Newt Gingrich Wants You to Rename the Cell Phone

Professor Newt is back.

Last week, Gingrich Productions published an article discussing the rapid transformation of modern technology. Newt Gingrich, notorious for his love of innovation, was recently enlisted by Google to be one of the first to try its highly anticipated new product, Google Glass. Google Glass, regarded by many as the harbinger of future technology, is a mobile device worn like a pair of glasses that is capable of taking pictures and making video calls.

In his article and accompanying video (below), Newt Gingrich asks viewers to create a new name for the cell phone—one that better articulates the features and functions of such an evolved device. To quote Newt Gingrich, “what you still call your ‘cell phone’ is not primarily a phone at all. Today’s cell phones have roughly the same computing power as a 2003 laptop.”

Newt Gingrich was calling his phone a “handheld computer,” but admits that even this name fails to capture the array of tasks it is capable of performing.

Worldwide Speakers Group: Recent Partnership with EO University 2013

Last month, Worldwide Speakers Group (WWSG) traveled to Miami, Florida for a four-day conference hosted by one of our partners, Entrepreneurs' Organization (EO). Despite the absence of nice beach weather, the event was a huge success: more than 350 attendees gathered to collaborate with one another and learn from some incredible keynote speakers.

EO boasts a membership network of more than 8,000 international business professionals, with each member holding a leadership position in a million-dollar company. The EO University event series provides an opportunity for these international business leaders to come together and share ideas.

When WWSG was invited to partner with EO for their Miami conference, we were excited for the opportunity to strengthen our relationship with such a diverse and reputable organization. The task ahead was challenging -- finding the right speaker for a crowd of international entrepreneurs -- but WWSG's Senior Vice President of Sales Shelly Sharer was up to the task. Her in-depth and intimate knowledge of each speaker and their brand provided the necessary expertise to make sure the event was not only successful, but memorable.

Daymond John, a popular reality TV personality from the show Shark Tank, spoke about his personal experience building the iconic fashion brand FUBU that led him to success, while Chef Jeff shared his own journey from federal prison to becoming a top chef for the Bellagio. With his signature this week, President Obama will sign into law a set of federal spending cuts known as sequestration. For 2013, $85 billion in cuts will occur; the fall-out for 2013 includes:

2.14 million jobs lost (1.5% increase in unemployment)
1.5% decrease in GDP growth
$42.7 billion in defense cuts
$28.7 billion in domestic cuts
$9.9 billion in Medicare cuts

More will be cut in 2014 and later as the sequester will cut approximately $87 to $92 billion from the discretionary budget each year, which is a total of $109 billion. Approximate cuts include:

Public housing--$1.94 billion
NIH--$1.6 billion
NASA--$960 million
FBI--$480 million
CDC--$323 million
FDA--$206 million

Tevi Troy, Health Speaker: Five Myths about This Year’s Flu

This year's flu season has led to illness, absenteeism, hospitalizations and, tragically, death. It has also led to speculation, misinformation and just plain falsehoods about the illness and the government’s pandemic policies. As a Former HHS Deputy Secretary, Tevi Troy dispels all myth about the flu.

1. This season, the flu is deadlier than ever

The influenza virus is one of the leading causes of death by infectious disease in the United States. It killed an average of 36,000 Americans annually in the 1990s. Approximately 675,000 Americans died in the great influenza of 1918-1919, and 70,000 perished in the Asian flu outbreak of 1957-1958. To put these numbers in perspective, about 400,000 Americans died in World War II.

That said, the Centers for Disease Control and Prevention (CDC) do not know exactly how many people die from seasonal flu each year. States do not have to report flu deaths among adults, and the cause of death for people with complications or secondary infections from the flu is not always clear. We will not know the estimated number of flu deaths this year for some time.

