timeless—it all depends on the experience you want.

4) You can create true luxury

Luxury means comfort, good flow, thoughtful details, and the sense that everything was planned with care. A tented wedding lets you create that from the ground up.

Tented weddings are my favorite because they’re a full build, and every decision matters. With the right plan and the right team, they feel effortless for the couple and guests, even though we’re working hard behind the scenes. This is the kind of work we love because it’s a full transformation and allows for high-impact guest experience moments that lead to amazing rewards. Tented weddings aren’t easy, but that’s what makes them special. Over time, they come to life and create an amazing atmosphere and experience.

Final advice: budget for the build, then enjoy the magic

If you’re thinking about a tented wedding, my best advice is to plan it as if you’re building a venue from the very start. Couples who enjoy their tented wedding the most are those who know what they’re investing in: comfort, design freedom, guest experience, and a celebration that feels unique to that place and moment. When you budget for what’s really needed, you can fully enjoy the results.

The venue should transform as imagined, and the timeline should run smoothly. While these are critical parts of the job, it’s often the small touches that truly satisfy the couple. As a wedding professional, you’re in a unique position to make your clients’ celebration feel personal and downright delightful. Add magical touches with small gifts that will wow everyone who books with you.

1. Thoughtful Welcome Gifts

The moment a client books you for their wedding marks the start of your relationship. What better way to celebrate than with a gift? A handwritten note paired with a curated box of treats or a bottle of sparkling wine shows you’re ready to make their day special from the get-go.

For something more customized, include a short “getting-to-know-you” questionnaire early in the booking process to learn about their favorite snacks, hobbies or local spots. This provides a solid foundation for tailoring the surprise.

Timing matters here. Mail it soon after booking or present it at your first meeting. This creates a wow factor that reassures the couple that they made the right choice booking you.

2. Personalized Planning Tools

Couples juggle multiple vendors and timelines, which can quickly become overwhelming without a clear visual guide. Offering a customized planning app or a branded digital calendar takes that mental load off their shoulders.

Bonus points if you integrate your branding subtly. Avoid glaring logos or flashy marks that resemble advertisements and overshadow the pair. Use your signature colors gently, but keep the focus on the celebrants by including their names or initials and the wedding date on the cover.

If your clients mention wanting a sustainable celebration, you’re on trend. About 70% actually prefer eco-friendly activities and décor over traditional single-use options. Offering a kit with reusable décor ideas, sustainable favors and waste-reduction tips tied to their wedding theme shows you’re listening and ready to support their values.

3. A One-Month-Left Surprise

The final month before the wedding is usually when pressure peaks. Knowing this, the two will appreciate a well-timed stress-relief gift box. Calming candles, soothing teas or a voucher for a couples massage are unexpected yet delightful to receive. Who wouldn’t enjoy a little time off together in the midst of it all? You can gift it during your final walk-through or meeting to help alleviate some of the stress.

4. Guest Engagement Ideas

Today’s young couples love bringing their celebration online for the world to swoon over, and about a third of people active on social platforms fall within the age of 25 to 34. You can help by creating their wedding hashtag and social media templates to encourage guests’ involvement.

This simple addition encourages attendees to share memories and create a digital keepsake for newlyweds to cherish. Plus, it’s another way you add value beyond coordination. You can even offer tips to inspire them to post and engage.

A fun idea to drive participation is to create a photo bingo card that aligns with the couple’s theme. You can make bingo options about the guests, too — a photo of them at the table, with their group, at a designated photo booth or with any unique installation. Consider offering an incentive, like “most creative photo wins a drink from the newlyweds.” Just be mindful that many couples prefer a phone-free or unplugged wedding, so always ask them first before implementing phone-based activities.

5. Customized Welcome Bags

Destination and out-of-town ceremonies are significant commitments that require invitees to allocate time and budget just to attend. Offering a welcome bag is a heartfelt way to acknowledge guests’ efforts and support for the couple.

You can include local snacks, a map of recommended places, the event schedule and a thank-you note from the pair. This gives them something to enjoy while they’re there and a clear calendar of events so they never miss anything important. It’s a warm gesture that guests will appreciate. The soon-to-be-wed couple will also thank you for saving them the headache of relatives and friends constantly asking for details.

This is the kind of thoughtful detail attendees rave about on social media and in reviews — how cared for they felt and how meaningful the gifts were. It works exceptionally well for microweddings with fewer than 50 guests, as you can focus on quality rather than quantity.

6. Wedding Day Comforts

While you don’t want to present a gift to the couple on their wedding day, especially since they might have surprise presents for each other, little comforts can still go a long way. This isn’t technically a gift, but more of a service.

Have a survival kit ready. Items like stain remover, breath mints, pain relievers or even a cozy robe with the pair’s initials embroidered on it can show true attentiveness. These extras will be appreciated up front and often become memorable highlights of your service after the fact.

7. Gratitude Gifts

After the big day, a quick thank-you token can reinforce the positive memories clients have of working with you. Something as simple as a digital gift card sent after they leave a review shows appreciation and nudges them toward sharing their experience publicly. If you want to make it more personalized, consider giving a handcrafted, monogrammed keepsake box, perfect for storing invitations, mementos and trinkets from their special day.

This gesture is especially powerful, as 88% of consumers trust online reviews before making a purchasing decision. Keeping the connection warm ensures they remember you when friends or family ask for wedding planning recommendations.

8. First Anniversary Surprise

Most planners stop at the wedding day, but you’re unlike most. Sending a present on the pair’s first anniversary helps you nurture long-term relationships, which can open doors for recommendations. Send a photo frame engraved with their wedding date or a gift card to their favorite restaurant. If you track milestones with a CRM or calendar, this becomes effortless. Plus, happy anniversaries often lead to referrals or repeat business.

How to Budget Gifts

You don’t have to tick every idea on this list. Most professionals recommend using 2% to 4% of your total fee for small gifts and gestures. With the average planner charging $2,000 for one ceremony, that’s $40 to $80 across a few well-chosen gifts or experiences.

Use client insights from your questionnaires to pick gifts that resonate. A single memorable gesture will mean more than several generic ones.

Give Couples a Memory They’ll Cherish Forever

In the whirlwind of logistics and deadlines, thoughtful gestures remind your clients that their wedding is a deeply meaningful milestone that is meant to be enjoyed, not stressed over. With the right personal touches, you can help create moments they’ll remember long after the celebration ends.

Why Evergreen Visibility Matters for Wedding Pros

The wedding industry thrives on seasons (engagement season, peak booking season, wedding season) and while those rhythms are predictable, your visibility often isn’t. One month your inbox is full; the next, it’s crickets.

That feast-or-famine cycle isn’t just stressful, it’s unsustainable. Pinterest helps even that out by building long-term brand visibility that doesn’t rely on constant posting or algorithm changes. Instead of chasing daily engagement, you’re creating assets that keep working for you, even when you’re busy designing florals, meeting clients, or managing timelines.

This is what I call the “silent partner effect” when Pinterest becomes your behind-the-scenes marketer, working 24/7 to bring new eyes to your website while you focus on the creative work you love.

