Hopefully Helpful School Nurse Tip: Polio used to be one of the most feared diseases in the world—and its story is full of hope, science, and resilience. Believe it or not, it even connects to a classic childhood favorite: Candy Land!

Every time someone comments on my Candy Land sweatshirt, they get a mini history lesson! I share the quick story of how polio, vaccines, iron lungs, the inspiring Paul Alexander, and the game Candy Land all tie together. It’s a surprising and powerful reminder of how far we’ve come.

The Shadow of Polio

Back in the early to mid-1900s, polio was a terrifying virus that could cause paralysis or even death. It mostly affected children, and parents lived in constant fear—especially during the summer when outbreaks were most common. Pools closed, playgrounds emptied, and quarantine became a normal part of life.

Everything started to change in 1955 when Dr. Jonas Salk developed the first polio vaccine. A few years later, Dr. Albert Sabin created an oral version that made protecting communities even easier. Thanks to these breakthroughs and global vaccination efforts, polio has been nearly wiped out. Today, it still exists in just a few countries—a powerful reminder of what science and public health can accomplish together.

Candy Land: A Sweet Escape

During the height of the polio epidemic in the 1940s, many children spent weeks or months in hospitals, isolated from friends and family. While recovering from polio herself, former schoolteacher Eleanor Abbott wanted to bring some joy to those young patients. She created Candy Land, a colorful board game that offered kids a sweet escape into a world of adventure and imagination.

The game quickly became a hit—simple, cheerful, and full of hope. Even today, Candy Land remains a nostalgic favorite, reminding us how creativity and kindness can bring comfort during tough times.

The Iron Lung: A Symbol of Resilience

For those who survived the most severe forms of polio, the iron lung became a life-saving but cumbersome reality. This negative-pressure ventilator helped patients breathe when the virus paralyzed their respiratory muscles.

Paul Alexander, often referred to as the oldest living iron lung survivor, contracted polio in 1952 at the age of six. Since then, he spent most of his life in an iron lung, relying on its technology to survive. Despite his circumstances, Paul pursued education, became a lawyer, and even wrote his memoir, Three Minutes for a Dog: My Life in an Iron Lung, which he self-published in April 2020. He continued to inspire others with his story of determination and courage until his passing on March 11, 2024, at the age of 78.

His story remains a remarkable testament to human resilience and adaptability.

Polio Eradication: A Global Effort

Thanks to vaccination campaigns and international cooperation, polio cases have decreased by over 99% since 1988. The Global Polio Eradication Initiative (GPEI) continues to work tirelessly to eliminate the virus entirely. While challenges remain, particularly in conflict zones, the goal of a polio-free world is within reach.

Why This Matters for Today

The fight against polio is such a powerful reminder of what can happen when science, teamwork, and determination come together. It’s a story that still feels relevant today as we face new public health challenges. From kids finding joy in Candy Land to survivors like Paul Alexander who refused to give up, these stories remind us that even in the toughest times, hope and innovation can shine through.

As school nurses, healthcare providers, and educators, we have the chance to keep those stories alive—to remind our communities just how life-changing vaccines and collective action can be.

Looking back at the history of polio helps us appreciate how far we’ve come—and shows what’s possible when we all work together toward a healthier future.

Firsts Worth Celebrating

Earlier this month, I had the incredible honor of serving as the very first keynote speaker at the 55th Annual School Nurse Organization of Oklahoma (SNOO) Summit- a milestone for the organization and for me personally.

It was my first keynote. My first time speaking to a statewide group of school nurses! And the first time I stood at a podium feeling both nervous and exactly where I was meant to be.

From the Heart: “Rooted in Care”

The title of my talk was “Rooted in Care: Stories That Shape Our Practice”. Though, a better title might’ve been “Rooted in Care: Practices That Shape Our Stories”… but I had already submitted my slides, so we just rolled with it!

Either way, both versions captured what I shared: that the seemingly ordinary practices we return to again and again- routines, boundaries, data, and collaboration- are actually powerful tools that shape our impact and support our growth.

Whether it’s setting up a reliable health screening schedule, honoring your own lunch break (yes, really!), collecting data to advocate for more support, or building strong partnerships- we’re not just “getting through the day.”

We’re laying the foundation for long-term success- growing roots of steadiness, sustainability, credibility, & connection that both us grounded and push us to grow as school nurses!

The Energy in the Room

There’s something truly energizing about being surrounded by other school nurses. We speak the same language. We understand each other. We laugh at the same memes. And we all know what it's like to juggle a dozen priorities before 10 a.m.

The Oklahoma school nurses welcomed me so warmly, and I left the Summit with a full heart and deep appreciation for the work we all do- often unseen, sometimes misunderstood, but always important.

Even as the speaker, I found myself learning and growing through hallway conversations, breakout sessions, and moments of shared experience that reminded me: we are not alone in this work.

From One School Nurse to Another:

My Why, Then and Now

Hello School Nurses!

Over 30 years ago, I walked into a school nurse's office for the very first time. I had no idea what I was getting into—just a lot of hope and a desire to help students.

Since then, I've cared for thousands of students. I've managed everything from scraped knees and stomachaches to life-threatening emergencies. I've comforted worried parents, partnered with incredible educators, celebrated student successes, and learned more than I ever imagined possible.

I didn't know back then that school nursing would become my life's work.

But here I am—more than 30 years later—still passionate about school nursing, still learning something new, and still amazed by the impact school nurses have every single day.

Somewhere along the way, something else happened too.

I realized how many school nurses are expected to figure this job out on their own. Many step into a health office with little orientation, limited support, and a long list of responsibilities that no one really prepared them for.

I remember those early days.