What we do know is that the flu has peaked quickly this year. The CDC found 22,048 cases of flu in the last three months of 2012, compared with 849 flu cases in the same period in 2011. We also know that 20 children have already died from this flu; 34 died during the 2011-2012 flu season, while 282 children died during the swine flu/H1N1 outbreak of 2009-2010. These figures suggest that this flu season will be worse than last year’s but not as bad as the one three years ago.

2. Drug companies deserve blame for vaccine shortages.

When producing vaccines each season, there’s no easy way for drug companies to know that they’ve made enough. Manufacturers made about 135 million doses of vaccine this season, of which 128 million have been distributed. Flu vaccine takes about nine months to make, which means that manufacturers have to start developing a vaccine well before flu season begins. Even though there have been some isolated shortages, particularly in the Northeast, drugmakers cannot easily adjust the number of doses once production is underway.

Manufacturers are more nimble than they once were and have reduced the time it takes to make an annual batch. Technological improvements, such as cell-based vaccines, could make the production cycle even shorter. (Cell-based vaccines are grown in cell cultures, unlike most flu vaccines, which are made inside fertilized chicken eggs, a slower technique that dates to the 1930s.) In fact, last November, the Food and Drug Administration approved the first cell-based seasonal flu vaccine in the United States.

Though for now we are largely stuck with the number of vaccine doses we already have, manufacturers base production targets on how many shots were used in previous years. Therefore, the best way to make sure we have more vaccine next year is to go out there andget that flu shot.

3. The vaccine won’t keep you from getting the flu — and it’s unsafe, anyway.

The flu vaccine is about 62 percent effective in preventing the flu — obviously not perfect. Still, vaccines are matched to this year’s flu strains, particularly the virulent H3N2 causing the worst problems, and are the best way to prevent infection should you be exposed.

Vaccines are also safe. Anti-vaccine advocates such as HBO talk-show host Bill Maher — who said on Twitter in 2009 that people who got swine-flu shots were “idiots” — have falsely suggested that the flu shot puts a live virus in your arm. Such rumors contribute to an unfortunate phenomenon: “vaccine hesitancy.” Respiratory-disease expert Frank Esper of UH Case Medical Center in Ohio told FoxNews.com that flu shots have “absolutely no live virus. . . . You cannot get the flu from the shot because it doesn’t contain all the parts of the flu virus.” The CDC Web site confirms this.

Still, vaccine hesitancy gives people an excuse not to get a shot or to get one too late, as it takes about two weeks to develop immunity after vaccination. Vaccine naysayers, beware: You are missing out on your best possible protection.

4. People should stay away from enclosed spaces during flu season.

During the swine flu outbreak in 2009, Vice President Biden said on NBC’S “Today” show that he “wouldn’t go anywhere in confined places now.” The statement caused an uproar and threatened to drive people away from air travel and public transportation. Then-White House press secretary Robert Gibbs had to apologize for Biden’s remarks, which show how careful government officials must be in making public pronouncements. Not causing panic is more important than Purell in any flu-response plan.

While I wouldn’t recommended jumping into a pit filled with flu patients, simple prevention goes a long way. The best way to fight the virus is to apply lessons learned in kindergarten: Wash your hands often and well (sing “Happy Birthday” twice to make sure you’ve scrubbed long enough); cough into your sleeve and not into other people’s food or faces (and wash that shirt afterward); and stay home if you are feeling sick or running a fever.

5. The government is doing all it can to fight the flu.

In 2005, the George W. Bush administration launched a $7 billion effortto prepare for pandemic influenza. It was inspired in part by concerns about avian flu and the SARS outbreak of 2002, but also by John M. Barry’s “The Great Influenza,”which Bush had read during a summer vacation. The plan centered on improvements in vaccine technology, countermeasures such as antivirals, domestic preparedness and international cooperation.

As a result of this effort, the government had a flu plan in place when the 2009 H1N1 outbreak occurred. As the New York Times noted, the Obama team’s response to H1N1 was built “on concrete preparations made during the tenure of President George W. Bush that have won praise from public health experts.”