How to Leverage Pinterest for Sustainable Growth

1. Focus on Evergreen Content (Not Trends)

Trends have their place, but evergreen content is the heartbeat of a sustainable Pinterest strategy. For wedding pros, that means pinning content that remains relevant beyond one season. Consider topics like how to choose a wedding venue, timeline tips for couples, or real wedding inspiration by color palette.

These types of pins serve as ongoing traffic drivers because couples are always searching for them regardless of the date on the calendar.

Pro Tip: Instead of creating pins around “2025 wedding trends,” focus on “timeless wedding inspiration” or “how to plan your dream wedding.” Those phrases have lasting search value, helping you attract ideal clients long after the trend fades.

2. Create a Strong Content Ecosystem

Pinterest isn’t a standalone platform, it thrives when connected to your blog, portfolio, and resources. Each pin should lead somewhere intentional: a blog post, a lead magnet, podcast episode, or your services page.

Think of Pinterest as your top-of-funnel visibility engine. It introduces new audiences to your work, while your website and email nurture them into clients.

Example: A floral designer might create a pin titled “Romantic Garden-Inspired Wedding Bouquets” that links to a blog post showcasing her favorite past designs, with a call to action at the end to inquire about floral services.

3. Design Pins That Reflect Your Brand

Pinterest is a visual search engine and your pins should feel like an extension of your brand. Use your fonts, colors, and photography to make your content instantly recognizable.

This isn’t about creating “perfect” pins but about creating consistent pins. When your pins look cohesive, it builds subconscious trust. Couples start to recognize your work before they even click.

If designing pins feels like one more task on your never-ending list, templates can help. That’s why I created The Styled Pin Collection to give wedding pros done-for-you designs they can easily customize to look on-brand, polished, and consistent in minutes.

4. Optimize with Strategy, Not Guesswork

Pinterest isn’t just about pretty visuals, it’s about smart strategy. That starts with keyword optimization.

Every pin, board, and description should use the words your ideal clients are searching for. For example:

“Destination wedding photographer”

“Romantic wedding color palettes”

“Wedding planning checklist for couples”

Those keywords help Pinterest understand what your content is about and show it to the right people.

The best part? Once optimized, your pins continue to gain traction organically even while you’re off creating or serving clients. That’s true evergreen growth in action.

5. Track What’s Working (and Do More of It)

Pinterest analytics give you powerful insight into what content your audience actually wants. You can see which pins drive the most clicks, saves, and outbound traffic and use that to inform your marketing decisions across all platforms.

If a pin about “mountain elopements” consistently performs well, that’s a clue: your audience is drawn to that niche. You can repurpose that insight into blog content, Instagram posts, or even new offerings.

Analytics aren’t just numbers — they’re a roadmap to smarter marketing.

Frequently Asked Questions about Pinterest for Wedding Pros

Q: Is Pinterest still relevant for wedding professionals in 2025 and beyond?
Absolutely. Pinterest remains one of the top discovery tools for couples planning weddings. It’s where inspiration turns into action and where they find the professionals behind the ideas they save.

Q: How often should I pin?
Consistency matters more than quantity. Even 3–5 new pins per week (created intentionally) will outperform 50 random repins.

Q: Do I need a blog to make Pinterest work?
Not necessarily but having one strengthens your strategy. Blogs give you fresh content to pin, more keywords to target, and more ways to drive traffic to your website.

Q: How long does it take to see results?
On average, you’ll start noticing traction after 3–6 months of consistent, optimized pinning. But once those pins gain momentum, they continue driving traffic for months or even years.

Real-Life Example: From Pinterest Skeptic to Website Wins

One of my wedding planner clients in Charlotte, NC started with a Pinterest account that was mostly unused. They would only pin inspiration for couples but never their own work.

After optimizing their boards, implementing a keyword strategy, and posting 1-2 times per day, they saw massive results in just six months:

159% increase in impressions

216% increase in outbound clicks

115% increase in saves

That visibility directly translated into more website traffic and more inquiries from dream clients who found her through Pinterest.

You can read the full case study on my site: “How a Wedding Planner Grew Website Traffic Using Pinterest.”

Action Steps for Wedding Pros

Audit your Pinterest account — are your boards and bios keyword-rich and relevant?

Plan one month of evergreen content and design 5–10 pins for each post.

Create a consistent pinning schedule (even if it’s just once a day).

Review analytics monthly and adjust based on what’s performing best.

Pinterest isn’t just another platform to manage, it’s your silent marketing partner. By focusing on evergreen visibility, intentional strategy, and consistent branding, you can create a marketing system that grows your business long after you’ve logged off.

You don’t need to be online 24/7 to grow your audience, you just need a strategy that works when you’re not.

Let’s talk timing

Now, we can’t see into the future, but we can certainly predict the timing of trends in most cases. Here’s where seasonality comes into play, and this can help you get a leg up when it comes to prospective clients. For example, we know that winter weddings and jewel tones tend to go hand-in-hand historically, while garden themes tend to dominate spring celebrations. Going against the grain can help in these cases, as the majority of couples don’t want something that’s been done before, so consider adding unexpected colors, patterns, or textures to defy the seasonal norm.

When it comes to outside influences, the Pantone Color of the Year (announced in early December) is a perfect example of a domino effect that ripples through the wedding industry. Similarly, Fashion Week and annual trend reports are perfect for showcasing trends that might be cyclical or have fresh twists on old favorites. These typically come into the fold later in the year so that you can plan ahead for next year’s wedding season.

Here’s where to look for inspiration

As we know, social media reigns supreme as the go-to for sourcing trends. Keeping a close eye on Pinterest, Instagram, and TikTok is going to be your best bet, and it’s never a bad idea to look through some of your favorite wedding blogs or B2C podcasts. Bookmark anything that stands out to you to save for 2026, even if it doesn’t necessarily fall into your own niche.

Continuing education will also be invaluable, specifically as it comes to trend talks, keeping up with Gen-Z, and anything that helps you keep up authentically. Conferences such as Wedding MBA are a great investment, especially when you consider the tradeshow floor and the networking opportunities. Don’t be afraid to get out of your comfort zone, regardless of how many years you’ve been in business!

Forecasting for the future (and what to prep)

Fads versus trends can be a tricky distinction, and staying power admittedly isn’t always obvious. Something that may be a viral moment can be forgotten in the next news cycle, so make sure that you’re also looking at trends with a critical eye. What couples are asking for now may not be relevant in a few months, so it’s important that you invest your time carefully. The great news is that trends are always open to interpretation and experimentation, so something that you might’ve seen a few times before can easily be customized in exciting ways.

Additionally, you don’t want to run the risk of your content becoming too dusty. Prioritize updating photos on your site and anything too outdated on your socials. While, yes, you want your portfolio to speak to your strengths, but anything too old may be a turn-off for prospects. The attention span of engaged couples is minimal, so keep diversity and aesthetic at the top of mind when curating your look.

Don’t feel as if you have to be a mind reader and predict the most memorable trends out there, nor do you necessarily have to try something that no one has done before. Just remember that trend forecasting is a science, and leveling up your brand can make lasting impressions on both future and existing clients!