There wasn't a roadmap.

I learned one student, one phone call, one spreadsheet, and one mistake at a time.

That's when my focus began to shift—not away from school nursing, but even deeper into it.

Today, my mission extends beyond the walls of my own health office. Through The School Nurse LLC, I enjoy supporting both new and experienced school nurses by creating practical resources, continuing education, templates, workshops, and a community where school nurses can learn from one another.

Diabetes at School: What Every School Nurse Should Know About Type 1

Type 1 Diabetes (T1D) is one of the most medically complex chronic conditions managed in schools—and school nurses play a vital role in helping students stay safe, healthy, and ready to learn.

From blood glucose monitoring and insulin administration to Continuous Glucose Monitors (CGMs), insulin pumps, and emergency preparedness, there's a lot to learn. The good news? You don't have to figure it all out alone.

Whether you're brand new to school nursing or looking for a refresher, this guide will walk you through the essentials of supporting students with Type 1 Diabetes.

Type 1 Diabetes: The Basics

Type 1 Diabetes is an autoimmune condition. The pancreas stops producing insulin, the hormone needed to let glucose into the body’s cells for energy. People with T1D must balance insulin, food, and activity levels 24 hours a day, 365 days a year- no days off!

At school, that means:

Frequent blood sugar monitoring (fingersticks or CGM)
Scheduled or flexible insulin doses
Carb counting for meals/snacks
Emergency plans for highs (hyperglycemia) or lows (hypoglycemia)

Know the Signs of Highs and Lows

Low Blood Sugar (Hypoglycemia):
Can come on fast and be dangerous.

Look for:

Shakiness or dizziness
Sweating
Confusion or irritability
Headache
Slurred speech
Seizure or loss of consciousness (in severe cases)

What to do: Follow the student’s Diabetes Medical Management Plan (DMMP). Most students will need 15 grams of fast-acting carbs, rechecked in 15 minutes. Always keep emergency glucose and glucagon nearby.

High Blood Sugar (Hyperglycemia):
Usually develops more slowly.

Watch for:

Increased thirst
Frequent urination
Fatigue
Blurry vision
Nausea or vomiting (possible DKA warning sign)

What to do: Follow the DMMP, notify parent/guardian, and monitor for ketones if indicated.

Diabetes Technology Has Changed School Nursing

Diabetes care has changed dramatically over the past decade. Many students now use Continuous Glucose Monitors (CGMs), insulin pumps, or automated insulin delivery systems to help manage their diabetes throughout the school day.

These devices provide valuable information and can help improve blood glucose management, but they don't replace good communication or careful nursing assessment.

As you prepare to support a student with Type 1 Diabetes:

Become familiar with the diabetes technology your student uses.
Review the student's Diabetes Medical Management Plan (DMMP) to understand when school staff should intervene.
Know who receives CGM alerts and how your school responds when alarms occur.
Remember that technology is only one part of diabetes care. Students may still need blood glucose checks, snacks, insulin adjustments, or emergency treatment based on their symptoms and DMMP.

The more familiar you are with today's diabetes technology before an emergency occurs, the more confident you'll feel supporting your students.

Helpful Tip: Every student's diabetes technology—and Diabetes Medical Management Plan (DMMP)—may be a little different. Don't hesitate to ask the student, family, or diabetes care team to demonstrate how the device works and answer any questions before the school year begins.

What’s in a DMMP—and Why It Matters

The Diabetes Medical Management Plan (DMMP) is your go-to guide for managing each individual student’s care. It’s typically written by the student’s diabetes care provider and signed by the parent/guardian.

It covers:

Blood glucose monitoring schedule
Insulin dosing and delivery method (injections or insulin pump)
Meal and snack plans
Exercise considerations
Emergency actions for hypoglycemia and hyperglycemia
When to call home—or 911

Keep it updated and easy to access.

Remember:

DMMP = written by the healthcare provider and contains the medical orders.

Individualized Healthcare Plan (IHP) = created by the school nurse to guide nursing care and communication.

School procedures = district policies that help ensure safe, consistent diabetes management.

Understanding the purpose of each document helps everyone work together safely.

Questions to Ask Parents Before School Starts

Every child manages Type 1 Diabetes a little differently. While the Diabetes Medical Management Plan (DMMP) provides your medical orders, a conversation with the parent or guardian can help you better understand the student's daily routine and individual needs.

Consider asking questions like:

Daily Diabetes Management

✔ Tell me about how and when your child was diagnosed with Type 1 Diabetes.

✔ Tell me about your child. What should I know before the first day of school?

✔ What diabetes technology does your child use (CGM, insulin pump, injections)?

✔ Does your child usually recognize when their blood sugar is low or high?

✔ Are there symptoms that are unique to your child?

School Routine

✔ How independent is your child with diabetes care?

✔ Will they count carbohydrates independently or need assistance?

✔ Where do they usually check their blood sugar or administer insulin?

✔ Are there any classroom accommodations that have worked well in the past?

Communication

✔ When would you like me to contact you?

✔ How do you prefer to communicate during the school day?

✔ Who should we call if you're unavailable?

Emergencies

✔ Has your child ever experienced severe hypoglycemia?

✔ Have they ever needed glucagon?

✔ Have they ever been hospitalized for diabetic ketoacidosis (DKA)?

✔ Are there any concerns you'd like us to be especially aware of?

Supplies

✔ What diabetes supplies will be kept at school?

✔ How often should we check expiration dates or replenish supplies?

✔ Is there anything else that helps your child have a safe and successful school day?