While we are better off today than we were a decade ago on this front, concerns over the recent outbreak show the need to develop more flexible platforms for manufacturing flu vaccines, as well as to educate Americans about the importance of getting a dose before flu season hits and staying home when sick. The government should also improve distribution of antivirals and accelerate the development of home medical kits that people can use when instructed by public health officials. Perhaps then, we’ll be as ready as we can be for another great epidemic.

Gingrich to GOP: Don’t use Debt Limit as Bargaining Chip

Newt Gingrich warned Speaker John Boehner (R-Ohio) that he risks losing control of his conference without a more coherent strategy.

"He can't keep thinking the way he's thought the last few months without having a disaster on his hands," Gingrich, a former Speaker, said during an interview on Meet the Press.

Boehner has endured a tough few days on Capitol Hill, and saw nine Republicans defect from him during Thursday's vote to elect a new Speaker. Several other Republicans abstained from voting or only voted for Boehner at the last minute.

Conservatives were upset with the "fiscal cliff" bill approved by the House this week with grudging support from Boehner, while New York and New Jersey lawmakers were initially outraged by the Speaker's decision to put off a vote on a Hurricane Sandy relief bill.

Gingrich said Boehner needed to carefully craft a legislative agenda in advance of coming high-profile negotiations on the sequester and debt ceiling.

"They could build a strategy in the House; they could think through the next two years," Gingrich said. "They have total control — that's the way the House operates."

Gingrich pointed to the fight over Sandy relief as an example of Boehner not acting strategically. Under fire from New Jersey Gov. Chris Christie and New York Rep. Pete King, Boehner later pledged a two-part vote on the Sandy relief bill.

Gingrich suggested that the House should have simply passed portions of the bill that dealt with immediate storm relief, providing political cover for a fight over the legislation's future disaster funding.

"What Republicans ought to do is pass the Sandy part of the bill, and say, 'We're going to cut $35 billion of pork,' " Gingrich said. " 'Now let's fight with the Senate. The Senate wants to hold up aid to New York and New Jersey over pork?' "

Gingrich also suggested that Boehner and President Obama needed to show more respect for one another in high-profile negotiations, citing even his often-tortured relationship with former President Bill Clinton as an example of how negotiations could proceed more efficiently.

"You have to have mutual respect, and you have to understand this is not just some grandstanding game," Gingrich said.

5 Tips to Smoothing Over Mistakes for Events & Speaking Engagements

How to Handle Mistakes & Mix-Ups the Right Way

Something is always bound to go wrong at an event or a speaking engagement: no matter how much double-checking and following up is done, or even how much attention is paid to the details. Mistakes come in all sizes, and may be as small as leaving a plus-one off the RSVP list, or as huge as sending a keynote speaker to the wrong venue.

Regardless of the magnitude, there is a systematic way for handling mistakes and mix-ups that will help diffuse the situation and not exacerbate it.

The following tips will help ensure that your relationships and reputation are kept intact through any hiccup.

Face The Mistake Head-On At An Event:
Avoiding the issue will make it worse; instead, confront the problem and work through it. Turning a blind eye by pretending nothing’s wrong will not solve anything.

For example, I vividly remember one of the first major hiccups at an event I was coordinating. The event included more than 200 international guests at a historic Washington, DC hotel. Everything was going great, and the conference had sailed into its second day. I stepped out of the venue to make a few calls after the morning keynote and during the break-out sessions. Soon after, I got a panicked call from the group’s coordinator, “There is a mouse playing peekaboo in the front of the room.” I could hear shrills from ladies in the background. I gathered my thoughts for just a moment, and said “I’ll be right there.” I had no idea what I would do onsite, but I knew that I had to acknowledge the problem, be present and help remedy the unwanted guest issue. Pretending that there was no mouse was not going to make the problem go away.