Trend Hunting 2.0: How Wedding Pros Can See into the Future to Predict Upcoming Trends

Show Me the Money: Why Your Wedding Biz Website Needs Pricing (and How to Do it Right)

Let’s talk about one of the most skipped—and most searched-for—parts of a wedding business website: pricing.

As a professional website copywriter for the wedding industry, I’ve written around, oh, a zillion About pages and a galaxy of service descriptions. But you know what consistently makes a difference in selling for clients? Yep—how I talk about the money. And because WeddingIQ is all about helping pros work smarter, not harder, I’m here to break down one of the simplest strategies to boost your bookings: price transparency.

Listing your services and prices isn’t just a necessary evil. It’s one of the most powerful sales tools you have. Couples aren’t just buying your talent—they’re buying clarity, confidence, and the reassurance that you’re the right fit for their wedding.

Why I’m On Team Price Transparency

Here’s the deal: today’s couples are savvy. They’re juggling vendors, venues, and an inbox full of “just checking in” emails. They don’t want to waste time playing guessing games with your rates, and they definitely don’t want the ol’ “if you have to ask, you can’t afford it” treatment.

When you list your prices, you:

● Build trust: Transparency says, “I know my worth, and I’m not afraid to put it out there.”

● Pre-qualify leads: Fewer ghosting, more clients who can actually afford you.

● Save time: No more endless back-and-forth before you even get to the fun stuff.

I’ve seen it over and over: businesses that list prices get better inquiries. The kind where you can skip the awkward “so…what’s your budget?” conversation and dive right into how amazing you are.

It also eliminates the #1 ghosting trigger in the industry: sticker shock. If you wait until halfway through your sales process to drop the number, you risk losing the lead entirely. On the other hand, when couples see your price upfront and still reach out, you know you’re talking to people who are ready to invest.

Four Ways to Share Your Pricing

Your website, your rules—there’s more than one way to give your couples the info they need. And no, you don’t have to post an exact, down-to-the-penny quote like it’s the menu at a diner.

Here are four tried-and-true ways to make pricing public without boxing yourself in:

1. List your price.

Perfect for vendors with a flat fee or set price, like rental companies, musicians, or hair and makeup artists. Listing the flat price is clear and easy. There’s no guesswork and no need for “request a quote” buttons.

2. List your minimum price.

Great for pros whose rates change depending on hours or scope—think photographers, bands, and DJs. “Packages start at $3,000” sets expectations without locking you into a number before you’ve discussed details.

3. Share a range of prices.

Works well for services with lots of options. Pro tip: anchor with the higher number first (like saying $6,000 – $4,000)—psychology says people remember the first number they see, which makes your lower packages feel more approachable.

4. Give your average price.

Ideal for planners, caterers, and stationers whose costs vary widely with guest count and materials. “Most couples spend around $5,500” or “Our couples typically spend $1,200 per head” gives a ballpark that’s easy to digest and still leaves you flexibility.

You can even combine these methods—say, a starting rate with an average spend—if that gives the clearest picture of your pricing structure.

Overcoming the “But I’ll Scare People Away” Fear

I hear this all of the time: “If I list my prices, won’t it turn people off?”

Short answer: Yes. But that’s the point. The goal isn’t to attract everyone; it’s to attract the right people. The ones who see your work, understand your value, and are comfortable with your rates. If someone clicks away because your minimum is out of their budget, you’ve saved yourself hours of emailing, quoting, and follow up.

Think of it like a velvet rope outside a VIP event—you’re not trying to pack the room. You’re making sure the people who do get in are ready to party at your level.

Make It About Them (Not You)

Your website isn’t a personal scrapbook—it’s a sales tool. And the #1 question on your couples’ minds? How much does it cost?

Answer that clearly, and you remove friction. You help the right people find you. You close more sales without even getting on a call.

This isn’t just about transparency—it’s about respect for your couples’ time and budget. When you answer their biggest question upfront, you set the tone for a relationship built on trust. And in an industry as personal as weddings (with a fair amount of negative chatter online), trust is currency.

So don’t hide your numbers in the back corner of your inbox—be bold, and display them confidently. Price transparency isn’t scary. It’s strategic.

Take extra care with travel

Wherever you may be coming in from, it’s super important to have a game plan ready when it comes to travel. For November, specifically, keep in mind that Daylight Saving Time is creeping up on us, meaning that you may have an extra hard time with jet lag. Additionally, it’s worth noting that as of right now, we’re still in the midst of a government shutdown, so airport wait times with security may be a bit longer than normal. Keep an eye out for delays and flight changes to give yourself plenty of wiggle room if needed.

With this time away from your business, although it’s only a few days, you may also want to prep your team and your clients that you’ll be harder to reach during sessions and travel time (plus time zone differences!).

What’s your ideal ROI?

Don’t wait until you’re on the ground to start thinking about what your goals are for the conference. Wedding MBA is definitely an investment of time and money, so it’s important to check in with yourself (and your team) on what would make this a worthwhile trip. Education is just the tip of the iceberg — networking and post-conference implementation are just as crucial.

Even if you’re planning to attend as a speaker, it’s a good idea to have an outline or schedule to maximize your time. Check out the MBA schedule for any education or other speakers you’d like to connect with and see if you can manage a quick introduction. Beyond that, note-taking and reviewing slides (if the speakers provide a copy) are easy ways to help keep the ball rolling once you get back to business.

Have a team attending with you? Get organized in advance and decide who is going to what ahead of time so you can take advantage of all the educational sessions. When you return to the office, set aside some time so you can all share your top takeaways from your respective sessions.

Industry events you don’t want to miss + scheduling tips

As someone who has been a longtime attendee, the conference is truly a whirlwind. Three days may seem like a long time, but in between the mixers, other industry events, networking, and education, it’s a lot to take in and absorb. Instead of waiting to feel out the vibe on-site, map out a strategy ahead of time to streamline your schedule.

And during your time on the tradeshow floor, don’t forget to come say hi to me at the WeddingPro Booth- I’ll be there Thursday at 1pm PT!

Additionally, here are some MBA-adjacent events (in addition to the Wedding MBA Opening Night Party on November 11, plus the Speaker Meet and Greet and Kickoff Party on November 12) to consider attending:

Emerge Event Collective Dinner

WIPA Las Vegas

NACE Las Vegas

Iron Diamond’s After Party

Meet the WIPA Board Happy Hour

Of course, be sure to pencil in some time for meals and connecting with other pros! Don’t tell too many people, but our favorite on-site coffee is EGO, the cafe that serves Starbucks across the street at the Renaissance.

Getting to know Vegas

Conference aside, Vegas has no shortage of things to do in your free time. That said, I highly recommend taking advantage of the monorail to and from the Convention Center if you aren’t within walking distance. Parking is hard to come by, and walking may not always be feasible depending on where you stay. Get familiar with the stops and consider purchasing a pass online.

There are also many great restaurants, shows, and activities, but consider making reservations online in advance if possible, especially if you’re inviting a new contact out to dinner.

Ultimately, it’s never too late to switch up your strategy and try something new to prep for your upcoming year in business, and Wedding MBA is the perfect place to get started!

For more details and tips on how to maximize this year’s conference, check out our latest podcast episode here.