Helpful Tip: The best diabetes care happens when school nurses, families, students, and healthcare providers work together. Parents are the experts on their child, while the Diabetes Medical Management Plan (DMMP) provides the medical orders that guide care at school. Use your first conversation to build trust, learn about the student's daily routine, and encourage families to reach out anytime questions or concerns arise.

Know the Law: Diabetes Care in Schools

In Illinois, the Care of Students with Diabetes Act (105 ILCS 145/) outlines specific responsibilities for schools and staff supporting students with diabetes. It requires schools to:

Follow the student’s DMMP as written by their healthcare provider
Allow capable students to self-manage their care (including testing and insulin) in the classroom or elsewhere
Ensure trained school staff are available to recognize and respond to diabetes-related emergencies

Not in Illinois? Be sure to review your own state's laws and district policies before the school year begins.

Preparing Your School Team

Supporting a student with Type 1 Diabetes is a team effort. While the school nurse coordinates diabetes care, many other school staff members play an important role in helping students stay safe throughout the school day.

As you prepare for the school year, make sure:

✔ Students have immediate access to glucose tablets, juice, snacks, water, and emergency medications as outlined in their Diabetes Medical Management Plan (DMMP).

✔ Teachers, coaches, substitute teachers, cafeteria staff, bus drivers, and other designated personnel know how to recognize the signs of hypoglycemia and hyperglycemia—and understand when and how to get help.

✔ Staff members responsible for supervising field trips, extracurricular activities, or after-school events understand the student's diabetes management needs before leaving campus.

✔ Emergency supplies are readily available, and trained staff know where they are located.

When everyone understands their role, students with Type 1 Diabetes can participate safely and confidently in all aspects of school life.

Communication Is Key

A solid communication plan with families helps keep everyone on the same page. Use daily logs, messaging apps, or email—whatever works best. Ask questions. Clarify unclear orders. Keep the DMMP updated.

And most importantly: listen to the student. They live with this every day. Even young students often know their bodies better than anyone. Listen to their concerns, encourage self-advocacy when appropriate, and partner with families and healthcare providers to provide safe, individualized care.

My Diabetes Organization System

Over the years, I've found that having a simple, consistent system makes diabetes management much less stressful—for me, my staff, and my students.

Here are a few habits that have worked well in my health office:

✔ Keep all current Diabetes Medical Management Plans (DMMPs) together in one easy-to-access binder (or secure digital folder).

✔ Review every student's DMMP before the school year begins to identify medication changes, supplies, accommodations, and staff training needs.

✔ Create an Individualized Healthcare Plan (IHP) to guide nursing care and develop easy-to-follow resources for school staff.

✔ Track expiration dates for glucagon, emergency medications, and other diabetes supplies before they become a problem.

✔ Prepare for substitutes, field trips, extracurricular activities, and emergencies before they happen—not during them.

✔ Communicate early with families, healthcare providers, teachers, coaches, and other staff members so everyone understands their role in supporting the student. And advocate for 504 Plans when needed or required.

Final Thoughts

Managing Type 1 Diabetes may feel overwhelming at first, but it becomes much easier as you build routines, learn from your students, and develop systems that work for your school.

Remember—you don't have to know everything on day one. Ask questions, keep learning, and lean on your school nurse community whenever you need support.

You’re more likely to catch things early—whether it’s a hidden health concern or emotional distress.

Tip: Even small things like remembering a student’s favorite sport or complimenting their new glasses go a long way in building rapport.

Families want to know their child is in good hands. A quick phone call, a note home, or a positive email to share something kind their child did can help you build those bridges before there’s a problem.

When families trust you:

Tip: Start the year with an introduction letter or email letting families know who you are, how to reach you, and that you’re here to help.

Asthma is one of the most common chronic health conditions you'll encounter as a school nurse—and one of the most important to prepare for before the school year begins.

The good news? You don't have to memorize everything. Strong asthma management starts with good systems, updated documentation, staff education, and trusted resources.

Whether you're caring for one student with asthma or twenty, this guide will help you build confidence in supporting students throughout the school day.

What is Asthma?

Asthma is a chronic disease that affects the airways in the lungs, making them inflamed and narrow, which can make breathing difficult. Asthma symptoms can vary from person to person but typically include:

Wheezing (a whistling sound when breathing)
Shortness of breath
Coughing, especially at night or early in the morning
Chest tightness

Asthma attacks occur when the airways become even more inflamed and narrow, making it harder to breathe. Triggers can include allergens (like pollen or pet dander), irritants (such as smoke or strong odors), physical activity, and even cold air or stress.

Prevalence of Asthma in Schools

Asthma is one of the most common chronic conditions among children in the United States. According to the Centers for Disease Control and Prevention (CDC), about 1 in 12 children has asthma. This means that in many schools, it’s likely that several students will be managing asthma on a daily basis.

Children with asthma may have different levels of severity. Some may only experience occasional symptoms, while others may face frequent asthma attacks that require medication or even emergency medical care. As school nurses, we need to be prepared to manage asthma in both mild and severe cases.

Building Your Asthma Management System

When managing asthma in schools, it’s important to understand the distinct roles and differences for the following types of forms / documents!

Asthma Action Plan, Individualized Healthcare Plans (IHPs), and State Policies & School Procedures

Asthma Action Plan (AAP) – An Asthma Action Plan (AAP) is a written, personalized guide created by the student’s healthcare provider, usually their doctor, to manage their asthma. This plan provides clear instructions for both the student and school staff on how to handle asthma symptoms and prevent attacks. It’s designed to help everyone involved know what steps to take during a specific student's asthma episode. There are many free examples available online to help create or update an AAP. Helpful Tip: Review Asthma Action Plans before the school year begins and anytime changes are made. Becoming familiar with each student's plan before an emergency occurs helps you respond more confidently. A comprehensive Asthma Action Plan typically includes:

Personalized triggers – What sets off the student's asthma, such as dust, pet dander, or cold air.
Symptoms to watch for – How to recognize the early signs of an asthma attack, such as coughing, wheezing, or chest tightness.
Medications – Detailed instructions about daily medications (like inhalers) and emergency medications (such as rescue inhalers).
Emergency actions – Steps to take if the student’s asthma symptoms get worse, including when to call for help or seek medical attention.