Once back in the room, I made an announcement for the session to take a quick coffee break in the adjoining room, then I found the hotel manager and maintenance, who quickly took care of the issue. I found that my acknowledgement of the problem and direct approach impressed the client. It also put their minds at ease, knowing that everything would be taken care of. When a problem arises at an event, face it head-on!
Take Responsibility (even if it's not your fault):
In the midst of a minor or major emergency at an event, it does not matter whose fault it is. What matters is that the emergency is resolved. Blaming a colleague or vendor only wastes time. Instead, take a different approach, the high ground approach: take responsibility, and then take action to improve the situation. There have been many instances where I took responsibility for an issue that was completely out of my control or not my fault.

One particular incident was at a summer conference with about 1000 kids, ages 10-15. Leading up to the conference, I managed the venue and AV logistics, while my colleague handled all catering and programming needs. Lunch time rolled around on the first day of the conference, and the kids were ready to eat. Unfortunately, the lunches my colleague ordered were on the opposite side of campus from where the hungry kids were waiting. Instead of pointing the finger at my colleague, or waiting for her to handle the issue, I took responsibility for the mix-up and gathered a team to retrieve the lunches. It was a quick fix made even better by a blame free response.
Keep Your Cool & Remain Calm:
There is a reason you can’t yell fire in a crowded room! Panicking when faced with an issue at an event is guaranteed to only make everything worse. The event planner should be the voice of reason and calm when something is wrong. I have found that confidence, assertiveness, and composure not only ease the mind of the client and guests, but allow you as the planner to think more clearly and better solve the problem. Additionally, your demeanor sets the tone for how your clients and guests will feel. If you're panicked, then their state of worry will only be exacerbated. Keep in mind that you are the leader and that you always need to appear in control of the situation.

With the recent super storm Sandy, I was faced with countless phone calls and emails as some of our events were affected. I kept a calm demeanor and provided reassurance as much as possible; these actions helped calm our speakers, their support staff, and most importantly, my boss. It kept them worry-free. Yes, it took extra time and effort on my part—more phone calls, emails and meetings—but it paid off because those same speakers and their staff are more than happy to work with me again (as my name now has a positive connotation in their minds), and my boss could not be any more pleased.
Use Your Resources:
When an issue arises at an event, the first thought you should have as an event planner is “who can help me with this issue?” Event planning is a relationship-focused industry, and you must rely on the knowledge base of others to accomplish goals. Vendors tend to solve what seem to be impossible problems very quickly and easily simply because it is their area of expertise. Even if they are on an hourly contract, sometimes it’s worth spending a bit more money to use their services as they are much more effective and efficient in solving the problem at hand—it’s their job. Additionally, I bring a cheat sheet of all vendor names, phone numbers and email addresses to the event with me. That cheat sheet will often include client contacts, speakers, and event VIPs. I then take an extra step and preprogram those phone numbers and emails into my phone so everyone is on speed dial and only a click away!

One time at an event, I had a speaker present a fairly dark PowerPoint that was impossible to see. It was too late to change the background of the presentation, and the audience was starting to complain. Instead of trying to fix the problem myself by playing around with light switches in the back of the room (not knowing which switch belonged to which lighting grid), I consulted the AV and lighting staff onsite. They simply worked a little magic on their lighting boards to increase the projector brightness in addition to bringing down the house lights, and magically the problem was solved. Using your resources and vendors is a great way to solve problems quickly and without incident; it also helps build the relationship and trust you have with your vendor.
Follow Up & Take Note:
Acting like nothing ever happened doesn’t make an event snafu disappear, and it doesn’t help your learning curve. Mistakes should be used as a learning tool for planners. After you remedy a problem, revisit the issue at a later date to figure out what started it—do a root cause analysis. Then, take note of where the problem arose, and how you reacted to it. Such an analysis will help you improve your craft so that you not only avoid a similar problem the next event, but that you also improve your interpersonal skills so you can better handle the situation.

Early on, I learned that no two problems are the same in the event world though there often can be similar triggers to the problem. All you may do is take precautions based on previous trail by learning experiences to prevent a similar issue from arising at your next event.