Your Guide to Attending Wedding MBA 2025

5 Benefits That Will Keep Your Team Locked in for the Long Haul

In the wedding industry, success is built on the strength and stability of your team.
Compensate them well

It may sound obvious, but fair pay is one of the most powerful tools you have for building loyalty on your team. When people feel valued financially, they’re more motivated to stick around and give their best work.

Kristy Rice, Founder & Owner of Momental Designs, shares, “First and foremost, business owners need to ensure their employees are compensated appropriately if they hope to keep their staff well into the future. Offering an annual raise, health insurance and retirement matching contributions are typically the most important factors to employees when it comes to their jobs. If all three areas of compensation align with the employee's needs, that is a good sign you are on the right path for retention.”

Of course, money isn’t the only motivator. It’s also about how compensation reflects the value you place on your team. Transparency around pay, regular check-ins about benefits, and a willingness to adjust as roles evolve all let them know you’re invested in their success.

Create a sustainable work environment

Burnout is real in the wedding industry, and it’s often one of the biggest reasons talented pros leave. Creating a sustainable work environment means giving your team space to recharge, whether that’s by encouraging time off after a busy season or adjusting workloads so no one feels like they’re constantly running on fumes.

“One of the hardest parts about the hospitality/events industry is the feeling of being ‘always on,’ notes Lauren Tankersley, CEO of 828 Venue Management Company. “Helping your team set boundaries that work for both them and your clients is critical to ensuring a more sustainable work environment. And a key component of this is creating a work structure that allows them to truly step away and enjoy some time off.”

Sustainability also comes from how you structure your operations. Think about the tools and systems that can help your team work smarter. Small changes, like automating repetitive tasks or setting boundaries around communication after hours, can go a long way.

Understand their personal goals

Every team member has dreams outside the company, and acknowledging them is a powerful way to build trust. Whether it’s saving for a home or building their own side project, these conversations can go a long way toward fostering loyalty.

Ian Ramirez, Co-Founder of Venue Help Desk, explains, “Let’s say one of your team members values quality time with their young children, and their professional goal is to own their own business one day. Consider adjusting their schedule to work remote two afternoons per week and allow them to shadow any strategic meetings. These benefits cost zero dollars but send a strong message: I understand what matters to you and I want to help you reach your goals.”

Remember: Supporting your team’s goals doesn’t mean losing them. Instead, it often means keeping them longer because they feel supported.

Invest in their development

Nobody wants to feel stuck in their role, no matter how much they love the industry. Providing access to workshops or certifications shows your team you see their potential and want to support their career journey.

“Pay for courses, conferences, or shadow days, to grow the team experience overall and boost team building,” suggests Craig Peterman, Photographer & Videographer at Craig Peterman Photography & Videography.

It’s a win-win: the more your team learns, the more skills and perspectives they bring back to your business. Maybe a staff member who takes a course in event design will spark a fresh idea, or someone who learns advanced project management can help streamline your systems.

Ensure they feel comfortable

A team that feels comfortable speaking up is a team that stays. If your employees know they can come to you with questions, ideas, or even mistakes without fear, you’ll build a culture of trust.

Emily Reno, Owner of Elopement Las Vegas, adds, “For me, one of the biggest reasons I haven’t had a lot of turnover in the last 10 years is that I’ve always left the line of communication open.
Feeling unorganized? Start here

The fall season is already taking flight, and it’s not unusual to feel a little scattered with your day-to-day life. Spending time to tune up your internal systems now will save you a lot of time when you’re in high demand, in between other challenges during the holiday season.

Tidying up your business might include:

Setting up out-of-office messages for your email

Syncing everyone’s schedules to Google Calendar (including scheduled time off)

Decluttering your inbox

Block-scheduling for admin days for Q4

Determining your OOO

This doesn’t have to be completed all in one day, or even in one week. Start small with one or two tasks at a time, and make sure the coming months are well-paced so you can tie up loose ends if needed.

Prioritize team health and morale

Your employees need time to rest and recharge before picking back up in the new year, so practice flexibility and understand that burnout is common before the holidays. Consider a staff meeting to gauge the coming months and see what can be done to ease the stress of the busy season. Productivity is crucial, but self-care is equally important. Additionally, have a bigger conversation with your team about getting ahead of time off requests and sick time.

On that note, don’t leave your work celebrations until the last minute! If you’re planning a fun, cozy holiday party or gathering, now is the time to start asking around for availability and booking accordingly.

Finally, don’t forget to prep your clients

Wedding pros aren’t new to the juggling act of the holiday event season, and if you have 2026 clients to begin prepping for, you may have your work cut out for you. Setting realistic expectations with clients is going to be especially important, so let them know as early as possible by setting the standard.

Let your clients know that you may be a bit slower to respond during this season, and try to plan out your vacation time as early as possible so they know when you’ll be unavailable. If you go dark on your projects unexpectedly, it may only lead to frustration and increased communication.

Don’t be afraid to set boundaries where needed, and let them know exactly where you’ll pick up once the new year comes along. Providing a more detailed timeline can help ease a bit of worry on their end, knowing that there aren’t any pending action items. If you have some clients who need a bit more hand-holding, I would suggest even offering quick 15-minute Zoom meetings before your break so you can provide a little peace of mind for any early 2026 events.

Looking ahead to 2026

But no matter how you define it, the path forward doesn’t always come from big changes. Often, it’s the small, consistent habits that make the most significant impact.

The good news? Some of the most powerful habits are also the most underrated. These everyday practices may not grab headlines, but they can elevate your workflow, strengthen your relationships, and keep you energized for the long haul. We’re shining a light on those hidden gems that can help you stand out and build lasting success in a competitive market.

Slow down

Weddings are fast-paced, but your client interactions shouldn’t be. Taking time to listen, explain, and guide couples through the process creates an experience they’ll never forget.

Leah Pieper, Founder & Lead Photographer at Leah Pieper Photography, says, “There's no replacement for time spent together with the couple not talking about the wedding or your role in the wedding! It's been extremely powerful for me to build relationships by simply not being in a hurry when I see my clients for meetings or their engagements.”

By slowing down, you not only deliver better service but also create opportunities to upsell, customize, and deepen the relationship. Remember: the more cared for your clients feel, the more they’ll rave about you to everyone they know.

Establish industry connections

In an industry where every weekend is a whirlwind of logistics, it’s easy to get caught up in the hustle. That’s why successful pros often ground themselves with a simple habit: practicing gratitude.

Alicia Parks, Photographer at Alicia Parks Photography, explains, “What has truly grounded me and helped prevent the burnout is a quick, daily ritual I LOVE. My 3-minute gratitude journal. Each morning, before anything else, I write down 5 things I am grateful for. This practice resets my mind. It gently shifts the lens from what’s draining me to what’s nourishing me. Gratitude journaling has been linked to improved sleep, less anxiety and stress, and even enhanced immune function.”

Gratitude is also contagious. When you lead with appreciation, it shows up in your client interactions and vendor relationships. It reminds everyone, including yourself, why this work matters and how much joy it can bring.

Focus on Google reviews

Word of mouth will always matter, but in today’s digital-first world, Google reviews are often the first impression couples have of your business. A strong collection of reviews builds trust while boosting your online visibility.