Contact information – Emergency contact numbers, including the student’s doctor and parents.

Individualized Healthcare Plan (IHP) – Written by the school nurse, the IHP is a comprehensive plan that outlines the student’s health needs and how nursing staff will meet those needs during the school day. For students with asthma, and IHP would most likely include the nursing assessment, nursing diagnoses, goals, interventions, expected outcomes, and an evaluation area. IHPs should be reevaluated and updates as needed, but at least each school year.
State Policies and School Procedures – When it comes to managing asthma in schools, it’s important to understand the difference between state policies and school procedures—both are essential, but they serve different purposes.

State Policies- State policies are laws or mandates passed by the state legislature. In Illinois, for example, the law 105 ILCS 5/22-30 allows students to carry and self-administer their asthma medication (like an inhaler) at school, as long as the proper documentation is provided by the parent/guardian and the student’s healthcare provider.
These laws are designed to protect students' rights and ensure schools follow standardized safety guidelines across the state. In Illinois, 105 ILCS 5/22-30 requires schools to:
Permit self-carry/self-administration of asthma medication with appropriate written authorization
Ensure staff are informed and trained on the school’s asthma policies
Maintain an asthma emergency response protocol
Request an Asthma Action Plan for each student diagnosed with asthma
School Procedures- School procedures are the step-by-step processes each school or district puts in place to carry out the state policy. They are the way each school or district follows the law, based on their own staff, setup, and available resources. Examples of school-level procedures include:

How inhalers are stored in the nurse’s office (if not self-carried)
When and how staff are trained to recognize and respond to asthma symptoms
Which forms need to be submitted and how often
Protocols for field trips, gym class, or after-school activities

Supporting Students with Asthma

As the primary healthcare provider in the school setting, the school nurse plays a key role in managing asthma. Here’s what school nurses should know and do to ensure that students with asthma receive the best care:

✔ Review Asthma Action Plans
✔ Develop nursing care plans
✔ Educate school staff
✔ Monitor environmental triggers
✔ Promote correct inhaler technique
✔ Coordinate with families and providers
✔ Prepare for emergencies

Seizures can be one of the most intimidating emergencies school nurses encounter, especially when you're new to the role. The good news is that preparation makes all the difference.

By developing strong systems, educating school staff, reviewing Seizure Action Plans, and using evidence-based resources, you'll be well prepared to support students safely and confidently.

According to the Epilepsy Foundation:

"Epilepsy is not a rare disorder, 1 in 26 people will develop epilepsy during their lifetime. It can occur on its own or alongside other health conditions of the brain. What happens during a seizure may look different depending on who is experiencing them. However, seizures are usually stereotypic, which means the same things or behaviors tend to occur in a person each time they have a seizure."

Understanding Seizures and How They Affect Students

Students with seizure disorders may experience different types of seizures, from brief episodes to more complex situations. It’s important to recognize the signs and know how to provide support. When a seizure occurs, your calm, quick response will set the tone for the entire school community. Staff and students often mirror the school nurse’s reaction, so staying composed will help reassure everyone involved.

Know the Seizure Action Plan

Each student with a seizure disorder should have a Seizure Action Plan in place. This plan outlines what steps to take during a seizure, including emergency medications, whether emergency services should be contacted, and how to ensure the student’s safety. Review plans regularly.

Review each student's Seizure Action Plan before the school year begins and anytime changes are made. The more familiar you are with the plan before an emergency occurs, the more confidently you'll respond.

If a Seizure Action Plan is not in place, follow your school's policy and procedure guidelines to respond appropriately.

Educate School Staff

Teachers and staff may not have the same medical knowledge as you. As a school nurse, part of your role is to educate them on what to do during a seizure, how to keep the student safe, and how to call for additional help. Consider providing brief refresher training each school year—even for experienced staff.

General Seizure First Aid – Stay, Safe, Side

Stay with the student and time the seizure.
Safe – Keep the area clear of hazards.
Side – If possible, turn them on their side for safety.

(If a seizure lasts more than 5 minutes, follow the Seizure Action Plan or call emergency services.)

State-Specific Laws and Policies

It’s also important to be aware of state-specific laws and policies that may impact how schools manage seizure disorders. For example, in Illinois, the Seizure Smart School Act requires schools to have Seizure Action Plans for students with epilepsy. It also mandates that schools designate "Delegated Care Aides" who are trained to assist in implementing these plans, ensuring that students receive the appropriate care and support they need during a seizure. Be sure to review your state’s specific laws to ensure compliance and best practices.

Don't Reinvent the Wheel

When educating staff, there's no need to reinvent the wheel. Many districts already have seizure protocols in place. You can also use reliable online resources to save time while ensuring your school staff is well-prepared. Here are a few helpful options:

The Epilepsy Foundation: Provides a FREE Seizure Action Plan template, nurse (with CEs) & school staff trainings and other super useful tools.

You don't have to create every seizure resource yourself. Many excellent organizations have already developed evidence-based training materials, action plans, and staff education resources.

By using these resources, you’ll ensure staff are informed and prepared to support students with seizures in a timely and effective way.

A seizure lasts minutes—but supporting a student lasts all school year.