These tips should serve as a roadmap of how to handle not only the problem, but also yourself while projecting a positive, professional attitude. My final piece of advice is that you learn to accept that there is no such thing as a perfect event. More importantly, it is how you handle an event's imperfections that will absolutely reflect on you as an event planner—for better or worse!

Technology has made it so easy to communicate with anyone, anywhere, any time. A simple email can connect people across oceans, time zones and even languages. Often, planners are working with people that they may never meet face to face. The convenience of access has somewhat taken away the requirement for thoughtfulness. As a huge believer that the events industry is still an industry of relationships, I’ve learned that successful relationships require thoughtfulness. Going the extra mile or above and beyond helps planners stand out from the crowd, and more importantly makes a lasting impression on clients and vendors alike. The following tips are a few ways to express the thoughtfulness that is sure to get you noticed and improve your client relationship.

Send a Handwritten Thank You Note:

While a quick email to say “thank you” is often appropriate, there is nothing like receiving a handwritten thank you note. Some may think snail mail is out of date, or that no one would take the time to read a handwritten note, but I have seen over and over again, how well received this simple act of thoughtfulness is. Take the time to find stationery that is the perfect mix of professionalism and your personality. If your company has printed cards with the logo and address, then use those. Try not to write a novel, and absolutely use your very best handwriting. Often, I will type the card into Microsoft Word to provide a second-level of review/proofreading, then copy by handwriting it on to the card. I guarantee that the gesture will be appreciated and set you apart from those who flippantly sent a mass thank you email.

Pick Up the Phone:

Similar to sending a handwritten note, speaking to someone on the phone is much more personal than emailing. We are all busy, and have little time to spare, but connecting with through phone call is a great way to build a great working relationship (especially if you have bad news to deliver). I recently learned that in many cultures, receiving an email from someone to whom you’ve never spoken can be quite off-putting. An introduction over the phone will ease discomfort and acquaint two professionals in addition it’s an opportunity to lay the groundwork for successful communications and a strong relationship.

Be Considerate:

There is no greater example of putting consideration into action than the recent super storm Sandy. New York and New Jersey are major hubs of business and hold millions of workers who communicate worldwide daily. The sudden and widespread loss of power left lots of loose ends. I was working with several event planners in that area, and was forced to simply wait. While frustrating, being considerate of the tragedy they were facing was imperative. Being demanding and harsh is sure to get you nowhere, but considering your colleague’s or customer’s situation will absolutely be remembered. Along these lines, keeping mental notes about the people you’re working with will help you be considerate. If someone mentions their son broke his leg, be sure to inquire about him the next time you speak to them. Be genuine, and your concern will not be forgotten.

Remember the Little Things:

Whether it’s recognizing someone’s birthday or passing a card around the office for National Boss Day, it’s the little things that count and make a lasting impression. We often spend more time at work than we do at home, so taking a moment to show appreciation or recognition has a huge impact.

At WWSG, when someone makes a sale, a chain of emails erupts with “good job”, “way to go”, and “you’re a star”. These simple accolades build an atmosphere of gratitude and shared success. It’s the little things that can inspire confidence and eagerness amongst your colleagues and clients.

Use those Old Fashioned Manners:

There is no replacing a “yes ma’am” or a “no sir”. As I mentioned in a previous article “How to address VIP’s,” respect and properness is always appreciated. Of course everyone has a different idea of good manners, but some things are universal. Respect a person’s position or title, say please and thank you, and listen. Practicing good, basic manners will set you apart from those who slip into informalities and unintended disrespect.

Putting a little extra time and thought into your everyday routine will definitely make a huge difference in the way you are perceived and received by colleagues and customers alike. Thoughtfulness will get you a lot of places that rudeness and dismissiveness will not. That behavior is rarely forgotten either.

Acting as a Bodyguard: Protecting Your Client from the Tough Stuff

As event professionals, we are faced with tough issues left and right. Keeping cost down, proving ROI, and solving problems fill our days leading up to and after a big event. We face challenges and hard decisions constantly, but that’s what we signed up for! It takes a very special person, with a unique attitude and skill set to be successful in the event industry. One of those key skills you need to have is knowing how to shield your clients from the tough stuff.