“There’s nothing glamorous about Google reviews, but my team has really made a push in the last couple of years to encourage our couples to review us,” confirms McKenzi Taylor, Founder/Owner of Cactus Collective Weddings. “Google’s search engine is still the 1,000-pound gorilla in the marketing room, and all the efforts we put into our social media, our blog, our marketing, and advertising to try to get ranked on page one doesn’t mean bananas if the reviews are negative.”

Happy clients are usually more than willing to leave glowing feedback. They just need a little reminder. Make it part of your workflow to follow up after an event, and make it as easy as possible for them to share their thoughts.

Only take on specific clients

When you’re just starting out, it can feel like you need to say “yes” to every inquiry that comes your way. But as your business matures, you quickly realize that the best experiences, and often, the best results, come from working with clients who align with your style and values.

Julian Ribinik, Creative Director at Julian Ribinik Studios, shares, “I do not take clients I don't vibe with. I always make time to create a personal connection; I am genuinely interested in what things are happening with my clients, what they like, how they approach things, where they go, and that helps me to create a set of touch points, rather random just to be in touch. When we are there on the wedding day, we are friends and not vendors, which continues after the wedding and removes all the unnecessary friction points.”

Successful pros know that building a client roster is all about connection. Trust your gut and lean into those good vibes. The right clients will not only value your work but also make the journey more enjoyable for everyone involved.

Backup all of your work

Technology is a lifesaver, but it’s not foolproof. That’s why seasoned pros swear by the habit of backing up every file, every time.

“I always back up the entire wedding twice before I even go to sleep that night,” emphasizes Craig Peterman, Photographer & Videographer at Craig Peterman Photography & Videography. “No winding down until the files are secure. Cards get dumped, drives get cloned, and I won’t rest until I know the files are safe in more than one place. Couples never see that step, but it’s probably the quietest yet most important habit I have.”

Once you incorporate backup systems into your routine, they become second nature. Think of it as an insurance policy for your reputation and peace of mind.

Make time for silence

Silence feels like a luxury when you’re juggling back-to-back events, emails, and vendor calls. But the most successful pros know it’s actually a necessity.

Natasha Cardinal, Photographer at The Cardinals, reveals, “I build intentional silence into my day. No emails, no calls, no content, just a 15-minute walk, stretch, or sit where I let my mind wander. That pause is where clarity shows up. Most people look for productivity hacks, but I’ve found that stillness is the thing that keeps my creative brain from running off the rails.”

Silence doesn’t have to mean a full meditation session (unless you want it to!). Just incorporating a few intentional pauses gives your mind space to process, which often leads to better decision-making.

Create a consistent schedule

One of the biggest challenges in the wedding industry is managing the unpredictability of it all. Creating a consistent schedule (and holding yourself accountable to it) is a game-changer.

“I’ve learned to treat consistency as a form of care,” admits Amos Gott, Chief Event Architect at AmosEvents. “That means honoring my own rituals like hot tea before calls, walks after installs, no emails after 7 - even when the industry rewards hustle. It’s not flashy, but it’s the reason I still love this work after all these years. The goal isn’t to avoid burnout; it’s to build a rhythm that makes burnout less likely in the first place.”

The key is not just making a schedule, but truly sticking to it. That means carving out time for both business and self-care, and treating those commitments with the same importance as your client work.

While there’s no single path to success, these habits remind us that the little things matter. From choosing clients who energize you to carving out moments of stillness, it’s often the overlooked practices that keep your business thriving year after year. Embrace these simple shifts and you’ll set yourself up for a more fulfilling and balanced career in the wedding industry!

Underrated Habits of Successful Wedding Pros

Your Business is Getting Older, But Your Brand Doesn't Have to

Your long-standing brand has the recipe for success – experience, industry know-how, reputation, and connections.
Embracing new platforms, apps, and methods

Have fun and experiment with new apps and creative methods for getting the word out there about your brand. With newly engaged couples turning more toward TikTok and finding vendors from viral videos, this is a great time to explore short-form video content. And beyond that, exploring new client-facing tech can mean a world of difference for those looking for more hands-on communication.

For me, hiring someone to assist with social media and content creation was an absolute game-changer. If being in front of the camera doesn’t come naturally to you, having someone help with ideation can be the perfect way to step outside of the box. Try your hand at behind-the-scenes clips, what the creative process typically looks like, or unique edits of recent events. Trending audio can also help push your TikToks and Reels to the top of the algorithm!

Breaking free of your comfort zone

Out with the old, in with the new — kind of. After years in business, you know best what works for your client and internal workflows and what doesn’t, but that isn’t to say that you can’t build on how you do business. Stepping outside of the norm when it comes to sales and overall experience can be a nice shift.

Consider what couples these days find exciting about the planning process. Processes that are tried and true for you may not feel super exciting for your clients, so think about how you can amp it up. Incorporating something such as vision boards and collaborative tech adds an immersive touch, plus it can ensure that everyone is on the same page about the end result.

Tapping into cross-generational appeal

Let’s face it — we’re in the unique position in the wedding industry where we’re getting older and our engaged couples are staying relatively the same age. Keeping things fresh and modern is a major priority, and prospective clients want to see that you can adapt to the changing of the tides with trends and expectations.

For this, I highly recommend keeping your finger on the pulse of evolving trends and even auditing your social media and website to stay relevant. Gen Z, for example, is all about inclusivity, transparency, authenticity, and sustainability. How do your brand voice, verbiage, and portfolio shape up? Make sure that you’re putting your best foot forward with diverse posts and galleries, and that your captions and web copy are inclusive of all couples.

Adopting new approaches will keep the dust off your brand, and it’s a great exercise in sustainability. Just be mindful of staying true to yourself in the process!

Your Business is Getting Older, But Your Brand Doesn't Have to

Making Time for Self-Care in 2025

During busy season you're likely running on caffeine, adrenaline, and sheer determination. When your calendar is packed with weddings and deadlines, it’s easy to push self-care to the bottom of your list (or off the list entirely). But just because you're in the thick of it doesn’t mean your well-being has to take a backseat.

This year, prioritizing self-care isn’t just a personal goal but a business strategy. Taking care of yourself means showing up better for your clients, team, and long-term vision. So, before burnout starts whispering in your ear, let’s talk about how wedding pros like you are carving out space for rest and balance in 2025.

Schedule time on your actual calendar

If it’s not on the calendar, does it even exist? Block off time just like you would for a consultation or vendor meeting.

Julia Wade, Owner of Julia Wade Photography, shares, “I have learned to block consistent, weekly appointments on my calendar for my favorite hobby, which happens to be tennis. It serves a few purposes: exercise, time to focus on the present moment, and even allows me to get out some frustrations on the court.”

Though it may feel strange at first to pencil in time for yourself, think of it this way: you’re modeling the importance of balance in your business. And trust us, future-you will thank present-you for the intentional breaks!

Step away from social media

We all know social media can be a blessing and a curse. It’s a powerful marketing tool, but it’s also a place where comparison creeps in, and your brain rarely gets a break. Taking even a short detox can do wonders for your mental clarity and focus.

“Sometimes the best thing you can do is to mute those social media accounts that cause you to fall into the comparison trap and second-guess your value,” reminds Sarona Farrell, Founder & Lead Planner at Gloweddings.