As school nurses, we help students succeed by:

• reviewing Seizure Action Plans

• educating school staff

• coordinating emergency medications

• communicating with families and healthcare providers

• promoting inclusion and reducing stigma

• helping students safely participate in school activities

That feels more like your current writing style.

One of the biggest lessons I've learned over the years is that being a great school nurse doesn't mean saying "yes" to everything.

Early in my career, I wanted to help everyone. If someone asked, I said yes. If there was another task that needed to be done, I tried to fit it in. Like many school nurses, I thought working harder was the answer.

Over time, I realized something important.

Setting professional boundaries isn't about doing less. It's about protecting your time, energy, and clinical judgment so you can continue providing excellent care to the students who need you most.

Healthy boundaries don't make you less caring—they help you build a long, rewarding career in school nursing.

5 Key Tips for Setting and Keeping Professional Boundaries

1. Know Your Role

Make sure staff and administration understand your role as a school nurse.
Set expectations on what falls within your scope of practice—and what doesn’t.
Politely redirect requests that don’t align with your responsibilities.

Too often, school nurses are expected to take on extra tasks simply because they’re available. Clearly communicating your role helps prevent being pulled into non-nursing duties.

2. Protect Your Time

Establish clear working hours and avoid responding to emails or calls outside of them.
Let staff know when and how they should contact you for non-urgent matters.
Take your breaks and lunch—your time to recharge is just as important as anyone else’s.

Many school nurses struggle with stepping away, but setting limits on your availability is crucial. If you’re always available, people will always expect you to be.

3. Learn to Say No (Without Feeling Guilty!)

Recognize that saying no doesn’t make you unhelpful—it makes you more effective.
Use professional but firm language when declining extra responsibilities.
Offer alternative solutions if appropriate, like directing someone to the right resource.

Saying no is often uncomfortable, especially in a school setting where teamwork is key. But protecting your time and energy ensures you can focus on the students who need you most.

4. Protect Your Emotional Energy

Be mindful of becoming too personally involved in student or staff issues.
Keep your interactions professional and avoid taking on emotional burdens that aren’t yours to carry.
Protect student privacy by following FERPA and HIPAA guidelines.

It’s natural to care deeply about your students, but setting emotional boundaries prevents compassion fatigue. You can support students while still maintaining a healthy separation.

5. Advocate for Yourself

Speak up when your workload becomes unrealistic.
Request policy support from administration regarding boundaries.
Connect with other school nurses for guidance and encouragement.

Remember, advocating for yourself isn't selfish—it's one of the best ways to protect the future of school nursing in your building.

Learning to pull up your own chair ensures that the health perspective—especially in areas like mental health, safety, and student support—is represented.

"I recently learned about the suicide prevention group, and I think it’s such an important initiative. As the school nurse, I’d love to contribute and collaborate. I often see students who may be struggling—whether through frequent health office visits for stress-related symptoms, signs of self-injury, or other concerns that are shared with me. I’d love to support the team’s efforts. Would it be possible to receive calendar invites for future meetings so I can join?"

"I had an idea that might help give us a more complete picture of the students going through the MTSS process—adding some input from the nurse’s office to the problem-solving form. Things like known medical conditions, a quick summary of nurse visits, or participation in programs like XXX could really help us understand the bigger picture and how it impacts their school experience. Let me know what you think. Thanks so much!"

"I’d love to join the truancy meetings to help provide insight from the health office. I often see students whose absences are linked to health concerns—chronic conditions, anxiety, or other barriers that may not be immediately obvious. Including this perspective could help us better support them. Would it be possible to be added to the meetings? Let me know what you think—I'm happy to chat more!"

2. Highlight Your Unique Role

You bring a different (and valuable) perspective:

You see students with physical complaints that may actually be rooted in emotional distress.

Because of this, school nurses are sometimes unintentionally left out of important discussions—not out of intentional exclusion, but simply because others don’t realize the depth of our expertise.

It’s completely natural to feel a little hurt when you realize you weren’t included in a team or meeting that aligns with your role. But instead of dwelling on the oversight, it helps to frame your involvement around how you can support students. A simple, proactive approach—like expressing interest, highlighting your unique perspective, and emphasizing collaboration—can open doors. In most cases, once others understand what you bring to the table, they’ll welcome your participation.

This shift in mindset not only helps you gain a seat at the table but also strengthens your presence as a key player in student support teams. If you wait for an invitation, you might miss the chance to make a real impact!

Don’t Wait for Permission

Too often, school nurses hesitate to step forward because they assume they need an invitation or worry about stepping on toes. But advocating for yourself isn’t about pushing in—it’s about making sure that student health is not an afterthought. Schools function best when all key stakeholders are involved, and school nurses are absolutely key stakeholders.

One of the biggest concerns I hear from new school nurses is:

"What if I'm wrong?"

Fortunately, mandated reporting isn't about proving abuse occurred. Your responsibility is recognizing concerns, documenting objective observations, and making the report so trained investigators can determine what happens next.

The Most Important Thing to Remember

You are responsible for reporting reasonable suspicion—not proving abuse occurred.

Many new school nurses hesitate because they're afraid of making a mistake or upsetting a family.

Remember...

You are not responsible for investigating.

You are not responsible for interviewing witnesses.

You are not responsible for determining whether abuse occurred.

Your responsibility is to recognize concerns, document objective observations, follow your state's reporting requirements, and make a report in good faith.

What Is Mandated Reporting?

Mandated reporting laws exist to protect children from abuse and neglect. These laws require certain professionals, including school nurses, to report suspected abuse or neglect to Child Protective Services (CPS) or the appropriate local authorities.