We work in an unpredictable industry, and it is our job to keep that stress from affecting the people we serve—our clients. There are several ways to successfully be a professional bodyguard for your client.

Don’t Over-Communicate:

Communication is absolutely imperative to a successful relationship with your client, but there is a thin line between keeping them informed and stressing them out. Be wise about what you tell your client, especially if the information is not positive. I have run into several instances where I have held my tongue with my client because I knew, from experience, that the issues at hand would all work out before the event. There is no need to cause undue stress if you are confident that an issue will be resolved without their input.

One particular case involved the always-changing travel of a keynote speaker. He was a high profile, always in demand (often tapped by foreign governments for crisis help). The speaker had changed his itinerary at least three times before settling on a direct flight that would put him in the event city a few hours prior to his presentation. I knew that sharing every change with the client would only cause her to panic, so I held on to the flights until I knew they were completely final. Over-communication is a sure way to expose your client to anxiety, which could have been preventable with the right balance of information.

Frame Appropriately:

Similar to the previous tip on what you communicate, how you communicate is equally as important. Framing a message is everything. How you present information, especially complicated or confusing information, is an opportunity to invaluably protect them. Always present a problem coupled with a recommended solution. Likewise, do give the client a few options (three at most) to any issue that arises, then reinforce why you recommend a certain course of action. When framing the issue, be sure to demonstrate your understanding of the issue, while making it crystal clear that the issue will be resolved.

Most recently, I had to communicate to a client that the hotel they had booked for a speaker was not master billed. The hotel had originally caused the problem, but to prevent the client from panicking I framed the issue very specifically. I opened with an appropriate greeting and then went on to explain specifically how it had happened, and what the best solution would be. I kept the language simple and objective. I discussed what the client would need to do to get the payment current. This approach did not give the client time to stress out, and it protected them from any extra work that might have occurred if handled differently.

Always Be the Middle Man Between Vendors and Clients:

Vendors, though absolutely essential to most events, may cause a ton of stress to your client. There is an easy fix to this issue: step in and stay in the middle. You should be the main point of contact for vendors and talent (e.g. speakers and VIP). This step ensures that no one gives or receives misinformation and misunderstanding. You should advocate for your client and shield them from the stress of the tiny details that vendors require to accomplish their tasks.

Typically, I am a buffer between the client and vendor. I was recently working with a client that had an out of country event. Shipping was a major concern and required a ton of back and forth conversations with the vendor. I stepped in and worked with the vendor directly to ensure that everything was tracked and arrived to its destination. The client no longer had to worry about answering calls or emails from the vendor about event details, which I knew intimately. It saved the client and also me time by serving as the bodyguard and interacting with a vendor directly.

Think Ahead & Be Assertive:

Part of being a great advocate and protector for your client is being proactive—not reactive. You should be getting answers to questions that haven’t been asked yet. Your experience provides you with insight and forethought that will protect your client from issues that they would never see coming. There have been many times when I shielded clients from panic by simply having things already taken care of before they think to ask.

One specific example occurred when a client had a very high profile speaker at an event. The client hadn’t thought through the details of a green room (what was needed/on the rider, etc.), so I simply stepped in and handled it directly with the hotel. Once all the details were in place, I informed the client when it was all done. These actions saved the client from embarrassment onsite and stress prior to the event. Be proactive and take things off your client’s plate if you can, they will appreciate it.

Don’t Disappear After An Event:

Good event professionals know that protecting your client extends far beyond the event date. After the event occurs, your client will still need you to advocate for them—especially when reconciling the bills and wrapping up all logistics. Similar to tip number three above, there will undoubtedly be some issues that arise with vendors following the event. Whether it is billing or damaged equipment/materials, the client will be looking for answers. As the event planner, you should field any questions or concerns from your client, then assist in wrapping up everything. At this point, you will also want to learn about your performance and get feedback. This step will help you build a great working relationship with your client as feedback will help you better serve them in the future.