Try setting specific times for scrolling or even logging off completely during your off-hours.

Erin Dabbs, Lead Photographer at Erin Ren Photography, adds, “Sometimes logging off is the biggest gift of self-care we can give to ourselves. In the mornings and evenings, purposefully choose to be screen-free and away from social media and emails. Focus only on yourself and family needs during this time. Disconnecting from business needs until you really ‘clock in’ allows you to choose your own pace instead of being reactive.”

You’ll be surprised at how freeing it feels not to be constantly plugged in. When you do come back, you'll likely feel refreshed and more intentional about how and why you're showing up.

Find what recharges you

Self-care isn’t just about resting. The trick is also figuring out what lights you up.

“I think self-care doesn’t always have to be about slowing down; it’s also about finding what recharges you,” confirms Craig Peterman, Photographer & Videographer at Craig Peterman Photography & Videography. “For me, sometimes that’s traveling somewhere new for inspiration or just hanging out with my dog and playing catch. Either way, the key is to treat it as a necessity, not a luxury.”

Pay attention to how you feel after certain activities. Do you feel more grounded after cooking a meal? More alive after a group fitness class? Lean into those clues and start crafting a personalized self-care plan around them.

Make it routine

It’s easy to assume self-care has to be some big, grand gesture. But honestly? The magic is in the routine.

Vijay Goel, Co-Owner of Bite Catering Couture, suggests, “Build in time and routines to make good things routine. It's better if they are in by default and then moved as needed. In my case, we have dinner at 6:30 and read a bedtime story at 9. Grandpa comes for a visit at the park with the kiddo every Sunday at 3:30.”

Small, consistent acts of care can create a solid foundation for long-term well-being. And when you build these moments into your regular schedule, they become habits rather than something you have to think about.

Actually take days off

It sounds obvious, but let’s be real: how many times have you said you’re taking a day off, only to sneak in a few emails or hop on a call? Taking a day off means fully disconnecting from work. No client messages. No timelines. No to-do lists.

“Setting the expectation with your other clients that you will be out of the office on your days off,” emphasizes Alex McClard, Owner & Lead Planner at Vision in White Events.

Give yourself permission to be human for a day, not just a business owner. Rest is productive. And the world won’t end if you take 24 hours to breathe!

Make a self-care kit

A self-care kit doesn’t have to be fancy or Instagram-worthy. It just has to be you. Think of it as your go-to stash when you’re feeling overwhelmed or drained.

Zhaun Frias, Owner & Lead Photographer at Zhaun Frias Photography, says, “As a photographer, one of the ways I ensure I can still practice self-care is to prepare and pack self-care kits for event days. These can include protein snacks, electrolytes, breath mints, painkillers, band-aids, and backup clothing for comfort and preparedness.”

Keep it nearby in your event-day bag, so when stress hits, you have tools ready to ground you. Having a physical reminder of what brings you comfort can help you reset quickly.

Move your body

You don’t need to spend an hour at the gym every day to feel the benefits of movement. Even a quick stretch between meetings or a 10-minute walk around the block can boost your energy and shake off the stress.

“I also believe that eating well and making time for movement, whether that’s hitting the gym, going for a long walk, or just getting outside in the sun, is a game-changer,” highlights Emily Reno, Owner of Elopement Las Vegas. “It helps not only with stress but also with stamina, so when those marathon wedding weekends hit, you’re not totally wiped out for days after. The wedding hangover is real, y’all!”

As wedding pros, we’re used to long hours on our feet, but there’s a difference between working your body and caring for it. Find a movement practice that feels good to you and stick with it.

Hit the spa

This one may feel indulgent, but let’s call it what it is: maintenance. Your body works hard. A massage, facial, or even a simple foot soak can do wonders to reset your nervous system.

Meaghan Cody, Owner of Sweet Pea Events, notes, “A favorite way to treat myself after an event is a spa day with a 90-minute massage. But during the midst of busy season, sometimes that isn't always as doable as I would like, so calling my local reflexology foot spa is the next best thing! I get to lay back in one of those reclining chairs, and let them work out all the knots my feet are holding onto!”

If you can swing it, book regular appointments in advance so they become part of your wellness rhythm. And if the full spa experience isn’t in the budget right now, even creating a spa-like vibe at home can help you decompress after a long week.

Set professional boundaries

Boundaries are one of the most powerful forms of self-care. They protect your time, energy, and mental health.

“Boundaries are tough for wedding professionals,” admits Liney Castle, Planner at Twickenham House. “After all, you work events on the weekends but then spend all week trying to prep and plan for future events. Making sure that you are giving yourself enough ‘off’ time to mentally refresh and take some time for self-care will not only set you up for success, but it will also present the best version of yourself to your client!”

It might feel uncomfortable at first, especially if you’re used to saying yes to everything, but the right clients will respect them. And you’ll feel better for it.

Carve out small increments

Don’t have an hour to dedicate to self-care? That’s okay. Start with smaller chunks of time.

Natalia Zuk, Co-Owner of Lilac Studios, explains, “It can be challenging to practise self-care during the busy season. What helps me stay grounded is carving out at least 15 minutes a day to do something just for myself. That might be drinking coffee while reading a chapter of a book, taking a long bath, doing a bit of yoga, or going for a brisk walk. Even small pockets of time can make a difference.”

These little check-ins with yourself help you stay grounded on the busiest days. Think of them as self-care “snacks” to keep you going until your next full recharge.

Habit stack

Want to make self-care stick? Pair it with something you already do. That’s the beauty of habit stacking.

“Creating simple routines with habit-stacked behaviors allows me to not skip past the things that I need to do to take care of myself,” shares Shannon Tarrant, Co-Founder of Venue Help Desk. “I created a morning and nighttime routine that is the same every day that allows me to set myself up for self-care success. One of the things I do in the morning is fill my vitamin box on Sundays and put it next to the coffee maker so every morning, I remember to take my vitamins.”

It’s an easy way to weave wellness into your routine without it feeling like a big commitment. Before long, those tiny add-ons become part of your daily rhythm.

Stay aware of your needs

Your needs won’t look the same every week (or even every day). Self-care isn’t static, so check in with yourself often.

Penny Haas, Owner & Lead Planner at Penny Haas, LLC, recommends, “Pay attention to yourself and be aware even in the fbusy season. You may be going through the motions, but being intentional, staying aware, and concentrating can help you achieve your business and planning goals, as well as being mindful of what YOU personally need. You cannot be on top of your event game if you are not taking care of yourself first.”

Creating that space for self-reflection allows you to respond to your life as it is, not as it “should” be. Awareness is the first step toward meaningful care.

Reframe your thoughts

It’s easy to fall into the mindset that self-care is selfish or a luxury. But here’s the truth: it’s part of doing your job well. A well-rested and emotionally balanced version of you is better for everyone.

“Reframing your thinking, knowing that the work is always going to be there and your to-do list is ever-growing, so even if you did get ‘caught up’ on everything, there would still be more to do,” says Nicole Back, Photographer & Videographer at nicole&photo. “Your health affects every aspect of your life, from your ability to focus and perform tasks better, your mental happiness and peace, or even how you interact with your community.”