Because reporting laws vary from state to state, it's important to become familiar with your own state's requirements before you ever need them. Search your state with this link HERE.

Recognizing Signs of Abuse or Neglect

As school nurses, we may notice physical, emotional, or behavioral changes that raise concern.

Some common warning signs include:

Physical Abuse: Unexplained bruises, burns, fractures, or injuries in various stages of healing.
Neglect: Poor hygiene, inadequate clothing, untreated medical needs, malnutrition, or lack of supervision.
Sexual Abuse: Age-inappropriate sexual knowledge, difficulty walking or sitting, or sudden behavioral changes.
Emotional Abuse: Extreme withdrawal, aggression, anxiety, fearfulness, or sudden changes in behavior.

These signs alone do not confirm abuse.

However, they should never be ignored and may warrant further assessment and documentation.

How to Make a Report

If you suspect abuse or neglect:

1. Document Objective Facts

Record exactly what you observed or what the student disclosed.

Avoid opinions, assumptions, or personal conclusions.

Good documentation becomes an important part of the reporting process.

2. Follow Your School's Procedures

Many districts have internal procedures for mandated reporting.

While you should follow district procedures and notify appropriate administrators when required, you do not need permission to make a mandated report.

3. Contact the Appropriate Agency

Reports are typically made to Child Protective Services or local law enforcement.

Some states require a phone call.

Others allow online reporting.

Some require additional written documentation.

Some states require an immediate phone report, while others allow online reporting. In Illinois, for example, mandated reporters must complete and submit a CANTS form after making a report to the Child Abuse and Neglect Hotline (1-800-25-ABUSE) or online at Illinois Department of Children & Family Services. Other states may have similar documentation requirements, so be sure to check your state’s process.

4. Maintain Confidentiality

Only discuss concerns with individuals directly involved in the reporting process.

Your responsibility is to report—not investigate or share information unnecessarily.

What Happens After a Report Is Made?

Once a report has been submitted, Child Protective Services or another appropriate agency determines the next steps.

Depending on the situation, investigators may interview the child, family members, or school personnel.

Because of confidentiality laws, mandated reporters often receive little or no follow-up information.

That can feel frustrating—but remember that making the report may be the first step in getting a child the help they need.

It's Okay to Feel Uncomfortable

Making a mandated report is rarely easy.

Many school nurses worry about:

Being wrong
Damaging relationships with families
How parents might react
Whether the child will receive help

Those feelings are normal.

Remember that reporting does not mean you're accusing someone of abuse.

It means you've recognized concerns that deserve further assessment by professionals trained to investigate.

Making a report demonstrates your commitment to protecting children—not passing judgment.

Cognitive: Confusion, trouble concentrating, memory issues, slowed thinking
Emotional: Irritability, mood swings, anxiety, depression
Sleep-Related: Sleeping more or less than usual, trouble falling asleep

As school nurses, we cannot diagnose concussions, but we play a key role in recognizing symptoms and making sure students receive proper care. If a student shows any of these signs after a head injury, it’s essential to remove them from activity immediately, contact their parents, and urge medical follow-up as soon as possible. When in doubt, always refer them for further evaluation.

Allow extra time for assignments and tests
Reduce bright lights and noise exposure in the classroom

Return-to-Play:

Students should be completely symptom-free before returning to sports
Follow a stepwise approach, increasing activity levels gradually
Always get medical clearance before full participation in sports
Monitor for any return of symptoms

If you delegate nursing tasks to unlicensed assistive personnel (UAPs), their documentation should align with yours. Mixing documentation methods (some using paper, others using EHRs) creates confusion and gaps in care.

Make sure:

UAPs have their own login credentials for the EHR. No shared accounts or passwords!
They document only what they are responsible for—never on your behalf.
They have the right level of access to student records to complete their delegated tasks correctly.

Proper delegation and documentation protect both the nurse and the student.

Whether you're charting a student visit, documenting medication administration, writing an accident report, or communicating with parents, good documentation isn't just about keeping records. It supports continuity of care, communicates your clinical thinking, and protects both your students and your professional nursing practice.

The good news? Documentation doesn't have to be complicated.

Once you develop a consistent system, documenting becomes faster, easier, and much less stressful.

Why Documentation Matters

Early in my career, I documented because I knew I was supposed to.

Later, I realized why documentation matters.

Several years after caring for a student, I was contacted through my school district regarding an incident. Thankfully, I had documented everything I needed to recall and years later, those notes became important!

That experience changed the way I think about charting.

Documentation isn't simply a record of what happened.

It tells the story of the nursing care you provided.

Good documentation:

supports continuity of care
communicates with parents and healthcare providers
documents your clinical decision-making
protects both students and nurses
creates an accurate legal record when questions arise later

That experience reinforced something I now tell every new school nurse:

Document as though you may need to read your note again years from now—because someday, you just might.

Documentation Doesn't Have to Be Complicated

One of the easiest ways to improve your documentation is to use the same basic structure every time you chart.

Instead of wondering what to include, simply ask yourself:

• Why did the student come to the health office?

• What did I observe?

• What nursing care did I provide?

• What happened next?

• Is any follow-up needed?

Whether you're documenting a headache, medication administration, an injury, or a chronic health condition, these same questions help create clear, consistent documentation.

Good Documentation Tells the Story

Compare these examples.

Instead of writing:

"Stomachache. Sent back."

consider documenting:

"Student reports stomachache after lunch. Denies vomiting or fever. Rested 15 minutes with improvement. Returned to class. Will return if symptoms continue."

Notice the difference?

The second example explains:

why the student came
what was observed
what nursing care was provided
how the student responded
what happened next

Your documentation should tell the story of the care you provided.