Lastly, you might not have thought that an event professional means being a bodyguard, but it absolutely does. Your client is depending on you to take the heat and protect them from the tough stuff that inevitably comes up during an event. Use these tips to make your client feel secure and trusting of you.

Tips for Event Planners: Know Your Attendees

Conference attendees can be mysterious, perplexing, and downright frustrating. What are their goals and objectives? What do they want? What will they do with the knowledge they gain? These are a few questions that should be top of mind for an event planner.

Of the several “clients” that a meeting planner must answer to, the attendees are by far the most important. Attendees are the lifeline of a conference, and without their participation, there really is no conference at all. Making sure attendees are completely satisfied begins with truly knowing them.

How can you know hundreds, sometimes thousands, of different people well enough to fulfill their needs? This question can be answered by following a few simple tips.

Figure out the demographics of your attendees.

Gender: are they men, women, or both?
Age: what is their age range?
Life Stage: do they have families, or are they single?
Geography: where are they from?

Delve into the professional lives of your attendees.

What is their profession?
What is their level (e.g. C-suite, middle management, etc.)?
What type of education and/or training was required for their professional level?
Who do they answer to?
What are some of the challenges their industry is facing?

Determine your attendees’ objectives for visiting your conference.

Are they volunteering to attend, or is it mandatory?
Do they have a lot of opportunity for growth?
Is networking important to them?
How do they plan on using the knowledge they gain from the conference?

Investigate the learning styles of your attendees.

Is the majority creative or regimented?
Do they need several breaks or would they rather work until their done?
Are they likely to be distracted while at the conference, or completely focused?
Is the information they’re receiving abstract or concrete?

By answering the questions above, you will be able to tailor the event to your attendees’ needs. Good resources you should consult to help answer these questions about your attendees include researching the event history or the history of similar events in addition to reviewing surveys of previous years’ events (if it’s a reoccurring event). Putting in the extra effort upfront to understand the most important client—event attendees—is sure to pay off.

Tips for Event Planners: How to Address VIP’s

You're standing on the curb outside your venue waiting. As you take a moment to catch your breath, you begin to reflect on all the months you've spent working hard to plan the perfect event, down to every minor detail.

You reflect on some of the great moments, like when you secured that high-profile VIP speaker that everyone else wanted, the "ungettable get." Remember how much praise you received for booking him--that very same speaker you're waiting for...

Then, the black town car pulls up to your venue, and you walk up to your speaker with such excitement. The smile on your face says it all. As you extend your hand to greet your guest, you say, “Hello Mr., um, the Honorable, um Dr...," followed by an embarrassing pause.

The awkward smile you get from the speaker makes it obvious that, although well-intentioned, your greeting was inappropriate and is now the gaffe that will haunt you for the rest of the event.

Yes, this situation happens often, but can be avoided easily. It is important to cover all your bases when planning an event that features a high-profile speaker: this includes knowing how to properly address your guest since first impressions are very important and set the tone for the rest of the experience with the speaker. Not following protocol and using the wrong title may disrespect the speaker and will reflect poorly on both you and your organization.

Addressing a speaker in conversation is much different than writing to him or her in mail or email. The question of how to address a thought leader can often be answered by their office directly or the speaker’s bureau. A quick guide of frequently asked questions (FAQs) are below followed by two great resources. Please contact us with any questions!

Examples of Common Address Questions

Question: My speaker has a PhD/Doctorate, but is not a practicing doctor. How should I address him/her?

It is appropriate to address this person as Dr. Name if that is what they prefer. You should follow their lead, or the advice of their office.

Question: The former Vice President of the United States is speaking at my event, am I to address him as Vice President?

The appropriate address for a former Vice President depends on their title before taking office. You will hear some continue to address them as Vice President, but this is actually incorrect. Use your judgment on this one.