Try swapping “I don’t have time for self-care” with “I deserve to take care of myself.” The way you talk to yourself matters. Start speaking with the same compassion and encouragement you give to others.

Celebrate your wins

Self-care also means giving yourself credit for how far you’ve come. Celebrating your wins—big or small—reinforces your progress and helps you feel more fulfilled in the work you do.

McKenzi Taylor, Founder/Owner of Cactus Collective Weddings, advises, “Take pride in your work. At the end of a successful event, take a minute to stand back and admire your accomplishment. Pause, take a breath, and pat yourself on the back for another job well done. Celebrate wins big and small. Say thank you to your helpers or colleagues. They’ll appreciate it, and you’ll all feel good about the state of the great little world that you’re building.”

You should also acknowledge the wins that don’t show up on Instagram: finishing a tough conversation, setting a boundary, taking a real day off. All of it counts. You’re doing great. Don’t forget to recognize it!

Make it your own

There’s no “right way” to do self-care. What works for someone else might not work for you, and that’s okay. This journey is about tuning in, trying things out, and building a rhythm that fits your life and business.

“Self-care means different things to different people, so no matter what that looks like for you, the number one thing is to commit and not prioritize other things over that time,” reminds Kimberley Dunkley Watkins, Destination Wedding & Event Planner at Dragonfly Experiences.

Forget the trends and tune into what helps you feel grounded and capable. Your version of self-care is the one that sticks and supports you through all the highs and lows of running a creative business!

Making Time for Self-Care in 2025

Tips for Attending NACE Experience 2025

NACE Experience 2025 is just around the corner, and if you’re anything like me, it’s one of your favorite conferences of the year.
Pack Smart: Essentials + Extras

Before you head to Milwaukee, take a moment to think through your packing list. With fun-themed events like the Opening Reception and the NACE ONE Awards Celebration, you’ll want to bring a few show-stopping outfits alongside your business casual staples.

Comfortable shoes are a must (trust us, there’s always more walking than you think), and don't forget weather-appropriate layers. Milwaukee summers are beautiful, but that lake breeze can catch you off guard.

Beyond fashion, make sure your conference toolkit is locked and loaded: a notebook or digital note-taking app, extra pens, portable chargers, snacks, and a reusable water bottle will go a long way. Being prepared will let you focus on networking and enjoying the experience without scrambling to borrow a phone charger or track down a pen.

Build Your Game Plan Before You Arrive

NACE Experience is filled with opportunities, but the magic is in the planning. Before you arrive in Milwaukee, take a look at the conference agenda and select the education sessions that align with your goals.

And don’t stop there: reach out to fellow attendees, speakers, or vendors you’d love to connect with and schedule intentional time to meet on-site. The best conversations often happen over coffee or a quick hallway catch-up, but a little advance planning can ensure they happen at all.

This is especially true for NACE leaders. Your peers from around the country will be there, and it’s one of the rare chances to talk shop in person. These face-to-face moments are where the Experience comes to life!

Soak Up the Inspiration

One of the best parts about NACE Experience is how recharged and inspired you feel after it. The education sessions and hands-on experiences are designed to spark ideas you can take home and implement.

If you're a NACE leader, you already know how powerful this event can be, not just for your own development, but for what you bring back to your chapter and local community. Take note of ideas worth sharing, programs that could work at home, and strategies that help raise the bar for everyone around you.

Plan for the Follow-Up

The conference may end on July 29, but the work continues when you get home. Set aside dedicated time in your calendar for follow-ups, whether that’s sending thank-you notes, connecting on LinkedIn, or setting meetings to discuss collaborations. A quick email or message can help turn a conference contact into a real relationship.

And don’t let your notes and takeaways gather dust! Review what you learned and translate it into action items for your business or chapter. Highlight key points and make a plan to implement those ideas. Your ROI on this event doesn’t stop at the closing session but builds in the weeks and months that follow.

Kick Things Off With Fresh Vibes MKE

Kick off NACE Experience 2025 with a true taste of Milwaukee at Fresh Vibes MKE, the official opening reception on Sunday, July 27, from 6:00–9:00 PM at the iconic Harley-Davidson Museum. This high-energy event features MKE-inspired cocktails, local bites, interactive activations, and bold design that brings the city’s creative spirit to life.

It also marks 40 years of the Foundation of NACE, celebrating decades of impact and support for our industry. This event is the perfect way to reconnect, make new friends, and set the tone for an unforgettable week!

Your future schedule

If your calendar is filling up for the rest of the year (or even next), now’s the time to think about the support you’ll need. Bringing someone new onto your team isn’t a quick fix; it’s an investment of time and energy.

Kristin Hubbard, CEO of Our DJ Rocks, states, “Recruiting, hiring, and fully training new event team members takes time—usually 3 to 6 months, minimum. So don’t wait until you're overwhelmed. If your calendar is starting to stack up, now’s the time to figure out what kind of support you’ll need and give yourself the runway to bring them on properly. Your future self (and your current mental health) will thank you.”

Midyear is a great checkpoint to assess your workload and spot the gaps. Think ahead and start laying the groundwork now for the team you’ll need in the months to come.

Your workflows

When you’re deep in event season, even the most solid systems can start to show a few bottlenecks. Maybe you're constantly following up with clients who missed emails, or your team’s scrambling to find files that should be easy to locate. Those are signs it’s time for a tune-up.

“Take a good look at your workflows,” reminds Craig Peterman, Owner of Craig Peterman Photography & Videography. “Are clients getting what they need quickly and clearly? Are you (and your team, if you have one) staying sane in the process? Midyear is when cracks in the system start to show, especially during (or after for my fellow Arizona friends) the peak season rush. Fixing even one laggy part of the process can save you serious time and headaches.”

Take a moment to audit your process from inquiry to event day. Are there tasks that could be automated? Communication points that could be clearer? A smoother workflow means fewer fires to put out and more time to focus on what you do best: creating incredible experiences.

Your health

Let’s be honest: wedding season can be tough on your body and mind. When was the last time you took a real day off, without checking your inbox between ceremony and reception?

Kawania Wooten, Principal Consultant at Howerton+Wooten Events and The Enlightened Creative, notes, “We work so hard and we work long hours, and we tend to put off our much-needed wellness appointments. If you didn't take care of it at the beginning of the year, this is a great time to make your appointments with your various doctors, your dentist, your esthetician, and your masseuse.”

Check in with yourself: Are you sleeping? Hydrated? Moving your body in ways that feel good? Protecting your mental and physical health is part of being a successful business owner. You can’t pour from an empty cup!

Your sales goals

Remember those ambitious goals you set in January? Pull them out and take a good look. Midyear is your chance to course-correct if you’re off track or push even harder if you’re ahead.

“At the halfway point through the year, it's time to really evaluate your sales pace,” confirms Shannon Tarrant, Co-Founder of Venue Help Desk. “Are you on track with your sales goals, ahead of pace or lagging behind? When you're not hitting or exceeding your sales goals, this is a great time to dig in to find the hole in the sales funnel.”

Maybe you need to revisit your marketing strategy, or it’s time to raise your rates. Either way, be proud of how far you’ve come, and don’t be afraid to adjust the plan to fit the reality.