Simple Habits That Improve Documentation

Good documentation isn't about writing more.

It's about writing consistently.

Here are a few habits that can make charting easier:

✔ Document as soon as possible while the details are still fresh.

✔ Use objective language rather than opinions or assumptions.

✔ Follow the same documentation structure every time.

✔ Include the student's response and any follow-up.

✔ Write clearly enough that another nurse could understand exactly what happened.

Developing a consistent documentation system saves time, improves communication, and builds confidence.

Before You Finish Your Note...

Ask yourself:

✓ Would another nurse understand exactly what happened?

✓ Is my documentation objective and professional?

✓ Did I include the outcome or follow-up?

If the answer is yes, you're probably done.

One of the biggest lessons I've learned over the last 30 years as a school nurse is this: Don't just organize medications. Build medication systems. Strong systems save time, reduce stress, support safe practice, and help you feel more confident throughout the school day.

Medication Administration Is More Than Giving a Pill

Medication management involves much more than handing a student a medication cup.

Every day, school nurses are responsible for coordinating physician orders, obtaining parent authorizations, securely storing medications, documenting every dose, monitoring for side effects, communicating with families, preparing medications for field trips, and making sure emergency medications are ready when needed.

The more responsibilities you juggle, the more valuable a dependable system becomes.

Build Medication Systems Before You Need Them

One lesson I've learned over the years is that it's best to create medication systems before things become hectic—but also be flexible enough to adjust them as your needs change.

In my office, two nurses administer medications throughout the day. Years ago, we found ourselves asking questions like:

"Did you already give this student their medication?"

"Did this student already come down?"

"Who documented that dose?"

Those conversations happened often enough that we realized something needed to change.

When you're asking the same questions over and over, it's usually a sign that your system—not your staff—needs improvement.

We didn't need to work harder.

We needed better systems, not more stress!

Looking back, improving our systems made one of the busiest parts of our day feel much more predictable. Today, we use consistent routines for daily medications, PRN medications, emergency medications, documentation, and inventory.

They may seem simple, but together they help our office run more efficiently, reduce the risk of errors, and support safe medication administration.

Every District (and school) Will Look Different

Your medication room probably won't look exactly like mine.

Your district's policies may be different.

Your student population may be different.

Your documentation system may be different.

And that's okay.

Strong medication systems are only one part of safe medication administration.

School nurses must also understand the legal, ethical, and professional responsibilities that guide medication practices within their state and district.

While procedures vary across the country, there are several key concepts every school nurse should become familiar with.

School nurses function under their state's Nurse Practice Act, which defines the legal scope of practice and responsibilities for licensed nurses. Administering medications is a task that falls squarely within this scope, but it comes with specific guidelines:

Delegation: Nurses must understand which tasks, if any, can be delegated to unlicensed assistive personnel (UAP). State laws vary widely, but most require that the school nurse assess the situation and provide training and supervision when delegation is permitted.
Clinical Judgment: Nurses are responsible for assessing whether it is safe to administer a medication based on their training and the provided orders. They must also monitor for potential side effects or adverse reactions.

Understanding the differences between HIPAA and FERPA will help you answer that question with confidence. Although the two laws are often confused, knowing which one applies can make communicating with staff, families, and healthcare providers much easier.

HIPAA vs. FERPA: The Basics

If you’re wondering where HIPAA ends and FERPA begins, you’re not alone. Here’s a quick breakdown:

What Is HIPAA?

The Health Insurance Portability and Accountability Act (HIPAA) ensures the privacy of patient health information (PHI) in healthcare settings. It’s what doctors, hospitals, and insurance providers follow to keep patient information secure.

In a school setting, HIPAA may apply if you work with outside healthcare providers, like a student’s pediatrician or therapist.

Think About Who Needs to Know

As school nurses, we often ask ourselves:

Does this staff member need this information to keep the student safe?
Am I sharing only the information necessary?
Is this information being shared with someone who has a legitimate educational interest?

Keeping those three questions in mind can help guide many everyday conversations.

What Is FERPA?

The Family Educational Rights and Privacy Act (FERPA) protects educational records, including health-related information maintained by the school. These records can include IEPs, 504 plans, school physical exams and immunization records.

FERPA governs how schools collect, share, and store student information. Unlike HIPAA, it’s designed specifically for educational institutions.

Key Differences Between HIPAA and FERPA

HIPAA applies to healthcare providers.
FERPA applies to schools and educational records.
Example: If a student’s doctor faxes you a medication order, that’s HIPAA. Once the order becomes part of the student’s school record, it’s governed by FERPA.

Sometimes, these laws intersect. For instance, if you need to share a student’s health information with an outside provider, you may need consent from the parent/guardian to comply with both HIPAA and FERPA. Always check your district’s policies for specific guidance.

What About Sharing Health Conditions With Teaching School Staff?

FERPA allows the sharing of student health information with school staff on a "need-to-know" basis if it is necessary for them to perform their job duties and ensure the safety or well-being of the student. Here’s a bit more detail:

FERPA and Sharing Health Information

Permissible Sharing: FERPA permits school nurses and administrators to share student health information with teachers, aides, and other school staff who need the information to support the student effectively. For example, sharing a diabetes action plan with a teacher who supervises lunchtime would be appropriate.
Parental Consent: In most cases, schools do not need explicit parental consent to share information internally for legitimate educational interests, such as maintaining safety or providing necessary care.
Minimum Necessary Information: FERPA encourages sharing only the information necessary for the staff member to perform their role. For example, you might tell a bus driver that a student has severe asthma and what to do in case of an attack, without divulging unrelated medical history.