Question: The former Chairman of the FDIC is speaking at my event; she introduced herself as simply “Sheila”, should I still be formal and address her ?

In these cases, follow the lead of your speaker. It is always appropriate to address someone as Mr. or Mrs. /Ms., if you are uncomfortable using their first name. The respect is usually appreciated.

By nature, the event planner in an organization is behind the scenes and under the radar. Some work for months, even years in advance towards a signature event or conference.

Others manage weekly or monthly meetings of varying size and importance. Some even coordinate the daily activity of a venue, but all are out of the spotlight. With the exception of the David Tutera’s and Colin Cowie’s of the industry, the average event planner is known only internally, and by other industry professionals.

Though the planner is rarely seen, their work often serves as a calling card for the organization. Attendees might not know who to thank for their amazing conference experience, but their attitude towards the organization is absolutely shaped by that experience. Likewise, a thought leader might never interact directly with a coordinator, but the on-time arrival of their car and attention to dietary restrictions has a major impact on their performance.

The dichotomy of impact versus visibility puts planners in a unique position. Their opinions and ideas not only affect budgets and schedules, but shape perceptions and feelings both inside the organization and externally. A savvy planner walks a tightrope between leading and following in their organization. There are a few things to keep in mind when straddling this fine line.

Present Ideas through the Proper Channels
Whether in a large organization, or a boutique agency, following protocol is the best way to accomplish goals. Planners should funnel their new ideas and changing needs through the system their organization has set up to ensure appropriate respect and consideration is paid.

Back up Budget Changes with ROI
Return on investment has become a huge requirement for the events industry. Gone are the days of spending hundreds of thousands of dollars on a meeting or event with no measurable return. Planners have to be creative in communicating the benefits and positive impact of their work.

Work for Impact, Not Accolades
Begging for recognition or compliments is a sure way to annoy your supervisor and colleagues. Planners should let their work speak for them and invest their time in the impact of their events. While higher-ups will likely not recognize the midnight call to make sure the cross-country flight is on time, they will appreciate the fully engaged speaker that makes the opening address. The impact of the planners work will resonate throughout the organization, even if there is never a personal thank you.

The majority of event professionals are more often tasked with not only managing conferences and meetings domestically, but coordinating internationally. International events are an exciting adventure for attendees, but often prove to be a challenging work for the planner.

Taking on an international event requires supreme organization and intense research by the planner. The event team has to be completely dedicated to making sure their pre-work facilitates a pleasurable experience for their clients, speakers and attendees. Apart from the obvious language barriers and time zone differences, there are three major areas that demand a planner’s attention when tackling international events.

Infrastructure

It is often surprising how different the infrastructure of foreign countries can differ from the United States. Planners working on international events must investigate the basic building blocks of the countries they are entering to ensure a successful event. Things like travel time, flexibility, and load in/load out all depend heavily on the infrastructure of the location.

Political Climate
Now, more than ever, the political environment of a country bears heavily on events and conferences. Planners have to be meticulous in their research and monitoring of the climate of the area where their event will be held. The attitude of the native population towards their own leadership, and the leadership of the United States can pose challenges for planners working on events in that country. Security is of course the biggest and most pressing concern, and should be top of mind for planners.

Cultural Norms

The culture and mores of the host country should be considered and respected by planners producing events abroad. There are countless sources of research for business norms and practices in other countries. It is important for planners to not only follow the most essential customs, but also to share them with their attendees and clients. The last thing a planner should do is offend their hosts due to a lack of research.

Planners must focus on gathering information and following through with adjusting to the nuances of the host country. With the right preparation, international events can be a successful step into an interesting and engaging new place.

Dealing with the several time zones in the United States can prove challenging when trying to meet a deadline, but international time management can be a downright struggle. Luckily, there are great online resources and mobile apps that will save planners from ever having to say “Oops, it’s 4am there.” These sites allow planners to quickly compare their local time to that of their client.