Your intentions

Six months in, it’s easy to forget the why behind what you’re doing. Are your day-to-day choices lining up with the intentions you set earlier this year?

Mary Angelini, Owner of Key Moment Films, says, “Revisit the intentions you set at the start of the year. You may have aimed for better work-life balance, stronger client boundaries, or more streamlined workflows. Take an honest inventory of your energy, stress levels, and overall mental bandwidth. It helps you identify whether your systems are holding up under pressure or if something needs to change before you hit peak burnout.”

It’s time to reconnect with the vision you had for your year. If things have shifted, that’s okay, just adjust your intentions accordingly. What matters most is that your business supports the kind of life you actually want.

Your taxes

No one wants to talk taxes during wedding season, but a midyear check-in can save you serious stress (and cash) come year-end. If you’re not already setting money aside for quarterly payments, or if your income has significantly increased, now’s the time to loop in your accountant.

“Wedding season can be a whirlwind, which is exactly why it’s so easy to forget about estimated tax payments in the midyear storm,” explains Natasha Cardinal, Owner & Photographer at The Cardinals. “But skipping them—or underpaying—can lead to penalties or an overwhelming tax bill come April. Use this midyear moment to review what you’ve earned so far and check in with your CPA (or use IRS Form 1040-ES) to ensure you’re on track. A quick recalibration now can save you from a stressful surprise later at the end of the year!”

Doing a little prep now means no numbers-induced headaches later. Future-you will thank you for it, especially when you’re coasting into the off-season instead of scrambling through tax prep.

Remember: be proud of your hard work

In the fast-paced world of weddings, it’s easy to focus only on what’s next. But take a beat to recognize how much you’ve already accomplished this year.

“Don’t let midyear reviews be a guilt trip,” emphasizes Peterman. “They’re a pulse check, not a performance review. You’re allowed to be proud of what’s working and honest about what’s not, without spiraling into burnout mode trying to fix it all overnight. Momentum builds with small, consistent moves.”

You’ve laid a strong foundation, and the effort you’ve put in so far is something to be proud of. Keep going with intention, confidence, and clarity. The second half of the year is full of potential, and you’re more than ready for it!

You're Creeping Up on Midyear- What Should You Be Checking in On?

When Should You Say “No” to Your Client?

In the wedding industry, “yes” often feels like the golden rule. We’re trained to be accommodating, creative, and solutions-focused—especially when emotions and expectations are high. But experienced pros know not every request deserves a green light. Sometimes, protecting your time and energy means drawing a clear line and saying “no”, even when it feels uncomfortable.

Whether it’s a client asking for something outside your scope or a last-minute change that disrupts your workflow, learning to say “no” can actually strengthen your business. Below, we explore when to turn something down and how to communicate your boundaries professionally (and without guilt!).

When they want you at multiple locations

It’s not uncommon for couples to book venues that require a bit of travel between the ceremony, cocktail hour, and reception. But when the timeline gets too tight or the logistics become unrealistic, it’s okay to speak up.

Nicole Chan, Photographer at Nicole Chan Photography LLC, shares, “If they're asking me to do the impossible, such as be in two places at once (to photograph them in a spot 45 minutes away from the venue, while also capturing the guests back at the venue), I'll always offer a solution, such as adding on a second or third photographer to their coverage. I truly believe in being as flexible and accommodating as possible, and if things are impossible, to help brainstorm solutions!”

Rather than stretching yourself thin to please the client, offer alternative ideas that maintain the day's flow. You’re not just saying “no.” Instead, you’re offering a professional perspective that helps their day run smoothly.

When their ideas aren’t feasible

Pinterest boards and TikTok trends are great for inspiration, but they often ignore real-world limitations. If a couple wants fireworks inside a historic ballroom or expects a floral installation to hover in mid-air with no rigging, it’s time for a reality check.

“One sign is when a couple wants high-end results, but their budget just doesn’t line up with what they’re asking for,” notes Craig Peterman, Owner of Craig Peterman Photography & Videography. “Another is when they send over a long list of must-have Pinterest shots, even though their venue, timeline, or lighting doesn’t really support those ideas.”

This is where your experience shines. Gently explain why something may not work and guide them toward alternatives that still honor their vision. They came to you as the expert, so own that role.

When they don’t give you enough info

A lack of client communication slows everything down and puts pressure on your entire workflow. You may want to be patient and accommodating, but at a certain point, boundaries are necessary.

Julian Ribinik, Creative Director at Julian Ribinik Studios, adds, “Client avoids answering your questions regarding the event or being vague about their expectations, other vendors, timeline, and avoids meeting you in person or on Zoom. It can and will lead to unexpected and unpleasant surprises, sometimes preventing you from delivering your best work.”

You can frame it as a mutual investment in the success of their event. When clients understand that timely decisions directly impact results, they’re more likely to step up.

When they don’t understand their budget

Sticker shock is real, especially for couples planning their first major event. They might come in expecting a luxury look on a shoestring budget, not realizing what things actually cost.

“In the initial call when booking a client, we ask for a budget up front so that we can start to level set their expectations,” explains Meaghan Cody, Owner of Sweet Pea Events. “For example, if the client wants a tent wedding for 300 guests on their parents’ property, but they only have $100k to spend, we're going to have to have some realistic budget conversations upfront to show them what that could look like or not look like!”

Instead of absorbing the pressure, help them see the bigger picture. Break down where their money goes, prioritize what matters most, and suggest realistic adjustments.

When they want you to recreate someone else’s work

There’s a difference between inspiration and imitation. If a client comes to you with a viral wedding video or a photo from someone else’s portfolio and says, “I want exactly this,” it can feel like your creativity is being sidelined.

Kelley Nudo, Client Relations & Operations Director at Momental Designs, highlights, “A red flag for us, as custom stationers, is when a client shares with us the work of another design company and asks us to replicate it. We will not copy the work of another artist as it is unethical, and honestly, not something that helps build our brand or specific design style, so when clients ask us to replicate another artist's design, it is a hard no.”

This is a great moment to educate the client on what’s unique about your approach. Explain how you can take the essence of what they love and reinterpret it in a way that’s true to your style and their story.

Remember: Clients don’t know what they don’t know

It’s easy to forget that most couples are planning a wedding for the first time. They aren’t trying to be difficult—they just don’t know what goes into the process.

“When working with wedding clients, I strongly advise setting yourself up for success in the sales process,” recommends Shannon Tarrant, Co-Founder of Venue Help Desk. “When you can focus on building rapport and trust at the start of the process of working together, it's easier to guide them in a different direction when the situation arises.”

Approaching these “no” moments with professionalism and empathy helps educate your clients while keeping your sanity in check.

“The best way to temper them is through education,” confirms Natalia Zuk, Owner of Lilac Studios. “Clients are not wedding experts; wedding is something they most likely plan for the first time, and I believe it is part of our job to educate our clients and help them understand why things work a certain way or why they cost a certain amount of money.”

Saying “no” isn’t about being difficult. Instead, it’s about setting the stage for a better outcome. Trust your instincts, set clear boundaries, and remember: protecting your time and talent is one of the best ways to serve your clients well!

When Should You Say “No” to Your Client?