Emergency Situations

FERPA also provides more flexibility in emergencies. If a student’s health or safety is at immediate risk, you can share relevant information with those who can help, including external parties like first responders.

In General Everyday Situations

One of the most impactful parts of your role is helping teachers and staff understand student health needs of any student in general. What seems like simple knowledge to you, might be new information for someone outside of the health field. Here are a few tips to make those conversations effective:

1. Start With the Basics

Explain the health condition in simple terms. Focus on what staff need to know, like:

Common symptoms.
Triggers to avoid.
Immediate steps to take during an emergency.

For example, when teaching about asthma, highlight signs of an asthma attack and demonstrate how to use an inhaler or spacer if necessary.

2. Create Handy Resources

Quick-reference guides or infographics can be lifesavers for busy staff. Consider including:

Allergy protocols.
Seizure action plans.
Diabetes care instructions.

These resources should be easy to understand and accessible in classrooms, staff lounges, or online portals.

3. Use Real-Life Scenarios

Bring learning to life by sharing real-world examples. Role-playing scenarios, like responding to a student’s allergic reaction and using a trainer epi-pen, can help staff feel prepared and confident.

4. Respect Confidentiality

Remind staff to keep student health information private. Share only what is necessary to provide safe care. For example, instead of saying, “Jasmine has diabetes,” you can teach, “If a student has low blood sugar, offer a snack like juice or crackers.”

You might encounter questions like:

A teacher asks why a student leaves class every day.
A coach wants to know if an athlete has asthma.
A substitute teacher asks about a student's seizure disorder.
A cafeteria worker asks about food allergies.

As school nurses, we play an essential role in ensuring that all students have access to the care and support they need to thrive academically and socially. One critical tool in supporting students with disabilities is the 504 Plan. Let’s take a closer look at what 504 Plans are, who they serve, and why they’re so important.

What Is a 504 Plan?

A 504 Plan is a formal plan developed by schools to provide accommodations, supports, and services to students with disabilities. The goal of these plans is to make sure that students with health related disabilities can access the general education curriculum on an equal footing with their peers.

Unlike an Individualized Education Program (IEP), which is specifically for students who require special education services, a 504 Plan focuses on accommodations within the general education setting. These plans are written specifically to meet the unique needs of each student and address barriers that might limit their ability to participate fully in school.

Who Does a 504 Plan Serve?

A 504 Plan serves students with disabilities as defined by Section 504 of the Rehabilitation Act of 1973, a landmark civil rights law. According to this legislation, a disability is any physical or mental impairment that substantially limits one or more major life activities. These activities can include things like walking, learning, eating, breathing, and concentrating.

Common Health Conditions That May Qualify

Many school nurses are the first to recognize when a student's health condition may be interfering with learning or full participation in school activities. While eligibility for a 504 Plan is determined by the 504 team, students with conditions such as these are commonly considered:

Diabetes
Asthma
Severe allergies or anaphylaxis
Epilepsy or seizure disorders
ADHD
Migraine disorders
Anxiety or depression
Crohn's disease or ulcerative colitis
Juvenile arthritis
Sickle cell disease

Remember, a diagnosis alone does not automatically qualify a student for a 504 Plan. Eligibility is based on how the condition substantially limits one or more major life activities. Each student should be evaluated individually based on their unique needs.

By collaborating with families, educators, and healthcare providers, we can help develop and implement plans that truly support student success.

The School Nurse’s Role in 504 Plans

The school nurse plays an important role throughout the 504 process by helping the team understand how a student's health condition affects learning and participation in school.

Responsibilities may include:

• Identifying students whose health conditions may require accommodations

• Gathering and reviewing medical documentation

• Collaborating with families, healthcare providers, teachers, counselors, and administrators

• Recommending individualized health accommodations

• Helping staff understand and implement health-related supports

• Reviewing plans periodically as students' medical needs change

That sounds much more like your day-to-day work.

Examples of Common Accommodations

Every 504 Plan should be individualized. Students with the same diagnosis may require very different accommodations depending on how their condition affects them at school.

They can include a wide range of accommodations, such as:

Access to snacks and water for students with diabetes.
Extra time for assignments and tests for students with ADHD.
Permission to carry and self-administer an inhaler for students with asthma.
Preferential seating for students with hearing impairments.

By tracking meaningful data, you can move beyond simply answering that question and begin telling the full story behind the numbers.

Your Work Deserves to Be Seen

One of the most important lessons I've learned during my school nursing career is this:

Your work deserves to be seen.

School nurses do far more than hand out Band-Aids and ice packs. Every health assessment, medication administered, health screening completed, parent phone call, care plan developed, emergency response, health education lesson, and conversation with a student contributes to the health and success of the entire school community.

The challenge?

Much of that work happens quietly behind the scenes.

Meaningful data helps make that work visible.

Why School Nurse Data Matters

Tracking data isn't about creating more paperwork.

It's about helping others understand the value of school nursing.

Meaningful data helps make your work:

Visible

People begin to understand everything that happens inside the health office—not just the student visits they happen to see.

Validating

The numbers support what you've known all along: school nurses have a significant impact on student health, attendance, and academic success.

Valued

When administrators and school boards can clearly see your impact, it's much easier to advocate for staffing, supplies, equipment, and additional support.

Data Doesn't Have to Be Difficult

One mistake many school nurses make is believing they need to track everything.

You don't.

Start small.

Choose a few meaningful data points that are already part of your daily routine. As your system becomes more comfortable, you can always add more later.

Remember...

A simple system you'll actually use is far better than a complicated system you'll eventually abandon.

Start With What You're Already Doing

You may already be collecting more information than you realize.

Numbers alone are helpful.

Stories make those numbers meaningful.

Instead of reporting:
